Human Capital Dashboard

•Successful managers proactively set the stage for high performance through clear expectations and ongoing communication. They also take actions to minimize poor performance, such as:

–Ensuring all associates have completed required training, and are properly developed for their role through onboarding and coaching;

–Engaging in ongoing communication with each associate to provide feedback and address concerns; and

–Maintaining an open door policy such that associates are comfortable bringing issues and questions to management’s attention.

•To build and maintain a high-performance culture, managers must also be prepared to take appropriate action if associates’ performance fails to meet expectations. The Company provides communication, discipline and performance management tools to managers, including the following:

–Personnel Information Record (PIR) (for hourly and salaried associates)

–Policy Violation Document (PVD) (for hourly and salaried associates)

–Hourly Performance Improvement Plan (PIP) (for hourly and salaried associates)

•There are specific processes and structure to follow for each tool in the Human Capital Dashboard. Consult the appropriate Manager’s Guide and/or reach out to your Manager or HR representative for any questions or assistance.

Human Capital Dashboard

Sears Store Management and Corporate users can access the Human

Capital Dashboard in the Performance Management Platform (PMP) by

selecting the Human Capital tab

Kmart Store Management can access the Human Capital Dashboard by

Human Capital under “I want to go to”

Human Capital Dashboard

Once logged in you will be able to view the dashboard.

My Dashboard: Will list all CDP, PIP, PIR, PVD that applies to the user

Associates: Will list associates’ CDP, PIP, PIR, and PVD, with a link to their dashboard.

Pending Actions: Will list all actions that are pending and awaiting acknowledgement

• On the left hand side of the page is listed all the dashboard functions including PIP, PVD, PIR, CDP, and Reports Within each function there

are sub functions that will direct the user to the appropriate page.

• On the top right hand side of the dashboard page the user can search the Human Capital Dashboard

Policy Violation Document (PVD)

Policy Violation Document (PVD) Policy Violations

A PVD should be used when management needs to take immediate action to address acts of misconduct, integrity issues, and/or violations of

Company policy that do not warrant immediate termination. Depending on the seriousness of the violation, a warning, or a final warning may be

appropriate. The Company reserves the right to deviate from the PVD process at any time without notice in its sole discretion.

When to Take Action

The manager should promptly address all acts of misconduct, integrity issues, and violations of Company policy. Refer to the Human Resources Policy

Manual, business specific policies, and/or Associate Handbook for examples.

The Manager’s Accountabilities

1. Ensure PVDs are administered in a consistent manner (treat similar circumstances similarly);

2. As applicable, conduct a thorough investigation, gather relevant facts, and leverage the assistance of Asset & Profit Protection, Human Resources,

and/or the ASO, and provide the associate the opportunity to present his/her explanation of the events prior to determining if a PVD is appropriate;

3. Contact your Human Resources (HR) representative and/or the ASO for guidance on next steps, including whether the associate should remain at

work during the investigation or be suspended.

Potential Actions

Once the facts have been gathered and assessed, a decision can be made on the appropriate course of disciplinary action. All decisions and actions

must be properly documented – contact your HR representative and/or the ASO for guidance. The seriousness of the incident will dictate the

appropriate action to be taken. The available options include:

1. Warning. May be issued for a policy violation of a relatively minor nature. A warning may be issued multiple times before a Final Warning is

delivered, depending on the issue and the seriousness of the violation;

2. Final Warning. May be issued for a policy violation of a more serious nature or when a Warning was previously issued to the associate for similar

or comparable conduct. Subsequent violations may be grounds for immediate termination.

Duration of PVDs

When determining the appropriate level of disciplinary action (warning or final warning) management may consider any previous PVDs issued to the

associate.

Policy Violation Document (PVD) Within the PVD menu there are 2 selection:

Start PVD: Allows the user to start a PVD on an individual

associate

Jobaid: Provides information on how to create a PVD

Once the ‘Start PVD’ is selected, find the associate and click START PVD. This page will display information on

the associate, their manager as well as their HRG. Other information on this page includes the associates

service date, job code, job start date, time since job date, associate id, employee id, department, email, and

LDAP id.

For Retail, there will be several templates available to the manager, depending on the format. Choose the

appropriate template and all relevant information will then be displayed, including fields that need to be

populated.

Once all the fields are populated by the manager, on the template, there are buttons available at

the bottom of the page:

1. Cancel: This will cancel the PVD and bring the manager back to the MY Dashboard page

2. Save as Draft: This will save all work done on the PVD. To continue working on the PVD

the manager would go to their Pending Actions tab.

3. Save and Send for Approval:

For ASMs: When an ASM is doing the PVD, it will be sent to the SM for their approval. The

SM will find the PVD in the PENDING ACTIONS tab and under sub menu POLICY

VIOLATIONS.

For SM / ML / CORP: All other managers can self approve the PVD.

Approve PVD created by ASM

If an ASM created the PVD it is sent to the SM for approval. The SM will go to the PENDING ACTIONS

tab and under sub menu POLICY VIOLATIONS.

Once the PVD is found, there will be 3 selections for the manager at the bottom of the page:

Approve: This will send the PVD back to the ASM to release to associate. A box will pop up for

comments.

Deny: This will send it back to the ASM to make revisions before sending for approval again. A box will

pop up for comments.

Cancel: This will exit the SM out of the approval screen

Release to Associate

Once the PVD is approved, the manager can open up the PVD and select the RELEASE TO ASSOCIATE button.

The associate can enter their password to acknowledge the PVD. If the associate is unwilling or unable to sign off on the

PVD the manager can select the Remote/Force submit button.

Remote / Force Submit

The manager would select the appropriate reason for the force submit at the top of the box. They would then enter the

notes and enter their password. A witness is required for a force submittal. The witness name can be searched in the box

provided.

Deleting PVD

A PVD can be deleted if it is start but not sent for approval. The manager can delete the PVD by going to the

PENDING ACTIONS tab and under the submenu Policy Violation. The DELETE button is located to the right

of the PVD.
