Using the 4Word Reference Guide If you are reading this document, there is a good chance you have already received an invitation to use 4Word® from a merchant who is a Shift4 Payments customer. If so, this document is for you! If not, this document is still helpful and can assist you in determining if 4Word would help you process transactions with other businesses.

The 4Word Reference Guide provides information and instructions on the following topics:

• Registering and configuring your account • Connecting to a merchant who is a Shift4 Payments customer • How delegates can be created and used • How to exchange data in your 4Word account

Introduction to 4Word 4Word is a secure, controlled method for sharing cardholder data (CHD) with an authorized third party.

4Word does this by enabling a business to process a charge using shared information without directly exchanging CHD via email, telephone, etc.

For example, there is a hotel that is a Shift4 Payments customer. A guest at the hotel would like flowers delivered to their room, so the hotel concierge uses the property management system (PMS) to request four words or a TrueToken® (which references the guest’s real CHD) from Lighthouse Transaction Manager. The information will be displayed to the concierge on the PMS. Then, the concierge places an order with a florist and shares the four words or TrueToken as the form of payment. If the florist is a Shift4 Payments customer too, they can charge the guest in Lighthouse Transaction Manager using the four words or TrueToken – there is no need for the real CHD. If the florist isn’t a Shift4 Payments customer, they can use the 4Word web app to exchange the four words or TrueToken for the real CHD. Once they have the real CHD, they can use it to process a charge according to their own business practices.

The Example of Using 4Word section displays a diagram that outlines another popular use case. For more information, see https://www.shift4.com/hospitality.

Example of Using 4Word Another example might be a hotel brand with a Shift4 Payments account. Let’s say the hotel brand has a central reservation system for hotels that are located in multiple countries. If a full Shift4 Payments account is not available in some of the locations, the hotel can still process transactions using the 4Word web app. The hotel brand with the Shift4 Payments account can send 4Word invitations to locations where a Shift4 Payments account is unavailable, allowing them to process charges.

Clerk

Cardholder

3. Clerk receives the four words or TrueToken.

4. Clerk logs in to the 4Word web app, enters the four words or TrueToken, and completes the visual verification if multifactor is not enabled. Then, 4Word retrieves and displays the CHD.

Central Reservation

System(CRS)

1. Cardholder makes a reservation through a hotel brand’s Central Reservation System.

2. Clerk requests four words or TrueToken® to charge a cardholder, who is a no-show.

5. The clerk uses the detokenized CHD to process a transaction on a POS/PMS according to their business practice.

Exploring Your 4Word Account When you sign in to your 4Word account for the first time, a number of menu options are displayed. The options are discussed in detail below.

• Home – When you sign in to your account, the Home page is selected and displayed by default. The Home page is where you will see the merchant account(s) available to you. It is also where you will enter the four words or TrueToken to exchange that data for the real CHD.

o My Profile – Selecting this option directs you to the My Profile section. This is where you can edit your profile information, change your email address, change your password, and manage your account’s multifactor authentication settings.

o Connections – Selecting this option directs you to the Connections section. This is where you can view the merchant(s) you are currently connected to and add or delete any merchant(s) as needed.

o Delegates – If enabled for your account, selecting this option directs you to the Delegates section. This is where you can add, edit, or delete delegates for your account. See the Creating and Using Delegates section for more information.

Changing Your Password

Your password needs to be at least seven characters long and contain at least two of the following character groups:

• Uppercase letter (A-Z) • Lowercase letter (a-z) • Number (0-9) • Punctuation (any special characters not specified above, like !)

To change your password, complete the following steps:

Managing Multifactor Authentication

Multifactor authentication allows you to add and manage two-factor authentication, which requires separate methods of authentication from different sources to verify a user’s identity. Shift4 Payments encourages all users to step up to two-factor authentication, especially administrator-type users.

If you are required to use two-factor authentication by the merchant who sent the 4Word invitation to you, or you would like to simply step up and take advantage of the security benefits of two-factor authentication, this section will guide you through the process.

With two-factor authentication, a dynamic, six-digit passcode is required to access the 4Word web app (in addition to your sign in credentials). If you are using an iOS or watchOS device, the passcode is generated by the Shift4 Authenticator app downloaded and installed on your device. If you have an Android device, use the Google Authenticator app downloaded and installed on your smartphone or tablet.

Consequently, this is a more secure way to verify your identity as the passcode is dynamic and can only be obtained from the authenticator app on your device.

Important: If the merchant who sent you an invitation to use 4Word required multifactor authentication, you will not be able to exchange four words or a TrueToken for CHD for that merchant until you have set up multifactor authentication.

Creating and Using Delegates When sending a 4Word invitation from Lighthouse Transaction Manager, the Account Administrator has the ability to allow the invited user to create delegates. A delegate has the same abilities as the user who created the delegate, except for the ability to create other delegates. Creating delegates provides the following advantages:

• The delegate’s account will have the same connections as the account in which the delegate is created.

Note: Only connections that were created by an Account Administrator with “Allow Delegates” set to “Yes” will be available for delegates when they create their accounts. Connections created with “Allow Delegates” set to “No” will not be visible to delegates.

• The delegate’s account will be able to exchange four words or a TrueToken for CHD for the same accounts as the account in which the delegate is created.

• The delegate’s account will have the same multifactor authentication requirements as the account in which the delegate is created.

• If the account that created the delegate makes a new connection, the new connection is automatically added to the delegate’s account.

• The delegate account can make its own connections that are not automatically added to the account in which the delegate was created.

• Creating delegates provides additional security, since all delegates have their own username and password.

Requirement: Only 4Word users whose 4Word invitation included the ability to allow delegation will see the Delegates menu option (under My Account) and be able to create delegates. You need at least one connection that allowed delegation.

Examples of Using Delegates

Florist Example

Another example might be a local florist with multiple locations working with local hotels. The florist owner (who has a 4Word account that has permission to create delegates) could create delegates for each location. Then, the delegates would have access to all the hotels with which the florist does business.

If one of the delegates works with another nearby merchant who is a Shift4 Payments customer (like a bakery), they could make their own connection to that merchant. This allows them to do business with that merchant, but the other delegates do not get automatically connected since they would probably want to connect to a merchant that is closer to their location.

3. One of the 4Word Delegates makes a new connection with a local bakery to send cakes with the flowers.

Hotel Example

Let’s continue with the example in the Example of Using 4Word section. We’ll say the 4Word user was created with permission to create delegates and they do so for several clerks to process charges as needed. All of the connections for the 4Word user’s account would be automatically populated for each delegate account.

4Word User 1. A 4Word User who has permission to create delegates does so for several clerks who need to process no-shows in areas where a Shift4 account is not available.

2. The 4Word Delegates are able to use the same connections as the 4Word User to exchange four words or a TrueToken for CHD. Then, they can use the CHD to process no-show charges according to their business practice.
