Luke Spouses’ Club Meeting Minutes 2016/2017 BoG November 29, 2016 I. Call to Order: Chris Wendall, 9:09 a.m. II. President's Opening Comments: Thank you to the board for all your hard work, please accept the key chains and candies as a small token of my appreciation for your dedication to the LSC. We have accomplished a lot of great things so far. Thank you for Being the Change and Making a Difference. I value each and every one of you and the contributions you have made to my vision for the LSC. III. Review and Approve Previous Board Minutes: Lauren Pierce moved to approve November meeting minutes, seconded by Jenn Kirsch. All in favor, November meeting minutes approved. IV. Executive Board Reports 1. (P) President (Chris Wendall) Attended Wreath & Tree Raffle Committee meeting as the Committee Chair. We started making decorations for the event as well as discussed several open items. Attended the initial Spring Fundraiser Committee meeting as a committee member to brainstorm. We came up with several ideas and formulated a game plan. Once the location is secured, we will move forward. As a member of the Scholarship Committee, I typed our new Scholarship Application Packets. After the Committee reviewed and approved the changes, I took a copy of everything we intend to hand out (the packets as well as all of the correspondence we will be using) to FSS & Legal. I spoke with Rosemarie Reyes; she said all the changes were cleared and took copies of everything to keep in our official file. Reached out to Bill Johnston from FCP regarding the golf tournament in the Spring to see what decision has been made regarding our involvement. He said he would speak with Ron Sikes and get back with me. Reached out to MSgt Linder to find out what the Top 3 has decided to do with the left over inventory from the Airman's Attic (hoping it will be given to the Thrift Shop). He said the meeting was that day and that he would let me know what was decided. Submitted our Scholarship Flyer as well as a write up about the Thrift Shop to Deborah Leuthold, Editor of the Thunderbolt newspaper for the December issue. Submitted Form 833 to Public Affairs requesting they do a news article on the Thrift Shop for the January issue of the Thunderbolt. POC is SSgt Marcy Copeland. Submitted the Fundraising Request form on November 10th for our next Yard Sale to be held on Saturday, February 4th. Received approval on November 17th. Set up a table at the Luke AFB Ladies Kickball Tournament with Lauren Pierce, 1st VP.

Set up a table at the Luke AFB Ladies Kickball Tournament with Lauren Pierce, 1st VP. This was a great opportunity for us to reach out to several spouses (approx. 70) who are not members. We handed out brochures and flyers and spoke with several spouses about our Club.

Submitted the Fundraising Request form on November 17th for our Spring Silent Auction Fundraiser.

2. (P) 1st Vice President (Lauren Pierce)This month has been very eventful! 

Helped to make decorations for the wreath and tree raffle as a part of the committee.  

Took part in planning our spring fundraiser as a committee member.  

Received seven boxes of donations for the childcare room, giving our childcare room an entire make over with more than a dozen knew educational toys. The left over items that did not fit into the arena of childcare have been donated to our thrift shop. 

Decorated and submitted a tree for the upcoming raffle. 

Facilitated an LSC table at the Luke Air Force Base Women's kickball league - Championship tournament game. Manned said table with the President. 

Worked with Blue Star Families of LAFB to coordinate a wreath for the wreath and tree raffle, and received 8 new Disney Books as a donation to our childcare room. 

Began working on a project with membership to remodel our membership name tag board, as it needs notable improvement. 

Attended Wing Orientation with Membership, Kari. 

3. (P) 2nd Vice President (Jamie Lang)Created a mid-year proposed welfare budget which will be finished in November/early December so that it can be submitted for approval. 

Created a signup genius for the BX gift wrapping dates of Dec 2nd and Dec 14th and pushed it out. 

Created a signup genius for volunteers to help pack cookies for the Airmen Cookie Drive.

Rescheduled the Hearts Apart event for January 14th, 12:30pm at Tempo Urban Bistro due to scheduling conflicts with MSgt Drew. He advised he had several organizations which needed to spend their budgeted donation before the years end. He also advised that he did not have any organizations offering events in January and February. 

4. (A) Secretary (Amy Mayer)Attended Nov. 1st board meeting, took notes; edited and distributed meeting minutes to all board members.Received board reports for Nov. 29th meeting, distributed prior to meeting for review.Volunteered at Thrift Shop once. Partnered with Amy S. to coordinate two hike outings with members.

6 guests attended the November Social and they all became members.

I attended Wing Orientation with our 1st Vice Lauren Pierce on the 17th where we received five spouse email addresses. I will be contacting them as soon as possible with a welcome email from the LSC.

9. (P) Programs (Jenn Kirsch)November SocialThe theme for November is Fall in the Outdoors where Outdoor recreation provided displays to show members what they have to offer.  All decorations and games were provided to Chris and Gail, since I am not available to attend the event.  S'mores were a big hit and the minute to win it games were a fun addition.     Dec Tree and Wreath Raffle  The theme for the Wreath and Tree Raffle is Winter Wonderland, flyer and invite with menu was sent by Tracey. The invite went out to the command spouses to share with honorary commanders’ spouses.   Working with the committee to finalize the decorations, centerpieces, favors, and tags for the wreaths. Meeting with Gail on Thursday to finalize the large wreath with an Air Force/Luke theme.  

10. (P) Newsletter (Sara Riggs)This month I completed, published, and distributed the newsletter.

12. (P) Website (Amy Sorvillo)Updated Thrift Store FB page on weekly basis with opening times, new pictures and fielded questions. We are up to 598 page ‘likes’, 10 more since last report. Updated Website-·      Changed homepage to reflect November and December news and happenings.·      Added new flyers to appropriate tabs·      Added new pictures to gallery·      Added Cookie Drive information·      Added new Oasis volunteers·      Added pictures to Layette tab·      158 view on Nov 4- most for the month. Updated Facebook:·      Created flyers and pushed out hiking events·      Pushed out social flyers for Nov & Dec·      Advertised LSC Website on Facebook·      23 new members on the FB page since last report (254 total) 13. (A) Historian (Marisol Escobar)Attended November board meeting. Took home 20 white bags after the meeting to prepare for the wreath and tree raffle which will be used for raffle tickets. Have been actively posting on the Luke Spouses' Coupon Page 5-10 times a week updating members on special deals.

14. (P) Reservations (Tracey Canny)SummaryThe November 2016 function, LSC Expo,Fall in the Outdoors was  held at Club 56 on Luke AFB. There was a day (11 am and night social (6pm) on November 15th.  The function was open to all LSC members, their guests, as well as non-members.  Attendees E-5 and above and retirees who are not Club 56 members paid $13.  Those who are E-5 and above who are Club 56 members paid $11.  Those attending who are E-4 and below who are not Club 56 members paid $10.All credit charges with amounts have been sent to Club 56 to be processed.  The remaining balance has been paid to the Club.FINANCIAL

I am looking for more babysitters to help with our Board Meetings and Socials. If you know of anyone who would be interested please let me know or have them email me at [email protected]. They need to have experience with children and have references that can be verified. Thank you!

16. (A) Special Activities (Brittney Hatton) The clubs this month all have had a wonderful turn out! Bunco: Most buncos: Kassidy Caitlin; Most Wins: Brittney Hatton; Most minis: Emily Hayes; Most Loses: Cara Carson; Snake Eyes: Susan Padula 

Bowling: Bowling is running smoothly.  Latest update: After 7 weeks of bowling, teams #5, #2 & #4 are tied for 1st place with 15 wins and 13 losses.

Couponing: Coupon club had about 7 people at the meeting this past month.  Craft: Crafting club made painted wine glasses this month. About 12 people came. 

Hiking: Went on two hikes this past month. Estrella Mountain - 11 hikers. South Mountain - 4 hikers.

VI. Welfare Standing Committee Reports18. (P) Charitable (Jamie Lang)Hosted a volunteer day on Nov 4th at the Renaissance Hotel at Westgate Entertainment District with the New Life Center. Volunteers helped set up the ballroom and tables for their annual fundraiser. 

Created the December Phoenix Children's Hospital Toy Drive and received permission from the hospital to advertise for it. 

Kendre Hierlmeier hosted the November Oasis Meal for the TRS.

Dropped off 16 completed Layette Bags on Nov 1st to the AFRC. 

19. (A) Thrift Shop (Pudge Hoskins)Business has increased some this month, we have had a couple of good sales days.  We are also seeing more consigners.We were closed Nov. 11th for Veterans Day & we will be closed Nov. 23 & 25 for Thanksgiving.We close at the end of business (2 p.m.) on Friday the 16th of Dec. for the holidays & will open Wednesday 4th of Januaryat 10 a.m.

VII. Old Business1. Gift Wrapping at the BXSign-up sheet for giftwrapping see Jamie. Please bring scissors and tape when volunteering.2. Thrift Shop Consignment RaffleAll new consignors entered until drawing on Dec. 9th.3. Luke Airmen Cookie Drive20 volunteers needed for packing cookies on Dec. 7th. Sara Riggs, Sarah Shoemaker, and Theresa Ainsworth will be at Club 56 at 0600 on Dec. 6th to collect cookies. On Dec. 3rd she will pick up cookies from a Girl Scout troop that will bake cookies for the troops and they will donate left over cookies for airman from their cookie sales. Help us get the word out.4. Wreath & Tree RaffleDec. 5th begin set up 10:00 a.m. and ending around 5:00 p.m. Board members please arrive at 10:00 a.m. on Dec. 6th to assist with event.

VIII. New Business1. Membership FeesAccording to the by-laws membership dues are prorated. In January LSC will announce that annual dues will be half price. 2. February Yard SaleFSS has approved the yard sale for Feb. 4th from 8:00 a.m. to 12:00 p.m. in the parking lot at the base theater. Our members with home-based businesses will get first priority for tables, only one table per that particular business.3. FCP Golf TournamentIn the past, the golf tournament was organized by the base spouses’ club, but at some point was turned over to FCP. Now, FCP leadership wants to divide the $8,000 generated by volunteers between the LSC and Luke’s Private Org. Council. Discussed having additional fundraisers, such as a Coyote 50/50 raffle, or volunteering at Phoenix International Raceway (PIR). Fundraising is important as the usual $8000 received from the golf tournament will be cut in half.

2. President’s Comments---Thank you again for all your hard work. We have a few vacant positions, Publicity, Scholarship, and Charitable, which Jamie is still managing, but would like a replacement. Sara Riggs will send out a flyer with board position descriptions in January for the 2017-2018 LSC year, please consider participating on the board for the coming year in any capacity.3. Honorary President’s Comments---Maria Leonard praised Chris for doing a wonderful job with the LSC and not to be stressed out regarding scholarship money because any amount donated is a generous gift. 4. Honorary Vice President’s Comments---Sarah Shoemaker said that Chris is an excellent President.5. Advisor's Comments
