‒ Business needed to make sure that controllers understood and were adhering to the FCPA policy
‒ Current approach was hard to manage, track and ensure completion
» Solution
‒ Form is filled out annually by controllers and general managers to make sure they understand and are adhering to the FCPA policy
‒ Form requires the user to enter in some basic information and submit it for approval
‒ Form is reviewed and approved by HR and Legal
‒ Once approved, the data on the form is put into Word document using the Document Generation feature within Nintex
‒ The document is then saved to a separate document library into a folder for the current year for safe keeping

‒ Complex Excel form was transitioned to a dynamic Nintex form
‒ Workflow routing for approvals was dynamically defined using external responsibility and limit list in SharePoint

Credit Line Approval

» New Hire/Termination Forms‒ Standard new hire and termination forms/workflow for
tracking purposes. Integrated DocuSign with it to mail merge templates in DocuSign to send out for signature and return the DocuSign PDF back to SharePoint.
» Oracle Account Changes Form‒ Used to track changes to the Oracle GL that would
include the rationale and description for each change whether it was adding, removing or changing existing account numbers. This also had a repeating section to support up to 10 changes per form.
» Change Request Form‒ All IT change requests were documented in this form
with the appropriate approvals to IT and the business owners impacted by the changes. This kept everyone involved in sync on the processes.

» Finance Access Request Form‒ Allows user to submit request for
access to security roles within multiple financial applications such as Oracle, Hyperion, etc.
» Payment Request Form‒ Payment requests could be
submitted to Finance for processing which would include a description and type of payment - check, ACH, etc.
