1 Materials Module Overview The Materials Module System (MMS) is used to analyze gradation and density of materials to determine compliance of contract requirements. MMS works very similar to the former QC/QA Program. It will enable the user to check verification, correlate with the contractors tester and process pay factors. 2 GETTING STARTED 3 Launch EDS and access Project Accounting Toggle Wild Card Type-in the last 3 digits of your job to filter down the project list and select your project 4 Toggle Sub Systems>Materials to access the MMS for the selected project. In MMS, go to the Materials pull down menu and select Project Setup. 5 Project Setup is where the project Materials and Testers will be loaded. 6 While on the Materials Tab, right-click in the Materials area and select Add. You will need to do this for all materials on your project. You can add Materials as the project progresses. Only necessary to Add different types of materials - not all bid items!!! 7 8 Select the desired material for the drop-down menu. 9 Once the desired material(s) are added in the Materials window, the associated bid items need to be assigned in the Items window. Select the All button to show all the contract bid items for the project. Double-click the bid items to assign it to the selected material type. IMPORTANT If the wrong bid item is associated, it has to be deleted. Cannot come back at later time after test results have been entered and change the associated bid item!!! Be careful selecting the correct item if an E-61 has been entered. Look at the sequence #!!! 10 More than one bid item can be assigned to each material type. Repeat the process for each type of material in the Materials list. You can add more Material types and associated bid items as the project progresses. For each Material add your Test Types. Right-click in Test Types window and select add. 11 Select the desired Inspection Types (QA/QC/V) and Test Types (Aggregate/Density). 12 Populate the Testers tab. On the Testers tab, right-click and select add. In the empty box, right-click and select Lookup Certified Name. 13 14 Once you find the tester, double-click on the tester to add. 15 You can add individual testers that may not be Certified but are either Qualified or are testing as a Tester under the watch of a certified tester. Toggle the disk icon to SAVE! Save often!!! 16 Adding Gradation Test Results 17 18 The following procedure is used for all aggregate materials. Under the Materials pull-down menu, select the Aggregate option. 19 When the Aggregate dialog box opens, toggle the Refresh to populate the window with the current project information. Select the desired Material. Select the Material Details tab. Populate the Pit County, Crushing Company and Testing Company. Save!! For the selected Crushed Base, add the Grading/Nominal Max size; right- click in the Grading area, select Add, and then select the desired Grading. 20 With the Grading W selected, toggle the Sieve Sizes tab. NOTE: Some gradings will bring in pre-set values for Upper & Lower Limits. DO NOT trust them! Check them! SAVE! The Effective Date and End Date are available to change screen limits in the middle of production. Again, SAVE! 21 Note: The Grading option gives you the ability to put in multiple mix designs for the same bid item that may be used intermittently throughout any day (ie contractor bouncing from mainline to or for concrete paving fine/coarse gradations) 22 23 Select the Tests tab. For the first time the tab is selected, it will be blank. Right-click in the Tests window and select Add. 24 Once a date is entered the other information will populate. Use the Tab key to navigate through all the cells that require input. Recommended to designate WYDOT tests differently from contractor tests so they can distinguished readily on E-120 (ie if a contractor tests are numbered 1,2,3,4 may want to number WYDOT tests 1w,2w,3w,4w 25 Populate the test number, the tester and the test sample results. Once all the test have been entered a pay factor can be calculated. 26 Select the Lots tab. Right-click in the Lot Number area and select Add. Enter the Lot Number, then continue by selecting the Pay Adjustment Equation for your material from the drop down menu and entering a quantity in the Lot Qty box. 27 Using the arrows, move the test from the unassigned tests column into the Lots Test column. Toggle REFRESH. Note: Sometimes the w or c designation will not appear until REFRESH is selected. Be sure to check the Maximum Pay Factor of 1.0 box since this is Crushed Base. Populate the Approval Date below the Pay Adjustment Equation. Once all the test have been moved, toggle the Calculate E-120 button. 28 A completed Form E-120 with all the project information included. Review the results. If you are satisfied, print and close this window. Note: This area can display multiple bid items at this location! See slide #10 29 If contractor is in agreement with the results, select the Approved Date in the Bid Item window, and toggle Post to Ledger. The Posted Date in the Bid Item window will populate automatically. Note: If Project Accounting window is open, this will not appear automatically - close and then re-open. 30 The price adjustment for Crushed Base has now been posted to the Project Accounting - Ledger as a PRADJ entry under the Crushed Base bid item. The Amount Placed and the Price Adjustment values will remain separate of each other. 31 If you need to correct a price adjustment entry for an item, delete the posted entry in the Project Accounting Ledger, and zero all dates in the MMS Lots tab for this item so the date appears as 00/00/00. Correct the lot entry. Correlating with the Contractor 32 33 Using the Hot Plant Mix material for correlating with the contractor, begin by adding all the WYDOT and contractor test results under the Test tab. Be sure to select the correct tester when each test is entered. This is essential for the correlation process. By selecting the Contractor as the tester for the second number 5 test, the test now has the letter C in the Org (Originator) column. Toggle Refresh. 34 Select the Lots tab. Add the Lot Number, Pay Adjustment Equation, and move the Unassigned Tests that will be used for correlation into the Lots Test column using the arrows. Toggle Refresh and then toggle Correlate. 35 The Aggregate Correlation dialog will open and under the Sieve Sizes tab the correlation information can be added. Populate the Testing Date, QC Supervisor and the Contractor. 36 Toggle the Test tab. Move the selected correlation tests using the arrow to the Correlation Test column. Choose the type of test to correlate (Testers/Mechanical Sampler) and select the Correlation Report button. 37 Print and close this box. 38 In the Aggregate Correlation box the correlation result information has been added. Close the Aggregate Correlation box. Do not be tempted to change test values here. The changes will not be carried back to the pay factor determination!!! 39 Now that the Contractor and WYDOT are correlated, the contractors test results can be used. Move the contractors tests to the Lots Test column using the arrows, check the Pay Adjust Equation, the Approved Date below the Pay Adjustment Equation, and select the Calculate E-120 button. Print and close this box. 40 If the contractor is in agreement with the results, select the Approved Date under the bid item then toggle Post to Ledger. DO NOT ENTER A DATE IN THE POSTED DATE!!! The Post to Ledger button will add the date. 41 42 The E-120 adjustment has now been posted to the Ledger as a PRADJ entry, and the Amount Placed and the Price Adjustment totals are separate. Verification 43 Now for Lot # 2, move the tests for lot 2 to the Lots Test column including the randomly selected WYDOT test. Right click next to the contractors test and the WYDOT test (Test # 6) and select Verify Test. 44 45 After the second test is selected to compare for verification, a Passed or Failed message will appear. On the resulting E-120, the WYDOT test that was used for verification is highlighted for display purposes but is not included in the pay factor calculation. 46 WARNING!!! If the verification fails, the program will incorrectly use the one WYDOT test for pay factor determination. Follow specification and procedures required in Adding Density Test Results, Correlation & Verification 48 49 Open the Materials tab and select Density. 50 Complete the information under the Pay Method Details tab and select the Pay Method and Grading information. Select the Lot tab. Add the lot number and fill in the required information. Be sure the Test Strip pay method is selected. Begin adding both the contractor and WYDOT tests. Once all the test have been added select the Correlate button. NOTE: Once test data is entered and the Correlate button is selected, any subsequent errors have to resolved by entering a new lot for Correlation to work 51 Select QC Supervisor and enter any comments. Select Correlate Report button. 52 53 Print and close this box. If Correlation failed, the option is available to use WYDOT tests instead of Contractor tests. Calculate the E-119 and Post to Ledger. 54 55 Above are examples of the Density report and a price adjustment sent to Project Accounting 56 For this demonstration, the correlation passed on Lot # 1 (test strip didnt). The tests for Lot # 2 are added as another Test Strip. Also, add the verification test from WYDOT. Calculate the E-119. Since this is a 1.0 pay factor, there is no need to post to ledger. 57 Print and close window. This report is a Test Strip Method. 58 Lots 3, 4, and 5 have been entered and Lot 5 is now being evaluated under the QCQA Method. Note that the verification passed. 59 Since this is a different method, only the QCQA test are seen on this report. 60 Be sure to insert the approved date and post to ledger if this is not a 1.0 pay factor. 61 Check to see if the price adjustments posted to the item. 62 The Pay Estimate sheet will show the break out between Placed quantity and Price Adjustment quantity. This concludes the demonstration of the Materials Module. MMS Reminders Remember to Save often. Use the Refresh button after adding/changing information in the Aggregate and Density sections. Dont forget to Post to Ledger after approval date is selected on Pay Factors. 63 Other EDS Items to ADD?
