WEEKLY MANAGEMENT REPORT

EAST NEIGHBORHOOD ASSOCIATION OF WILTON MANORS Founded in August 2002 and incorporated in October 2002 as a non-profit organization The East Neighborhood Association of Wilton Manors, Inc., was established to: 1) Promote support for ideas and projects that will benefit the Association members and entire community, 2) Support civic, cultural, economic, educational, and recreational activities which are deemed beneficial to the residential and commercial interests of the membership, 3) Endeavor to aid government officials in the diligent pursuit of their duties and obligations to all people and businesses of ENA, 4) Keep the community informed as to the Association’s position on relevant issues and on the City’s plans and activities. Get involved in your community. The next ENA

Board of Directors quarterly meeting will be held on Wednesday, June 25, 2014 at 7pm in the Independence Hall located at 1639 NE 26 Street, Wilton Manors, FL.

COMMITTEE REPORTS The Social Committee will be meeting on Monday, 5/19/2014, 5:00PM in W Club to

discuss details of the Memorial Day Potluck. The Welcome Committee held a meeting on Tuesday, 5/13/2014, and explored many

ideas about the future of Wilton Station. The Voting Committee, lead by Steven Lazarus, will be meeting on Sunday, May 18,

2014 at W Club to discuss purpose, goals and objectives of the committee. The Rules & Fines Committee, lead by Joe Donelly, held a meeting on Wednesday, May

7, 2014 and discussed the purpose, goals and objectives of the committee. Also discussed was violations procedures and fining process.

LANDSCAPING There was a walk-thru with Brickman on Friday, 5/9/2014, and requests were made for a host of maintenance items. Additionally, the committee made recommendations for improvements on Village Lane including: 1) Adding irrigation heads in courtyards while assessing for water pressure, 2) Install 10 Indian Hawthorne to fill in empty spots and replace dead spots, 3) Add two crinum lilies and 6 begonias, 4) Add 2 crinum lilies, 8 begonias, 4

pentas , and 5) Add 6 ferns.

PREVENTATIVE MAINTENANCE ITEMS The Board recently approved the proposal by ACD Flooring for the annual cleaning and sealing of the fitness room flooring. Notice will be given as to the commencement date of the project. Also, the annual A/C drain line cleaning will be done upon completion of the power washing project.

POWER WASHING PROJECT (CONTINUED) Please note that due to unfavorable weather conditions and possible delays, David Eirten will be mobilizing to the Santa-Fe building on Saturday, May 17, 2014 and will commence power washing at 8:30am to 4:30pm each day. Because the Santa-Fe, Grand Central and Pacific buildings are connected, David will power-wash the entire West side (Station Blvd) of all three buildings before wrapping around to the North side (river) of Pacific then moving in a southbound direction on the East side (Village Lane) of the buildings. As previously mentioned, only balcony edges and wooden trellises will be power washed and the trellises will be sealed. Vehicles and balcony furnishings should be relocated accordingly. Special note, if you have trellises in your balcony and have any decorative material of other items wrapping around, installed or hanging off of your trellises, please remove them as soon as possible so that the project isn’t stalled. Should any decorative material or other item hinder the project in any way, David will be authorized to proceed with power washing of the trellises and any damages to decorative items left on the trellises will not be at the responsibility of the Association.

ACCESSMEDIA3 While the surveys are still being circulated for future demands and negotiations, management met with the AccessMedia3 technician and Account Representative earlier this week to discuss the ongoing complaints from residents regarding the slow Internet speed. The service tech advised that the probable cause to the service issues is due to both fiber-optic signals for DirecTV and AccessMedia3 sharing the same fiber optic cable, causing the service interruptions. The service technician suggested that should any customer experience continuous service related issues, to call and request AM3 to activate an independent fiber optic cable/signal. Please place a service call as soon as possible and make this request. Should the procedure not improve your Internet service, notify management immediately. We will continue to document these events for future reference.

OTIS ELEVATOR Otis elevator came back on Thursday, 5/15/2014, to make additional adjustments and repairs to the elevators. Below is an updated report.

Santa-Fe: Parts arrived for Elevator #1 and the door locking mechanism was replaced, which should prevent any further entrapment incidents. Elevator # 2 is in need of a gate keeper, a door detector mechanism that is false firing and causing the door to open/close spontaneously.

Pacific: A service call was placed again this week after the Elevator # 1 loss power once again. The technicians asked that the maintenance team to not reset the power and leave for troubleshooting. The maintenance team has been advised who will continue to monitor.

Grand Central: The phone circuit board was replaced however; the phone still didn’t work. The phone line was checked for trouble and everything was Ok. The technicians will come back out for further investigation.

Retail: All repairs completed. The fan in Elevator # 3 was recently replaced.

Frisco: All repairs completed. The 2nd Floor call button inside Elevator # 1 was replaced.

Flagler: All repairs completed. The doors were recently adjusted.

Storage Buildings & W Club: The technicians were reminded that the storage building elevators and the W Club elevators make a loud bang type noise when activated. These elevators will be serviced at a later date.

STORAGE CAGES Thank you for your responses and cooperation to the mass notification sent on Wednesday, 5/07/2014 regarding the storage cage red line rule. If you have storage cage and not sure if your storage unit is compliant with the red line rule, please inspect your storage cage as soon as possible and take immediate action as necessary. The Property Manager will subsequently inspect all storage cages on Monday, 5/19/2014. Any storage cages not in compliance will be reported to the Rules & Fines Committee.

April Rentals A total of two units rented in the month of May so far including 3/3 at $2,375 and a 2/2 at $2,400. The average rental fee was $2,388. There are four pending transactions including: a 3/2 previously listed for $2,650, a 2/2 previously listed for $1,995, a 1/1 ½ previously listed for $1,650 and another 1/1 ½ previously listed for $1,600.

Balconies & Trellises – In progress Flagler Light Pole –David Eirten says the manufacturer he

was collaborating with could not match the original light fixture design. He is now collaborating with a different manufacturer.

Scupper Extensions – The scuppers were proven to be effective during recent torrential pouring. The board now needs to make a decision whether or not to proceed with a full scale project and install extension at other scuppers.

Property Damage – To be completed by Monday, 5/19/2014.

French Drain near Oscar’s Tea Room – To be completed after the power washing project.

Gym Floor – Waiting on proposal from David. Cleaning Air Conditioning Lines – Will commence after

the power washing project.

REMINDER: COMMUNITY WEBSITE If you have not already done so, visit the new website: www.wiltonstation.net. It includes information like the financials, condo docs, by-laws, rules and regulations as well as a marketplace to buy and sell parking spaces, storage spaces, cabanas, and garages. It is laid out with photos of the complex and useful information like upcoming events. The login is: wiltonstationowner and the password is: luckydog. REMINDER: EXTENDED MOVING HOURS For your convenience, the Board has discussed and approved the change in notification time for deliveries from 3 days (72 hours) to 2 days (48 hours). Also, the board approved delivery request options for you so now you can make a delivery request for the morning (8:30 to 12), afternoon (12 to 4:30) or the entire day (8:30 to 4:30). No longer will small deliveries tie up the whole day.

RULES & REGULATION REMINDERS

There will be a refundable $250.00 security deposit for groups of less than fifty (50), payable to the Association for private use of the Club Room. For groups of fifty (50) or more there will be a refundable $500.00 security deposit. If a resident hosts a private function with greater than 25 non-resident guests a security guard must be retained to aide in parking and escorting guest to the club house. The current charge is $20.00 per hour and is retained on a four hour minimum. If a guest list is not provided at least 48 hours in advance of the event, a fee of $100.00 will be deducted from the security deposit. The room must be left in the same condition as it was prior to the event, in order to receive full reimbursement of the security deposit. The cost of any damage to or clean-up of the Club Room or any of the common elements of the Association will be the joint responsibility of the unit owner and/or resident hosting the party and will be deducted from the security deposit. The Association will submit an invoice for the costs of repair and any reimbursement above the amount of the security deposit which shall be paid to the Association within ten (10) days from delivery of the invoice.

Reservations for the theater must be made in advance and may not exceed maximum capacity. No one under the age of eighteen (18) will be allowed to sign for any Club Room items such as remote controls. No children under the age of eighteen (18) are allowed to use the theater. A $250 refundable deposit is required to use the theater.

Food and beverages are not permitted in the pool/spas or on the pool deck within 5 feet of the pool water. Small coolers are permitted; however, no containers are allowed in the pool or next to the edge of the pool. All persons are responsible for removing or disposing of any containers prior to leaving the pool deck area. Smoking is not permitted anywhere within the pool enclosure except for outdoor bar area and the upper tier over the waterfalls.

Toys, playpens, bicycles, inflatable items (except those attached to a person, i.e. water wings, therapeutic water weights, etc), and other similar items are not permitted in the swimming pool or pool deck area. However, small inflatable items may be used in the pool on non-holiday weekdays only. Strollers are permitted but must be attended to at all times.

Grout or thin set may not be disposed of in the unit’s plumbing. Workers must remove their own material. Contractors and moving companies must place floor protection over all elevator floors and hallways from the elevator to the unit entry door. Contractors and workers may not leave any supplies or equipment or perform any work in the common areas. All workers, especially if using materials such as paint, tile, woodwork, etc., must take the necessary precautions to ensure that the common elements, including the hallway carpets, etc. are not damaged. All common areas will be inspected at the end of each day. The cost of any repairs to the common area or to the other units will be assessed to the unit owner. Any work being done in units that may affect the life safety system must be cleared with building management in advance. THERE WILL BE A $400 CHARGE FOR EACH FALSE ALARM RESPONDED TO BY THE CITY OF WILTON MANORS FIRE DEPARTMENT.

Reviewed delinquency report for collections. Sent 7 reminder letters and 3 final notices. Collaborated with Social Committee, Voting Committee, Rules/Fines Committee for upcoming

meetings and/or events. Collaborated with BankUnited and FirstService Residential regarding bank account transfers

and renewing bank signature forms for new board members and Treasurer. Forwarded the updated survey report to the board re: AccessMedia3. Contacted the City of Wilton Manors regarding registration criteria for the association to join

the East Neighborhood Association. Received a copy of the Developer settlement agreement. Walked the property for quality control, supervision and create work orders. Met with Markman’s Security supervisors to discuss entrapment protocols/procedures. Conducted Welcome Meeting for new tenants in PA-404. Created an action-item matrix to capture all discussion items and maintenance projects onto a

spreadsheet. Set-up the online invoice approval system for the board. Processed Accounts/Payable and collaborated with accounting department on various unit

owner account issues. Processed three new lease applications.

Wiped and cleaned 102A/C door. Spot cleaned carpet near 105. Touched up corners of small hallway, 3rd Floor. Spot cleaned carpet near 308. Wiped down and cleaned handrails in all stairwells in building.

Frisco 4th & 5th Floors- replaced

battery in emergency lights. Spot cleaned carpet near 502. Repainted corner of walls in

small hallway.

Retail Shampooed rug between 204A/C, 215A/C, 214, and 206A/C. Removed white powder on carpet near 303AC. Touched-up baseboards around 313, 306, 307 and near safety

equipment box . Wiped down and cleaned handrails in all stairwells in building.

Santa Fe Replaced battery in Lobby emergency light. Spot cleaned carpet between 111 and 112. Cleaned 3rd Floor landing and stair # 1. Wiped and cleaned safety equipment box by 300. Grand Central Patched and painted ceiling near 102 and 102A/C. Touched up wall by stairwell #1. Repainted top of baseboard in elevator lobby.

General Maintenance Items Occurred This Week

Changed out light bulbs reported in the security rover’s inspection report.

Charlotte Canaval repainted the Venetian plaster on the walls in W Club, 2nd Floor.

Ecolo refilled all trash chute deodorizer containers. TYCO responded to service call for guardhouse cameras

and assessed the cost to replace the cable housing box where previously damaged by driver.

Worldwide Pools cleaned the pools and inspected the pool pump equipment as scheduled.

Otis Elevator responded to service call for continuous maintenance issues with the elevators.

Brickman Group mowed the lawn, trimmed the hedges and sprayed pest control as scheduled.

Security Items Completed This Week

Stickered 1 vehicle on 5-10-2014. Responded to gate arm incident on 5/10/2014 and downloaded recording of incident for future

reference. Found and reported men’s wallet on village lane near to Frisco building on 05-11-14. Responded to cigarette smoke complaint in Santa-Fe elevator on 05-11-14. Responded to various A/C leak issues, investigated the source of leak and reported to

management.

Things To Do Next Week

Inspect storage cages in the storage building. Power wash the garage doors @ garage buildings 1-4 Garage Building #2- Please spray for ants near #2-10 Address pavers raised where city sidewalk meets pavers. Power wash perimeter walls at the entrance to the property. Continue painting the lines and arrows in the underground garage for all buildings. Scrape/clean the rest of adhesive from windows where tint was removed. Continue repainting arrows in the parking garage entries.

Pesky Plumbing Problems

Plumbing leaks and failures are no fun. In some circumstances they can cost a small fortune to rectify. The good news is many are preventable with just a little awareness and maintenance. Here are three quick tips that should help to keep the water flowing the way it should.

Read up: Before you attempt to fix or call a plumber about complicated plumbing equipment (garbage disposals, water heaters, water filters, etc) read the owner’s manual cover to cover. Plumbing products sometimes have safety features, reset switches or other hidden features that could appear to be problems, but are easily corrected. Also check any circuit breakers and fuses.

Ignorance is not bliss: If you see a water stain on walls, ceilings or floors, don’t wait around to see if it will go away. Any water spot is an indication that water has penetrated from somewhere. It’s best to find out where the source of the leak is right away, before the hidden damage makes itself known in the form of bacteria, microbes or even permanent damage to the structure.

Don’t always DIY: It is possible to repair minor problems with some effort. There are many online resources available that show how to replace or repair simple household plumbing fixtures. However, unless you really know what you’re doing, it’s better not to attempt to repair difficult plumbing leaks and pipes on your own. If you’re intimidated and concerned about making leaks worse (which can happen more often than not), it can actually save you more time and money to just hire a professional to get the job done and out of the way.

The Five Most Common Air Conditioning Problems

Although there are potentially hundreds of reasons why your home’s central air conditioner may need to be repaired, there are a few reasons that are quite common. Knowing what they are may help you to understand what a technician is referring to when you need to discuss the options for correcting the problem. Here are the top five problems that may cause your air conditioning system to break down.

Frozen Inside coil: A frozen coil often indicates a problem with the airflow, such as restrictions caused by dirty air filters or blocked return air ductwork. Frozen indoor coils could also be caused by low refrigerant.

Outside unit not functional: This typically indicates lack of power, contactor problems or even a faulty thermostat.

Outside fan is not working: The outside fan is responsible for transferring the heat from your home to the outside air. If the fan on the outside unit doesn’t run, proper heat transfer is not taking place and the air

conditioning compressor may overheat and trip the safety overload. Worse yet, it may cause internal damage to the compressor.

Low refrigerant: Refrigerant (more commonly referred to as Freon) is the chemical that cools the air.

Low refrigerant may indicate a leak or problem with the refrigerant system. If your air conditioning system needs to be recharged with refrigerant, typically that means there is a leak. All refrigerant leaks should be located and repaired.

Faulty wiring: Improper, haphazard or uncertified A/C wiring is dangerous and a potential fire hazard.

Bad wiring often prevents the system from getting power, or can trip the circuit breaker. In many cases, the only way a homeowner can prevent these common problems is by participating in a preventive maintenance program. Bad wiring, low refrigerant and airflow problems can be detected during routine maintenance tune-ups. For all these common issues, a professionally qualified, NATE-certified technician can quickly diagnose the problem area and make the necessary repairs.
