6.2.19
This release activates SmartFlow for Sight™ (SmartFlow). SmartFlow is our technology that enables a
more efficient and accurate product ordering experience within RevolutionEHR. For this release,
SmartFlow helps enable contact lens Rx range and parameter validation. In future releases, SmartFlow
will enable ordering contacts lenses, eyeglass lenses, and frames directly from product companies.
The contact lens Rx range and parameter validation enhancement provides greater efficiency in the exam
room and greater accuracy when ordering contact lenses. In addition to contact lens validation, several
other enhancements are included in this release:
Barcode printer integration
Inventory item lookup across locations
Practice catalog
Existing scanning integration upgrade
New tests

Enhancements 6.2.19
Patients Contact Lens Rx: The "Vault" field will now support increments of 5 instead of the previous
increment of 50. This change applies to the use of the stepper or manual entry. Example
Scanning Integration: The current scanning integration has been upgraded and will restore Mac
compatibility. After the release, all users of scanning integration will be prompted to download the
latest version of Dynamic Web Twain software.
Encounters PQRS Alert: Previously, the PQRS Alert within an encounter was triggered when the patient had
an active insurance policy and the Classification for the Insurance Company (configured in
Admin) was set to Medicare. To accommodate non-Medicare payers, this has changed and is no
longer dependent on the Classification. A new "Include PQRS Alert" checkbox has been added in
Admin > Vendors/Partners > Insurance Companies > open an insurance. The PQRS Alert will
now trigger within an encounter if the patient has an active insurance policy and the "Include
PQRS Alert" checkbox is checked for the Insurance Company (in Admin). If the Classification was
set to Medicare prior to the release, the "Include PQRS Alert" checkbox was automatically
updated during the release. Example
Page 2
PQRS Measures: Two new measures have been added to the PQRS Alert modal; Blood
Pressure Screening and Pain Assessment. These new measures include the CPT II codes listed
in the example and were automatically added in Inventory > Services > CPT Services if they
were not already available.

The following new tests have been added:
o Miscellaneous Tests > Hemoglobin A1c. This test has been added to allow in-office
testing to be documented. It can also be used to document and track historical findings
by changing the date field. Example
Page 11
o The following new tests will enable the user to customize in the dropdown what
instrument and test is being done and the user can independently service trigger each of
these tests to streamline efficiency in the practice.

Orders - Optical Dashboard: The Orders Dashboard now includes the ability to search and filter by "Processor."
The results grid has also been updated to include a Processor column. Example
Page 14
Orders - Medical A new field for "Test Performed Date" has been added to the Orders - Medical Interpretation and
Report slider. Performed Date has also been added to the Orders - Medical History grid.
Example
Tasks The Task module has been updated and is now responsive on mobile devices.
o The processes for creating and managing tasks has not changed.
o The Search screen, by default, will now display all active tasks. The list will be sorted by
"Due On" date, newest to oldest. Tasks without a "Due On" date will be listed after tasks
with a "Due On" date and will be sorted by "Created On" date, newest to oldest. This is
now consistent with how tasks are listed in the "My Outstanding Tasks" grid.
Reports Patients-Patient Search: Additional query builder fields have been added for Last Exam
Location, Last Comp Exam Location, and Next Appointment Location. Access Reports > Patients
> Patient Search > Add. Example
Page 15
Patients-Recall: A new column for "Location" has been added to the Recall screen. This new
column is for future enhancements and will not display any data at this time.
Administration Patient Management: Patient Merge has been updated to include a message to the user that will
help clarify which patient file will be the best choice to populate the fields within the merge patient
screen. Example
Vendors/Partners: Location specific details, such as credentials, can now be added to Spectable
Labs, Contact Lens Suppliers, and Frame Suppliers. This enhancement will eliminate the need
for practices to enter separate lab/supplier entries for each location within the practice. These
credentials will be used within orders. The Lab Account # displayed within an order will now use
Page 16
the location credentials entered in Admin for that lab/supplier. If no location specific credentials
are found, the order will use the credentials entered into the Basic Details slider.
o Access Admin > Vendors/Partners > any lab or supplier category > open an existing entry
> Location Configuration slider > click 'Add' > enter the necessary information for this
location.
Location - select a location from the dropdown.
Account # - enter the account # for the location selected.
External/Ship To # - if appropriate, enter the External/Ship To # for the location
selected.
Username & Password - if appropriate, these fields can be used to store
Username and Password.
Page 17
Enhancements - CL Prescriptions
Contact lens prescriptions created using products that are associated with SmartFlow will now
automatically include Rx range and parameter validation. This SmartFlow enabled enhancement provides
greater efficiency in the exam room and greater accuracy when ordering contact lenses.
Administration
Vendors/Partners > Manufacturer: A new SmartFlow icon has been added to the Manufacturers
Listing grid. This icon will indicate if the manufacturer is associated with a SmartFlow ID. By default, the
following manufacturers should indicate they are associated with SmartFlow:
Alcon Bausch & Lomb Clearlab CooperVision Menicon Vistakon X-Cel Example
If you do not see a SmartFlow icon associated with a manufacturer above, you can manually associate that manufacturer with SmartFlow by following the steps below:
1. Open the manufacturer
2. Click 'Edit.'
3. Click on the SmartFlow ID lookup icon.
4. Select the appropriate manufacturer from the grid and click 'Select.' (Note: Click the 'X' beside the
lookup icon to remove association to SmartFlow.)
5. Click 'Update.'
Inventory
Page 18
To assist with quick and easy sorting of SmartFlow and non-SmartFlow products, a SmartFlow
icon has been added to the grid and a new filter dropdown menu is available at the bottom of the
screen. Example
All imported contacts lens products have been automatically associated with SmartFlow. Note:
Discontinued contact lens products will not be associated with SmartFlow.
Contact lens Rx range and parameter validation information will only be available when a contact
lens Rx product has been associated with SmartFlow.
If a contact lens product is not associated to SmartFlow (there is no SmartFlow icon), and the
manufacturer is on the list provided above, you must manually associate that product with
SmartFlow following the steps below:
1. Open the product.
2. Click 'Edit.'
3. Click the search icon next to the SmartFlow ID. This icon will only appear if the
manufacturer indicated is associated to SmartFlow.
4. Select the appropriate product from the grid and click 'Continue.' (Note: Click the 'X'
beside the lookup icon to remove mapping to SmartFlow.)
5. Click 'Update.'
SmartFlow FAQ
(Q) Can the same SmartFlow ID be used on different packing sizes (30-day pack, 90-day pack)?
(A) Yes. If there is a contact lens that comes in various packaging sizes, and each packaging
quantity is listed in your inventory, the same SmartFlow ID will be used for both (e.g. Dallies Aqua
Comfort Plus 30 & 90 pack both use the ALDAQPLUS).
Page 19
(Q) Which SmartFlow product should Night & Day be associated to?
(A) Ciba's Air Optix Night & Day Aqua has replaced Night & Day contact lenses. If Night & Day is
still listed in your Contact Lens in Inventory, it should be associated to Air Optix Night & Day Aqua
(ALAONDAQ).
(Q) Which SmartFlow product should FreshLook ColorBlends and FreshLook ColorBlends Vibrant be associated to?
(A) FreshLook ColorBlends includes the vibrant colors Brilliant Blue, Gemstone Green, and
Sterling Gray. If both FreshLook ColorBlends and FreshLook ColorBlends Vibrant are listed in
your inventory, they should be associated to FreshLook ColorBlends (ALFLCB).
(Q) How do i map private label contacts?
(A) Private label contacts can be associated to the corresponding name brand SmartFlow
product.
PrescriptionsWhen creating a new Contact Lens Rx or Contact Lens Trial Rx, SmartFlow will enable the user to select
valid parameter values. These values will include, but may not be limited to: BC, Diameter, Sphere,
Cylinder, Axis, and Add. Please note that the new parameter assistance will only be available for contact
lens products that have been associated with SmartFlow. The process for creating contact lens
prescriptions has not changed.
Only fields that are valid for the manufacturer/model indicated in the Rx will be displayed within
the Rx Details. Example
Air Optix Aqua requires BC, Sph, and Diam. Therefore, only those fields display.
Page 20
Air Optix for Astigmatism requires BC, Sph, Cyl, Axis, and Diam. Therefore, only those fields
display.
When a field has a single valid option, the system will automatically populate the value. Example
Air Optix Aqua is only available in a BC of 8.6 and a Diameter of 14.2. Therefore, those fields are
automatically populated.
Page 21
Air Optix for Astigmatism is only available in a BC of 8.7 and a Diameter of 14.5. Therefore, those
fields are automatically populated.
o If the field has 2-3 valid options, RevolutionEHR will set the appropriate min/max value
for the field and set the step size value to the difference between the 2 or 3 values.
o If the field has more than 3 valid options, RevolutionEHR will set the appropriate min/max
value for the field, however, functionality of step size values has not changed.
When authorizing a contact lens Rx, SmartFlow will now validate the parameters that have been entered.
If any of the parameters are invalid, a message will be returned indicating invalid parameters have been
detected.
Page 22
Every effort is made to ensure that validation is accurate. However, we suggest that if you receive
a validation error, check the data in Eyedock before automatically moving past the validation. If
you should find that our invalid parameters are in fact valid, we would appreciate an email to our
support team at [email protected].
Validation does not occur on fields that do not have data.
Validation will occur for data that has been entered into the fields for BC, Sph, Cyl, Axis, Diam,
Add, and Add Des.
Rx validation is checked on the right eye and then the left eye. If an invalid parameter is found, an
error will display and will indicate which eye has the error. If the message indicates the right eye
has an error, we recommend verifying the data for the left eye as you make changes to the right
eye.
Contact lens Rx validation only occurs on products that have been associated with SmartFlow. If
the product has not been associated, the Rx will not process through SmartFlow validation.
Trial Rx's do not require authorization, thus, there is no validation process.

Enhancements - Inventory
Simplified Management of Non-Imported Products Across Multiple LocationsA new feature that creates a Practice Master Catalog has been added. Products that are manually added
(not imported) in the Inventory Module after the release will automatically be included in the Practice's
Master Catalog.
A Practice Level Catalog is similar to the catalogs available for import from FramesData and
Eyedock in that any product in the Practice Master Catalog will be available for import by all
locations within the practice. Unlike products imported from FramesData and Eyedock, products
contained within the Practice Catalog will remain editable.
This new feature will eliminate the need to manually add the same product and product options
multiple times across locations. Any Product Option changes (e.g. new colors or sizes) will
automatically sync across all locations.
There is no restriction as to which location may create a product within the Practice Master
Catalog. Any new product that is manually added, regardless of location, will automatically become part of the Practice Catalog. In addition, any changes to the product's "shared" fields,
made at any location, will automatically be updated at all locations that have included that
product in their location level catalog.

A new "Catalog" field has been added within the Product Information slider. The catalog the
product has been associated to will be indicated within this field. Example
Page 24
o In this release:
If the product is associated to the Practice Catalog, "Practice" will be displayed.
If the product is not associated to the Practice Catalog, the field will be empty.
o In a future release, if the product is associated to FramesData or EyeDock the field will
display the respective information.
Important Notes Any manually added products that exist in any location prior to the release will NOT be included
in the new Practice Master Catalog.
The addition of a Practice Master Catalog provides flexibility and efficiencies, especially for
eyeglass frames and contact lenses. However, it is important to note that with increased flexibility
there must also be caution taken when editing existing data for a Practice Catalog product.
o In the new Practice Master Catalog there is one product record. When a location imports
that product, the information for that product "points" to the master product record. Any
edits made to that product at ANY location will permanently remove/replace existing data.
For example, if a color of blue is changed to red, there will be no historical
reference to the original color of blue. If that frame had been placed on an order
and the color blue had been selected, the color on that order would now display
as red.
New OptionsWhile the process for importing products from FramesData and EyeDock has not changed, there are new
options available in the Import screen.
A dropdown has been added to filter the search to a specific catalog. The following are options
available in the dropdown:
o All Catalogs: This is the default and will search for the product in all available catalogs,
including the new Practice Catalog.
o FramesData/EyeDock: This will only search FramesData for Eyeglass Frames and
EyeDock for Contact Lenses.
o Practice Catalog: This will only search the new Practice Catalog.
Page 25
A checkbox has been added in an effort to prevent a product from being imported if the product
already exists in the product catalog for that location.
o Display products that do not exist in this Location: This is checked by default and will
prevent the search results from displaying any product that has already been added to
that location. This checkbox will apply to both the Active AND Inactive products at the
location.
o Unchecking the box will display ALL results from the catalog indicated in the dropdown.
Item Pricing The Retail Price of an item can now be adjusted using a "Delta" field that has been added to the Physical
Inventory modal. Once a Delta has been set, any future updates to the Product Retail Price will use the
Delta calculation (Product Retail Price + Delta = Item Retail Price) and automatically update the item
Retail Price. Example
IMPORTANT NOTE: Prior to this release, if the Retail Price for an item was different than the
Product Retail Price, during this release, the Delta was automatically calculated and the field
updated. Example
Page 26
Inventory Item Search Across Locations An icon has been added to the grid in the Physical Inventory Information slider that allows multi-location
practices to search for an item by UPC across locations. The results grid will include locations that have
physical inventory configured for the same UPC. Example
Inventory lookup will display anywhere the Physical Inventory Items grid displays (Inventory,
Orders, Invoices).
Only the locations the employee has access to will be returned in the results grid.
If a location has multiple entries for the UPC, multiple results will be returned for that location.
Example
The inventory lookup results indicate that Ripley's Eye Care has the Adair frame entered three
times with "Qty On Hand" as 5, 2, and 1. Dale's Eye Care has this same frame with "Qty On
Hand" as 1.
Page 27
RevIntegrator for Barcode Printing In order to provide a more efficient and effective way to print labels, we now integrate with select barcode
printers. The barcode printing integration uses a free software that runs on your computer and allows
label information to be sent directly to the label printer. This creates labels with UPCs that are readable by
a scanner, eliminates the need to format a PDF, enables 'one-click' print, and offers the ability to print
labels in a batch. For complete instructions on this feature, access RevIntegrator for Barcode Printing.
Note: The integration has not replaced the current process for printing barcode labels. If the integration is
not enabled, labels can still be printed using any printer that supports the label format listed within the
Print Label modal.
Page 28
SmartFlow
SmartFlow is technology that provides an efficient and accurate product ordering experience within
RevolutionEHR. It is simple ordering technology, only available within RevolutionEHR, that gives you the
option to order contact lenses, eyeglass lenses, and frames directly from suppliers.
Group Purchasing Organization (GPO)In future releases, several product companies will make their products available for ordering directly from
RevolutionEHR via SmartFlow.
SmartFlow ordering requires that you elect to participate, at no cost, by becoming a member of the
Rev360 "Group Purchasing Organization (GPO)." Your acceptance of the Rev360 GPO agreement and
use of SmartFlow will require no fee and will not require you to replace existing business partnerships you
may have with other GPOs or participating product companies. Your participation is completely optional.
To view and accept the Rev360 GPO Membership Agreement, access Admin > Rev360 > SmartFlow for
Sight > Rev360 GPO Membership Agreement. Example
The "Accept" button will only be enabled if the employee logged in is listed as a Billing,
Administrative, or Technical contact. To review the setup of these three contacts, access Admin >
General > Contacts. If appropriate, use the dropdown menu to make any changes and click
'Update.'
Exhibit A, Other Covered Entities can be added after the agreement is accepted. If appropriate,
enter other covered entities and click 'Save Changes.' Example
Page 29
The option to terminate the agreement will be available after the agreement is accepted. The
"Terminate" button will only be enabled if the employee logged in is listed as a Billing,
Administrative, or Technical contact. Example
