1 Introduction
This document contains an overview of the new functionality of the Customer Portal, version 3.0. The user manuals for clients and administration handbook for euroscript Project Manag-ers will be published separately.

2 Change in authentication for euroscript users
Generic email logins are no longer used by euroscript users. Following a change in the au-thentication policy, all euroscript group internal users can access the portal with their LDAP login/password. In practical terms, euroscript portal users can use their domain logins and passwords, i.e. the same login and password which are currently used for example in es-caepe. The login procedure and rules for clients are not affected. Client-side users logon names are identical with their current email addresses.

3 Multi client accounts and “My roles”
Since the previous portal release, each euroscript client user administartor/euroscript viewer has been attached to several clients instead of having been added to separate email groups which served as unique logins for every single client account. The same functionality has been extended to active clients who can be linked to other clients (for example 2 business units of the same company operating in different locations but sharing some departments). When a multi client account is accessed, a list of all available clients is displayed after login. Moreover, both euroscript and client users can see their specific roles either in the client list accessible directly after login or in “My profile”. The role icons are shown under the new column “My roles” (only 2 roles for euroscript users and 5 for roles and permissions for clients). The legend can be found in the bottom of the screen.

4 Navigation in multi client user accounts
If you are connected to one client only, after login you will access directly the order list page. If you have been assigned the role for several client accounts, you will be presented with a page listing all client accounts accessible for you once you log in. To access the order list or the Admistration page, you need to double click on a row to select one of those clients. You will then be presented with the homepage for the client account you selected. The client account selected is always indicated in the upper right corner of the homepage, besides your user name/logon name. If you wish to switch to another client, log out and in again to return to the page listing your client accounts.

5 Optional functionality and new permisssions for clients
Euroscript roles and permissions have not changed. However, the optional functionality for clients have come with new permissions. Apart from Custom Client Reference Data, there are 5 new optional features which can be activated for your clients:
Prefiltering – restricting access to selected orders based on Custom Data (restrictions
only for client-side users);
Custom Client Reference Data (already in R2);
Download Zone (new permission: user can access document download zone);
Confidential Orders (new permission: user can submit confidential orders);
Linking clients (may involve multi client adminstrators);
Show archived orders.
All the optional features can be enabled by the Main Portal Administrator. Once activated, access to the Document Download Zone and the right to submit confidential orders can be further extended to other cient users by client or euroscript user administrators.

6 My roles and permissions
Each user can consult his roles and permissions via “My profile”. The roles and permissions are read-only and managed only by adminstrators. In the case of linked clients, the roles and permissions for diferrent clients are grouped in the same tab.

7 Notification rules
The same notification rules and email address apply to all clients linked to your account. For euroscript users the notification rules have been simplified. Instead of 2 columns there is on-ly one checkbox per rule.

8 Confidential orders (indication in escaepe, new column on CP) - OPTIONAL
Client users who are permitted to submit confidential orders can hide their orders and re-quests (including drafts) from any user by selectinng the option “Hide from all other users”. An order which has been hidden is not visible for anyone but the issuer. Only the issuer can remove the checkmark to restore the order visibility at any time.

There is a new column on the portal which shows whether an order has been marked as “confidential”. Moreover, an advanced filter provides an extra option to show only confiden-tial items. The notifications related to confidential orders are filtered and forwarded only to the email address indicated in the profile of the issuer of a confidential order. After submission, confidential orders are additionaly marked accordingly in escaepe Work Order details. Euroscript Project Managers can check under the name of the issuer if the or-der is confidential.

9 Quotation rejected/accepted on behalf
In the notification tab clients can activate an email notification “Notify me if a colleague ac-cepts/rejects one of my Requests for Quotation”. The notification is sent to the client who submitted an order or request after another user confirms on the portal that they are accept-ing/or rejecting a quotation on behalf of the issuer. The notification is available only to cli-ent-side users.

10 Prefiltering (OPTIONAL)
Prefiltering is an optional feature. It can be used to restrict access to orders based on per-sonalised filters managed and stored for users in the “User restrictions” tab in every client-side user profile. The precondition for adding restrictions is insertion of addtitional columns customised by the client (custom data). If both prefiltering and custom data have been acti-vated by the main portal adinistrator, the restrictions can be applied either by the client or euroscript user administrator. A custom field used for pre-filtering must be a “pick list” field and must be “required”. For example, a client wants to restrict access to orders submitted by diferrent departments within the same company: Marketing/Legal, etc. To do so, the client administrator defines a new column called “Department” and adds the names of the departments as list values and if necessary updates old existing orders with the custom data. Then the defined restrictions can be added to selected users who eventually can see and submit orders which contain the selected restricted values only. If orders from “Marketing” are restricted to one of the users, it means that the user will have to select obligatory value “Marketing” before submitting an order/request and his order view will be limited to orders with the value “Marketing”.

11 Linking Clients (OPTIONAL)
Existing portal clients can be linked by the Main Portal Administrator upon request. This re-quires that a corporate representative confirms such request in written for reasons of infor-mation security and data protection. When clients have been linked, client users can access several client accounts the same way euroscript users access the portal. Linking clients in-volves also managing group of users and may require multi client user administrator who manages all users globally and may enable them for several accounts and also add re-strictions and additional permissions.

12 Document download zone (OPTIONAL)
Download zone is a dedicated store where clients can view and download documents. It is independent from orders/requests for quotation. All documents directly related to an order/request for quotation, such as quotations, invoices or deliverables, will be stored inside the corresponding order. Furthermore, The download zone is activated upon request. After that access to this download zone can be granted individually for each user by client/euroscript admins. euroscript viewers can have read-only access to the zone. euroscript client user administrators have upload/download rights and full rights to edit files and folders. All client users, when enabled for the zone, can view and download files. There is no predefined folder structure and only one root directory “Downloads” exists.

13 Show archived orders (OPTIONAL)
For some specific customers an additional option can be set to see closed workorders after they have been archived. This option lifts the restictions specified in the customer portal point 24. „All orders created by you on the Portal or otherwise displayed on the Portal shall remain visible for you for a period of 12 months after euroscript has internally closed the order. Date of closure is usually the beginning of the month following full invoicing of the order. Files associated with the order, namely the source and reference files uploaded by you and the deliveries uploaded by euroscript, will be stored on the Portal for 3 months after order closure. euroscript reserves the right to modify this retention period after informing you if the volume of orders and/or files uploaded exceeds a reasonable storage limit and would negatively impact performance.”

14 Attach client logos
A client’s company logo can be attached by the main protal administrator in the page header next to the “euroscript customer portal” logo. The logo will only be displayed after a user has logged in and – if he/she is enabled for several clients - has selected a client. The maximum logo size must be 50x245 px.

1.1 GCM interface
Client side users can update Input & Reference documents after they submitted WO or RFQ by clicking corresponding buttons: Add input file and/or Add reference file.

There is also a possibility to add new version of the Input and/or Reference file. In order to do that user has to select the recent version of the file and click on Add version button. New version of the file is tagged as NEW VERSION.
Next user has to click on Save in order to update WO/RFQ.
Upon Save action user gets a Work Order update dialog. All the changes are indicated in the dialog. Possible changes:

After confirming dialog, old version of document is greyed out, new version turns into subsequent document version e.g. “2.0”. All new (additional) files are labeled as “1.0”

After Client side user updated WO/RFQ, euroscript PM receives escaepe Inbox notification ‘WO updated’. Clicking this item redirects PM to Work Order Details screen.

1 Work order templates
Audience: euroscript PM, Client PMs
It is now possible to save the following information in the work order templates - client instructions and require confirmation flag.
Furthermore if a template is now applied, the target languages of the template are copied to the right side of the language selection window, so the Client has to delete them in case they don't want the full spectrum.
2 Order Management module – view optimization
Audience: Client PMs
Some modifications on the Order Management module have been performed:
Re-organize the Order Details view to be more compact
Drop-down list of available number of orders to display per page in order (1)
Plus key to expand the order list over the quick view portlets (2)

3 Additional information in email notifications

WO ID is added into email title.
Order name, order ID, issuer and euroscript Project Manager is added to email body.

The name of the WO Project Manager (escaepe) has been added as a selectable column named "Project Manager" in order management and in order detail page.

6 Bulk creation of new users

In order to create several users with same roles a new functionality is now available – create users like.
An existing user will be used as a “template”, the user needs to be selected and after clicking on the button “create users like” several users at once can be created with the same role, activated module and other values (notification, enable).

ESCAEPE-2721 FR-128 Target Language pre-selectionWhen a template is applied to submit an order or a request, all target languages saved in the template are by default preselected.
However, Client Project Manager can deselect the checkbox "Target language(s) pre-selected" and as a result languages will not be preselectedanymore each time the template is applied.
The checkbox is editable by Client Project Managers and euroscript Client User Administrators. It can be found in the profiles of Client ProjectManagers under the "Modules setting" and the "Order options" tab.

Clients who wish to generate a list of all orders and requests, including the closed status, can ask euroscript to activate in their client configurationan additional button which will be visible at the bottom of the order list. The button generates an Excel file of all portal visible orders that match thecurrent filter settings, containing all columns that are currently selected for display in the order they are displayed. This list can only be exported
and it is not displayed on screen. The usual "Export to file" button exports the currently displayed orders which have not been archived.

To improve performance and uninterrupted access to order details and input data, automatic refresh of the order list has been switched off. Openorders and requests will not be updated immediately in the main and right panels of the order management module.
Instead, the "Refresh” button has been added to manually update the order list. The button can be used for instance after receiving a notificationto access the related order, quotation, delivery, invoice, etc. or to check if new orders were created by other users.
The automatic refresh is limited only to specific user actions such as logon, navigating back to the Order list form another module, return from theorder wizard.

GCMCPDEV-775 'Source system' field is displayed in Work Order listFor customers working with direct integration of their (W)CMS systems to GCM: Several system connections are now allowed within the samecustomer account. The new field 'source system' is displayed in Work Order list.

In previous GCM version 6.1 some customers (Terex, Hegenscheidt, Wilo, Bühler, Siemens) reported this problem when using Internet Explorer11. Problem was occurring during processing of new Work Order or RFQ.
When uploading files, progress bar is displayed. Also, button 'Next' is blocked during file upload.

Login information may not be visible on smaller displays (e.g. 14.1 inch). User needs to zoom out in browser.
Reason for Request for Quotation rejection is limited to 200 characters. No character limit warning is shown!
If user rejects Request for Quotation with text over 200 characters then nothing happens upon rejecting a quotation. It remains with thesame status 'Quotation issued'.
