Overview This is the twelfth in a set of previews that provides glimpses of the new NHS Jobs. This preview
focusses on reporting features.
NHS Jobs provides organisations with a suite of pre-defined reports that can be run with a range of
selection criteria appropriate to the reported information. NHS Jobs also provides authorised users
with a flexible reporting tool enabling the user to sort, manipulate and analyse the reporting data
and to produce their own reports.
The data available for reporting on will continue to expand over time, so that reporting will not be
constrained to the previous twelve months.
Structured Reports The range of structured, pre-defined reports includes a few that were used in the existing NHS Jobs
service along with a number of new reports.
The reports available are listed below. Each report provides a number of selection criteria for the
report, the criteria being appropriate to the report and to the organisation. The criteria can include a
selection of date periods and vacancy details such as the staff group or pay band.
List of reports:
Vacancy Bulletin
• Provides a printable list of vacancy details for all open vacancies
Application Status
• Provides a snapshot report of the number of applications in each application stage
Pre-employment Checks
• Provides the number of applications where there are pre-employment checks
outstanding, listed by recruiting officer
Equal Opportunities
• Provides the number of applications listed by each of the monitoring categories
Equal Opportunities Progress
• Provides the number and percentages of applications, plus those shortlisted or
appointed, listed by each of the monitoring categories
Equal Opportunities per Vacancy
• Provides the number of applications for a specified vacancy, listed by each of the
monitoring categories
Vacancy Numbers
• Provides the number of vacancies advertised in each month
Vacancy Summary
• Provides a summarised list of vacancies advertised
Vacancy Details
• Provides key details from vacancies added in a period.
Recruitment Timeline
• Provides the average number of days vacancies have been within each of the statuses in
the recruitment process
Recruitment Timeline – by Month
• Provides the average number of days vacancies have taken from vacancy creation to
vacancy filled (applicant start date)
Recruitment Timeline - Region
• Provides the average number of days vacancies from organisations across the region
have been in each of the statuses in the recruitment process
Restricted Vacancies
• Provides a summary of restricted vacancies by restriction type.
Restricted Vacancy Progress
• Provides a list of vacancies with dates for each publication stage and an indication of the
stage the vacancy was filled.
Internal & Restricted Vacancies/Accounts
• Provides summary information on the number of vacancies at each publication stage
• Provides summary information on the number of restricted accounts set up
Restricted Account Status
• Provides a list of all restricted vacancy accounts
Talent Pool
• Provides the number of applicants in the talent pool, number of applicants added,
number of applicants left/removed and the number of applicants that have accepted a
job within the organisation.
Newly Qualified Pools
• Provides the number of candidates in the pool, number joined, number left, number
searchable and the number that have applied for a job.
Where advert seen
• Provides statistics for where applicants state they saw the vacancy they applied for
advertised
Search Terms
• Provides the 50 most common search terms in the last calendar month.
Realistic Job Preview Test
• Provides the number of vacancies which included a link to a Realistic Job Preview Test,
with the number of tests started and completed
Once selected, the reports are produced on screen. Each report provides options to download the
report as a CSV file for use in Excel, or to download the report in Word or PDF formats.

Flexible Reporting A small number of users within an organisation can be provided with access to the flexible reporting
tool. This tool provides access to all the reporting data for an organisation.
As the data within the system is large and complex in structure, the area of the report is first
selected to enable data items that are logically connected to each other to be included. The options
here are ‘Vacancies’, ‘Vacancies and Applications’, ‘Recruitment Times’, ‘Pre-employment Checks’,
‘Interviews’, ‘Restricted accounts’ & ‘Newly Qualified Pools’.
Once the report area is selected, the data items are organised in logical groups for inclusion in the
report. All data items in the report can be included, but this selection provides a quick way to select
the relevant sub-set of data for the report required.
When the report is run, the user is presented with a number of options on how to work with the
data in the report. These include sorting, grouping, summing, adding in calculated columns, filtering
and including charts or graphs. The resulting report can be saved for future use. The report can also
be scheduled to run at specific days to provide a regularly needed report automatically.
