Job Description Student Support Administrator Salary: Band 5 Main Purpose of Job: To be the principle administrator for student support, academic and welfare matters. Reporting to: Academic Registrar (Line Manager), the Senior Tutor and Tutor for Graduates Hours of Work: 36.5 per week Key Areas of Responsibilities Examination Administration To manage matters relating to standard University examinations. Providing administrative support to the examination process: processing changes of options and late entry requests, issuing timetables to students and relevant members of staff. Issuing students with information needed for the examination period. To manage the procedures for any alternative examination arrangements as needed. Compile and submit applications for students requiring alternative arrangements, and for students who experience problems during exams. To manage the College’s internal examinations (Collections, including Special Collections) at the start of each term: compiling timetables, coordinating special exam arrangements, distributing the exam papers. To be responsible for hiring and managing the team of invigilators for Collections and for University examinations. Visiting Students Co-ordinating the Visiting Student Scheme, including: liaising with partner institutions and the Dean of Visiting Students, arranging selection and admission, visas, academic progress reporting and producing formal transcripts. Student Records and Matriculation To administer the procedures for undergraduates suspending and/or repeating study, and returning from suspension. To oversee the procedure for postgraduates changing their student status and to keep the student reporting system (OxCORT) up to date and print reports for files each term. Examination Administration

To manage matters relating to standard University examinations. Providing administrative support to the examination process: processing changes of options and late entry requests, issuing timetables to students and relevant members of staff. To monitor student feedback using the Student Barometer and bespoke surveys. Analyse and report on survey feedback to the relevant committee(s), e.g. Tutorial Committee. To provide reports on student equality data as required by the Academic Registrar and assisting the Academic Registrar with circulating papers for committee meetings.

Managing the annual registration process (including Matriculation) – welcoming new students and ensuring that they receive all the required information.

Have responsibility for all student-related content (academic and welfare) on the College website and intranet. Produce the Academic Office’s contribution to the Oriel Record.

Provide administrative support to the welfare team: organise welfare meetings, keep welfare information up to date in the Student Handbook, posters, the College intranet (Weblearn).

General

To liaise with Fellows and tutors, staff in other College departments, students, University central administration, subject departments and other colleges.To respond to academic enquiries from current and former students, alumni, members of academic staff, outside bodies, and outside individuals (by phone, e-mail or in person).To provide administrative support to the other members of the Academic Office, and to Fellows and Lecturers as and when it is required.

Qualities and Experience

Appropriate experience in an administrative role. Experience of university or academic administration is desirable. An extremely high level of personal organisation A high level of accuracy and attention to detail, with an An organised, systematic, and methodical approach to work. Excellent analytical and problem-solving skills. Excellent IT skills, including a high level of competence in database work (in particular using Microsoft Access),

together with word-processing using MS Word, and use of MS Excel and MS Outlook. Excellent oral and written communication skills. The ability to work under pressure. The ability to prioritise effectively, and to meet deadlines. The ability to work well in a small team. The ability to work with minimal supervision.

Qualifications

We require A Levels and a first degree or equivalent
