TM Intake - Hotline Search

Purpose

This Job Aid provides you with a document that describes how to perform the task. You can print this document or save it to your local hard drive.

Procedure

1. Follow the steps below to complete the task:

2. Click the Search menu item.

4. Hotline Search

The Hotline Search page displays.

5. Hotline Search Queries

Use the Search Queries fields to assist in locating a hotline. You must enter at least one search criteria. For example, you might look for a specific hotline using the Hotline ID.

6. As required, complete/review the following fields: Field R/O/C DescriptionHotline ID R

Example: 648170

7. Click the Search button.

8. Hotline ID Search Result

The Hotline with the ID you searched for displays.

9. Search Queries Collapsed

Notice the Search Queries section collapsed when the search results displayed. You can expand the section to continue searching.

10. Click the Expand (+) icon.

11. Search Queries Expanded

The Search Queries section displays, with your previous search criteria still populating the fields.

To perform a new search, clear the fields.

12. Click the Clear button.

13. Clear Form Warning

The Warning! pop-up window displays where you can confirm that you want to clear the form.

14. Click the Yes button.

15. New Search

With the search queries fields cleared you can perform your next search.

For this example, you will search for a Hotline using Delta as the Responsible County.

16. Click the Responsible County drop-down menu.

17. Select the Delta menu item.

18. Click the Search button.

Hotlines where the Responsible County is Delta will display.

20. Search Results Filter and Sort

Where you have a large amount of results, as you do here with 189 results, you can filter and sort the columns to help find a specific hotline(s).

To filter the list of search results use the filter tool in the column header.

To sort the list of search results use the sort tool in the column header.

23. Select Hotline

When you have located the hotline you were searching for, you can view Hotline details and Referral details by clicking the links. Take a look at the hotline details first.

24. Click the 662581 link.

The Hotline Details page displays.

26. Read and Read Only Details

If you select an unsubmitted hotline from your affiliated county, the hotline details will be editable.

If you select a submitted hotline from your affiliated county, the hotline details will be read-only.

If you select a hotline not from your affiliated county, the hotline details will be read-only.

27. Call Summary

Scroll down the page to review all the hotline details sections, starting with the Call Summary.

At the bottom of the Hotline Details page you will find Call Narrative and Call Disposition information.

Having reviewed the Hotline Details page, let's return to our search and open the Referral Details.

Links to Referral Details are displayed in the Referral Id column.

Scroll down the page to review all the referral details sections, starting with the Referral Summary and Hotlines.

Moving down the page, you can review information for the Referral's Clients, Collaterals, Notes and Frameworks, Prevention/Service Referrals and Mandatory Reporter.

Further down the page you can review the Referral Acceptance information.

At the bottom of the Referral Details page you will find Supervisor Approval information.

44. Referral Details Reviewed

Having reviewed details for both the hotline and the referral, you can now review another hotline in your search or a new search. Or you can move on to your next task.
