I hope you will find this booklet informative and useful. Please make sure
you read it carefully and also show it to your parents so that you and your
parents are aware of the exam procedures and regulations set out by the
exam boards and the school.
The exam boards have agreed regulations and procedures to which all exam
centres must adhere to in regard to the conduct of examinations. These are
issued by the Joint Council for Qualifications (JCQ). At Holmfirth High School
we follow these regulations in all exams set in school. You should pay
particular attention to the ‘Mobile Phone’ and ‘Notice to Candidates’
posters which are displayed inside and outside the exam room .
The following pages have relevant information which may answer all your
questions but if you are still unsure, please ask.
If your parents have any queries during the examinations period then please
contact the school and ask to speak with the Exams Officer.
IT IS YOUR RESPONSIBILITY TO:
• Check your statement of entry/timetable
• Check the exam notice board near the ‘Z’ rooms. This is updated regularly for dates and times of exams. Also check on your student dashboard on Frog
• Inform the Exams Officer about any issues that arise including timetable clashes
• Arrive on time at the correct room with the correct equipment
• Make sure you are sitting at the correct desk – your name details will be on your desk for external exams (May-June 2019)
• Make sure you have the correct exam paper, informing the Invigilator in the exam room of any discrepancies
• Observe all notices to candidates that are issued by the exam boards
• Always ask if you have any queries

Before the Examinations Examinations Boards
The main Exam Boards that Holmfirth High School use are:

Examinations Candidate Number
Each candidate has a four digit candidate number to be found on the name/
photograph card on your desk. This number has to be entered on all of your
exam papers. All exam records are in exam candidate number order. The
Centre Number must also be entered onto the exam paper. It is always
displayed on the board at the front of the exam room.
Our Centre Number is: 37469 Access Arrangements
Access arrangements are for candidates who will benefit from extra time, a
reader, rest breaks, a scribe or a word-processor. This may be because of
specific learning difficulties or medical issues and they will have been
approved by the Specialist Teacher.
• Applications for access arrangements are made in Year 9 or Year 10.
The candidates involved are aware, and are used to this way of
working. YOU CANNOT EXPECT ACCESS ARRANGEMENTS JUST TO BE
GRANTED BECAUSE YOU WISH TO APPLY FOR EXTRA TIME ETC. THEY
ARE CONCRETE ARRANGEMENTS WHICH REFLECT YOUR ‘NORMAL WAY
OF WORKING’.
• If you are entitled to extra time then you may be seated with other
candidates who have extra time, to minimise the disruption for other
candidates who finish earlier.
• If you are entitled to a reader then you may be seated in a different
room using a reader pen which you will be used to using. Reader pens
cannot be used for certain exams like Modern Foreign Language
reading papers.
• Access arrangements may also be granted to candidates in an
emergency situation- for example, a broken arm. Please contact school
as soon as possible if a situation like this arises.

Entries
When your ‘statement of entry’ is issued it shows all the subject exams for
which you have been entered . This is your copy for you to keep. Make sure
your name is correct — this will be your legal forename and surname
and it will appear on all of your certificates.
‘Individual exam timetables’ are issued later and these will tell you in more
detail about the date, time, and duration of each exam. If you fail to attend
an exam without a valid reason then you may be charged for that missed
exam.
Equipment needed
You MUST make sure you have all your own equipment needed for the
exams.
• Most exam papers require you to answer in BLACK pen - you must
make sure that you have a supply of pens, pencils etc.
• Equipment must be in a clear pencil case or plastic bag.
• Calculators must not be in cases or have instruction leaflets attached.
• Programmable calculators or phone calculators are not allowed.
• Water, brought in a plastic bottle with a non-spill top will be allowed
into all exam rooms, - ALL LABELS MUST BE REMOVED.
• No food is allowed in the exam rooms.
• Full school uniform must be worn for all exams.
• You will not be allowed to borrow items from another candidate.
• You will asked to remove your wrist watch and place it on the desk in
front of you throughout the whole exam. Here, Invigilators can check
that you do not have a smart watch.
YOU ARE NOT ALLOWED TO TAKE A MOBILE PHONE OR ANY
ELECTRONIC TECHNOLOGICAL/ WEB ENABLED
DEVICE INTO AN EXAM. IF YOU ARE FOUND TO BE IN
POSSESSION OF ANY UNAUTHORISED ITEMS THE
EXAM BOARD WILL BE INFORMED AND YOU MAY BE
DISQUALIFIED
The following items are NOT allowed in the exam room:
*Mobile phones *Calculator cases *Gel pens *Revision
notes *Correcting pen, fluid or tape *Bags *Coats *Dictionaries (unless
permission given) *Electronic Technological/web enabled devices –
IPods, iWatches /MP3/4 Player, pagers, products with or with the potential to
have electronic communication/storage device or a digital facility.

Exam attendance • If you are ill or have an accident you must inform the Exams Officer as
soon as possible so that advice can be issued. You will be strongly
encouraged to come into school.
• If you miss an exam you will not be able to take it at a different time
as the timetables are set by the exam boards. Arrangements can be
made for you to sit the exam, and then the exam board can be made
aware of the circumstances and a special consideration form can be
submitted. For example if you are unable to write then a scribe can be
arranged with the exam board’s approval but medical evidence from your
Doctor or the hospital will be needed.
• Special Consideration is an adjustment made by
the exam board to the marks or grades of the
candidate. You may be eligible for this through
circumstances such as illness, an accident, or
other circumstances, such as bereavement or
domestic crisis, which are beyond your control.
Any applications must be made through the
Exams Officer and supported by the appropriate
evidence.
• You must make sure you go to the toilet before
the exam. You will only be allowed to go if absolutely necessary and you
will be escorted by an Invigilator.
Entering the exam room
• You must enter the exam room in silence and remain in
silence until you have left the room on completion of the
exam. You will not be allowed to leave until the scheduled
time for the end of the exam. This could be after the end of
the school day, and you will have to make your own
arrangements for getting home.
• Make sure you have removed any unauthorised material from your
pockets.

During the Exam
• You must not communicate with any candidate or ask for help from
another candidate.
• You must listen to the instructions given, there may be amendments to the
paper.
• You must check that you have the right question paper and all the
materials listed on the front of the paper.
• You must read all the instructions printed on the front of the paper.
• Remember to check all the pages.
• Any rough work must be done on exam stationery, and then it should be
crossed through and attached to your answer book.
Do not doodle or write notes to the examiner
as these are considered instances of malpractice.
The exam board may refuse to accept your paper.
• Please do not write on the exam desks. Bills will be sent out to your
parents if you are caught defacing an exam desk.
• If you have any queries during the exam you should put up your hand to
attract the Invigilator’s attention, but do not call out.
• If you arrive late for an exam you should report to reception, as we may
have been trying to contact you. You will then be escorted to the exam
room and you will report to the Invigilator. You will be allowed the full
amount of time to take the exam. The exam board will be contacted to find
out if your paper will be accepted. You will need to speak to Miss Jones
after the exam.
• If the fire alarm sounds during the exam, one of the Invigilators will give
you instructions to follow. You may be asked to leave the room and go to
the assembly point.
• If you have to evacuate everything must be left on the desk and you
must not communicate with anyone. You remain under exam
conditions at all times. When you return to the exam room you will
be given the full amount of time left, and the exam board will be
informed.

After the Exam • At the end of the exam all work must be handed in. If you have
used more than one answer booklet or loose sheets of paper,
fasten them together in the correct order with the treasury tag
provided.
• Make sure your name and candidate number are on each answer
booklet/sheet.
• Number your answers clearly and correctly and list the question
numbers that you have attempted on the front of the answer
book if required.
• If you have finished the paper use the remaining time to
check your answers.
• Invigilators will collect your exam papers before you leave the
room. Absolute silence must be maintained during this time.
Remember you are still under exam conditions.
• Question papers, answer booklets and additional paper - used or
unused - must NOT be taken from the exam room.
• Be courteous around the school building as other students who have
extra time may still be doing their exam when you have been
dismissed form the main venue. Remain quiet.

Certificates
• The certificates for the final Summer exams and any other certificates
such as ECDL that you may have been awarded throughout year 11 are
given to students at our Presentation evening.
• IT IS VERY IMPORTANT that you collect your certificates as they
are valuable documents. They will be kept in school for 12 months
from the issue date. After this time the school, as directed by the
exam boards are allowed to either send the certificates back to the
exam board or destroy them.
• If you cannot come to the Presentation Evening you may collect your
certificates from school. You must come into reception and collect them no
later than November 2020. If someone collects them on your behalf, you
must give written permission for them to do so, and they need to bring
photographic ID with them.
• If your exam certificate shows an incorrect grade after a review of marking
resulted in your grade being uplifted, please return the original certificate
concerned to the reception for the attention of the Exams Officer within 2
weeks, and an application to the exam board for a new certificate will be
made.
Certificates are important documents and must be kept safe.
Please be aware that replacement certificates are available
from the exam board at a later date, however , you may be charged
up to £40 or more for each certificate they supply.
Presentation Evening
The date for the
2019 Presentation Evening is Thursday 28th of November.

Exam Terms Glossary
Awarding Body The Examination Board e.g. AQA, Pearson, OCR, WJEC Controlled Assessments A form of internal assessments replacing coursework in some GCSE specifications. They take place at any time during the course, usually in the classroom. Non Examined Assessment Non-examination assessments measure subject-specific knowledge and
skills that cannot be tested by timed written papers.
Coursework Coursework is work produced by students that contributes towards their overall grade, but which is assessed separately from the final exam. It can take the form of experimental work, may involve research, or may comprise of reports or essays.. Portfolio Work A portfolio is a collection of the best examples of your work. Specification This is the content for a qualification, sometimes referred to as the syllabus. Terminal Exam This is the final exam taken at the end of a period of study GCSE General Certificate of Secondary Education JCQ Joint Council for Qualifications– represents the seven largest providers of qualifications, including AQA, Edexcel, OCR and WJEC.

Frequently Asked Questions What equipment should I bring for my exams?
• You should bring 2 black ball point pens to all exams
• Pencils, rubber and a pencil sharpener
• For some exams you may need a calculator. There are strict rules
regarding calculators. You must check with your Maths teacher
BEFORE the exam to see if your calculator is acceptable. In all
instances it must have nothing stored in its memory, and have the lid/
case removed.
• Some exams may also require coloured pencil crayons, protractor,
compass and a 30cm clear plastic ruler.
Note :
If you forget to bring an item that you require for your exam, please ask one
of the Invigilators before the exam starts and they will try to provide
anything that is required. However, stock is limited and you are
advised to check your stationery prior to the exam period.
What do I do if there is a clash on my timetable?
The school will re-schedule papers internally (on the same day) where there
is a clash of subjects. Candidates will normally sit one paper, then have a
short break during which time they will be supervised and must not have
any communication with other candidates. They will then sit the second
paper. The Exams Officer will speak to you regarding any such
arrangements.
How do I know how long the exam is?
The length of the exam is shown in minutes on your individual timetable.
Invigilators will tell you when to start and finish the exam. They will write the
start and finish time on the board at the front of the exam room. There will
be an analogue clock in the exam room; please make sure you are
familiar with reading the time using this method.

If I miss the examination can I take it another day/time?
No. Timetables are regulated nationally by the exam boards and you must
attend on the given date and time.
If I am late can I still sit the examination?
• It may be possible for you to sit the exam. You should get to school as
quickly as possible and report to the Exams Officer. You will be
escorted to an exam room to complete the exam.
• You should be aware that if you start the exam more than 30 minutes
after the published start time, the school must inform the exam board
and it is possible that they may not accept your work.
• Please ensure that you allow enough time to get to school and inform
the school as soon as possible if you are running late or delayed.
Do I have to wear school uniform?
Yes - you will not be allowed into the exam room unless you are in full
uniform.
Why do I have to use a black ball pen?
Many exam papers are now marked online or scanned. Anything other than
a black ballpoint pen does not scan well and could result in your work being
incorrectly marked.
What items are not allowed into the examination room?
• Only items listed on the front of the exam question paper are allowed
into the room. Any students who are found to have any other items on
their person will be reported to the Exam Board - this can lead to
disqualification.
• Bags, coats, and exam timetables are not allowed in the room.

Why can’t I keep my mobile phone in the exam room?
Being in possession of a mobile phone (or any other device as listed on the
JCQ mobile phone poster) is regarded as cheating or malpractice. This is
subject to severe penalties from the Exam Boards. We do not want years of
hard work ruined by a careless mistake. We will remind you at various
stages to hand in any devices before the exam starts. Better still, leave any
such items at home.
What do I do if I think I have the wrong paper/ tier?
Invigilators will ask you to check your paper and tier before the exam is
formally started. If you think that there is something wrong put your hand up
to inform the Invigilator immediately.
Can I leave the exam early if I have finished?
No, as this can be disruptive to other students. Use any remaining time to
check your answers carefully. Do not distract or disturb students who are
working.
What if I feel ill during the exam?
Put your hand up and an Invigilator will assist you. You should inform the
Invigilator if you feel ill before, or during an exam and if you feel that this
may have affected your performance.
What do I do if I am ill on the day of the exam or have had an accident
before the exam?
• Inform school at the earliest possible point so that we can help or
advise you. In the case of an injury that means you are unable to
write it may be possible to provide you with a scribe who will write
your answers for you.
• You will need to obtain medical evidence from your Doctor or the
hospital so that the school can apply for Special Consideration if
appropriate.

Can I go to the toilet during an exam?
• This should not be necessary as you will be given the opportunity
before you are called to the examination room. Leaving the room
disturbs other candidates who are working and should be avoided if
at all possible.
• If you have a medical condition, or other circumstances that means
you may need the toilet please speak to the Exams Officer before the
examination begins as it may be possible to seat you nearer the door
• In any event should you require the toilet you will be accompanied by
an Invigilator.
What do I do if the Fire Alarm goes off ?
• The Invigilator will suspend/pause the exam for a few minutes whilst
the cause for the alarm is checked.
• The exam Invigilators will advise of any action required. If you have to
evacuate the room you will be asked to leave everything on your desk
and will be escorted from the room
• You will remain under exam conditions at all times.
Summer 2019 exam timetable
Overleaf are the dates and times for all the possible subjects that you could
be entered for. Please check YOUR individual ‘candidate statement of
entry’ form to see which subjects you shall be doing as they could be
different from your peers.
Most subjects shall now be graded (9-1) in Summer 2019, with the exception
of the following subjects which continue to be graded A* - G: CiDA.
All other (9—1) subjects shall only show ONE unique entry code on your
statement even though there may be more than one exam associated
with that subject. This is correct, but make sure you check the table of
dates overleaf to see where all of your exams will be scheduled.

GCSE Summer 2019 (May – June) Examination Dates
MONDAY 13TH MAY – WEDNESDAY 26TH JUNE* * DEPENDING ON THE SUBJECTS YOU ARE STUDYING
TIMETABLE CLASHES AND INDIVIDUAL TIMETABLES
• If pupils are taking two or more exams in a session (Morning OR
Afternoon) the Exams Officer will decide in which order to hold them.
A short, supervised break may be given between two papers in the
same session
• If pupils are taking two or more papers timetabled in a session and the
total time is more than three hours, the Exams Officer may schedule
an exam in an earlier, or later session within the same day
• In all circumstances pupils must be kept under centre supervision
between papers and must not be in possession of electronic
communication/storage devices or have access to the internet
• Notification of any exam clash arrangements will be posted home to
Parents by Tuesday 30th April 2019
• Individual timetables which will determine your exam location and seat
number will be handed out at the end of April/beginning of May

RESULTS
GCSE Results Day is:
Thursday 22nd August 2019
• Year 11 can collect their results between 10:00am-12:30pm
• Year 10 can collect their results between 10:00am-12:30pm
• Results can only be collected by persons other than the pupil if a signed letter of written authorisation from the pupil is given to the Exams Officer. The nominated person will be required to show photographic ID when collecting the results
• Any results that aren’t collected by 12:30pm will be posted second class
• Results will only be disclosed over the telephone or by email under special circumstance
• If you wish to query your result, it is essential that you speak to your subject teacher in the first instance as there are strict deadlines given by the JCQ regulators. If you need to have your paper remarked, there is a permission form to be signed by yourself. Your parents would need to pay the individual component fees upfront before a ‘review of results’ can be submitted.
• With any ‘Review of Results’ you should note that your mark
could go up, stay the same or go down. Whatever the outcome, the new mark will stand.
• Check the homepage of school website to request a remark. You will also be advised on the cost of this depending on which exam board your subject remark is related to.
