Resource allocationTimesheets can have pre-populatedproject codes allocated to them,making it easy for you to control andmonitor which projects staff can booktheir time to.

Rules are easy to define and can beimplemented within the data captureprocess, enforcing the type and/orquantity of hours booked by anindividual. This helps ensure dataaccuracy and makes the process quickand easy for the end user.

AuthorisationAuthorisations can be set up in anumber of ways to suit your business.For example, you could choose forprojects to undergo approval on agroup or departmental basis, or forsmaller projects, bypass approvalcompletely. Either way, all methodscan be set up, either independently or in combination.

Using the alert functionality,approvers can be informed in real-timewhen authorisations are required.

Site TimesheetsThis feature makes it very easy torecord multiple types of overtime (andother associated costs), and is typicallyused where responsibility for timerecording falls to a site or departmenthead. This allows multiple resources tobe allocated to a site, with associatedcost and revenue rates pre-populatedto the Timesheets form for quick andeasy data entry.

Contract TimesheetsDesigned for agencies, umbrellaorganisations and associated payrollservices companies, this variant of theTimesheets module enables you toassign internal or external staff tospecific contracts with specificpay/billing rates, frequencies anddurations.

Credit CardsAccess FocalPoint lets you embed your expenses policywithin the system, using a simple online form toencourage prompt, accurate data entry andreimbursement of claims. In-built workflows ensurethat the information is viewed and approved by theright people, while credit card statements can beimported electronically, reducing re-keying and errors.

Entering expensesHighly flexible forms mean we cancapture any type of claim relevant toyour organisation, from VAT liabilityand project information to rates andquantities. Submissions can be set upto capture multiple dates – usefulwhen entering repeat claims (e.g. railjourneys). The flexibility to define theposting rules for these transactions,(e.g. by employee, department andexpense type), means that everyexpense incurred by your business iscorrectly analysed and posted.

AuthorisationAuthorisations can be set up in anumber of ways, encompassingindividuals and teams and split atdetail level to allow expenses to beapproved at various stages (e.g. bydifferent project managers). Using thealert functionality, approvers can beinformed in real-time, via email, whenthe expense is ready for authorisation.Simply click on the email and AccessFocalPoint will take the approver directto the specific claim to make theirdecision. Once authorised, Expenses arethen available for payment in line withyour standard remittance routines.

Cash advancesThis function gives you the flexibility toset up pre-payments. Cash advances canbe set up in home or foreign currency,then allocated and posted according toyour pre-defined business rules.

Company credit cardsAccess FocalPoint allows you to quicklyupload expenses from your electroniccredit card statements, significantlyreducing re-keying and increasingaccuracy. Once imported, AccessFocalPoint automatically checks thecredit card number held on the bankfile against the user’s credit cardnumber/s held in the system andassigns the person an Expenses formto review. Staff can then log in 24:7 andclassify the expense type (e.g. petrol,hotel, accommodation) beforesubmitting the claim for promptapproval and accurate reimbursement.

Accounting for Carbon EmissionsMany businesses are now looking tomeasure their carbon footprint.Integration with our Accounting forCarbon Emissions (ACE) functionalitymakes this a simple process. Whenentering travel expenses, AccessFocalPoint prompts you with a distancefinder so that you can enter the correctvalues, broken down by transport type.This information is then rolled intoyour ACE calculation and madeavailable for detailed analysis. This datacan be stored for the next time youtravel, making it very easy to enter therequired carbon footprint information.

Purchase RequestsCreate any number of PurchaseRequest templates, configured tomatch either your centralised ordistributed purchasing function. Easy-to-define rules enable you to decidewhich data is captured, its routethrough the organisation and thenumber of authorisations required.

Consolidated requestsFor central purchasing decisions,approved Purchase Requests can beconsolidated into one or more formalpurchase orders. Configurable rulesallow your purchaser to easily identifyelements such as preferred supplier,best price, or user-requested supplier.Purchase orders can be associatedwith projects and, if required, eachconsolidated purchase order can belimited to a single project.

Purchase ordersIn distributed purchasing models, the workflow is different and revolvesaround the authorisation of thePurchase Request document. The Purchasing module providescomplete support for the online entry,authorisation and subsequentconversion of the Purchase Requestinto a formal order.

AuthorisationOrders can be set up to receiveapproval at multiple levels, such as by department, project andvalue – including the ability toreference and check appropriatebudgets. You can review the status oftheir Purchase Requests at any stageand be automatically alerted of anychange that requires action. Onceapproved, purchase orderdocumentation can be printed directlyfrom within the software or producedwithin Microsoft Word, attached toyour Mail Merge template andgenerated within Access FocalPoint.

Goods receivedIn many business scenarios, the bestperson in the organisation to notifywhen goods or services have beenreceived is the person placing thepurchase request. The Purchasingmodule enables you to process goodsreceived against purchase orderswithin the system, updating thePurchase Order module in real-time.

Invoice RegisterInevitably, you will occasionally receiveinvoices that do not match anyoriginating purchase orders. Here, aninterface to the Invoice Registermodule enables you to view andauthorise any scanned documents sothat you can complete the purchasingcycle direct from Access FocalPoint.

Setting and monitoring budgetsBoth cost and revenue budgets arecatered for, with types and formatsconfigurable within the system.Budgets can be entered directly,calculated from component elements,or even derived from associatedresource plans. All budgets can besubjected to an optional sign-offprocedure prior to going live in thesystem and once in place, profiledeither weekly or monthly across thelifetime of the project.

Milestones Milestone types and statuses are easyto allocate, incorporating values andcost codes if required. You can alsoallocate milestones to other userswho can automatically be alertedwhen their action is needed.

WIP & income recognitionThe module supports a number offlexible methods for calculating WIP,including percentage complete, cost tocomplete and hours to complete. You can also specify income recognitionvalues within the software. All of theseinputs can be used to automaticallycalculate and post month-end journalsinto Access Dimensions to accuratelyrepresent your organisation’s financialposition.

Inventory listsAccess FocalPoint enables you to listout all the stock items needed tocomplete the project in question. Stockitems, price list entries and one-offitems can all be gathered in one easy-to-use form, which can then be sentfor approval and converted into one ormore Purchase Requests if required.

Document Management Powerful integration with AccessDocument Management lets you viewyour documents via the web. This isparticularly useful for your projectmanagers, who can view and approveproject-specific information such ascontracts and invoices anywhere theyhave an internet connection. Searchtools make information quick toretrieve and any documents saved intoyour solution are automatically addedinto Access Document Managementfor others to view. Documents can alsobe created within Microsoft Word andmerged with templates held in theProject Management module.

BillingTime and materials-based projects, aswell as applications for payment, canbe billed out of this module, allowingyou to specify which elements of timeand cost to pass on, with or withoutuplift. Fixed price or stage paymentbilling is supported, all subject to anoptional approval cycle before beingreleased to your client.

Flexible viewsResource Scheduler can be configuredto show different views for each areaof your business. For example, projectmanagers might want to groupbookings by project and cost code. All activity can be seen in as muchdetail as you require, from top-levelsummary views by month and weekright down to days, hours and even 15-minute intervals. Each activity type(e.g. absence, holiday, training) can bedifferentiated by colour, giving you aninstant visual picture. Utilisation and chargeabilityMultiple charge rates can be storedper resource to increase the flexibilityof who does what. For each resource,time worked, charged and ‘free’ isclearly visible, for the week, month andyear ahead. Non-chargeable time isanalysed over user-definable headingssuch as ‘training’ and ‘managementdays’ as well as the usual ‘sick’ and‘holidays’. Form designUsing flexible layout tools, tabs, menusand labels, we will create a form to yourexact specification – or train you tocreate your own. Forms can consist ofmultiple pages, be linked together, andenforce the collection of mandatorydata if required. This enables users toinstigate the process online, subject toa tight approval process.

Access FocalPointenables you to build flexible controlsinto the system to ensure that allemployees follow the sameprocedures when creating estimates,sales estimates and sales orders.Centralised and distributed invoicingmodels can both be catered for, andwe can configure any number oftemplates to match your way ofworking.
