About this guide

This guide is designed to help you use the myHR portal, the Employee Self-Service system for Orbit. (If you have any feedback regarding this guide please email [email protected]).

Objectives

To provide all the necessary information for you to be able to navigate the system, including:

Logging on Viewing your Payslip Updating your Personal Records

Assumptions

This guide assumes that you: Have basic IT skills Have access to a web enabled computer

Introduction

my HR is Employee Self-Service (ESS) which is design to make it easier for you to update your personal records, view your payslip online and a go to point for useful links.

Logging in

my HR is accessed via the internet, you will need to use the below URL, copy and paste the below link into your internet browser:

https://ce0015te.webitrent.com/ce0015te_ess/ess/#/login

Alternatively open the Orb > click the myHR tab (on the home page).

This will open up the login page, insert your Username and Password and click ‘Login’ (circled below).

Your username and password will have been provided to you previously.

If you do not know, or have, your username and password, please email [email protected] or alternatively call 02476 653 888.

Navigation

Once you have clicked the ‘Login’ button, you will be taken to the below screen. This is your home page, to get back to your home page at any stage, please click the Orbit logo (circled below).

Next to your home button you will see 2 tabs, Personal and Pay & Benefits. These are your navigational buttons.

Clicking ‘Personal’ will take you to your personal details including: My Personal Details – Names, titles etc. Sensitive Information (E&D data) – Religion, Ethnic Origin, Nationality etc. Contact information – Address, contact number etc. Friends & Family – Emergency Contact and Next of Kin. Bank Details – Bank details.

Clicking ‘Pay & Benefits’ will take you to your Pay details including: Payslips – Viewable online payslips. P60 – Viewable online P60’s

The icon of the person ( in the top right hand corner) will present you with 2 options: 1 to logout once you have finished in my HR ; 2 to change your password to a more memorable password.

If you wish to change your password, as stated above click the icon and then click change password, you will then be presented with the following screen:

Enter your current and new password and then confirm your new password. To complete the change click ‘Save’.

On the home page there are several ‘Quick Links’ these will take you to a particular section on my HR to save the navigation. The quick links include:

Show my latest Payslip – this link will take you to your most recent payslip.

my HR Userguide – this link will open the my HR - Employee Self-Service userguide, should you need any help.

My Address Details – this link will take you to your address details.

My Contact Details – this link will take you to your contact details.

Access to myBenefits – this link will take you to the my Benefits Portal.

My Bank Details – this link will take you to your Bank details

My Emergency Contact Details – this link will take you to your emergency contacts details (including next of kin).

More links from self service… - this is a menu with extra quick links not included on the homepage.

Personal

This section allows you view and update your personal details. Click on personal (next to the home button) and you will be presented with the following screen:

Personal details

To view your personal details, click the icon in the right hand corner of the personal details box (circled above).

You will then be presented with the below screen:

You will see the all the boxes are greyed out, except for preferred name and previous surname, this means you cannot amend or update these boxes.

If you have changed your name legally, HR will need to see the relevant documents and you will have to update your details with the HMRC. If you are unsure how you complete this please contact the HR Support Centre at [email protected] or call 02476 653 888.

If you wish to add your preferred or previous surname, simply enter the text into the relevant text box (if you wish to amend or update, delete the previous text). Once you are happy with the information provided, please click the save button.

Sensitive Information

To view your sensitive (equality and diversity) information, click the icon in the right hand corner of the sensitive information box (as shown previously above).

You will then be presented with the below screen:

Here you can update or amend your sensitive information. Using the drop down menu’s select the relevant option, if you do not wish to disclosure your information, there is an option in every drop down menu to choose ‘rather not say’ or ‘do not wish to disclosure’ etc.

Once you have made your amendments/changes, click the save button to complete the changes.

Contact Information

To view your Contact information, click the icon in the right hand corner of the address information box (as shown previously above).

You will then be presented with the following screen:

Here you can amend your address, if something is incorrect. If you do make changes, click the saved button to complete.

If you wish to add a new address (to the right of the contact information heading you will see a ‘+ Add’ button, click here and you will then see the following options:

Click add address, you will then be prompted to complete your new address. First select from the drop down menu, if the new address will be your home address or ‘other’.

You will also need to decide if your new address is going to be your mailing address, if yes please tick the tick box, if no please leave blank. Once you are happy with your address, click the save button to complete.

If you select Home this automatically override your current address to become your home new address.

To add new contact information, using the previous step click, from the add button, add contact details, you will then be presented with the following screen:

Select the type of contact, Home Telephone Number or Personal Mobile Number, and then enter the number in the ‘contact at’ text box. Click the save button to complete.

Friends & Family Information

To view your Emergency contact or Next of Kin information, click the icon in the right hand corner of the Emergency contact or Next of Kin information box (as shown previously above).

You will then be presented with the following screen:

If you wish to update your current Emergency contact (same person different contact details), complete the relevant changes and click save to continue.

If you wish to add a new Emergency Contact, please delete the current first by clicking the delete button.

Then (as shown previously, using the add button) click add emergency contact, you will then be presented with the following screen:

Enter your contact name and select, from the drop down menu, the relation and then enter all relevant contact details, if you wish to use your emergency contact your next of kin, tick the tick box.

If you wish to use your home address as your emergency contact address please tick the tick box. To complete click the save button.

If you wish to add a next of kin, as they are different from your emergency contact, (using the add button) click add next of kin, you will then be presented with the following screen:

Enter the next of kin name and select the relation, from the drop down menu, and then enter the date of birth of your next of kin contact.

If you wish to use your home address as your next of kin contact address please tick the tick box. To complete click the save button.

Bank Details

To view your Bank details, click the icon in the right hand corner of the Bank details information box (as shown previously above).

You will then be presented with the following screen:

To update your bank details, override the information and please take care when entering the details to make sure they are correct before saving.

Please be aware when you enter a sort code, and you get the following error message “invalid sort code has been entered. Please check and re-enter” this could be due to the sort code not being stored in the HR system, please contact payroll at 02476 437 077 or [email protected] to check.

Payroll & Benefits

This section allows you view your payslips and P60s. Click on pay & benefits and you will be presented with the following screen:

Payslips

To view your payslip, click the icon in the right hand corner of the relevant pay month information box (as circled above).

You will then be presented with your payslip:

If you wish to print your payslip, please click the print button. Once you have finished click cancel or the cross in the top right hand corner.

Your P60s will not show until your next P60 in 2015 when the financial year has ended.
