Electronic communication systems..Electronic communication systems....

Electronic communication is a system used as means of sending or retrieving messages through computer or  Internet connections . Such as e-mails, chat-groups tomore complex forms, e. g. electronic documentmanagement (EDM) systems , enterprise resource

planning (ERP)system.

Components of communication system :-

Electronic Conferencing,

Electronic Meeting Systems,

Electronic Discussions & Electronic Publishing.

must be a Sender and Receiver  A protocol is a set of rules which governs the transfer of data

between computers. Protocols allow communication betweencomputers and networks.

Handshaking is used to establish which protocols to use.Handshaking controls the flow of data between computers

protocols will determine the speed of transmission, error checkingmethod, size of bytes, and whether synchronous or asynchronous

Examples of protocols are: token ring, TCP/IP etc.

Characteristics of Communication

Systems:-

Basic Components:-Data Source (where the data originates)Transmitter (device used to transmit data)

Transmission Medium (cables or non cable)Receiver (device used to receive data)Destination (where the data will be placed)

Electronic Conferencing :-

Conferencing allows a large group to exchange ideas byreading and posting messages which are delivered to acentral point and broadcast to the conference participants by

special software.

It is done in a synchronous & asynchronous way.

Advantages:-

o Cheaper than using telephone & Fax.

o Readily available Software, Hardware , PCs & internetconnection

o Meeting costs can be reduced.

o Subscribers can participate at their convenient time.

Disadvantages :-

o Lack of personal contact.

o People find it difficult to commit the amount of time neededto make it difficult.

o Research suggests that auditory learners may prefer  telephone/ face-to-face meeting in order to avoid feeldistanced .

o Learners miss the body language & immediate feedback of

personal meetings.

Suggestions for making that better :-

o Pre-planning,o Promotion,

o Introductions:-i) About moderator

ii) Learning from the conference,

iii) Identify their favourite resources.

o Time-factor,

o Be prepared,

o Evaluation &o Technical

Overall basic rule to make meeting

successful :-

Agenda must be developed & posted before the meeting.

All reports must be posted or mailed to make participantsknown.

The meeting must start on time.

Off-topic discussions & ³sidebars´ in the meeting room

will not be tolerated during meeting.

Electronic meeting system:- In order to arrange meeting efficiently & cost-effective , lots

of software developers are working on tools to improve.

At the low end ,software scheduler keep track of people, appointment & resources to coordinate place & time.

In the middle ,tools which help groups by improving

communication i.e, video & audio conferencing hardware. At the high end are the system to reinvent the meeting

process.

These benefits come at a cost.

Attendees must think it as an opportunity to make decisions& share information.

GroupSystems:-

It is actually a suite of software tools which automate &enhance the meeting process.

It require a personal computer for each participant & a³facilitator´ (to lead the meeting).

Tools like brainstorming & the ³Categorizer´ is used to take a

decision. PCs for each member, windows or DOS, a L AN to link them

together & a facilitator¶s station to control the meeting tools.

 A shared screen.

Costs about $100,000.

Electronic discussion Different types:-

A) Synchronic & Asynchronic program:-

i) Synchronic :- Real time as chat groups.

ii) Asynchronic :-List-servers & bulletin board.

B) Pull & Push technology :-

i) Pull Technology:- We have to log-in to the board & readthe current message.

ii) Push technology:- As a list server basedprogram, message will come to us ,whether we remember,we

are subscribed or not.C) World Wide Web:- It uses graphical capabilities of of the

web (as Hypertext & HTML) to provide interactive siteswhich can be seen both as Pull & Push technologies.

E-publishing:-

Author uses word processors to build up ,revise & print thesource material.

Complex typesetting software is used to format pages withhuman putting in the required commands to specify typefonts & sizes etc.

Desktop publishing software :-Combination of word-processing with easy to use typesetting software.

HTML:- Desktop publishing language..

Drawbacks:- Documents can be easily reproduced.
