Greetings OWAA Supporting Groups:

Supporting Groups – You’re Invited to Rochester!

For many of us winter is the time when we plan activities that will keep us busy for the rest of the year. I hope while you’re standing knee-deep in snow, or enjoying a hike on a crisp winter day you take a few minutes to think ahead to another great outdoors opportunity coming up this summer. OWAA’s annual conference will be held in beautiful Rochester, Minn., June 10-13. Many of you have been attending the conferences for years and know how enjoyable they can be. In fact, our conferences can be so much fun that sometimes we forget that we’re working. But if you must work, what better way to do it than among several hundred others who share your passion for the outdoors? For supporting groups, OWAA’s conference offers an excellent way to build relationships with outdoors communicators. Shooting and Breakout day events – to be held at a picturesque Boy Scouts camp near Rochester – provide for hands-on testing of products. Just as importantly, the rest of the conference allows the kind of personal interaction that you just can’t get through e-mail or even phone calls. As your Supporting Group Liaison, I welcome the chance to work with you throughout the year. OPPORTUNITIES FOR SUPPORTING GROUPS, AGENCIES & BUSINESSES

1. Literature Room This is the place for conference-long distribution of press kits and product information. Throughout the conference, media members visit this area to browse and take what they need. We would like to encourage the use of thumb drives with your press/media materials already embedded. This helps reduce the monumental amount of paper thrown away each year. Generally, 100-150 press kits are sufficient. Please ship your materials after June 1 to arrive no later than June 8.

2. Supporter Breakfast & Business Meeting OWAA will sponsor a buffet breakfast for supporting groups on Thursday, June 10, from 8:00 to 9:30 a.m. The buffet breakfast is in conjunction with set-up for the Opening Day displays. There is no charge, but please mark on your personnel registration sheet if you expect to attend breakfast. Meetings held in conjunction with the Supporter Breakfast on Thursday morning include:

Business Meeting Supporters traditionally meet during conference to discuss a variety of issues. This year, the business meeting will be held in conjunction with the breakfast on Thursday, June 10. The meeting will begin at 8:30. Current industry liaison, Mark Taylor, will conduct the meeting and the new liaison for 2010-11 will be introduced. An open forum for general discussion is welcome. Green Ribbon Orientation Program Chair Mike Walker, President John Beath and Industry Liaison Mark Taylor will prepare green ribbon (first-timer) conference-goers for opportunities and events.

3. Opening Day Displays On the first day of conference, many supporters traditionally welcome arriving outdoor media members by exhibiting the latest products or highlighting recent issues. This is a great chance to introduce yourself and your company, agency or organization to conference attendees. Displays are permitted from 10 a.m. to 4 p.m. on Thursday, June 10. If you wish to participate, return the enclosed form along with a certificate of insurance. Deadline for registration is May 10. The cost is $95, which covers your 8’ x 10’ booth with one skirted table, two chairs, pipe and drapery. Electricity is available for an additional charge. After your registration and payment have been received, you'll receive a confirmation with a map of the display area including your assigned table location. Product handouts are discouraged, but samples may be given to media members (yellow badges) who express interest in your products. Supporting groups may offer gifts such as pens, pads and key chains, but solicitation of gifts by spouses and guests (blue badges) is prohibited. 4. Shooting Program & Breakout Day, Friday, June 11, 9 a.m. – 3:30 p.m. (Firing lines open from 9 a.m. to Noon) For most industry folks, Breakout Day and the Shooting Program are the “do-not-miss events” of an OWAA conference. A full-day event held away from the conference center in an outdoor setting, Breakout & Shooting Day is designed to showcase your latest hard goods and products while having fun with your colleagues. Members of the media expect hands-on experiences as they try out new equipment, as opposed to a trade show-style event with products resting on tables. To engage individual members we encourage you to create a competition or activity for our Outdoor Skills Contest using your products, which adds to the excitement and popularity of your display. Participants in the Outdoor Skills Contest go from booth to booth, trying products by way of a

“competition,” then score points based on how well they’ve done. Winners receive a plaque and a gift certificate for the OWAA store. Set-up will begin very early Friday morning, and the range will be available for sighting-in on Thursday afternoon. The Shooting portion of the program is an opportunity for firearms, ammunition, archery and hunting products manufacturers to showcase their goods. The attending media expect to try out and evaluate a variety of equipment including shotguns, rifles, handguns, air rifles, black powder, bows, targets and related products. Firing lines will be open from 9 a.m. until Noon. The display fee is $65, which includes one table, two chairs and space on the firing line (as applicable for the shooting portion of the event). Please review the enclosed layout and indicate your display needs and if you’re planning to demonstrate firearms, then the type of firearms you plan to demonstrate on the Breakout Day registration form. 5. Hospitality Suites A number of suites are available at the Kahler Grand Hotel, where OWAA Supporting Groups can host and entertain members of the media on Thursday and/or Friday evenings. It is a great, relaxing atmosphere to engage OWAA members! To reserve a suite, please indicate the day(s) you wish to host your hospitality on your registration form. Hospitality suites will be available Thursday and/or Friday evenings; traditional hours are 9:30 to 11:30 p.m. Light snacks are generally served, while wine, beer and liquor are optional. OWAA asks supporting groups to limit their liabilities by encouraging responsible alcohol consumption. You do not have to purchase food and beverage from the Kahler Grand. Costs for hospitality suites are as follows, and must be arranged through OWAA.:

Suites are limited, and are subject to first-come, first-served reservations. Please contact OWAA headquarters to secure your desired suite size. Supporting groups may offer gifts, but solicitation of gifts by spouses and guests (blue badges) is prohibited. Once hospitality suite arrangements have been made, your suite will be added to conference schedules promotional materials. Deadline is May 10. Materials may be shipped directly to your attention at the hotel. Ship after June 1 to arrive no later than June 8.

6. Contest Sponsorship The spirit of competition fosters improved communication skills. Each year, many supporting companies and organizations do their part to bolster the OWAA Excellence in Craft Contests. This year, some of the contests remain unsponsored. Contest sponsors and winners will be recognized in OWAA's monthly newsletter, on the Web site, and during conference at the Awards Banquet on Sunday, June 13. Meal Sponsorship Each year, supporting groups use scheduled meal events as an opportunity to present information to the outdoor media. A great way to hold the attention of hundreds of media personnel is to sponsor a meal. Meal sponsorship opportunities may still be available. Contact Robin Giner at (406) 728-7434, [email protected], for a list of unsponsored meals for the 2010 conference. 8. Program Sponsorship In an effort to provide the most up-to-date, relevant topics and speakers, we are seeking sponsorship to help develop dynamic presentations with important and timely messages for our conference attendees. Through your generous support, we can provide the very best speakers to attract a larger audience to Rochester, and in turn, reach a broad audience through our member's media efforts. In return for your support we will prominently place your organization’s logo and any materials you would like distributed at your sponsored session. Please see the enclosed list of benefits, on Page 8, for the various levels of sponsorship. If you would like to sponsor a specific session, please contact Robin Giner at (406) 728-7434, [email protected]. 9. Mailing Lists If you wish to contact members of the outdoor media who are pre-registered for the OWAA conference – for extending invitations, passing along pre-conference information, etc. – mailing lists will be available after June 2, 2010 at the cost of $60. Check the box on your registration form or contact Robin Giner at (406) 728-7434, [email protected].

IMPORTANT SHIPPING INFORMATION: PLEASE NOTE! Shipping labels are extremely important! Be sure your company and name appears on all shipping labels. Shipping labels must appear on all sides of each parcel. Proper labeling is essential to ensure that your shipment gets to where you need it! Also, bring all package tracking numbers with you to conference in the event your package doesn’t show up. Ship after June 1 to arrive no later than June 8. If you prefer, instead of return-shipping your display products, you are invited to donate them for an OWAA fund-raiser auction and raffle. Proceeds will benefit OWAA outreach and member education programs. To make a donation, use the enclosed auction donor form or contact Robin Giner at (406) 728-7434; [email protected]. All unclaimed materials will be discarded or recycled on Monday, June 14.

Additional information for over-sized shipments of your display materials will accompany your conference registration confirmation packet.

TIPS FOR SUCCESS

Please complete and return all appropriate forms. This is OWAA's only record of your intended conference activities.

Due to the high volume of materials shipped for conference use, parcel labeling is extremely important to ensure

that your materials arrive where they need to be. Label each side of each parcel, and bring package tracking information with you to the conference.

To avoid excessive charges and problems with return shipping of your conference display materials, bring a

supply of pre-addressed and pre-authorized (with your company's account number) return labels from the shipper of your choice. Better yet, avoid all return shipment problems by donating valuable materials to the OWAA fund-raising auction. See the donor form on Page 9.

Supporting groups may, at their discretion, offer gifts to individual members (yellow badges) and spouses or

guests (blue badges). However, an OWAA board of directors' policy prohibits solicitation of gifts by spouses and guests. Please help enforce this policy.

An OWAA board of directors' policy prohibits supporting groups from initiating outside-the-program

activities that conflict with the official conference agenda. Generally, the conference program consumes June 10-13, from 7:30 a.m. to 9:30 p.m.

New supporting groups may wish to attend their first conference as an observer. Becoming familiar with OWAA

activities and traditions should facilitate higher productivity the following year. Supporting groups are encouraged to attend conference meals, workshops, hospitalities, etc. Spouses are welcome to register and participate as well. Registration fees for Opening Day displays, Breakout Day and Shooting Day programs, and personnel

registration are fully refundable if cancellation is received prior to May 24. After May 24, a refund less $20 per event will be made. No-shows will not receive refunds.

You can identify OWAA conference attendees by badge color. Yellow – individual members; Blue – spouses

and guests; Orange – supporting groups.

OWAA is pleased to offer advertising opportunities to all Supporting Groups, Agencies and Businesses. Reach hundreds of OWAA media members by featuring your products, programs, promotions and messages in the 2010 Annual Conference

program. This is a great, low-cost way to let the nation’s best-known outdoor communicators know about your company or agency.

Will be situated near the OWAA Conference Registration Desk in the Sovereign Lounge. Space is limited and assigned on a first-come, first served basis.
