2. Decision Time The process of implementing EMR software is
different for every field, and that includes Ob Gyn practices. The
first step is deciding how to manage the integration, which could
include recording only new patients or recording all patients.
3. Merging Methods The most difficult task, will be the initial
merger of physical records and your new EHR (Electronic Health
Records) system. Putting all patients into one system will be worth
it, because it will make information access and process
streamlining easier in the end.
4. Training Opportunity Although merging all of your records
into one electronic system may take several weeks, it is a great
training opportunity for your Ob Gyn staff. Every person who loads
information into the system will become more familiar with it,
which equates to more efficient EMR documentation down the
road.
5. Timing is Everything To keep up the implementation pace,
give your team a goal as to how much to finish each day and when to
complete the process. This will not only keep the end in sight, but
will also create a countdown to the full move to electronic
charting at your practice.
6. Staff Assignments To stay organized during EMR
implementation, assign specific tasks to each staff person. For
example, if you know RNs are in charge of recording vitals, LMPS,
etc., then you will know who to go to if you have a question about
a particular entry.
7. Audit for Accuracy With all that shuffling, there are bound
to be some errors during data entry, so set up a system for
auditing. You will need an experienced staff member who can easily
spot errors to be your fact checker to make sure everything is
correct for the EMR launch.
8. UDS Reporting Dont forget! UDS reporters have specific
details to record. If your practice participates in UDS reporting,
you will need to be sure the first- seen trimester, first visit
date, and visit location are electronically recorded.
9. Dual System Considerations If you decide to use a dual
system, with old records on paper and new records on EHRs, be sure
to use codes and duplicate data where necessary. For instance,
allergies should be entered in both places and important notes
entered into the EMR should be marked on paper charts as see EMR so
they arent overlooked.
