You are invited to participate in the
“Knock on Wood” Arts Fest
(28 July – 1 August 2014)
where the Woodridge Schools will be opening their doors to schools in the Eastern Cape
and Garden Route regions for a festival encompassing music, speech and drama, visual art
and creative writing. This bi-annual event aims to:
Provide exposure to budding young artists in a non-threatening and
stimulating environment,
Foster a general awareness and appreciation of the arts,
Stimulate youthful artistic self-expression,
Foster interaction between schools on a cultural level.
1 Festival Format
Lunch hour concerts and a vibrant evening programme, including music concerts and drama
productions, will be hosted concurrent with the festival. Professional performers of a high
calibre will participate in this programme.
Lunches and other refreshments will be available on a daily basis on the school ampus.
What can you expect?
An opportunity to perform in the company of fellow artists and to be judged by
kind adjudicators, who will “discreetly” provide you with helpful feedback and
tips!
Each participant in this festival will receive an adjudicator’s report and a
certificate indicating their level of proficiency. Furthermore, there will also be a
competitive element in that sectional medal winners will be announced for the
first three places in the different age groups of the different categories.

3.2 Adjudication
Adjudication will be done by respected professionals.
The adjudicator’s decision is final and no discussion will be entered into regarding
certificates and awards.
Adjudicators may disqualify participants if they do not adhere to all the Arts Fest rules
and regulations.
Medals will be awarded in all sections as indicated in the tables above.
Certificates will be awarded for the following levels of achievement:
3.3 Organising Committee
It is the responsibility of the participants (or their teachers) to inform the
Organising Committee of any change of address, contact details or other entry
details prior to Monday 23 June. No changes will be made after this date.
Participating schools must ensure that the current and correct details of the
school, teacher and participants are supplied. The Organising Committee takes
no responsibility for incorrect or altered information which has not been disclosed
and this might lead to disqualification.
The Organising Committee takes no responsibility for entries that are late due to
the slow postal service or problems with the online registration process if the
participant (or responsible teacher) did not double check entries and entry details.

Personal details of participants will be used for administrative purposes and not
for public consumption or publication.
The Organising Committee reserves the right to cancel the Festival at any stage
if deemed necessary due to circumstances that could not be prevented.
The Organising Committee has the right to alter the age category of the
Participant if it is established that the Participant has been entered into the
incorrect category.

3.4 Entry details
3.4.1 Registration of Affiliates & Payment Reference Number
All participating schools have to AFFILIATE as a member of the Knock on Wood Arts
Fest.
Affiliation is free of charge.
After affiliation, a payment reference number will be generated for each school and
this must be used in all communication with the organising committee or when
making payments.
The period for affiliation is from 10 March to 14 April.
Affiliation and Entries must preferably be done ELECTRONICALLY on the
Woodridge Website at www.woodridge.co.za/knockonwood/2014
Affiliates that do not have internet access must please contact the Administrative
Secretary so that a Payment Reference Number can be issued.
Any questions not covered by these Rules must be referred to the respective section
co-ordinators on the Organising Committee.
3.4.2 Entry Fees & Number of Entries
Please refer to the general and specific rules for the various categories and sub-
categories to determine if there are any restrictions regarding the number of entries
within the particular category.
The same participants may enter into different categories (eg. Instrumental Music
AND Visual Art.).

Various meal options will be available at the Woodridge Coffee Shop, and within the
quad area around the College Hall.
Lunch bookings via the Administrative Assistant, Mrs Marianne Crane are
recommended for choirs. The final order date is 23 June 2014.
3.4.3 Date of Birth
Entries for Categories 1 and 2 will only be processed if they include the participant’s date
of birth.
Ages are to be determined by the pupils’ age on the 31st of December 2014:
3.4.4 Electronic Entries
After the affiliation process is completed the period for REGISTRATION of
ENTRANTS will begin on 5 May ending on 6 June. No late entries will be accepted.
Entry fees are not refundable under any circumstances.
No entries will be processed if entry fees are outstanding.
Faxed entries will only be accepted if they are accompanied by proof of payment and
the payment reference number is provided.
Teachers responsible for entries at each affiliated school are advised to use the
Summary of Entries form to help with the calculation of fees (Addendum C).
The Electronic Entry Form will be made available on the Woodridge Website on 6
May 2014, at: www.woodridge.co.za/knockonwood/2014
Wherever possible, please make use of the electronic method. This will ensure that
spelling and item mistakes will be kept to a minimum.

3.4.5 Posted or Faxed Entries

3.4.6 Banking Details for Payments
No entries will be processed unless the correct payments were made by the affiliated
school.
All payments must be referenced using the unique Payment Reference Number that
was generated during the affiliation process.
Affiliates can make as many payments as they like, as long as they adhere to the
prescribed deadlines.

3.4.7 Details on Entry Forms
All information on the electronic forms must be completed.
The information on hand-written entries must be legible and written in block capitals.
This will facilitate correct data capturing.
Verify details, especially age/phase, category and section numbers and spelling of
the name, as it should appear on the Festival Certificate.

Ensure that participants are enrolled in the correct categories and sections.
Teachers will be held responsible for supplying accurate details, as incorrect
information may lead to the disqualification of the participant.
3.4.8 Withdrawal of Participants
Any participants withdrawing from the Festival will forfeit the entry fee. Once entry
fees have been processed, they can, under no circumstances, be refunded.
If a participant withdraws, he/she cannot be replaced by another participant –
certificates are pre-printed and therefore no name changes can be made.
Should a cancellation be necessary, please inform the Administrative Assistant
without delay.
3.5 Programme
No draft programme will be supplied. A list of entries will be emailed to affiliates, for
correction and verification, on or before Friday, 20 June 2014.

All corrections must reach the Administrative Secretary no later than Monday 23
June 2014

The final programme will be available on the Woodridge Website on Thursday, 26
June 2014.
Please note that the organisers cannot accommodate time or date clashes with extra
mural activities, due to organisational complexities. Should there be any problems,
please discuss this with the discipline co-ordinator.
While the organisers will do their utmost to ensure the smooth running of each
discipline, there are factors beyond their control which may affect the final
programme. Should any changes be unavoidable, we will, wherever possible, notify
affiliates.

3.6 Venues
All performances will take place on the Woodridge College and Preparatory
School Campus, situated just off the old Van Stadens Pass Road, Witteklip,
Thornhill.
The School Halls, Lecture Theatre and Woodpecker Club House will be used for
the different sections.
A map of the Woodridge Campus will be made available with the publication of
the final programme.
3.7 Registration (during the event)
All participants must register 30 minutes prior to their performance (except for the
non-performance entries).
Registration tables will be situated in the foyers of each of the venues.
3.8 Language and dress code
No prejudicial material or derogatory language will be allowed during any of the
performances or entries and may lead to disqualification.
Please ensure that the performance contents are appropriate and age-related.
It is suggested that participants wear their school uniforms for performances.
3.9 Disqualification
To avoid disqualification, participants should comply with all the Festival rules. A participant
will be disqualified if he/she:
Fails to arrive at the correct venue on the correct date and time for the section he/she
was entered for.
Plays a piece that is not representative of the chosen section.
Does not have the original scores or music available on site on the day of the
performance and/or forgets to submit a clear copy of the works to be performed.
When there is clear evidence of plagiarism or the authenticity of the works are in
question.

4 CATEGORY INFORMATION
4.1 Category 1: Instrumental Music (Primary and Secondary
Schools)
The age groups in which entrants can participate and the different sections are listed below:
GENERAL RULES PERTAINING TO CATEGORY 1 (INSTRUMENTAL MUSIC):
A participant may only enter for TWO OF THE ABOVE SECTIONS per age category
and per instrument.
A participant may only enter ONE PIECE PER SECTION per age category and per
instrument.
No work may be presented in more than one section.
The duration of each work must be accurately timed and indicated on the entry form. This information is essential when compiling the programme.
Participants should have the originals of sheet music used at hand at the Arts Fest. Participants will personally be held responsible for copyright infringements and resulting fines in case SAMRO representatives find them not to be in possession of the original scores.

There is no section for duos, trios and larger instrumental ensembles.
No photocopies will be made at the venue. In case of emergency, participants will pay R5 per photocopied page.
ONE complete photocopy of the participant’s chosen piece/s must be presented to the section administrator at least 30 minutes before the start of the section for use by the adjudicator.
Participants are not allowed to present OWN compositions in any of the sections. Only published works will be acceptable – no handwritten scores or chord symbols.
The UNISA, Trinity Guildhall and ABRSM syllabi should be used as a guide.
Participants should avoid REPEATS, but Da Capo’s must be observed.
No contemporary or light music will be allowed. Participants should select works from the specific stylistic periods.
Where applicable, participants must provide their own accompanists and/or page turners.
Once a section is in progress, participants and audience members will not be allowed to leave the venue until the next formal break.
Participants are expected to be present at the end of each section for the prize giving.
Adjudicators will make general comments about each section and award the medals for the sectional winners at the end of each section.
Certificates and performance reports will be available from section administrators ONLY after the sectional prize giving.
Only acoustic accompaniments will be allowed.
There are limited on-site warm-up facilities available.
A music stand will be provided in each performance venue

GENERAL RULES PERTAINING TO CATEGORY 2:
(INDIVIDUAL VOCAL PERFORMANCE):
A participant may only enter for TWO OF THE ABOVE SECTIONS per age category.
A participant may only enter ONE PIECE PER SECTION per age category.
No work may be presented in more than one section.
The duration of each work must be accurately timed and indicated on the entry form. This information is essential when compiling the programme.
Repertoire allowed: Western classical compositions & songs from stage musicals –
but not jazz or rock and pop.
NO backing tracks and microphones allowed.
Accompaniment must be acoustic in nature.
Pieces must be from external examination syllabi – NOT from contemporary syllabi
examinations such as Rockschool, Rock/Pop –The UNISA, Trinity Guildhall and
ABRSM syllabi should be used as a guide.
Teachers need to ensure that the song(s) chosen for a candidate are age
appropriate.
Songs must be performed from memory.
Participants are not allowed to present OWN compositions in any of the sections.
Only published works will be acceptable – no handwritten scores or chord symbols.
Once a section is in progress, participants and audience members will not be allowed
to leave the venue until the next formal break.
There is no section for duos, trios and larger ensembles in this category.
No photocopies will be made at the venue. In case of emergency, participants will pay R5 per photocopied page.
ONE complete photocopy of the participant’s chosen piece/s must be presented to the section administrator at least 30 minutes before the start of the section for use by the adjudicator.
Contestants are expected to be present at the end of each section for the prize giving.
Adjudicators will make general comments about each section and award the medals
for the sectional winners at the end of each section.

4.3 Category 3: Group Vocal Performance (Choir) The phases in which groups can participate and the different sections are listed below:
GENERAL RULES PERTAINING TO CATEGORY 3
(GROUP VOCAL PERFORMANCE):
Choirs should not be smaller than 20 and larger than 80 members in size.
ONE photocopy of each of the pieces presented by a choir must be presented to the section administrator at least 30 minutes before the start of the section, for use by the adjudicator.
No back tracks or amplification of voices will be allowed.
The section co-ordinators should, for logistical reasons, be notified in advance if
instruments other than the piano are used for accompaniment purposes.

Junior Primary Choirs
TWO pieces contrasting in MOOD need to be performed by each choir in this sub-
category, which only has ONE section.
The total performance, including ‘walking on and off’ time, should not exceed 6
minutes in duration.
The chosen pieces may either be unison or in multiple parts.
Senior Primary Choirs
TWO pieces contrasting in STYLE (eg. classical, liturgical, ethnic, jazz,
contemporary) need to be performed by each choir in this sub-category, which only
has ONE section.
The total performance, including ‘walking on and off’ time, should not exceed 8
minutes in duration.
The chosen pieces must at least be in two parts.

GENERAL RULES PERTAINING TO CATEGORY 4
(SPEECH AND DRAMA):
Only ONE team per school may participate in the Theatre Sport Section.
There are no other restrictions on the number of entries per school in the Speech and
Drama Category.
The same pupil may enter into different sections within the category.
All pieces, with the exception of speeches, must be memorised.
A copy off all work, with the exception of the speeches, must be handed to the
adjudicator upon registration.
No prompting from instructors may take place during a performance.
Poems and prose from published works must be used for the Individual Poetry,
Individual Prose, Choral Verse and Dramatic Monologue Sections.
Either a published or original script may be used for the Group Dramatisation.
Simple props and costumes may only be used in the Dramatic Monologue and
Group Dramatisation Categories.
Prop kits will be provided in the theatre sports section.
A Theatre Sport team may be of a mixed aged group. However, in schools that
consist of both a primary and high school, primary and high school pupils may not
participate together in one team.

Each team in the Theatre Sport Section will participate in FOUR improvisational
activities and acquire points that will contribute towards a final score. The top team
in both the primary and high school sections will win fun prizes, ‘bragging rights’ and
a medal!

The absence of a set theme in the Intermediate and Senior High School Sections
enables pupils to submit artworks that are part of their school portfolios, on the
condition that these works were completed in 2014 and adhere to the size
specifications stated under the specific rules for the High School Section.
GENERAL RULES PERTAINING TO CATEGORY 5
(VISUAL ARTS)
Please note that plagiarised images are strictly forbidden. Pupils may not submit any
works that are direct copies of lifted images. Pupils must work from their own
photographs or alter the source that they are using to the point where it has become
their own. Any plagiarised artworks that do not follow these specifications will be
disqualified and not included in the adjudication process.
The pupils will be adjudicated according to their artistic ability, composition, use of
medium and the Grade that they are in. Winners will be announced.
Participants may submit any original artwork that meets with the specifications and
has been completed in 2014.
Framed art work under glass will not be accepted for adjudication.

Please adhere to the specifications of artworks stipulated under the specific rules for
High school Visual Arts.
A proof of ownership form (Addendum A) needs to be attached at the back of each
individual artwork. No adjudication will take place without this form. The following
information must be filled in on the form:
Name and surname of participant (as it should appear on the certificate).
Name of school.

Declaration of the teacher that the artwork is original.
Only artworks of participants, whose names are printed on the programme, will be
accepted for adjudication. If a participant’s name does not appear in the programme,

Artworks are kept and transported by the organising committee at the risk of the
participant.
The organising committee reserves the right to display art work during the duration of
the festival.

SPECIFIC RULES PERTAINING TO SUB-CATEGORY PVA
(FOUNDATION, INTERMEDIATE PRIMARY AND SENIOR PRIMARY)
All artworks must be A3 size, on any choice of surface.
Medium choice:
Paintings may be executed in any paint and enhanced by another eg. Wax Resist.
Paint must be the dominant medium;
Collages may be created using any materials, provided they do not hinder display
(i.e. make it too heavy or clumsy).
Drawings may be done in any suitable mediums: pastels, charcoal, pencil, ink etc;
Film works must be submitted on a clearly-marked flash drive, in a clearly
marked container.
There is no restriction on the number of entries per school in the Primary School
Visual Arts Category.
The same candidate may enter into different sections within the category.
Please ensure that all the necessary administration accompanies the artwork and
that they are delivered on time. Participating schools are responsible for the
collection of the work on completion of the Festival.

(HIGH SCHOOL VISUAL ARTS)
Pupils may only submit artworks executed on a two-dimensional format i.e. a painting
or a drawing.
Each participating high school may enter a maximum of two art works per
grade, be it drawing or painting.
Maximum size: A1 Paper, canvas, cardboard or board. Minimum size A4. Pupils
may present a series of work as long as its intention is to function as one artwork and
is not simply a selection of random works placed together. Drawings need to be
neatly mounted with card. Paintings on block mounted canvases need not be
mounted; just neatly presented. If the painting is not on a block mounted canvas
pupils must mount them in card.
4.6 Category 6: Creative Writing
Poems must be completed in advance and submitted for adjudication before or on the
stipulated date.

(CREATIVE WRITING)
This discipline will be adjudicated according to ability and age. High School category
winners will be announced.
The authenticity of submitted poems must be verified by the representative teacher.
Participants may only submit work that has been created with the intention of
entering the Knock on Wood Arts Fest.
A prescribed form (Addendum B) needs to be attached to each individual entry. The
following information must be filled in on this form:
o Name and surname of participant (as it should appear on the certificate)
o Name of school or affiliated body
o Age group
o Section number
o School Reference number
o Entry number of the participant
