WMS Inventory Adjustments
An upcoming feature in the WMS software will enable you to adjust the inventory items and the necessary accounting transac-tions when items are lost or found during a Count Session.
In addition to making adjustments after Counts, this feature can also be used to set up your inventory assets account for existing inventory when you start using the Magaya system.
How it Will Work
The system will have a new wizard available to adjust the items and their value. The system will also create the accounting trans-actions needed. The adjustments will also be reflected in your Balance Sheet

Welcome to this month’s Magaya Insider. We’ve got more details on the enhanced method of handling containers in your software (version 9.1 and above). See the how-to for more flexibility in warehouse procedures and shipments.

Introduction
This article highlights three new enhancements now available in Magaya software ver-sion 9.1 that give you more flexibility in warehouse procedures and shipments: The first enables you to receive empty containers; the second enables you to load items from different locations; and the third enables partial Picks.
Let’s look at each one in more detail:
1. Receive Empty Containers
Now the system enables you to receive empty containers (from a Booking or Pickup Or-der), and have more options with that container. When you receive an empty container, first assign it a location and “On Hand” status in your Magaya system. Now the container is part of your On Hand items, and you can move them to a different location in the warehouse and use them in shipments.
When creating a shipment transaction, you can use that container by adding it to the shipment even though the container is empty. Previously, a validation procedure did not allow adding an empty container. (You can also create a Cargo Release.) Next, load items in it using the “Load” button from the Shipment (or the “Add” button in a Cargo Release).
2. Load Items from Different Locations
Now you can load items inside a shipping container from different locations in your ware-house. This is done by the software treating the package type of “Container” differently from other packages. Steps are the same as before version 9.1 for loading the items.
Shipping Instructions Option: If you send shipping instructions to the carrier via INT-TRA, send them now. The location of the items remains the same until after the items are picked; it does not change when the container is added to the transaction. You can show the items as repacked if you need to for the shipping instructions; this will show on the transaction before a Pick, Load, or Repacking task is performed in the warehouse.
Repacking: If items need to be repacked, then items from different locations can be packed into a container. This option is valid only if the package type selected is “Con-tainer.” Other package types such as Box or Pallet will not allow repacking from different locations. When a container is added to a shipment or Cargo Release, the icon for the container will appear different from other package types. When a shipping container is loaded from a Warehouse Receipt, it can be used to repack commodities from other Warehouse Receipts, an option not previously available in the software.
When viewing a shipping container in the “Warehouse Inspector” folder, only the com-modities that are in the same location will appear under the container. All contained com-modities that are not in the shipping container’s location are found under the commodi-ties’ location.
3. Partial Picks
Partial Picks can now be done: If you have more than one container in a shipment, you can put items in any container you want using the Partial Pick Task by creating a Pick Task for a WMS Mobile user to gather items to ship.
Option: The PC user can create one Pick Task (or many) to send to different WMS Mo-bile users so picking items can be done faster. Partial quantities of items in a WR can be picked.

After the Task is created, the WMS Mobile user picks the cargo as usual. Then a Load Task can be created on the PC and sent to the WMS Mobile user. The items are loaded, and the cargo departs the warehouse for local delivery or to the port for export as usual.
These new enhancements will give your operations more options for receiving, picking, loading and shipping cargo and containers.

Introduction
“It’s very important to us to keep our customers informed,” Ms. Camilla
Soares, owner of Login Transport said. One of the ways she ensures her
customers always have the latest shipment details is by sending them
updates from the Magaya software transactions and by offering them
online tracking. The philosophy at Login Transport combines working
to make shipping easy for their customers and volunteering to help
their community.
GrowingSince opening the doors in 2004 with her brother Leonardo Santos, Ms.
Soares has seen the company grow from just a few employees trying
to keep track of shipments, costs and income with spreadsheets to a
company that has more than doubled in size in 10 years.
The company has eight departments, including pricing, commercial,
air import and export, ocean import and export. The main office is in
Curitiba in the south of Brazil. They have an office in Manaus, a city in
the Amazon region of Brazil, where the Rio Negro and the Solimoes
Rivers meet. Login Transport plans to open an office in Itajai, a city
in Santa Catarina, in Southern Brazil. They have agents in all major
airports. Ms. Soares travels to their other office in Manaus and to visit
other customers. Her brother travels to visit their agents and partners
in other countries in South America and worldwide to maintain
relationships.
While they handle cargo from many Asian countries and other
locations, most of the imports they receive arrive from China. They
receive all kinds of freight such as furniture, consumer items, home
products such as tiles and other items via ocean FCL and LCL and air
shipments.
Keeping track of the containers is a huge job. Login Transport does not
have a warehouse, so they send the container of cargo from the port to
a public warehouse or directly to the customer. Login Transport must
know when the container arrived at the port, what type of container it
is, who the carrier and customer are, and the rates. Customers who do
not have a warehouse or enough room in their factory to unload and
store the cargo from a container use the container as a storage unit
and pay a demurrage fee instead of renting warehouse space. The fees
can add up quickly, so Login Transport makes reports in their software
to see all the details and update their customers regularly.
Controlling DemurrageTo manage demurrage information and charges, Login Transport
worked with their local Magaya logistics management advisor, Ignacio
Bencomo, to enter the demurrage rates and free days in the Magaya
Cargo System and organize the information into lists.
Each ocean carrier has its own rates for each type of container, for
each destination, and for the length of time the container is held.
Rates for demurrage are set in periods or lengths of time, and the rates
increase for each period. The increasing rates are meant to discourage
long-term holding of container because the carriers want the empty
containers back at the port and available for the next customer.
The operations process at Login Transport begins when they create
a quote for a customer, which includes how much free demurrage
time they will give a customer. For example, they may offer 13 days
for a dry container or 10 days for special equipment such as open top
containers. “We have a custom field in the Quotation document to add
the ocean carrier for each shipment and the amount of free time for
their containers,” Ms. Soares said.
When a customer accepts a quote, then the staff at Login converts the
quote into a booking and then into a shipment. They also send a notice

bill could arrive weeks or months after the cargo was shipped. The
method Ms. Soares uses to achieve a status of Delivered for a container
is to create a Cargo Release when the customer returns the container
to the ocean carrier and give a receipt or ticker to her. The Cargo
Release completes the transaction and enables them to bill for the
demurrage and get the container out of their “on hand” inventory
and Delivered. Charges are generated from the Cargo Release and
an invoice created. Ms. Soares sends the invoice to the customer, and
when payment is received, the operation is closed.
Corporate Philosophy and Social Responsibility MergeWhile the employees are managing such a fine level of detail about
containers, they also apply their energies to more than just work. Ms.
Soares has incorporated social responsibility into the company culture
at Login Transport with an initiative called the Bridge for Dreams
Project. Employees and partners are encouraged to participate by
working in groups with organizations in their community that improve
the lives of others.
In 2012, the staff at Login Transport helped a school for the blind by
purchasing and donating musical instruments and other items. For
another ongoing project, they contributed paint and other material
to remodeling a children’s school. A future project includes collecting
plastics and other recyclable material and getting it the recycling plant.
“We can do a lot more together than we can individually, whether it’s
within our organization or society as a whole,” Ms. Soares said. “We do
have the ability to make change.” She wants the company to have a
strong foundation in helping the local community and making a better
place for everyone.
Ms. Soares and her brother Mr. Santos bring their experience working
in the industry for companies such as CSAV/LIBRA, Schenker, CMA-
CGM, UTi, Jas do Brasil, and Dascher from the past into their present
business and look to the future.
In addition to working to improve their community, Login Transport is
also committed to helping their customers, as she explains, “We do not
just have one way of working. Our customers don’t have to work like
us; we work like them.”
to the agent at origin, and all the shipment events are sent to the
customer to keep them informed.
Before using Magaya software, they entered all the demurrage cost
and income charges by hand. They also entered the number of
free days per customer and how many days the carrier offers. Many
shipments contain more than one type of container, and each type
has its own rate and free time for demurrage. Ms. Soares explained this
work is so time consuming that that many freight forwarders have one
or two people on staff who work on demurrage exclusively.
Now Login Transport saves a lot of time managing demurrage
information. “It’s easy to see how many containers are in demurrage.”
Mr. Bencomo worked with Ms. Soares to create the process for
handling FCL container information in the software, beginning with
creating a Warehouse Receipt when FCL containers arrive in Brazil.
The containers and their status of “On Hand” are visible in the
Container List, a sub-list of the Commodity List. The arrival date,
container types, and more are displayed in the list using custom
columns built with JavaScript. The script calculates the cost per day
until the status is “Delivered.”
They send a statement to the customer to keep them informed as the
costs accrue. Custom fields are also included in an invoice template,
which also shows the currency in US dollars and in the Brazilian Real.
To finish the process of managing a container, the staff at Login
Transport needs to know when the empty container is returned
to the steamship line because the demurrage charges continue to
accumulate during the time the customer keeps the container. And
the carrier sends the bill to her, of course, not to her customers. The
