Getting StartedRequirements: In order to use Intralinks VIA for the Web, you must have one of the following browsers:Supported devices

The following versions of iPad are supported: • iPad 2, iPad 3, iPad 4, iPad Mini

Supported operating systems • iOS 6.0 or later is required.Work stream and fi le limitsEach work stream can include up to 6GB of fi les. Individual fi les should be less than 2GB in size

Intralinks VIA for iPad makes it easy for you to view and update your work streams and keep track of important personal fi les. Read this guide to get acquainted with the key tasks that you can perform with VIA for iPad.

Important! Intralinks gives VIA administrators the fl exibility to determine how the users in their organizations can use VIA. Depending upon the policies set by your organization’s VIA administrators, some of the functions described in this guide may not be available to you.

Welcome to Intralinks VIA for iPad

Installing the Intralinks VIA app1. Using your iPad, launch the App Store.

2. Search for Intralinks VIA. A listing for the Intralinks VIA app appears.

3. Tap the listing. A page describing the app appears.

4. Read the information provided, then tap the Free button. The Free button is replaced by an Install App button.

5. Tap the Install App button. Enter your Apple ID password when asked to do so. The installation process begins, and in a few moments an icon for Intralinks VIA appears on your device’s Home screen.

Starting Intralinks VIA for iPadThe fi rst time that you start VIA, your iPad must be connected to the Internet. Once you have set up a passcode (described in the next section), you can use the passcode to log in and view fi les that you have marked as favorites, even if your iPad is offl ine.

1. Tap the Intralinks VIA icon to start the app. The Login screen appears.

2. Enter your email address and password, then tap Log In. If your iPad is connected to the Internet, your VIA work streams appear. If your iPad is offl ine, your VIA Drive is displayed, and you can work with any fi les that you have marked as favorites.

If your organization uses Single Sign-On (SSO), tap the Single Sign-On tab, then enter your email address and tap Go. If you have not signed into your organization’s network, you will be redirected to your company’s sign-on page.

Once you have logged in, you can create a four-digit passcode to speed your login.

Using a Passcode to LoginWhen you log in the fi rst time, a message appears asking you to enter a four- digit passcode. In the future, you will use this passcode instead of your email address and password when you log in. Be sure to remember your passcode!

Note: Your passcode will be invalidated if you enter it

incorrectly more than three times. You will have to enter your email address and password again; you will have the opportunity to enter a new passcode after you log in. If your passcode is invalidated, fi les that you’ve marked as favorites for offl ine viewing will be erased from your iPad. This is a security precaution. The fi les still exist in VIA, and you can mark them as favorites again if you want to view them offl ine.

You can enter a new passcode at any time. For more details, see “Entering a new passcode” on page 7.

Viewing a tutorial video about VIAOnce you have logged in, you can view a short tutorial about VIA if you like. To view the video, tap Settings in the VIA Menu on the left side of the screen, then tap About. Then tap Watch the VIA Tutorial.

Viewing your VIA work streamsIf you are viewing VIA Drive fi les or VIA settings, tap the Work Streams menu item on the left side of the screen to display your work streams.

Intralinks VIA for iPad provides fi ve different views of your work streams. Tap the Menu tab on the left side of the screen to view the following options:

• Active — These are the work streams that you have created or have been invited to. You can update these work streams using Intralinks VIA for the Web.

• Flagged — These are work streams that you have marked, or fl agged, as needing your immediate attention. To learn how to fl ag work streams, see “Flagging important work streams” on page 5.

• Created by you — These are the active and completed (archived) work streams that you have created. This option appears only if you have a Intralinks VIA account that allows you to create work streams.

• Invited — These are work streams created by other people; you have been invited to take part in them. All of the work streams in this view are active. This option appears only if you have a Intralinks VIA account that allows you to create work streams.

• Archived — These are work streams that you created and archived. You can view their contents, but cannot make any changes to them. Invitees can no longer see them. This option appears only if you have a Intralinks VIA account that allows you to create work streams.

Within each of these views you may have restricted, confi dential or public work streams.

• Restricted work streams can be identifi ed by a key icon In VIA for iPad, you can view and comment on fi les in restricted work streams, and you can open them in other applications, such as iBooks and Evernote.

• Confi dential work streams can be identifi ed by a lock icon . In VIA for iPad, you can view and comment on fi les from confi dential work streams, but you cannot open them in other applications. Additional restrictions apply. See the next section, “Viewing protected fi les in confi dential work streams,” for more information.

• Public work streams can be identifi ed by a globe icon . In VIA for iPad, you can view fi les in public work streams, and you can open them in other applications. You cannot comment on fi les in public work streams.

Some of these work stream types will not be available to you if your VIA administrator has set a policy that does not include them.

Tap on the main area of the screen to hide the menu and view your selection.

To view a particular work stream, tap it.

You can view a variety of work stream details, including the name of the person who created the work stream, the initial invitation that was sent to invitees to the work stream, the names of all the people who are participating in the work stream, the fi les that have been added to it, and any comments that have been made about individual fi les. In addition, you can add comments about fi les in active restricted or confi dential work streams.

Viewing protected files in confidential work streamsDocuments in confi dential work streams are protected — that is, they cannot be printed, downloaded or opened in other iPad apps. Watermarks are displayed on protected fi les when they are viewed by work stream participants or screen shots are made of them. Watermarks do not appear when the work stream owner views the documents.

Viewing and adding comments to filesTo view comments about a fi le, tap the Comments button that appears to the right of the fi le name. (If no one has com-mented on the fi le yet, the button is named Add Comment.)

If you are viewing an active restricted or confi dential work stream, you can add a comment of your own. (Comments cannot be added to fi les in public work streams.) Simply tap the text fi eld at the bottom of the comments box and enter your message. When you have fi nished, tap Add Comment.

You can view unprotected fi les in another application, such as GoodReader, Evernote or iBooks. To do this, tap the Open In icon to display a list ofapplications that can be used to open the fi le. If you make changes to these fi les and you want to add the fi les to a work stream, you must use Intralinks VIA for the Web on a laptop or desktop computer to do so. You cannot use Safari on your iPad to make changes to work streams.

Apart from adding comments to active work streams, you cannot add or change work streams using VIA for iPad. You can use either VIA for the Web or VIA for Microsoft Outlook to create new work streams. You can modify existing work streams using VIA for the Web. To learn more about creating and managing work streams in VIA for the Web, please refer to the Intralinks VIA for the Web User Guide. Viewing the participants in a work streamWhile you are viewing the contents of a work stream, swipe to the left to display a list of people who are participating in the work stream. Tap a participant’s name to view additional options that allow you to add the participant to your Contacts

app and copy the participant’s email address so that it can be pasted in an email or another app.

Viewing NotificationsYou are notifi ed whenever you are invited to a work stream or another work stream participant makes a change to a work stream that you have created or already participate in. Tap the bell icon in the upper left corner of the screen to see your notifi cations. The newest notifi cations are at the top of the list. Tap a notifi cation to see the document, comment or other item that was added or updated.

Flagging important work streamsYou can mark, or fl ag, work streams that are most important or that require the most urgent action. These work streams will appear in the Flagged view of the Work Streams screen.

You can fl ag one or more work streams using the Work Streams screen, or you can fl ag individual work streams while you are viewing them.

On the Work Streams screen, a gray fl ag icon appears in the upper left corner of unfl agged work streams. If you are viewing an individual work stream, look for the gray fl ag icon in the upper right corner of the screen. Tap the icon to fl ag the work stream; the icon will turn red.

To unfl ag a work stream, tap the red fl ag icon. The icon will turn gray, and the work stream will no longer appear in the Flagged view on the Work Streams screen.

VIA DriveIf you have personal fi les that you refer to often, Intralinks VIA makes it easy to view those fi les, whether you’re using VIA for the Desktop, a Web browser or your iPad. The fi les are available wherever you use VIA, and any changes you make to them will be refl ected everywhere the fi les are available.

Viewing your files on VIA Drive Tap the Menu tab on the left side of the screen, then tap the VIA Drive link to display your VIA Drive. You can choose to view all the fi les on your VIA Drive, or only those that you’ve marked as favorites. Files that you have marked as favorites appear with a star in a yellow circle next to them.

If you have stored your fi les in folders, tap the folders to open them.

When you display your VIA Drive, all fi les and folders are displayed. To view only the fi les that you have marked as favorites, tap the Favorites tab on the left side of the screen.

You can view fi les in another application, such as GoodReader, Evernote or iBooks. To do this, display the document and then tap the Open In icon to display a list of applications that can be used to open the fi le.

Marking a file as a favoriteYou can mark fi les that you use frequently as favorites. These fi les will be available even when your iPad isn’t connected to the Internet.

To mark a fi le on your VIA Drive as a favorite, swipe from left to right on the fi le name. Several icons appear. Tap the star icon. The star will turn yellow, and a copy of the fi le will be saved in a secure location on your iPad. A yellow star also will

appear on the document icon.

If you no longer want a fi le to be a favorite, swipe on the fi le name and tap the star again. The fi le will be removed from your iPad, but will continue to be available when your iPad is connected to a network.

Viewing favorites when your iPad is offlineFiles that you have marked as favorites are available even when your iPad isn’t connected to the Internet. Mark fi les as favorites if you wish to view them offl ine. You can unmark them if you like the next time your iPad has access to the Internet.

Moving a single file or folder on your VIA DriveTo move a fi le or folder on your VIA Drive, swipe from left to right on the fi le name. Several icons appear. Tap the document icon.

The Pick a destination folder box appears; open the folder where you want to move the selected items, then tap Move to Folder.

Deleting a single file or folder on your VIA DriveTo remove a fi le or folder from your VIA Drive, swipe from left to right on the fi le name. Several icons appear. Tap the trash can icon.

Keep in mind that if you delete a fi le or folder from your VIA Drive, you will not be able to view it in VIA for the Web or VIA for the Desktop.

Making changes to multiple files on VIA DriveYou can use the Edit button in the upper right corner of the VIA Drive screen to move or delete fi les and folders and to add new folders to VIA Drive. If you delete a folder, all of its contents are deleted, as well.

You can view, but not add, fi les to VIA Drive on your iPad. To add, remove or update fi les to VIA Drive, please use VIA for the Web or VIA for the Desktop.

Adding a folder to VIA DriveIf you want to create a subfolder inside another folder, be sure to open that folder.

Tap the Edit button. Then tap the Create Folder button. Enter a name for the folder in the box that appears, and tap Create.

When you have fi nished making changes, tap Done.

Moving multiple files and folders on VIA DriveTo move fi les and folders, tap the Edit button. Tap the check mark icon to the left of each fi le and folder that you want to move to the same location. The icons will turn green. Next, tap the Move button at the bottom of the screen. The Pick a destination folder box appears; open the folder where you want to move the selected items, then tap Move to Folder.

Deleting multiple files and folders on VIA DriveTo delete fi les and folders, tap the Edit button. Tap the check mark icon to the left of each fi le and folder that you want to delete. The icons will turn green.

Then tap the Delete button at the bottom of the screen.

You also can delete fi les by tapping the trash can icon while viewing the fi les. Keep in mind that if you delete fi les and folders from your VIA Drive, you will not be able to view them in VIA for the Web or VIA for the Desktop.

When you have fi nished making changes, tap Done.

Managing VIA settingsYou can use the Settings screen to sign out of VIA for iPad, enter a new passcode, and provide feedback to Intralinks about your experience using VIA.

To display the Settings screen, tap Menu tab on the left side of the screen, then tap the Settings link

To sign out of VIA for iPad, tap the Sign Out button that appears to the right of your name. You may want to sign out, for example, if other people will be using your iPad. The next time you start VIA for iPad, you will have to enter your email address and password.

Signing OutIf another person has logged into VIA using your iPad, VIA Drive fi les that you marked as favorites have been removed to ensure their security. You can mark the fi les as favorites again if you wish to view them offl ine.

Entering a new passcodeYou can change the four-digit passcode that you use to log into VIA for iPad at any time.

On the Settings screen, tap Change Passcode. The Set Passcode screen appears; enter your new passcode.

Sending feedback and requesting support from IntralinksIf you want to give feedback about your experience using VIA or ask for assistance from the Intralinks support team, tap Send Email. An email message to the Intralinks support team opens. Enter your feedback or support request and tap Send. An Intralinks representative will contact you within 24 hours.

The message contains information that will be helpful in troubleshooting problems you may be experiencing, such as the version of the VIA app that you are using and the version of iOS that is installed on your iPad. We recommend that you do not erase this information.

Getting help with VIAIf you encounter problems while using VIA, please contact Intralinks Client Services for assistance — we’re here to help. You can send an email to Intralinks support using the Settings screen, as described in the previous section. If you prefer to talk to a support representative, you can view a full list of contact numbers on the Intralinks website. Intralinks offers support in more than 140 languages.
