My role is to assist you as your liaison to the Hotel departments for specifics as they relate to your room set up, food and beverage service, bar service and event agenda. As I want to give you the time and attention that such special details deserve, please keep in mind that meetings will be by appointment only and must be confirmed at least 24 hours in advance. All beverages are subject to applicable taxes and 24% service charge. A bartender fee of $100 is required for every 100 guests for the first 4 hours. $50 for each additional hour. Texas law prohibits the sale of alcohol to persons less than 21 years of age. You and your guests may be asked to provide proof of age and identification. The Embassy Suites San Marcos-hotel, spa and conference center is the only licensed authority to sell and serve liquor for consumption on the premises. Therefore, no alcohol can be brought into the facility.

Decorations Can I bring in My Own Decorations?
Yes! You are welcome to bring in any decorations that you like. Please note that Your Party will be responsible for any set up or tear down of decorations that you bring in.
Audio Visual Equipment Do you provide Audio Visual Equipment?
Yes! Our in-house staff can work with you to tailor Your event with lighting, sound and audio visual equipment. Contact us for a proposal and photos of options available.
Attendance When do I need to Notify the Hotel of the Number of Guests Attending?
Expected numbers are due 10 days prior and FINAL numbers are due 72 Business Hours Prior.
Food and Beverage Can We Bring in Our Own Food and beverage?
No. The hotel provides all food and beverage as prepared by our executive chef and his Team. The Embassy Suites San Marcos-Hotel, Spa and Conference Center is the only licensed authority to sell and serve any alcohol in the Hotel.
Time How long do we have the room?
Events are Typically five hours in length but must end by 12:00AM. Please see your contract for specific time details.
Payment Policy Upon Signing of the Contract 10% of the Anticipated amount is due.
Ninety days prior to the event 50% of the anticipated amount is due.
Thirty days prior to the event 75% of the anticipated amount is due.
Seven days prior to the event 100% of the final amount is due.
