Welcome to the Fair! We are glad that you are part of the Sonoma County Fair and Exposition. We know that this will be a
happy and prosperous relationship. Throughout the book, when we refer to "vendors", please interpret that to mean both concessionaires and commercial
vendors. We appreciate the hard work that you do at our Fair and hope that this handbook will make it a little easier.

Grace Pavilion Set-up Hours
Monday, July 30: 9 am to 5 pm Tuesday, July 31: 9 am to 5 pm Wednesday, August 1: 9 am to 7 pm (No vehicle traffic allowed on grounds after 4:00 pm) Thursday, August 3: 8:30 am to 9:30 am
The Fair begins on Thursday, August 2 ~ Gates open at 11:00
Vendors need to have booths open by 10:30 am.
Outside Food Concessionaires Set-up begins Saturday, July 29 (requires approval from the Vendor Office)
Closing Night Procedures (Detailed procedures will be hand delivered to all booths prior to fair closing.)
� Grace Pavilion will close at 10 pm on Sunday, August 12. � Vehicles may be brought on the grounds after when fair management has determined it is safe after fair closing. � After the general public is cleared from the building, all doors will be opened to allow for booth removal. � Do Not Start Removing Or Tearing Down Booths Prior to 10 pm! � All personal property must be removed from the Sonoma County Fair premises by 4:30 pm on Monday, 8/13/19.

General Rules & Regulations 1. ALOCHOLVendorsandallemployeesorvolunteersofthecompanyarenotallowedtoconsumeralcoholicbever-ageswhileworkingwithinyourcontractedspace.Possessionand/orconsumptionofalcoholand/orillegaldrugsorsubstancewithinyourdesignatedspaceareprohibitedandaregroundsforimmediateremovalfromtheFairgroundsandrevocationofyourspaceagreement.Noexceptions.2. ANIMALSForthehealthandsafetyofresidentanimalsattheSonomaCountyFair,petsarenotallowedongroundsorateventsunlessclearlyidentifiableasservice,guideorsignaldog.Dogsandminiaturehors-esaretheonlyanimalsthatarerecognizedbytheADAas“serviceanimals.”UponenteringtheSonomaCountyFairgrounds,theownerofsaidserviceanimalsmustproduceproofofanimalvaccinations,orriskbeingdeniedentry.Allotherpetsarenotallowedunlesstheyareapartoftheevent(i.e.,-petshows,adoptions,etc.)andmustbepenned,cratedoronleasesatalltimes.
� PetsarenotpermittedintheFairZoneatanytime,withtheexceptionofAssistanceDogs.� PetsintheRVareamustbeleashedorfencedatalltimes.Ownersmustcleanupaftertheirpets.

BOARDOFEQUALIZATIONVendors/FoodConcessionairesellingtangibleitemsinexchangeformoneymustfileforaCaliforniaStateSeller’sPermitnumber.Vendorswhoareprovidingaservice(i.e.,palmreading,hennatattoos,generatingleadsforfuturebusinessinexchangeformoneyarenotrequiredtoprovideasellerspermit.Vendorsmustprovideacopyofyourseller’spermittotheSonomaCountyFairVendorOfficepriortoset-up.Forinformationandseller’spermitapplicationscalltheStateBoardofEqualizationat(800)400-7115.Websiteaddressiswww.boe.ca.gov.4. BOOTHDECORATINGMATERIALSAllvendorsmustprovidetheirownboothmaterials,supplies(i.e.,chairs,tablesdisplaycases,signs,lightingequipment,etc.)thatmeetwithapplicablerulesestablishedbytheRiversideCountyFair.5. BOOTHHOURSBoothmustbeopenby10:30a.m.onopeningdayandstaffedfrom11:00a.m.to10:00p.m.eachday.FailingtocomplywiththesehourscouldresultintheimmediateremovalofyourboothandtheLicenseAgreementbetweentheSonomaCountyFairandtheVendorwillbecomenullandvoidwithVendorfor-

feitingalldeposits.Buildingaccesstimeonfairdaysis9:00a.m.eachday.ThereisnobuildingaccessonMondays.Thereistobenoeatingordrinkingalcoholinbooths,noexceptions.Pleasenote:Theremaybeasoftopenonthefirstdayofracingand/orSeniorDay,Thursday,August2,2018andFridayAugust3,2018.6. BUILDINGMONITORSMonitorswillbearoundthegroundsandareheretohelp.Feelfreetoaskthemanyquestionatanytime.Theywillbeeasilyidentifiablebytheirapparel.Pleasenotethatbuildingmonitorsandanyfairstaffarenotallowedtoacceptanytypeofgiftsormerchandisefromvendors.7. CLEANLINESSThefairprovidesjanitorialserviceforaislesinthebuildingsandallpublicareas.Vendorsareresponsi-bleforkeepingyourboothandstandcleanandclearofdebris.PleaseusethetrashbinsonthewestsideofthePavilionasthelargetrashcansintheGracePavilionareforpublicuseonly.Pleasebreakdownboxesandplacenexttothetrashbins.Boothsmustberemovedofallgarbageandpresentableatleast30minutesbeforeopeningeachday.Pleasecontactthevendorofficeifaspaceneedsimmediateattention.8. CONTESTPRIZESTheSonomaCountyFairhasafullscheduleofcontestseveryday.SomeVendorsarecontactedandaskedtodonateprizesfortheseevents.Anyvendorwhowishestomakeadonationshouldnotifythevendoroffice.9. CUSTOMERACCESSIBILITYTOBOOTHSVendorsmustensurethattheirboothsmeetcurrentADArequirements.VendorshallparticipateinFair’saccessibilityinspections(bothpre-operationalandoperationalduringtheFair)andshallworkcooperativelywiththeFair’sCertifiedAccessSpecialistordesigneetoensureaccessibility.Ultimatere-sponsibilityforcompliance,however,shallremainwithvendor.10. CUSTOMERRETURNSVendorReturnPoliciesmustbeclearlypostedinyourbooth.FairgoerswhoneedtoreturnanitempurchasedatthefairmaydosobycontactingtheVendorOffice.Vendorstaffwillmakearrangementsforthefairgoertore-enteratnopersonalcost.Fairgoerswillbeescortedtothevendorboothtoreturntheitem.11. DAILYNEWSAdailynewsletter,theFairVoice,isdistributedeachmorningatthemainoffice,theGracePavilionofficeandallinformationbooths.TheVoicegivesscheduleupdates,importantnoticesforconcessionairesandadailyprizedrawing.TheVoiceisintendedforemployeesandvendors.12. DRESSCODETheSonomaCountyFairisintendedfortheenjoymentofthegeneralpublic,particularlyfamilies,andtoinsurethequalityofourfamilyatmosphere,allvendorsareaskedtoadheretothefollowingpolicy:1.Noapparelwilldisplayprofanity.2.Nodrugparaphernalia,NOsmokinginbooths3.Noappareloraccessoriesintendedtoprovoke,offendorintimidateotherswillbetolerated,includingoffensiveslogans,insigniaor“gangcolors”.Interpretationofthispolicywillbemadesolelybytheman-agementoftheSonomaCountyFair,whosedecisionswillbefinal.13. ELECTRICITY(COLDSTORAGE)Allconcessionairesrequiringelectricityforrefrigeratedtruckswillbecharged$300.00foreachtruckorhookup,subjecttoavailabilityoflocations,andmustobtainadvanceapprovalandpermissionfromFairManagement.NoncompliancemayresultincancellationofLicenseAgreement.Allstocktrucksmustbe

24. RECORDKEEPING
� All concessionaires are expected to keep true and complete records of gross receipts, and tomaketheserecordsavailableforinspectionbytheSonomaCountyFairatalltimes.
� TheSonomaCountyFairmayaudittheserecordsattheendofthefair.Concessionairesagreetocomplywithallauditproceduresandregulations.
� Receiptofapercentagerentshallnot inanywaymakeSonomaCountyFairapartneror jointventurerwithConcessionaire.
SalesReportstoState:VendorsagreethatwhenfilingtherequiredreportwiththeBoardofEqualiza-tion,StateofCalifornia,theyshallfileareport,asmayberequiredbylaw,ofanyandallgrosssales,thatarederivedasaresultofoperationat theSonomaCountyFairgrounds.Anyapplicable licenseand/ortaxesaretobepaidbyVendor,i.e.,licensetosellproducts,salestax(8.625),publichealthpermit,etc.VendorsmustobtainsalestaxpermitsfromtheStateBoardofEqualization(707-576-2100)incompli-ancewithSection6015,CaliforniaAdministrationCode2003.Thislicensemaycreateapossessoryin-terestsubjecttopropertytaxationand,ifitdoes,Vendorwillberesponsibleforpaymentoftaxesleviedonanysuchinterest.25. RECYCLINGVendorsareencouragedtorecycle.Binsforglass,paperandaluminumarelocatedoutsidesoutheastendofGracePavilion.Therearebinsforcardboardoutsidetheroll-updoorsonthewestsideofGracePavilion.Outsidevendorswishingtorecyclecardboardshouldplaceitinfrontoftheirbooths.Allmate-rialstoberecycledwillbepickedupby10a.m.26. RESTRICTEDSALESITEMSVendorsarenottogiveawayorsellanyitemsotherthanthosespecifiedintheirLicenseAgreements,including,butnotlimitedto:food,beverages,novelties,balloons,souvenirs,toyknives,gunsorswords,scooters,skateboards,T-shirts,inflatable’s,bumperstickers,decalsorhats,exceptwithwrittenpermis-sionofSonomaCountyFair.Laserpointersarenottobesoldorgivenaway.AllitemssoldmustbetastefulandreceiveapprovalfromManagement.VendorswillremoveanyitemsthatarenotconsideredacceptablebyManagementofSonomaCountyFair.Counterfeitor“knock-off”merchandiseisprohibit-ed.Vendorsareexpectedtoensurethequalityoftheirproductsandareexpectedtoresolveissuesbyeithergrantingpatron’sexchangesorrefunds.27. ROVINGUnlessotherwiseauthorizedbyFairmanagement,allvendorsareexpectedtoconductallbusinesswithintheconfinesoftheirallottedboothspace.Itisnotpermissibletogooutsideyourboothtodis-

tributefliers,solicitcustomersoradvertiseyourproducts.28. SMOKEFREEFACILITYTheFairgroundsisasmoke-freefacility.Allsmokingmustbedoneinadesignatedsmokingarea.Pleaseseetheenclosedmapofdesignatedareas.Thiswillbestrictlyenforcedandmonitoredbysecurity.Eachvendorisrequiredtocomply,otherwise,theywillbeaskedtoleave.29. STORMWATERPOLLUTIONPREVENTIONPOLICIESThesepoliciesmustbestrictlyadheredto.Allcommercialvendorsandconcessionairesabidebythere-quirementsbelow:
� Allpotentialpollutantssuchaspaint,fuel,oil,degreasers,pesticides,herbicides,fungicidesandcleaningsuppliesmustbekeptincontainmentcontainers.
� DuetoenvironmentalconcernsthewashingofvehiclesisprohibitedonFairgroundsproper-ty.
� Donotattempttocleanupaspillbywashingacontaminantdownanydrain,regardlessofthesizeofthespill.
� Allgreasemustbeputingreasecontainerswhichareclearlymarkedandnearthebooths.Additionalcontainerswillbeprovideduponrequest.
� Allgreasegeneratingconcessionswhichdonothook-uptoin-groundseparatorsuseabovegroundportablefloorsinksandgreaseseparatorsthatruntosewer.
� Allgreywatergoesintothesewersystem.� Greywater,grease,soapandanyothercontaminantsareprohibitedfrombeingpouredinto
stormdrains.� Intheeventofaspillofanypotentialpollutant,immediatelycontacttheMaintenanceSuper-

Golf Carts VendorsmustapplyforapermittouseagolfcartattheSonomaCountyFairandpaya$125feepercart.Vendorsmustshowproofofinsurancefortheuseofacart.Theapplicationisavailableontheven-dorpageofourwebsitetodownload.AnyunauthorizedgolfcartusewillresultinthedismissaloftheoffendingvendorfromparticipatingintheFair.Thefollowingrulesmustbeobeyedbyallthoseusinggolfcartsonthefairgrounds.Atthefirstinfractionofanyoftheserules,thedriverofthecartwillbede-niedpermissiontodriveacartforthedurationoftheFair.46.
