CLARITY• Clarity of thought comes from a careful consideration of the objective, content and medium of communication.It includes :• Use simple words. Ex:- Demonstrate - show Utilise - use
• Use single words for long phrases. Ex:- At all times – always At the later date - later
• Use verbs for nouns. Ex:- Make a decision - decide
• Use concrete expressions that have a visual impact on the mind and will be easy to remember.
• Use very short sentences.
C COMPLETENESS
Completeness of facts is absolutely necessary.Ex:- Suppose you are ordering shirts by mail. Your communication must include all the relevant facts – size, colour, quantity, mode of payment etc.,
CONCISENESS
A receiver time is valuable. Don’t make him feel that he is wasting his time.
• Only relevant facts, • No repetitions,• Proper organisation of the message.
CONSIDERATION
Consideration implies respect for the receiver’s point of view.
• Adopt the you attitude.Ex:- I want to express my sincere thanks for the good words. Thank you for your kind words.
• Avoid gender biasEx:- Chair person - Chairman Police - Policemen
• Emphasise positive, pleasant facts.
COURTESY
Creating friendliness. Friendliness is inseperable from courtesy.• Answering promptly.• Omit irritating expressions.• Apoligise sincerely for any ommissions.• Thank profusely for any favours.
CORRECTNESS
• Giving correct facts.
• At an appropriate time.
• In a suitable style.
