    Dell’s Policy

    •  Many Dell team members volunteer their time, talents and energy to support charitable causes and non-profit organizations. Dell is proud of our team member’s generous spirit and encourages these kinds of activities provided they do not conflict with Dell’s interests or reflect negatively on Dell.

    •  Volunteer efforts in support of Dell sponsored community involvement programs may be done during work hours if approved by your manager in advance. All other volunteer efforts must be done on your own time and must not jeopardize productivity or ability to perform your duties for Dell.

    Volunteering Frequently Asked Questions (FAQ) Tracking Time Q1. How do I track my time? •  Go to the Powering the Possible Portal (http://dell.yourcause.com ) •  Click on VOLUNTEER TAB •  Click on LOG/VIEW HOURS •  You can log past and future hours or create events. You can also set a volunteer goal. •  Follow steps as per the desired function. Q2. Do I have to track my time? No. It is not a requirement at Dell, but we’d appreciate if you would. We use our community to help showcase the great things our team members are doing and we also recognize our team members’ for their efforts based on the information in the tool. If you log 10 hours or more volunteer time in a quarter, you will receive $150US that you can redeem to a registered charity of your choice listed in the Powering the Possible Portal that is able to accept donations. Q3. Can I upload an event? Yes, you can create individual or team events. Go to the Volunteer Tab, then click ‘Create an Event’ to begin filling out the event. Please fill out all required fields Q4. Can I have a recurring event? Yes, only for individual events. Due to the technical standards of reporting, team members are unable to have recurring team events. We apologize for any inconvenience that may incur. Q5. How do I link my event to a charity? You must link your event to a charity in the ‘Supported Organization’ section. There’s a populated list readily available from the list of your supported organizations from your profile. If you are volunteering for a new charity, you can use the charity search to properly connect the organization to your event. Q6. Can I set my event time on a half-hour? Yes, you can actually determine the time up to the hour and minute. Please note that minutes will need to be recorded in 5 minute increments.     Volunteering Frequently Asked Questions (FAQ) Tracking Time – continued Q7. What if my organization is not in the tool, how do I get it added? If you are volunteering for an organization that is not listed in the Powering the Possible Portal, please choose ‘Add Your Own Organization’ to add the organization. Please note that they will not be eligible for the Rewards Program or donations. However, you are able to log any hours for any volunteer work you do regardless if the organization is listed in the portal. If you want to see how to add your organization for the reward program, see the section on “charitable organizations”. Please note that properly adding the organization to your event is crucial for administration reporting purposes. If you are having difficulties finding your organization, please contact us by the following: Monday-Friday 8:30am-6pm (CST) at http://dell.yourcause.com 1-866-678-CAUSE (2287) Q8. Does giving money count as volunteer time? No. Q9. Does donating an item or blood drive count as volunteer time? Yes, but you can only count 1 hour of time total. Nothing more. Miscellaneous Q1. Is it ok for my business group to pay for paint and/or supplies to do a teambuilding project? You will need to refer to the P-Card Administrator and/or Concur on acceptable expenses. Q2. Can we do an item donation on-site at Dell? Yes. You may not highlight the charity unless it is an approved partner by Dell Giving. See the section on charities for more information. You will need to go through facilities formal process to request approval.

    Volunteering Frequently Asked Questions (FAQ) Communications Q1. How can I get my teams involved with my personal NGO/Non-Profit if I am an individual contributor and NOT a people manager? Team member engagement can be done through our online community. You can message within the Powering the Possible platform but per the non-solicitation policy that Dell has in several countries, you are not allowed to send personal email from your Dell email to solicit for funds or volunteer activity. Once, you have team members who have agreed to the volunteer activity through the tool, then you may send a calendar invite from your Dell email to those employees or non-employees and you may send 2 additional communications. You have to remember that Dell is a business first so it is best to have a strategy on your personal communication and do not over-communicate. Q2. I am leading a planning meeting for an NGO/Non-profit organization for my team or Dell business unit; can I send a calendar invite? No. You can utilize the online community to communicate about the event and there is a calendar attached to the event that team members can open and save to their calendar. For questions on how to do this, email the vendor at [email protected]. Q3. How can I get my teams involved with my personal NGO/Non-Profit if I am a people manager? As a people manager, you have gone through all of Dell’s legal training and you have the ability to communicate about charitable causes in a limited way. For Dell’s strategic partners, you have the ability to communicate in a broader way then a non-strategic partner. These are the principles of communication: •  You may only send to your team – do not solicit outside of your team to other business groups, leaders, etc. •  Send 3 communications via Dell email only: 1 to introduce the project, 2nd as a calendar invite for the day of the event and/or deadline and 3rd to wrap up the

    Preventing perceptions of harassment or coercion

    When asking team members for engagement of any kind

    Many employees have shared that they feel harassed and have been given a "hard sell" or felt “pushed" to participate which is not appropriate in a workplace environment. Everyone should feel safe in their workplace and be given an option to voluntarily support a charitable even

    Please be sure team members know that participation is voluntary and that there is no expectation set in any way that team members are required to participate

    Dell team members should not reach out to vendors, suppliers and partners to ask for them to support a charitable cause or make a product donation. This is a practice that is best not to do as it can be perceived by the vendor as "coercion".

    While we all want to support our communities and give back, we must recognize that Dell is a workplace first and foremost and that our community commitment must align to our company.

    There are many Dell policies that you may need to consider including the non- solicitation policy, the Code of Conduct, corporate communications, brand and marketing, facilities, etc.

    When you receive approval for one, it does not mean you have approval for all. Seek all approvals in advance of your event/activity.

    •  The same would be advised if you are related to someone at the charity you are advocating or if you’ve had a direct impact. Our team members will have a better time understanding and recognizing your passion when you appropriately disclose why you care.

    About the program •  Launched in 2010 to give remote team members and

    individuals a way to track their time and receive recognition •  Provides a way that team members globally can double

    their impact through volunteer time •  Recognizes team members every quarter if they give 10 or

    more hours of volunteer time that they track in the online community

    •  Utilizes the online tool for team members to contribute $150 USD to a vetted charity of their choice

    Criteria •  Must enter hours in the tool at www.poweringthepossible.com •  All time must be entered during the quarter that you want to be

    recognized •  You must enter 10+ hours for each quarter in order to qualify •  You can enter time on Dell time, off Dell time, with a charity in the

    Rewards Program Frequently Asked Questions (FAQ) Q1. How does Dell’s Rewards Program work? 1.  Step One: Enter your time into the portal by clicking on the VOLUNTEER TAB and scrolling down to LOG/VIEW HOURS.

    2.  Step Two: As long as your hours meet the qualifications below by the end of the quarter then you will receive an email on or

    around the 2nd week of the following quarter letting you know that you qualified and instructions on how to redeem the $150 USD in the Powering the Possible Portal. –  FY Q1 Feb 1-April 30 (email will be sent by 5/5) –  FY Q2 May 1-July 31 (email will be sent by 8/5) –  FY Q3 Aug 1-Oct 31 (email will be sent by 11/5) –  FY Q4 Nov 1-Jan 31 ( email will be sent by 2/5)

    3.  Step Three: You will log onto the portal that is given in your email and make your contribution at that time by searching for your

    organization and click on "REDEEM REWARD." NOTE: If for some reason you did not receive an email in your Dell email and you thought you qualified, please contact our Powering the Possible team at [email protected]. Q2. I am a contractor and have not received a reward. Why not? Only active Dell team members are eligible to receive or redeem the reward. We are not permitted to apply a cause card on behalf of an employee that is no longer with Dell or a contractor with Dell. Q3. I reside outside of the US, can I participate? Yes. This program is a global program. The Dell Giving team created it to be inclusive of our remote team members as well as our team members outside of the US.

Our signature giving program recipients will be on the list as well as charities all over the globe that have been through Dell’s vetting process. It is truly up to the charity on how they use the funds given to them through the volunteer reward program will use the funds in a way that you designate, but you can always verify with the organization directly. Q6. When will my charity receive the award? We process the rewards once a month, so depending on when you make the contribution depends upon when they receive it. The funds are processed through our vendor and U.S. nonprofit, Silicon Valley Community Foundation, so the checks will be issued by them on behalf of the Dell Community Service Program and you. More than 1.3 million + charities around the world are in the Powering the Possible Portal. To suggest an organization please follow the below steps. It helps to have a charity EIN# or their local country registration number and as much information as possible. •  Go to the Powering the Possible Portal •  Click on the "HELP" link at the top right-hand side of the page •  Click on "SUGGEST A NEW ORGANIZATION" •  Complete the form and hit the submit link at the bottom of the page. By submitting an organization, this does not mean that they will automatically be approved for donations or added to the tool. Do we get credit for team events or is it just individual events? It is an individual portfolio of your total volunteer time whether you do it with a team or you volunteer by yourself. It can be team events on Dell time and/or individual events done on your personal time. It truly is your total individual portfolio of volunteer time. This is to be inclusive of our remote based team members. Example: Jane has 5 hours that she has volunteered along with her 5 Dell team members. From the Give Tab, select ‘Giving Page.’ Select your organization, set fundraising goals and describe your cause. Q2. Can I attach an external Fundraising link for Dell team members to donate to so that it reflects towards my goals for that organization? No, Dell will only match donations made through the Powering the Possible Portal. You will need to create a separate fundraising page in the Powering the Possible Portal for your Dell team members to donate to in order to receive the Dell Match. When you create a fundraising/giving page, make sure that you check with your charity to ensure they understand the Dell matching process and how fundraising pages work. Q3. Can I raise funds for more than one charity? Yes, you are able to link and support as many charities of your choice as long as they are a charity that has a “Donate now” button next to it. Q4. Can I raise funds for myself or personal earnings? No, all funds go directly to selected 501(c)(3) IRS-registered charities or US equivalency. Q5.     General Q1. Is there a transaction fee? No. There is not a transaction fee for you as contributor through our Dell program. Dell Giving pays for all fees associated with the program and donates 2.5% of your transactions to Silicon Valley Communities Foundation who manages the charity donations. In addition, Dell will give a ‘true match’ to any donations. *However, you are responsible for any currency conversion fees on your credit card donation. Q2. Is my donation transaction secure? We use industry-leading Secure Socket Layer (SSL) technology to keep your personal information as secure as possible.     Q11. Will my charity know that it is me that is making the donation? Yes. For the global matching portion, the charities receive a list of donors in the memo of their check and any designations that you make on your donation, unless you opt to remain anonymous, as described above. For the team member donation portion, the charity must go to the SVCF site (Dell’s processing partners) to find the list of donations. For the US payroll program, the charities receive a list of donors in the memo of their check and any designations that you make on your donation. Q12. What is the cycle for Dell to match my contributions? Dell will match your contributions year-round but only up to $10,000 USD per calendar year. The calendar year is January 1 through December 31. The match will be distributed on a monthly basis normally the schedule runs one month behind but there might be cases with the US Payroll program that will be longer. Q13. If I make a pledge outside of this tool, will Dell match that donation? No. Dell only matches funds donated through the Powering the Possible Portal. Any funds donated outside of the community will not be matched. Q14. Who is eligible to participate in the Dell Community Service Credit Card Match Program? Dell badged team members from any country.     Q16. When does my charity get my donation? If a donation is made to a US registered charity, then the charity receives the money in 45-60 days from the day that the donation was made. Q17. Are there any refunds? No, once you make a payment in our system, it is processed immediately. Because our processor is a charitable organization, they have to follow US Internal Revenue Service guidelines on processing donations and therefore, cannot issue refunds. Q18. Will my donation go through if I have an extra security layer on my credit card? Our credit card processing partner, SVCF, does not support ‘Secured by Visa’ at this time. Your transaction will fail the extra layer of security that is applied to your card. You may contact your credit card company to ask if they will remove the extra layer of security to process your donations. Q19. What is the process flow for my donations and match completed by Dell? It is the charity’s responsibility to obtain 501(c)(3) status by March 31 to determine their eligibility status for matching funds.     Q4. What organizations are eligible for matching funds? Team Members participating in the Community Service Giving Match Program may give to any approved organization that has the green ‘Donate Now’ button within the Dell Powering the Possible Portal. Dell will match to the organizations that say “match eligible”. Q5. What does ‘Not a Signature Dell Program Partner’ mean? “Not a Signature Dell Program Partner” means that the organization is not affiliated with one of Dell’s signature programs like the Youth Learning program. You are still able to donate to them and receive the Dell match as long as they have the ‘Donate Now’ button. You can also volunteer with them. Q6. What if my organization falls under a parent organization? A “parent/child” relationship can be established if the parent organization agrees to accept and redirect designated funds to the child chapter. We cannot send funds directly to the child location. All donations have to go to the parent organization where the address is attached to the EIN# (US registered charity #). It is the responsibility of the parent organization receiving your donation to redirect the funds that have been designated/earmarked for a child chapter. If your organization is international and is affiliated with a US 501 (c)3, the funds can go to the US office and be designated to go to the international office. However, first, permission from the US office is needed to establish the parent/child relationship and it will be up to the US organization to redirect the designated funds internationally. Q7.     •  Data comes directly from HR direct/PeopleSoft so if HR direct/PeopleSoft is inaccurate or not updated then our reports will be inaccurate as well. Unfortunately there is nothing that the Powering the Possible/YourCause team can do about this. It will have to be the manager that takes action in HR Direct/PeopleSoft.     Reporting How to pull reports: In response to your survey feedback, we have now created the Global Reporting feature which gives Dell team members access to volunteer reports. Please follow the below guidance when providing a volunteer report: •  Be mindful that we want to keep the Powering the Possible Portal where it is not a forced environment. We want to pull people

    into the community, so use the numbers wisely. We want them to volunteer and not be voluntold! •  Each individual manager now has access so they may pull their own reports, no need for you to pull reports for them. •  Focus on the positive, DO NOT highlight the negative. However, every profile also has the option to be completely private (no one will be able to see your information). However, even though your profile will be private, you can still qualify for the Reward Program (Cause Card) and your hours will count in the reporting. Q2. How do I make myself private in the tool? 1.  Go to your profile 2.  Click on “Settings” 3.  Click on “private” Reporting Q1. How do I pull a report for my manager, my team or my organization? Everyone has the ability to pull a report in the Powering the Possible Portal by clicking on the ‘Report’ tab. What is a “Profile Page?” Each team member has a customizable profile page where they can showcase their personal mission, set their volunteer goals and support a certain charities that our in the community. A profile page allows you to blog, upload photos, create campaigns for a particular charity, track volunteer hours and more. Q2. Can I go back and edit my profile page? Yes, you can always edit your profile at any point in time. Q3. Can I edit my given name? Team members currently cannot edit their given name. Q4. Where does my given name come from? We get our feed directly from PeopleSoft, the HR tool. If you change your given name in the HR directory or with Dell, then it will change in our tool. Q5. Can I support more than one charity on my profile page? Yes, you can support and edit unlimited amount of charities by clicking on “My Organizations” under your profile page admin tools. Organizations selected are presented in “My Info” tab for others to see. Q6. Can I make myself private in the tool so no one can see my profile? Yes. You must name your group and add a mission statement, with an option to add photos and more. Q2. What are the different ways a group page can be used? A group page is a great idea for a team event, a specific program within an organization or any time you want to raise awareness and volunteer as a group. You can gather all team events on the group page as well as message your team members through the group page. The best way to use the group page is for all fundraising efforts that you might want to do with a team of people.
