Certificate of Insurance ‐ Note that each exhibitor must submit a certificate of insurance coverage for their booth/table, no exceptions.
Freight – Be aware of shipping deadlines to avoid late or unnecessary charges. Use preprinted labels to ensure proper delivery of your items.
Exhibitor Registration – Register your exhibit staff easily using the online link (tradeshow access only). It’s quick and easy and will save you time on‐site. Use the online link provided on the exhibitor manual page.

Advertise and Promote – Use online marketing, newsletters, direct mail, e‐cards, press releases, telemarketing, industry publications and more to get the word out about your participation in the show. Visit the website to get logos and ideas to promote your company at the show.
During the Show…
Interact with Attendees – Make an effort to greet all attendees with a polite and outgoing attitude. Be proactive! Don’t sit, read, eat or talk on the telephone in your booth – you might miss out on potential prospects.
Lead Retrieval – Keep track of the attendees who visit your booth so you can contact them later. Lead management will be one of the most important components of a successful show. There is an order form that you can download to rent a lead retrieval system that can help you with collecting this information.

Provide Incentives – Give attendees a reason to visit your booth! Promote a new product by handing out giveaways, hosting a special party, or offer drinks and snacks. Be creative in your promotions and draw quality visitors to your booth.
After the Show…
Follow Up with your Leads – Contact the attendees who visited your booth. Send them more information about your products and maintain the relationship you developed at the show. Often times the key to your success at a trade show depends on how you follow up with your leads.
Evaluate your Participation – Determine what types of promotion worked for increasing booth traffic, etc. Analyze the overall success of the show – learn from your mistakes as well as your success!
Post‐Show Meeting – Arrange a meeting after the show with your sales, marketing and operations team. Discuss your follow up plan, what worked, and what you can improve on to increase your recognition and sales.

What your Exhibit Booth includes: Approximately 5ft by 8ft Space, an 8ft table and two chairs. Move‐In & Move Out ***MANDATORY SAFETY SHOES*** To provide a safe working environment for everyone on the show floor, during move‐in and move‐out all individuals must wear proper footwear. Absolutely no sandals, heels, flip‐flops, or ballet flats. There are NO EXCEPTIONS to this policy. Insurance – Insurance is due May 16, 2014 Each exhibitor is responsible to carry mandatory insurance for the duration of the show. Most exhibitors are able to coordinate insurance through your carrier. Otherwise insurance can be ordered online through Brokers Trust Insurance Group http://goo.gl/g2KHy5 or through PAL Insurance (see online form). You will not be permitted on the show floor without insurance. Onsite Shipments The only date the Commonwealth Centre will accept shipments is Monday May 26, 2014 from 1pm‐6pm. You may bring in your own display materials, however you may not ship to the venue in advance as your shipment will be declined. All materials will be subject to Materials Handling charges, based on the total weight of your shipment (see Materials Handing Order Form for details) unless you are onsite when it arrives to sign and receive your shipment. Return Shipments Return shipment pick‐ups should be arranged for May 27, 2014 from 4pm ‐6pm, directly from the Commonwealth Centre. Any shipments left at the venue after 6pm will be subject to material handling fees and taken to the GES warehouse and stored there until return shipping is arranged. Our insurance policy does not extend coverage to any exhibits and requires you to submit a Certificate of Insurance upon receipt of the exhibitor’s manual. It is the shipper’s responsibility to state the national motor freightclassi� cation commodity description, otherwise shipment shall be described as exhibition materials.1) GES shall not be responsible for damage to uncrated materials, materials improperly packed, or concealed damage. 2) GES shall not be responsible for loss, theft, or disappearance ofexhibitors material after same has been delivered to exhibitor’s booth. 3) GES shall not be responsible for loss, theft, or disappearance of materials before they are picked up from exhibitor’s booth forreloading after the show. Bill of Lading covering outgoing shipments, which are furnished by GES CANADA to exhibitors, will be checked at time of actual pick-up from booth and corrections made where discrepencies occur.4) GES shall not be responsible for any loss, damage, or delay due to � re, acts of God, strikes, lockouts or work stoppages of any kind, or to any causes beyond its control. 5) GES’s liability shall belimited to the physical loss or damage to the speci� c article which is lost or damaged, and in any event GES’s maximum liability shall be limited to $0.30 per pound per article with a maximum liability of $50.00per item, or $1,000.00 per shipment, whichever is less. 6) GES shall not be liable to any extent whatsoever for any actual, potential, or assumed losses of pro� ts or revenues, or for any collateral costs, whichmay result from any loss or damage to an exhibitor’s materials which may make it impossible or impractical to exhibit same. 7) The consignment or delivery of a shipment to GES by an exhibitor, or by anyshipper to or on behalf of the exhibitor, shall be construed as an acceptance by such exhibitor (and/or other shipper) of the terms and conditions set forth. Exhibitor is responsible to declare all hazardous materials andabide by all federal, state and local laws.

The consignment or delivery of a shipment to GES or its subcontractors by an Exhibitor or by any shipper on behalf of the Exhibitor shall be construed as an acceptance by such Exhibitor (and/or other shipper) of the terms and conditions set forth in Sections 1 through 13 above.
Be sure your materials are insured from the time they leave your � rm until they are returned after the show. It is suggestedthat Exhibitors arrange all risk coverage. This can usually be done by riders to existing policies. Contact your insurancerepresentative. Be sure your liability insurance is in effect during transit and return of your materials, during storage and atshow site.
1. GES Exposition Services and its subcontractorsshall not be responsible for damage to uncrated materials;materials improperly packed, glass breakage or concealeddamage.2. Relative to inbound shipments, there may be a lapse oftime between the delivery of shipment(s) to the booth by GESor its subcontractors and the arrival of theExhibitor’s representative at the booth. Similarly, relative tooutgoing shipment(s), it is possible that there will be a lapseof time between the completion of packing and the actualpick-up of materials from the booth for loading onto a carrier.It is understood that during such times the shipment(s) will beleft in the booth unattended. Therefore, it is agreed that GES and itssubcontractors are not responsible for the loss ordisappearance of Exhibitor’s materials after the same havebeen delivered to Exhibitor’s booth, nor are GES and its subcontractors responsible for Exhibitor’s materialsbefore they are picked up from the Exhibitor’s booth forloading after the show. Consequently, all bills of ladingcovering outgoing shipment(s) submitted to GES orits subcontractors by Exhibitor will be checked at the time of pick-up from the booth and corrected where discrepanciesexist.3. GES and its subcontractors shall not be heldliable for any damage incurred during the handling ofequipment requiring special devices to properly load, place orreload unless advance notice has been given to GESin time to obtain the proper equipment.4. GES and its subcontractors shall not beresponsible for loss, delay or damage due to strikes, lockoutsor work stoppages of any kind.5. GES and its subcontractors shall not beresponsible for ordinary wear and tear in handling ofequipment, nor for loss or damage due to � re, theftwindstorm, water, vandalism, acts of God, mysteriousdisappearance or other causes beyond their control.6. It is understood that GES and its subcontractorsare not insurers. Insurance, if any, shall be obtained by theExhibitor. Amounts payable to GES hereunder arebased on the scope of the liability as herein set forth and areunrelated to the value of the Exhibitor’s property. It is furtherunderstood and agreed that GES and its subcontractors do not provide for full liability should loss ordamage occur. It is agreed that if GES or itssubcontractors should be found liable for loss or damage toExhibitor’s equipment, the liability shall be limited to thespeci� c article that was physically lost or damaged. Suchliability shall be limited to a sum equal to $0.30 per pound perarticle, with a maximum liability of $50.00 per item or$1,000.00 per shipment, whichever is less, as agreed upondamages and exclusive remedy. Provisions of this paragraphshall apply if loss or damage, regardless of cause or origin,results directly or indirectly to property through performanceor nonperformance of obligations imposed by the offering of
services to Exhibitor’s or from negligence, active or otherwise,by GES, its subcontractors or their employees.7. GES, and its subcontractors shall not be liable toany extent whatsoever for any actual, potential or assumedloss of pro� ts or revenues or for any collateral costs that mayresult from any loss or damage to Exhibitor’s materials whichmay make it impossible or impracticle to exhibit same.8. Claims for loss or damage must be submitted to GESby the close of the show. No suit or action shall bebrought against GES or its subcontractors morethan one year after the cause of action.9. The Exhibitor agrees, in connection with the receipt,handling, temporary storage and reloading of its materials,that GES and its subcontractors will provide theseservices as Exhibitor’s agent and not as bailee or shipper. Ifany employee of GES or its subcontractors shallsign a delivery receipt, bill of lading or other document, weagree that GES or its subcontractor will do so asthe Exhibitor’s agent, and the Exhibitor accepts theresponsibility thereof.10. GES and its subcontractors shall not be liablefor shipments received without receipts, freight bills orspeci� ed unit counts on receipts or freight bills, such as acourier or van lines. Such shipments will be delivered tobooth without guarantee of piece count or condition.11. Empty container labels will be available at the GESService Centre. Af� xing the labels is the soleresponsibility of the Exhibitor or its representative. It isunderstood that these labels are used for EMPTY STORAGEONLY, and GES and its subcontractors assume noresponsibility for loss or damage to contents while containersare in storage or for mislabeled containers.12. In order to expedite removal of materials from the showsite, GES shall have the authority to changedesignated carriers, if such carriers do not pick up on time.Where no dispostion is made by the Exhibitor, materials willbe taken to a warehouse to await Exhibitor’s shippinginstructions, and the Exhibitor agrees to be responsible forpayment of charges relating to such handling at thewarehouse. GES assumes no liability as a result ofsuch re-routing or handling.13. The Exhibitor agrees, in the event of a dispute with GESor its subcontractors relative to any loss or damageto any of your materials or equipment, that the Exhibitor willnot withhold payment in any amount due to GES formaterial handling services or any other services provided byGES or its subcontractors as an offset against theamount of the alleged loss or damage. Instead, the Exhibitoragrees to pay GES prior to the close of the show forall such charges and further agrees that any claim theExhibitor may have against GES or itssubcontractors shall be pursued independently by theExhibitor as a completely separate transaction to be resolvedon its own merits.
