Inventory Design The purpose of this document is to explain the design of Inventory as used by Power-Up Gaming.

Throughout this document numbers are used in two forms. Ex.#01.) Double digit numbers that start with a pound sign (#) and end with a period and a closed parenthesis states that the number

is meant to be a “counting number” or a “listing number”. Its purpose is meant only to provide information about how many items appear in that particular informational series.

0 Single digit numbers from 0 – 9 are used specifically when a number is designed to be used as part of the inventory system.

Naming Convention For Inventory Software

Often, Game Titles will be greater than the maximum 31 character allowed limit

The condition must always be correctly in the Item Name field for searchability purposes. There must always be a space between the Item Name and the Condition.

Whenever a game title must be shortened, the correct, complete title should be added to the Item Description field.

Standards for Shorting Item Names:1. Truncate Game Titles to 28 characters including spaces.

Example: Super Mario World 2: Yoshi's Island = Super Mario World 2: Yoshi's Hint: You can truncate items by using the following formula in excel =CONCATENATE([text1], [min value], [max value])

2. Game Titles with Sub-Titles may be dropped. When this is done, always ensure the correct number is used to represent its place in the series.

Example: Castlevania II: Simon’s Quest = Castlevania II3. Game Titles with Pre-Fixes or Possessive Nouns may be dropped provided the game can be easily identified otherwise.

Example: Madden’s Football Challenge = Football Challenge Example: Madden ’99 CAN NOT be dropped to ’99.

4. Transitive words such as “and” or “the” may also be dropped in a crunch, but do this only if absolutely necessary. Example: The Amazing Spiderman = Amazing Spiderman

5. Longer words may be abbreviated when possible. When this is done, provided there is room, use a period at the end of the abbreviated word.

Example: Adventure Island = Adv. Island6. Proper Names that are well known in Pop Culture can be abbreviated if necessary, but reframe from this as much as possible.

Example: Teen Aged Mutant Ninja Turtles = TMNT7. If it is necessary to further shorten the title, remove all the vowels on a non-critical word in the title. Give preference to doing this for a

word towards the end of the title. Try never to alter proper words such as Mario. Example: Crash n The Boys Street Challenge = Crash n The Boys Strt Chllng

8. If you need to remove other words, try to focus on removing words towards the end of the title that are not proper nouns.9. Titles that have numbers spelled out may be converted conventional numbers.10. Other alterations to the title should be done intelligently as needed. The key is to always keep the game title as close as possible to the

original.

Keep in mind when making alterations to Item Names, Quickbooks ALWAYS searches from Left to Right with items having no spaces. Try never to combine words that don’t already exist.

Inactive Vendor Names Inactive Vendor Names are used to differentiate inventory items purchased from customers or 3rd party resellers. Their primary purpose is searchablity.

The naming convention used for Inactive Vendor’s are based around the Make and Department only. This is largely due to Quickbooks POS physical limitations and ease of classification.
