    Preparation This module should be presented to all users who will have the responsibility forcreating On-Hand Baggage Records while working in the Baggage Service area ofthe airline's operation.

    Create On-Hand Records

    On-Hand Records

    It is important to the tracing process that all unclaimed bags be placed in an On-hand Record. When anOn-hand Record is created, the Sabre Passenger Reservations System searches all baggage records inthe system for a possible match.

    On-hand records are similar to lost baggage records in that they require the following information:

    Baggage description line

    Bag tag number or UNK

    Some optional fields may be added if available:

    Remarks about where the bag was found or how it arrived Passengers name

    Passengers telephone and address

    Once an On-hand Record has been created, it will automatically be placed on the stations On-hand list.

    Creation of an On-hand record

    An on-hand record can be created from the Create Record functions, by selecting from theBaggage tab:

    Creation of an On-hand baggage record is the same as creating a lost baggage record, as discussed in the previous module, Agent Interface: Baggage Overview and Record Creation.

    If data such as the passengers name, itinerary, address or phone contacts is unavailable, either enter the pop-up windows blank (in the case of name and itinerary), or indicate PWCT Passenger Will Contact(in the case of the address and phone fields).

    The primary difference between creating a Lost baggage record and an On-hand baggage record occurs inthe Record Options: Bag Description pop-up window:

    Select Record Type : choose On-hand

    Fill in the rest of the pop-up window as before

    Select

    Continue through the remainder of the baggage record creation booking workflow as previouslydiscussed.

    Upon End Transaction, a baggage record locator is assigned by the system and the record is placed on the

    stations on-hand list. Example response:FSD. U0. 369564. FSD. 12J AN. 0834. SWHBUO- MSG SENT

    Quick creation of an On-hand record

    Since many on-hand bags will not have the passengers information (name, phone, address, itinerary), aQuick On-Hand workflow has been developed to permit fast entry of the data necessary to create an On-Hand Baggage record.

    To access the Baggage On-Hand functions, select from the Baggage tab.

    The On-Hand popup window displays:

    The On-Hand: Bag Tag Numbers popup window displays.

    Enter the following information:

    City: If the bag tag number is unknown, enter UNK for the city code.

    Airline: enter the two-character airline code if the bag tag was issued y another airline. If the airlineis omitted, the host airline is assumed.

    Tag Number (required if a city code is entered): see note about entering UNK in the City field if bagtag number is unknown.

    No Bag Tag Match

    The response displays on screen. If there is no baggage record in the database with these same bag tagnumbers, a On-hand Record is begun. The following is an example of the most commonly seen response:

    BO/ STT998877

    The first line of the example is the entry.

    The asterisk ( * ) on the second line indicates that the information has been accepted and entered.

    The third line of the example shows the entry made by the system to display the record. In this

    example, only a single bag tag number has been entered.

    The Remarks pop-up window displays:

    This window gives you the opportunity to add any additional information that would assist in matchingthe bag with the passenger.

    Fill in any applicable Remarks

    The End Baggage Record pop-up window displays.

    (This is the same End Baggage Record pop-up window as discussed in the Baggage Overview andCreate module.)

    For purposes of this lesson, select End and Retrieve .ote

    If multiple Bag Tag Numbers were entered, do not select End and Retrieve . As each bag tag number is given an individual Baggage Record identifier, End and Retrieve isnot a valid option in this situation.

    Select

    The on-hand baggage record is ended and retrieved as an Open BIS (Baggage In System) On-Handrecord, and the Baggage Description pop-up window displays. See the following example:

    This is very similar to the Baggage Description pop-up window as described in the Baggage Overviewand Create module. Please refer to the Baggage Overview and Create module for usage details andresponses. The differences are that:

    The Record Type is automatically entered as On-Hand, so the Record Type field does not display

    The Contents (Remarks) are a required field

    Once the Baggage Description items are entered, select .

    If your carrier participates in Content Categories, the Content Categories and Category

    Descriptions pop-up windows display. Again, please refer to the Baggage Overview and Createmodule for usage and responses.

    Once the Baggage Description is entered (with Content Categories and Category Descriptions, asapplicable), the End Baggage Record pop-up window re-displays.

    Bag tag Record Match

    At times, when creating a record for an On-hand bag, a response message displays that advises there is anexisting Baggage Record in the system with the same bag tag number. See the following example:

    The system responded with a banner advising that there are other existing records with this same tagnumber.

    one (01) existing record for tag number 887766

    The record was created on 19 June at 0916.

    The record locator is SGCQYA and the file is in Open status.

    Knowing there is a previously existing record for the same bag tag number, you will most likely prefer toignore the On-hand record in progress, and display the existing record.

    Select the key

    to ignore the creation of a new record

    Use an option from Display Record label (Refer to the Baggage Overview and Create module for the Display Record options)

    There may be important information that can be obtained from the existing record. More importantly, youcan reference the existing record to advise baggage forwarding flight information.
