Task 8.1: This task includes the delivery of a comprehensive Dissemination and Communication Plan
(DCP) describing the project’s strategy, activities and means to be utilized. A draft DCP has been
included in section 2.2. The first version of the DCP will be produced, at month 6, and updated
continuously, releasing new versions at least on months 21 and 36. The final version will include the
collection of all dissemination activities, impact conclusions and the plan for further dissemination
and communication beyond the project life, as a parallel support strategy to the Exploitation Plan. The
dissemination and communication strategy will be mapped to the NOVICE dissemination and
communication activities (and supportive dissemination and communication materials), already
foreseen and tailored to identified targets as further detailed in section 2.2 of the proposal. It is
important to note, that as reflected in section 2.2., the DCP will design and implement different
communication strategies, means and materials to address dissemination (targeted at stakeholders)
and communication (to a wider audience) and that the DCP includes also training activities
(dissemination and training workshops) to reinforce awareness and engagement among stakeholders.
The planning and management will also include the design of the project branding, developed and
implemented from the beginning of the project, to ensure a distinctive, attractive identity in all
communication tools to be produced including: design of project logo, website graphic design
templates, banners, leaflets, etc. During the particular task, the NOVICE consortium will also conduct
a series of activities towards the definition of a plan for the exploitation of the NOVICE tangible and
intangible results. These activities include: (i) The early definition of the project’s exploitation strategy;
(ii) The identification of the project’s tangible and intangible results and the partners (or clusters of
them) responsible for their exploitation; (iii) The definition of targeted areas (even those not falling in
the scope of energy efficiency) and the scope of such exploitation and (iv) The preparation of
individual exploitation plans defining roles and responsibilities, IPR and ownership issues. The task will
conclude with the signature of an Exploitation Agreement between all involved partners. Advantage
will be taken of the tools and services provided by European Commission and its partners as the
European IPR helpdesk and the EC Innovation Platform to address non-technological exploitation
issues.

1 PUBLISHABLE EXECUTIVE SUMMARY
The document contains the second version of the dissemination and communication plan (DCP)
for the NOVICE project, summarizing the developments and providing the key performance
indicator values until the month 21 of the project. Reiterating from the original document, the
main goals of the task 8.1 are:
To produce the strategy and the plans for dissemination, communication and
stakeholder’s engagement throughout the project’s period.
To provide the list of potential dissemination, communication and users’ engagement
activities to be performed by the consortium during, primarily, the first project period.
In the first DCP, the dissemination and communication objectives of the project were defined,
along with the target groups and stakeholders addressed in the project. In this report we do not
concentrate again on this task, but provide a quick overview for completeness.
Subsequently, we concentrate on the various dissemination and communication means and
related material that was produced during the intervening period from the first to the second DCP
report. Finally, following the structure and time plan that was initially defined, we quantify the
project’s progress through key performance indicators with respect to communication,
dissemination and stakeholder engagement.
The task of dissemination & communication is ongoing and will be finalized only upon completion
of the project. The final version of the DCP, D8.3 will be published on M36 of the project.

2 INTRODUCTION
2.1 SCOPE OF THE DELIVERABLE The scope of this document is to present the updates and report the advancements with respect
to the implementation of the NOVICE dissemination and communication plan. The main goals of
the associated task are reiterated here for reference purposes:
Identify the major target audiences and optimal communication strategies at the early
stage of the project in order to prepare the market for a successful rollout of the financial
schemes and business model.
Define the overall dissemination strategy of the project, including the detailed planning
of the dissemination tasks to be carried out by the project partners. As part of this action
we define the optimal tools and means which will support the dissemination activities.
Raise awareness about the project, its expected results and progress within defined target
groups, especially ESCOs and aggregators but also other relevant groups as well.
Define and implement an ample management framework for the dissemination activities,
including monitoring mechanisms and performance metrics, for evaluation and feedback
adjustment of on-going activities.
Establish a consistent and high-quality project theme/brand which will consist a powerful
trend about the project and develop dynamic, personalized and content rich material
(leaflet, poster, other dissemination material) in order to continuously promote and
further enhance the dissemination activities.
Ensure the stakeholders’ engagement in project activities.
2.2 STRUCTURE OF THE DOCUMENT The structure of the document is as follows:
Chapter 3 repeats the main parts of the NOVICE DCP, as were defined in deliverable 8.1, for
completeness. Chapter 4 focuses on the associated means and material and presents the
developments during the period from M6 to M21 of the project. Subsequently, in chapter 5 we
present the updates in terms of monitored key performance indicators for dissemination,
communication and stakeholder engagement. Chapter 6 concludes this deliverable with a short
summary.

3 DISSEMINATION & COMMUNICATION OBJECTIVES AND PLAN
In this chapter we present, for completeness, a condensed version of the NOVICE dissemination
and communication objectives and plan. For detailed information the reader is directed to
deliverable 8.1, in particular chapters 3 and 5.
3.1 DISSEMINATION AND COMMUNICATION OBJECTIVES The first step towards the definition of the DCP was the identification of the objectives for
dissemination, communication and stakeholder engagement. The goals for dissemination are the
following:
DISS. OBJ. I: To ensure maximum visibility of the project in the target audiences via
appropriate key messages.
DISS. OBJ. II: To timely diffuse the scientific and technological knowledge generated in the
project within and beyond the project’s consortium.
DISS. OB J. III: To establish liaisons with other projects and initiatives for knowledge and
innovation transfer.
DISS. OBJ. IV: To engage the targeted audiences to get feedback and validate the project’s
results.
DISS. OBJ. V: To inform and attract potential user- / client-groups and stimulate the
appropriate market segments to support and embrace the project’s exploitation strategy.
DISS. OBJ. VI: To encourage the development of further outcomes in new initiatives.
Similarly, six objectives were defined for communication:
COMM.OBJ. I: To create awareness of the project among the full range of potential
adopters / users in the general public.
COMM.OBJ. II: To provide a clear view of the project’s concept, goals and results by
formulating adapted key messages, and preparing communication material.
COMM.OBJ. III: To create an active community of potential users and collect feedback to
be taken into account by the project's activities.
COMM.OBJ. IV: To prepare the ground for the exploitation of project results.
COMM.OBJ. V: To support targeted dissemination of the project results.
COMM.OBJ. VI: To foster the wide adoption of the project’s results in industry and society.
Finally, the objective towards the effective stakeholder engagement was defined as the
establishment of a transparent framework that ensures a greater input from stakeholders and
their support for the decisions to be taken.
3.2 TARGET AUDIENCE The target audience for the NOVICE project was already identified within the Description of Action
(DoA), and can be seen in Table 1.

Target Group Justification
ESCOs They are the stakeholders to adopt and roll out the NOVICE business model
EPC Facilitators They are the intermediaries between building owners / FM companies and
the ESCOs that will facilitate the implementation of the new EPC template
Aggregators They are the strategic partner of ESCOs in rolling out the NOVICE business
model and the direct link with TSOs/DSOs where the second (DR services)
revenue stream will come from
TSOs/DSOs They are the stakeholders to unlock the DR revenue stream from the NOVICE
building renovation model through the Aggregators
Building Owners They are the final beneficiaries to which the value proposition of the new
business model is directed at and the ones that will decide or not its
implementation at their buildings
FM FM providers are managing the building and its technical systems and have
direct contact to the building owner. For them, NOVICE can bring building
optimizations, which in return promote the loyalty of the building owner to
the FM provider.
Technology Vendors They are the stakeholders that provide the technological solutions (building
energy systems, HVAC, BEMS, ICT) that make the dual energy services model
possible
Financing Institutions They are the stakeholders to unleash the required funds for investments in
building renovation under the NOVICE model
Regulatory Authorities They are the stakeholders that can regulate the EE and DR market in the
appropriate way to foster and promote the roll out of building renovation
under the NOVICE model

3.3 DEFINED ACTIVITIES FOR DISSEMINATION AND COMMUNICATION
Similar to the definition of the target audience, a number of dissemination and communication means, and associated target values were defined within the DoA. These can be seen in Table 2 and Table 3 respectively.

3.4 DISSEMINATION AND COMMUNICATION PLAN In this section we summarize the NOVICE’s dissemination and communication plan.
Dissemination activities are characterised by active, a priori awareness and validation by the targeted audiences and will be collectively performed by all partners, according to each partner’s profile and expertise. The industrial partners will approach relevant industry-sectors, as well as their distributors and client networks, while the academic and research partners will focus on disseminating the project results towards research institutes and universities across Europe.
On the other hand, communication activities include all actions contributing to the diffusion of the project’s results beyond the consortium and the close groups, maximising its contribution to innovation and attracting a wide range of stakeholders who are invited to benefit from the project’s advancements.
Figure 1 presents a classification of DC activities for the NOVICE Project, identifying the major means adopted for promoting the project results.
The time plan for the execution of the DCP was broken down to two periods, ranging from M1 to M21 of the project, and then until the end (M36). This break-down was performed based on the timetable of relevant deliverables and the corresponding due dates.

The first phase of the plan (M1-M21) was concentrated on raising Awareness for the project’s objectives and attract interest from R&D and business communities, and public authorities, while in the second period, the target will be primarily the communication through various means of the project results and outcomes.
In accordance to the aforementioned time-plan, the communication, dissemination and stakeholder engagement plans were broken down into two phases. The objectives were tied together with suitable means and provided in the form of Table 4, Table 5 and Table 6 respectively.

4 NOVICE DISSEMINATION AND COMMUNICATION MEANS
In this section we go through the various means for dissemination and communication and
present the updates for the time period up to M21 of the project.
4.1 PROJECT WEBSITE The NOVICE project website was established early in the project (M3) and serves as the main
source of information and material produced by the project. It is available under the following
domain: www.novice-project.eu. All public deliverables and material produced by the project can
be found at the resources section of the site. Furthermore, blogs posts discussing the main results
of the project are periodically published though the site as well.

4.2 SOCIAL MEDIA NOVICE’s presence in the Social Media is performed through accounts in Twitter and Linkedin. Updates relating to the project, as well as interesting news on Energy Efficiency and Demand Response are pushed through in regular intervals.

4.3 BLOG POSTS As defined in the DoW, the consortium periodically shares scientific and technical perspectives,
advancements and lessons learnt, in a comprehensive and public-friendly language, though blog
posts that appear in the project website. In order to raise awareness and visibility, the decision
was made recently to publish such material in the EU Cordis website as well.

4.4 PRESS RELEASES Digital press releases are an effective mechanism of promotion at a local or national level.
Partners are expected to send out press releases on their own markets in their local language,
explicitly mentioning the NOVICE project and that it is funded by the EC. An example Press Release
is shown in
Figure 10: Press Release in partner's website.
4.5 PROJECT LOGO AND THEME The project logo was designed in order to be consistent with the project scope and signify the successful branding, dissemination and future exploitation of the project’s outcomes. It can be seen in Figure 11.

In order to guarantee the logo’s visibility, the minimum logo size for print is 5 cm in length. Online, the logo must not be smaller than 36 pixels at 72 ppi.
4.6 PROJECT POSTER
Partners have produced a banner poster for dissemination of the project in relevant events. This can be seen in Figure 12.

The project results are communicated to registered stakeholders through the circulation of
newsletters. At the moment of writing this report, three such newsletters have been circulated.

4.8 WEBINARS AND WORKSHOPS The partners have so far organized a series of workshops with identified project stakeholders.
Further details on these training activities can be found in Deliverable 8.5, which was published
on M19 of the project. In addition, a webinar was organized on April 2018, in which the principles
and targets of the project were presented. The recording of that webinar is available online

4.9 COMMON DISSEMINATION BOOSTER An additional activity that was undertaken during this period, was the participation of the project
in the Common Dissemination Booster, a service offered by the EU to help groups of related
projects jointly promote their results and reach their target audience. In specific, NOVICE, along
with SEAF (http://seaf-h2020.eu) and ICP (http://europe.eeperformance.org) undertook the CDB
Service 3, focusing on the development of a Portfolio Dissemination Plan and the stakeholder-
focused dissemination strategy. Joint activities have been prescribed among the projects, while a
two-page poster was produced.

4.10 EU EMBLEM AND STATEMENT IN DISSEMINATION AND COMMUNICATION MATERIAL As NOVICE members are the beneficiaries of EU funding, the European Union emblem shall be
used in all project dissemination materials/press releases/media contacts to acknowledge the
support received under EU programme (High resolution emblems can be found here:
http://europa.eu/about-eu/basicinformation/symbols/flag/).
The name of the programme (Horizon 2020) shall be used as verbal brand, i.e. references to it will
be made without a regulated visual mark or logo, following a number of basic rules:
The minimum height of the EU emblem shall be 1 cm.
The name of the European Union shall be used in conjunction with the name of the
programme or fund and it shall be spelled out in full.
The typeface to be used in conjunction with the EU emblem can be any of the following:
Arial, Calibri, Garamond, Trebuchet, Tahoma, Verdana. Italic and underlined variations
and the use of font effects are not allowed.
The positioning of the text in relation to the EU emblem is not prescribed in any particular
way but the text should not interfere with the emblem in any way.
The font size used should be proportionate to the size of the emblem. The colour of the
font should be reflex blue (same blue colour as the EU flag), black or white depending on
the background.
The following NOVICE statement about EU financing shall be used throughout the whole project
duration when communicating about the project:

When displayed together with another logo, the EU emblem must have appropriate prominence.
Both elements: (1) the statement above and (2) EU emblem should be used according to the rules

(due to lack of space or especially in cases where we have no control of the final publication format

ENGAGEMENT – KEY PERFORMANCE INDICATORS
In this chapter we concentrate on the various Key performance indicators that were defined in
order to monitor the process of the DCP. Target values for each indicator were defined for both
phases of the project (M1-M21, M2-M36). These can be seen in Table 7, Table 9 and Table 12, for
Communication, Dissemination and Stakeholder Engagement respectively.
In order to keep continuous track of the various indicators, an online datasheet was created.

shown in Table 8, Table 10 and Table 13. The table of activities that was utilized in order to extract

With respect to the defined communication KPIs, we see that most targets for the first phase have been either achieved or surpassed. In particular, website traffic exceeds by a significant amount the defined thresholds. Number of posts and followers in Social Media are very slightly behind the set targets, nevertheless, the difference between the achieved values is very small and is safe to deem that the remaining numbers can be reached within the second phase of the project.

Up to M21, a number of dissemination activities were organized by the project partners, including
the required number of webinars and workshops. Attendance in other types of events was less
than expected, although this is not viewed as a significant issue, since, on the other hand,
participation to events including presentation of the NOVICE project exceeded significantly the
required numbers. In the table above we do highlight in red the only KPI that has been identified
as problematic up to now. This relates to the activity of publishing scientific papers/articles. This
issue has been discussed among the project partners and contingency measures have been
identified. In particular, a plan is made so that selected major results (deliverables) of the project
will also be promoted for publication in article format. Contribution from all partners is important
for this activity. A number of suitable journals have been identified and are shown in the following
table.

The stakeholder engagement strategy has been efficient in attaining or surpassing all KPI targets up to M21 of the project. The interaction with stakeholders is progressing well and should continue with increasing effect, considering also the fact that a number of activities have already been prescribed and planned due to the participation in the Common Dissemination Booster service.

6 SUMMARY
The main objective of this deliverable was to present the updates in terms of the Dissemination, Communication and Stakeholder engagement activities that were undertaken as part of NOVICE within the period up to M21 of the project. Additionally, an analysis, based on the identified KPIs and predefined target values, was performed, in order to quantitatively assess the progress of the Dissemination and Communication Plan. In most cases, performance was satisfactory or exceeding the requirements that were set initially. The only area of some concern regards the publication of scientific papers and other articles based on the NOVICE project. This has been discussed among the partners and suitable measures have been identified to try and address the issue. The final version of the DCP will be delivered on M36, and will include the complete list of activities and produced dissemination and communication material.
