3 OVERVIEW OF PRINTING SOLUTIONS

The purpose of this document is to give guidance on recommended printing solutions and

create a list of recommended single-purpose printers.

The University’s preferred printer vendor is Hewlett Packard. LaserJet type printers are

recommended over inkjet printers due to the reduced overhead support costs.

All hardware included in this document is supported by the University’s ICSD support teams.



4 SUPPORTED DEVICE POLICY

4.1 RECOMMENDED DEVICES

Several buildings are equipped with Ricoh Afico and Xerox WorkCentre multifunctional

devices capable of printing, copying, scanning and faxing (on some models). The University

highly recommends the use of MFDs due to high reliability, easy management and low

printing cost against the one-off higher purchasing cost. All departments looking at the

purchase of an individual printer should check the possibility of using MFDs first.

For envelope, label, special paper or card printing and further information regarding MFDs

contact the IT Help Desk.

4.2 SUPPORT

All printers purchased before May 2009 and the discontinued printers previously

recommended will continue to be supported to the end of their lifecycle. New printer

purchases should be selected from the list of recommended models. Users with special

printer requirements should discuss support requirements with the relevant IT liaison person

prior to purchase.

4.3 PROCUREMENT

All printers are to be purchased from a Hewlett Packard reseller through the University’s

central contract. The type of device will determine the cost of printing, as may be seen from

the cost per page figures included in section 6 and current prices on the HP website. All

prices quoted are correct at the time of publication and exclude VAT.

Customers that need assistance in choosing a printer should log a support request with the IT Help Desk at [email protected] (x3934) and advice will then be provided by the relevant IT Liaison person.

4.4 SUPPORTED LEGACY PRINTERS

From the previous version of this document several of the printers are no longer available from our recommended supplier. ICSD will continue to support these printers until the end of their lifecycle.

All models are Hewlett-Packard LaserJet printers.

When buying a printer in a business environment, consider factors such as output volume, speed, paper-handling capabilities such as number of trays and auto-duplex, reliability, network capabilities and price. The 600x600 or 1200x1200 dots per inch print quality provided by all models should be suitable for most purposes in a University environment.

It is usually the case that the higher the initial cost the lower the running and maintenance costs will be.

Purchase a monochrome printer if the majority of output is black and white only and there is a colour alternative nearby. The purchase of colour printers is only advised when essential. Although the purchase cost of some monochrome printers may be comparable to that of a colour printer, the cost of consumables and maintenance of colour printers is considerably greater.

Only purchase HP consumables as purchasing non HP could void the warranty on the device.
