Welcome Message
Thank you for participating in Earth Science for Society!
Earth Science for Society (ESfS) is a free, three-day event that showcases the importance and impact of
Earth Science in our everyday lives. Visitors will enjoy a wide variety of stimulating, interactive activities
offered by you – our enthusiastic exhibitors.
Sunday is designated for the general public with many families in attendance. We expect up to 1000
attendees on the Sunday. Twelve Girl Guide, Brownie, Pathfinder, and Beaver groups have signed up for
guided visits on Sunday, bringing 241 young people and 67 adults. Also on Sunday March 13th, the Geo-
Theatre will showcase geoscience presentations. Dr. Francois Therrien (Royal Tyrrell Museum) will
discuss The Cretaceous-Paleogene mass extinction and Dr. David Knudsen (University of Calgary) will
speak about the Northern Lights and satellite-based studies of the near-Earth space environment.
On Monday and Tuesday, 1700 junior high school attendees have signed up to attend ESfS. Groups of
students will be accompanied by a volunteer guide and teachers/parents and will spend about two
hours at the exhibits with scheduled visits to all of the Pavilions. Students will be given a Scavenger Hunt
booklet and answer questions to ensure that they engage in learning and interacting at the booths. The
Geo-Theatre is used for student group briefing on Monday March 14th and Tuesday March 15th.
The ESfS Exhibits Committee strives to ensure that you have a successful experience exhibiting. This
manual will enable you to find the information and services that you need to exhibit. Please contact us if
you have questions or need something extra that is not included here. There is a lot of information, so
we urge you to read from start to finish and familiarize yourself with this Exhibitor Kit. There are a few
points that need to be noted. You will receive an updated information package when you arrive on site
as well.

General Exhibitor Information
Each Exhibit Space INCLUDES the following unless otherwise arranged with ESfS Exhibits: • One 8 foot draped table and two chairs • One electrical plug-in of 120 volts/1500 watts • 24 hour general security in Exhibition Hall • Complimentary vacuuming of exhibit space
Exhibit Space does NOT include the following: • Shipping and transportation of booth materials • Pre and/or post exhibition storage for booth materials • Hook ups for Internet, fiber optics, telephone lines • Drayage and materials handling • Parking
To order on-site services, please use the forms in the Appendix.
EXHIBIT DISPLAY SPECIFICATIONS AND RESTRICTIONS
10 x 10 ft. (3m x 3m) booth – displays must not exceed 8 feet in height on the back wall. This particular
exhibition aims for an open line of sight between exhibitors. No exhibit or display fixture may extend
beyond 5 feet from the booth back wall if that exhibit or fixture is more than 3 feet in height. Exceptions
to these height limitations may be allowed in specific areas of the exhibition hall, provided the Exhibitor
makes a request in writing to the Exhibit Committee. Please note that nothing may be attached to the
walls of the exhibit hall or to the pipe-and-drape back walls. Display items, including backdrops and
fixtures must be made of non-flammable material or shall be made from certified flame-resistant
material (proof of certification required). This does not apply to handouts and posters.
Display vehicles – motorized vehicles are permitted in the Big Four building for display purposes,
provided they meet height (<8ft height) and weight requirements (<10 000lbs). Inside the exhibit space,
the vehicle must contain no more than 20l or ¼ tank of fuel, whichever is less and the fuel tank must be
locked or sealed. Some exceptions may be made, please contact your ESfS coordinator for more info.
Rigging – exhibitors are permitted to hang or rig items from the ceiling beams of the Big Four building.
Please submit engineered rigging plans and a safety plan to the ESfS Venue & Logistics coordinator a
minimum of 1 month in advance to the event date. Labour and rigging costs are the responsibility of the
exhibitor.

ARRIVAL AND PARKING
When you arrive at Stampede Park you can drive into the Big Four Exhibit Hall B via the vehicle access
loading ramp on the south side of the Big Four Building (see floor plan on Page 12). Once you are done
unloading, you will need to find parking. Please park in the designated exhibitor parking area on the
south end of the Big Four Building in Lot 6 (Parking Map attached). You can pre-order a parking pass for
the days of the ESfS Exhibition (see Calgary Stampede Exhibitor Order Form – Event Services & Parking)
or pay for parking each day that you are on site. Otherwise, there is a C-Train Station (Victoria Park
Stampede Station) that is conveniently close to the Big Four Building (also on Parking Map). Exhibit Hall
B will be open for setting up booths and equipment on Saturday, March 12th from 12noon to 8:00pm
and on Sunday, March 13th from 8:00am to 11:00am. The floor plan on page 12 will give you an idea of
where you can find your booth space. We will have tables labelled with your organization name on
them. Internet services must be pre-ordered and paid for; instructions to do this can be found in the
attached Exhibitor Order Form.
ORIENTATION MEETING
An orientation meeting for exhibitors will be held in the Geo-Theatre on Sunday, March 13 at 11:00am.
All exhibitors are strongly encouraged to attend the orientation meeting for important safety messages
and show information.
EXHIBITOR LOUNGE – BREAK ROOM
Exhibitors are welcome to use the Exhibitor Lounge as a break room. It is located along the same wall as
the washrooms, on the east side of the building. It has been labelled on the floor plan.
Coffee, tea, water and snacks will be available in the Exhibitor Lounge. Lunch will be ordered for
Exhibitors as indicated on your Exhibitor registration form. If you have not ordered lunches, your
volunteers are encouraged to pack food and drinks along with them as there are no restaurants or lunch
spots nearby the Stampede Park.

SCHOOL SCHEDULE
Monday and Tuesday, March 14th and 15th schools groups will rotate through the Pavilions on the following schedule. Approximately 300 students will comprise each rotation:
8:50am-11:10am 9:10am-11:30am 11:35am-1:55pm 11:55am-2:15pm
These times include the 10 minutes before and after the pavilion visits for arrival and departure
activities. The schedule allows for a brief break from student groups between 11:20 and 11:45 am.
TEACHER PACKAGES
We will be providing teachers with packages of educational material to take back to the classroom. If
there is anything that your organization would like to include in these 30 packages then please bring it
along the day you set up. Advertising and promotional material will not be accepted; content must be
educational and useful for teachers in meeting curriculum requirements.
EMERGENCY RESPONSE PLAN (ERP)
The Emergency Response Plan is attached. Please ensure you and your exhibitors are familiar with it,
particularly the emergency exits and muster point.
In the event of a medical emergency, the facility's Security Department personnel are the first
responders in a coordinated procedure with the City's fire and emergency agencies. The Big Four
Medical Room will be staffed with EMT personnel during event hours.

FOOD AND BEVERAGE
The Calgary Stampede is the exclusive caterer to the Big Four building. No outside food and/or beverage may be brought in the facility by exhibitors without prior permission. For information, please contact the ESfS Venue coordinator. Please note that this applies to food that would be distributed from your booth (food, beverages, and bottled water). This does not apply to bringing your own lunch or bottled water. Please note that we will provide lunch for your booth staff on Sunday, Monday and Tuesday as indicated on your Exhibitor registration form. Please contact Alyssa Middleton if you need to revise the number of required lunches needed.
DELIVERY OF EXHIBIT MATERIALS TO BOOTH
Exhibitors are responsible for arranging to have all equipment and/or display material delivered to and removed from the exhibit booth(s) and for all booth set‐up/dismantling and furnishings. Please note that tables, chairs and electricity will be provided for you as requested on your Exhibitor registration form and do not need to be ordered.
LOADING DOCK
During exhibitor move‐in/ out hours, exhibitor vehicles may be driven into the Hall for the purposes of loading and unloading of exhibit materials. Please see the map of the loading ramp on the ESfS floor plan.
DISMANTLE AND MOVE OUT INFORMATION
As tear down before exhibit hours end is unsafe and very disruptive to other exhibitors, tear down must not commence until close of show, unless explicitly approved by organizers. Exhibitors dismantling their exhibit material before close of show risk not being allowed to return to ESfS in the future. All exhibitor materials must be removed from the exhibit facility by Tuesday, May 15th at 8pm.
POST SHOW COURIERS
Be sure your courier knows the company name and booth number when making arrangements for shipping your exhibit at the close of the show. Exhibitors are responsible for their exhibit materials at all times, including from the time the exhibit is taken‐down to the time the courier arrives for pick up. All couriers MUST arrive to pick up exhibit materials no later than 8pm on Tuesday, Mar 15th.

All items and materials that must be brought into the facility may be subject to Material Handling
Charges and are the responsibility of the Exhibitor. This also applies to items not ordered through the
ESfS Exhibits committee. Building staff in the Big Four Hall B can accept deliveries on the Friday before
the event (March 11, 2016) between the hours of 8:30am-4:30pm ONLY. Deliveries should be addressed

~ The customer will be fully responsible for the safekeeping of any equipment during the show.
~ The Calgary Exhibition & Stampede Limited (“CE&S”) and the City of Calgary will not be liable for any loss, costs, damages or expenses, incurred directly or indirectly as a result of or as a consequence of any third party including any third party Service Providers inability or failure to provide telecommunications, utilities or miscellaneous services or any interruption thereto. ~ Due to temporary conditions which exist during setup and move in, installation of services is not guaranteed upon exhibitor arrival. We will endeavor your services as early as possible, but all services are not guaranteed until the start of the event.
~ Internet access is not included with phone services.
~ Long distance charges will appear on your credit card following the event. Credit Card number is required for Long Distance requests.
~ pricing does not include applicable GST ~Customer shall not and shall not permit any of its users or other third parties to:
(a) disclose private communications without permission to parties other than the intended recipient, or the disclosure of confidential information;
(b) restrict or inhibit any other user from using and enjoying the Internet;
(c) post or transmit any unlawful, threatening, abusive, libelous, defamatory, obscene, pornographic, or profane information of any kind, including without limitation any transmissions constituting or encouraging conduct that would constitute a criminal offense, give rise to civil liability, or otherwise violate any local, provincial, state, national or international law, including without limitation, export control laws and regulations;
(d) post or transmit any information or software that contains a virus, worm, cancelbot or other harmful component;
(e) upload, post, publish, transmit, reproduce, or distribute in any way, information, software or other material obtained through the Internet which is protected by copyright or other proprietary right or derivative works with respect thereto, without obtaining permission of the copyright owner or rightholder; or
(f) abuse or fraudulently use the Internet in any way not specifically set forth above. ~ Limitation of Liability
(a) Customer understands that Customer and its users may access the Internet through the service. Customer understands further that neither the Calgary Exhibition and Stampede nor its Internet Service Provider operate or control the Internet in any way, and that all merchandise, information and services offered or made available or accessible on the Internet are offered or made available or accessible by third parties.
(b) Customer assumes total responsibility and risk for Customer's and its users' use of the service and the Internet. Neither the Calgary Stampede and Exhibition nor its Internet Service Provider make any express or implied warranties, representations or endorsements whatsoever (including without limitation warranties of title or noninfringement, or the implied warranties of merchantability or fitness for a particular purpose) with regard to any merchandise, information or service provided through the Internet, and neither the Calgary Exhibition and Stampede nor its Internet Service Provider shall be liable for any cost or damage arising either directly or indirectly from any such transaction. It is solely Customer's and its users' responsibility to evaluate

(c) Customer understands further that the Internet contains unedited materials some of which are sexually explicit or may be offensive to some people. Customer and its users access such materials at their own risk. The Calgary Exhibition and Stampede and its Internet Service Provider have no control over and accept no responsibility whatsoever for such materials.
(d) The service is provided on an "as is" and "as available" basis without warranties of any kind, either express or implied, including but not limited to warranties of title, noninfringement or implied warranties of merchantability or fitness for a particular purpose. No advice or information given by the Calgary Exhibition and Stampede or its Internet Service Provider or their affiliates or their contractors or their respective employees shall create a warranty. Neither the Calgary Stampede and Exhibition nor its Internet Service Provider warrants that the service will be uninterrupted or error free or that any information, software or other material accessible on the Internet is free of viruses, worms, trojan horses or other harmful components.
(e) Under no circumstances shall the Calgary Exhibition and Stampede or its Internet Service Provider or their affiliates or contractors be liable for any direct, indirect, incidental, special, punitive or consequential damages that result in any way from Customer's or its users' use of or inability to use the service or to access the Internet or any part thereof, or Customer's or its users' reliance on or use of information, services or merchandise provided on or through the service, or that result from mistakes, omissions, interruptions, deletion of files, errors, defects, delays in operation, or transmission, or any failure of performance.
(f) Without in any manner limiting the express limitations contained in this section, neither the Calgary Exhibition and Stampede nor its Internet Service Provider shall be liable to Customer or its users or any other parties for any:
(i) act or omission of a telecommunications carrier whose facilities are used in establishing connections;
(ii) disclosure of private communications to parties other than the intended recipient, or the disclosure of confidential information;
(iii) restriction or inhibition imposed by a third party;

2016 EXHIBITOR PARKING INFORMATION

Look for the month your event is being held in and the select your event

Deadline is 14 days prior to the 1st day of the event move in and is subject to availability,
Exhibitor parking may sell out sooner
After that deadline parking permits will no longer be available to purchase in advance, a limited amount of daily
permits may be available at the parking gate upon arrival on a first come first served basis (subject to availability).
On site permits where available may be purchased by credit card, cash or cheque.
Benefits of pre-purchasing parking permits
The discounted rate is $13.33 per day, per permit plus GST.
Parking passes will be available for pickup from a designated location.
Order and pay for all services with one easy step.
Additional important information regarding pre-ordered Exhibitor parking permit(s) follows:
1. Orders must be received by Event Services 14 days prior to the first move-in date.
We are unable to process parking orders received after this deadline.
2. Parking rates apply to move-in, event and move-out days of your event.
3. Permits must be ordered for a minimum of two days.
4. Permits will be issued from the Exhibitor’s Entrance (during the specified move-in dates and times).
Refer to your Exhibitor’s Information from your show manager for the move in schedule.
5. Permits are not mailed out.
6. Complete the attached Event Service Exhibitor Parking order form, see Sample below.
7. Refunds are not available after processing.
8. Permits will be issued by Company name unless otherwise stated.
9. Confirmation of parking permits and location for pickup will be sent via email or fax from the parking office, please ensure
that this information is legible on your order form.
