Welcome to the Administrator’s Guide. This guide was written to help you successfully install Accounting for Nonprofits 6.4. You can access additional information about your Blackbaud software online at www.blackbaud.com, on your installation CD, and also from the software after your successful installation. If you install multiple Blackbaud Systems, please refer to Appendix A after you complete the installation.

To view the latest documentation and

information, such as system requirements and recommendations, you can refer to our Web site at www.blackbaud.com.

Please read the appropriate product-specific sections at the end of this guide before beginning any of the installation procedures. These sections contain additional information and helpful tips about the installation process.The information in this guide is organized into four chapters and an Appendix. The following list contains the title of each chapter and a summary of the information you can find in each.Chapter 1: Pre-Installation. This chapter is an introduction to the

Administrator’s Guide. It includes sections detailing the Adaptive Server Anywhere Database, General System Recommendations and various Blackbaud solutions we offer.

Chapter 2: Installing on a Standalone Machine. This chapter provides detailed procedures for installing Accounting for Nonprofits 6.4 on a standalone machine.

Chapter 3: Installing on a Network. This chapter provides detailed procedures for installing Accounting for Nonprofits 6.4 on a network.

Chapter 4: Database Administration. This chapter provides detailed procedures for using the Blackbaud Management Console.

Appendix: Configuring Multiple Databases. This appendix provides detailed procedures for installing multiple databases.

Understanding the Adaptive Server Anywhere DatabaseTo access information in your database, you need a database management system (DBMS). This is a collection of programs that enable you to enter, organize, and select data in a database. The Adaptive Server Anywhere database is a full database management system developed on personal computers for personal computers. It is a full-featured, transaction-processing system, offering excellent performance while requiring fewer resources (memory space, disk space, and CPU speed) than other database management systems.

To disconnect a user at the server, you must

stop and then restart the engine.

The Adaptive Server Anywhere database is a fast and efficient database for many environments — from notebook computers to servers supporting large numbers of concurrent users. In addition, the Adaptive Server Anywhere database is easy to install and administer. It requires minimal effort to set up and maintain. The built-in query optimizer reduces the need for tuning and adjusting parameters. The Adaptive Server Anywhere database also has a smaller footprint, meaning it takes up less memory space. There are only a few system files necessary to run the database engine. Accounting for Nonprofits consists of five files.• afn7.db

General System RecommendationsFor detailed system recommendations, go to the Support link on Blackbaud’s Web site at www.blackbaud.com.

For users upgrading from Accounting for

Nonprofits 6.3 SQLA, the size of the Adaptive Server Anywhere database will increase during the upgrade. To migrate a 6.3 database, you need 3x the size of your database in free disk space.

Blackbaud provides hardware recommendations on our Web site as a guide only. Our recommendations consider only hardware issues relating to Blackbaud software. We recognize the uniqueness of each of our customers and their needs. Therefore, we encourage organizations to consult their system’s staff or outside technical experts for complete recommendations of their particular requirements. As an accommodation, our staff may provide limited informal guidance regarding hardware based on information made available. Neither the written hardware recommendations, nor our staff’s guidance, constitute a guarantee of compatibility, outcome, or performance.

Nonprofits version 6.4 system requirements and recommendations, you can refer to our Web site at www.blackbaud.com.

We do, however, supply comprehensive technical consulting services through Blackbaud. Under a separate consulting arrangement, our consultants will inventory existing hardware and database configuration, evaluate the installation of all Blackbaud applications, and recommend optimum hardware and system configuration options.

Database Server Choices: Windows NT vs. NovellBlackbaud is not a vendor or provider of network operating systems and cannot choose which system is right for a particular organization. Customers should consult with qualified network technicians to determine the best choice for their organization.

Organizations considering using

multi-processor servers should be advised that Sybase has designed Adaptive Server Anywhere to take advantage of multiple processors on Windows NT/2000 servers only.

Administering the database engine running as a service is efficient using the Blackbaud Management Console provided in Accounting for Nonprofits 6.4. The online backup utility and a software deployment package provided with Accounting for Nonprofits 6.4 can only be used on Windows NT/2000 database servers. Adaptive Server Anywhere will run on a Novell NetWare server with multiple processors, but performance will be similar to that of a single-processor server.

Database BackupBlackbaud strongly recommends the purchase and scheduled use of a tape or archival backup solution. Power blackouts and brownouts, hardware or network failures, and other unexpected circumstances can lead to an unrecoverable data loss. Blackbaud is not a vendor of backup software/hardware and cannot choose which backup system is right for your organization. Organizations should consult with reputable dealers and qualified information systems professionals to implement a reliable backup system. Backups should be performed daily and tested periodically to ensure reliability.

The Adaptive Server Anywhere database

must be shut down before backing up if the online backup facility is not used.

Accounting for Nonprofits 6.4 has an online backup utility that allows backups to be performed while the database is running on Windows NT and 2000 servers. As with all backups, files that are backed up using the online utility should be tested to ensure reliability.

Web or Modem Access Blackbaud’s communication and software distribution options include the World Wide Web, FTP, dial-up modems, and e-mail. Clients with these options available at their organizations can take advantage of faster and more convenient methods of file transfer and communication.

School Store Manager Blackbaud’s School Store Manager uses Sales Management Systems’ QuickSell 2000 version 3.0 point-of-sale system and provides integration with Student Billing. QuickSell 2000 version 2.2 is not supported. Please visit www.blackbaud.com for detailed system recommendations for School Store Manager.

Forms Blackbaud can provide computer forms (such as checks, student statements and purchase orders) and envelopes that have been specifically designed for use with your Blackbaud system. Forms provided by Blackbaud are guaranteed to align correctly and can be customized to your organization’s specifications, using your logo and any special inks or print styles you may require. Pre-printed forms from other suppliers are not guaranteed to align properly. With the optional Accounting Forms module, you can print forms including statements, invoices, and purchase orders on blank paper. Checks can also be printed according to your bank’s specifications on standard blank check stock. Exact specifications for standard check stock are provided in the Accounting Forms documentation. An HP LaserJet series printer that supports Magnetic Ink Character Recognition (MICR) is required for printing checks from Accounting Forms.

Printers Blackbaud software uses standard Windows printer drivers to work with a variety of printers. Standard forms purchased from Blackbaud are available for supported printers. Blackbaud does not make specific printer recommendations; however, reports and forms within Blackbaud products have been specifically designed and tested with HP LaserJet laser printers. It is not possible for Blackbaud to design for and test reports and forms with every printer; therefore, results with other printers may vary.

Updated printer drivers from the printer or

operating system manufacturer may be necessary for compatibility with Blackbaud products.

Due to the nature of Windows-based applications, customers should carefully consider printer options, understanding that speed, quality, and usability are generally best achieved with more recent printer models. Customers should consult with reputable vendors and suppliers to determine the best choice for their organization’s needs.

Computer-Based Training A multimedia workstation is required for Blackbaud’s Interactive Workshops (computer-based training). Requirements include: 32 MB RAM, a 100 MHz (or higher) Pentium processor, Windows 95/98, NT or Windows 2000, a SVGA color monitor, a graphics display adapter that can display at least 16-bit high color in 800x600 resolution, and a 6X CD-ROM drive (or faster). A sound card with speakers or headphones and 30 MB of free disk space are also required. Network versions of the Interactive Workshops also require a 200 MHz (or higher) Pentium server with Windows 95/98, NT or Windows 2000 and a minimum of 128 MB RAM.

Server-Based Computing (‘Thin-client’ Technology)If you are using a Terminal Server or Citrix MetaFrame, we strongly recommend hosting the Blackbaud Management Console and database on another machine to better utilize hardware resources.

At this time, Blackbaud does not support or test

our AFN products in these environments and makes no guarantees as to acceptable performance. Organizations should consult with qualified information systems professionals when implementing this technology.

Several clients have successfully installed Blackbaud’s Windows-based applications on Windows 2000 Terminal Services, Citrix MetaFrame and Microsoft Windows NT 4.0 Terminal Server edition. These thin-client technologies provide complete access to Blackbaud applications over low-bandwidth connections (dial-up, 56K, ISDN) from low-end legacy PCs or from computers running non-supported operating systems such as Macintosh or OS/2. In these environments, all application processing occurs on a single, centralized server. For more information on Microsoft NT 4.0 Terminal Services, visit www.microsoft.com. Recommendation Disclaimer Performance and response time are affected by many factors related to hardware (such as server RAM, processor speed, hard disk subsystem performance, etc.), network configuration (including NIC performance, cable type, network topology, the network operating system, network parameters, network traffic, etc.), and the database (including size, number of concurrent users and the type of activities each user is performing).These hardware recommendations are based on information available at the time that they are provided to you. Frequent new offerings in hardware and software promise improved performance. Network and workstation operating systems, third-party software products utilized by Blackbaud and our own products are continuously updated with new features and options, which often place greater demands on hardware. Blackbaud recommends that top-of-the-line equipment be purchased whenever possible and that all organizations budget for continual upgrades to their system.

Comprehensive technical consulting

services are available through Blackbaud. Under a separate consulting arrangement, our consultants will inventory existing hardware and database configuration, evaluate the installation of all Blackbaud applications and recommend optimum hardware and system configuration options. Blackbaud’s written hardware recommendations are published only as a guide and relate solely to Blackbaud software. We encourage organizations to consult their own systems staff or outside technical experts to ensure appropriate results.

Pre-Installation Considerations This section provides guidelines concerning the items you may want to consider before installing Blackbaud’s Accounting for Nonprofit programs to ensure a smooth and successful installation process.Please read the appropriate product-specific sections at the end of this guide before beginning any of the installation procedures. These sections contain additional information and helpful tips about the installation process.

General Considerations You should:• Fully understand, assimilate, and ensure system requirements.• Perform a complete backup of each server and workstation before installation.• Have a CD-ROM drive at the server or on a workstation with network access.

You can accomplish this process more efficiently if you copy the contents of the CD to a shared network drive first. Setup can then be performed from each workstation without the CD. Or, you can access the CD from a shared CD-ROM drive.

• Exit all Windows applications on the server and the workstations where the Blackbaud programs will be installed.

• Close any virus scan programs on the server and on the workstations. These programs can sometimes interpret the setup/installation process of a new program as the contamination of existing files on the disk by a virus.

• Close any screen save programs on the server and workstations. Screen savers can cause memory conflicts.

• Close the Microsoft Office toolbar, if present, as it may interfere with the installation of some files.

Novell NetWare Network (Version 4.2, or 5.1)You should:• Confirm that you have supervisor rights to the server.• Install the latest Novell updates from www.novell.com.• Install the Microsoft Client for NetWare of Novell’s Intranetware Client for

Windows on Windows 98 workstations accessing the Blackbaud Accounting for Nonprofit database on a Novell NetWare server.

• Install and properly configure TCP/IP or IPX/SPX on both the server and workstations accessing the Accounting for Nonprofit programs.

• Do not run your database in Protected mode on NetWare 5. Protected mode in NetWare5 does not support ASA databases.

• Do not enable NetWare IP on the workstations. NetWare IP interferes with SQL*NET’s ability to communicate if Microsoft’s TCP/IP is configured.

• Reboot your server. We recommend temporarily disabling additional processes in the AUTOEXEC.NCF during the installation process.

This chapter explains how to add a new database to a standalone system, upgrade an existing 6.3 database to the 6.4 version on a standalone system, and how to update your 6.4 database when you receive an update CD. You must have local administrative rights to install Accounting for Nonprofits.

Installing 6.4 on a Standalone Machine

A standalone system is set up for one user and data is accessed from one workstation. If your organization uses a standalone system, you should follow these installation instructions. After you install Accounting for Nonprofits 6.4 and its components, you must reboot your computer. This can take up to 20 minutes. Do not interrupt the process. After the reboot, you can open Accounting for Nonprofits 6.4, using the sample database included with the program or by creating your own database.

Installing Accounting for Nonprofits 6.4 on a standalone machine

When you install Accounting for Nonprofits, Microsoft’s Internet Explorer 6.0 is also installed. This version of Internet Explorer is required to run Accounting for Nonprofits.If you are currently using a 6.x version of Accounting for Nonprofits, please see Upgrading a 6.3 Accounting for Nonprofit Database’ on page 20.

16. Click Finish. 17. The first time you install Accounting for Nonprofits 6.4, you may receive

a message telling you to re-boot your computer. Remove all disks except Accounting for Nonprofits 6.4 installation CD and restart your computer. There may be a long delay during the re-boot. Do not try to re-boot your machine during this delay.

If you install Accounting for

Nonprofits 6.4 and The Financial Edge you will receive a prompt asking you to create a new database. You can only create a new database from The Financial Edge. If you are in Accounting for Nonprofits 6.4, please close the program and open The Financial Edge to create the new database.

18. When you access the program, you are asked for a password. Enter “admin.”

Upgrading a 6.3 Accounting for Nonprofit DatabaseIf your organization currently has version 6.3 or earlier installed as a standalone, you should follow these installation instructions.

A network installation configures the software for multiple users working on multiple workstations. To run a network installation, you must first load the Blackbaud Management Console. Installing the Blackbaud Management Console will also install the files necessary to run the program on the server. This includes, but is not exclusive to, program files, report files, and database engine files.When you install The Financial Edge, Microsoft’s Internet Explorer 6.0 is also installed. This version of Internet Explorer is required to run The Financial Edge. After you install Accounting for Nonprofits 6.4 and its components, you should reboot your computer.

Installing the Blackbaud

Management Console will also install the files necessary to run the program on the server. This includes, but is not exclusive to, program files, report files, and database engine files.

You can run your Accounting for Nonprofits 6.4 database server on a Novell NetWare (version 4.2 or 5.1) or Windows NT/2000 Server platform. To optimize performance and simplify administration and maintenance of your database, we recommend running the database server on the Windows NT/2000 platform. The program and this book offer detailed instructions on installing the program using both the Novell and Microsoft products.Regardless of the platform you use, configuring your database has never been easier. Using the Blackbaud Management Console, you are taken step-by-step through installing and configuring an Adaptive Server Anywhere database. With the help of the Server Configuration Wizard, you identify your server platform, enter a server name, define memory cache size, and select a network communication protocol.

The Blackbaud Management Console organizes the installation into four steps.• Step 1 accesses the Server Configuration Wizard, which takes you through the

steps necessary to initialize and configure your database server. The instructions cover installation for Novell NetWare (version 4.2 or 5.1), Microsoft NT Server 4.0, and Microsoft Windows 2000 Server. Although Accounting for Nonprofits 6.4 database works on any of the three platforms, we highly recommend running the database server on the Windows NT/2000 platform.

For users upgrading from Accounting for

Nonprofits 6.3 SQLA, the size of the Adaptive Server Anywhere database will increase during the upgrade. To migrate a 6.3 database, you need 3x the size of your database in free disk space.

• Step 2 accesses the Accounting for Nonprofits Database Creation Wizard, which takes you through the steps necessary to create a new Accounting for Nonprofits database, or migrate an existing Accounting for Nonprofits database to the server.

• Step 3 accesses the Network Deployment Wizard, which facilitates the deployment of Accounting for Nonprofits 6.4 to user workstations. This step installs a deployment package on your server. Your users can then access the program and load it on their computers from the Deployment package, not the CD.

The Network Deployment Wizard

installs a deployment package on the your server. You cannot manually install the program on workstations with an install CD. You must place the deployment package on your server where all workstations have access. They can then map to the deployment package and run setup.

• Step 4 starts the server and database engine.

Installing the Blackbaud Management ConsoleFor a Windows NT/2000 platform, you must run the Blackbaud Management Console installation on the machine you intend to use as your server; for a Novell NetWare platform, you must run the installation on a workstation networked to your server.

Once the installation process is complete and you start your server and database, the links on the Blackbaud Management Console screen change. The new screen offers server management and software update links. You can then use the Management Console to reconfigure your server and/or database, start and stop your server, add a database, update Blackbaud software, and back up your database.After you install Accounting for Nonprofits 6.4 and its components, you should reboot your computer. If your organization has more than one drive, you may want to check to see which drive has the most free space before installing the Blackbaud Management Console. Also, if you are currently using a 6.x version of Accounting for Nonprofits, you must keep your database running until the Blackbaud Management Console is installed. You will need to stop the engine of the database when you initialize and configure your database server.If you are on a Novell NetWare platform, proceed to “Novell NetWare Servers” on page 43.

Optimizing the ASA Server for Large Databases If you have a large database, the database’s performance will only be limited by the server’s resources. It is recommended with a large database and/or a large user base to have a server with multiple, fast processors and plenty of RAM, which will enhance performance. Also having fast SCSI hard drives [15,000 RPM] in the server with a SCSI controller with its own memory and processors will improve reads and writes to the database. Having the dual channel SCSI controller with a mirrored system partition on the first channel and the database stored the second channel configured RAID 5 will give you redundancy and performance, and should be implemented as a part of the server’s disaster recovery plan. We also recommend a DUAL PORT Network Interface card and networks configured to run at 100baseTx, if your existing network infrastructure can support the configuration.

Database TuningThe Database Server Configuration Wizard takes you through the process of tuning Blackbaud’s Adaptive Server Anywhere 7 databases. This wizard enables the addition of advanced switches for database optimization if required. These switches are used to modify the default Adaptive Server settings. The following advanced switches are used for optimizing ASA servers for large databases with a large number of users:-ch 800M. For servers with a GB RAM the max RAM Adaptive Server

Anywhere will use is 250 MB RAM without raising the ceiling with the -ch switch.

-gn 25. The default maximum number of users is 20, and if they have more than 20, as in this example with 25 users, Adaptive Server Anywhere will hang for the 21st user each time until the 20th user exists to give the user a thread to the database.

You can add this parameter (HOST=192.168.0.1;MYIP=;DOBROADCAST=NO;TIMEOUT=30) to the TCPIP additional switches option box to avoid network latency.

Initializing and configuring your database server for Microsoft NT 4.0 or Microsoft Windows 2000 platformsThis procedure prepares a new database server for Windows NT/2000.

You cannot skip steps in the installation

process. You must complete Step 1 before you can move on to Step 2; you must complete Step 2 before you can move on to Step 3; etc.

1. On your desktop, click the Blackbaud Management Console icon. A screen welcoming you to the installation process appears. The program automatically recognizes this is a new installation and offers to take you through the process step-by-step.

2. Click the Initialize and configure your database server link.

5. Enter an Engine name. We recommend you use the default name “Blackbaud70”. You can enter another name by placing your cursor in the box. The program uses this name to identify your database on the LAN. You can choose to Auto start your database server when the NT Server starts.You can also add Advanced Switches to the database server. These switches are used to change the default install settings or to add an extra setting. The most popular advanced switches include the following:• -z (Displays diagnostics)• -o Log messages to a file (you must include the location and name of

the log file you want to create, i.e., -o c:\log.txt)• -tq (Specifies shutdown time for database server. The use of this switch

is recommended only on Novell Netware.)However, advanced switches are not normally required. We recommend you consult a qualified support representative before adding additional switches.

Your protocol options include: TCP/IP,

NetBIOS, SPX, and IPX. We strongly recommend using TCP/IP. The TCP/IP option is the most popular and efficient protocol used by Windows NT/2000 servers. We do not recommend using NetBIOS, IPX, or SPX protocols with Windows NT/2000 servers.

6. Click Next. A screen displaying your network communication link options appears.

The network communication link defines how your server communicates with your user machines. You do not have to mark any of the checkboxes. If you leave this screen blank, the server and users can use all available protocols; however, we recommend selecting a single protocol.Your protocol options include: TCP/IP, NetBIOS, SPX, and IPX. We strongly recommend using TCP/IP. The TCP/IP option is the most popular and efficient protocol used by Windows NT/2000 servers. We do not recommend using NetBIOS, IPX, or SPX protocols with Windows NT/2000 servers.

In the Optional Parameters fields, you can also add additional switches on a per-protocol basis. The protocol setup switch is used to specify certain protocols or add extra protocol switches to assist with connection to the database. You need extra TCPIP switches if your workstations are connected over a WAN or large network. We recommend you use a host switch to specify the server’s IP address. If you use the host switch, we recommend you also use dobroadcast=no (e.g., host=172.20.3.1; dobroadcast=no). You will use the IP address of your organization’s database server.If you want to add extra NetBios switches, we recommend MAXLANA=8.If you use IPX or SPX protocols and you want to add switches, we strongly recommend you contact Blackbaud’s Customer Support.

7. Click Next. A screen displaying your database cache options appears.

8. To have the program adjust its cache based on server usage and available memory, select the Dynamic Database cache option.

9. If you want to set a specific cache size, mark Fixed Cache, and select the size from the Select cache size field. After initializing your database, you can change the cache size using the Server Configuration Wizard. If setting a fixed cache, we recommend you set it to 20 percent of the sum of the data files (these are in the database folder and may consist of five files: afn7.db, afn_glaccount.db, afn_index.db, afn_temp.db, and afn_gltransactions.db).

10. Click Next. A screen appears telling you the program has enough information to proceed.

11. Click Finish. The program returns you to the Welcome screen. You are now ready for Step 2.

Novell NetWare ServersThis procedure prepares a new database server for a Novell NetWare (version 4.2 or 5.1) platform. Novell NetWare is a local-area operating system for networks. This procedure must be done from a workstation networked to your Novell server.Before beginning this process, you must map a drive to the “SYS Volume” on the server. If you are currently using a 6.x version of Accounting for Nonprofits, you now need to stop the engine of the database you want to migrate.

Initializing and configuring your database server for a Novell NetWare platform

If you are currently using a 6.x version of

Accounting for Nonprofits, you now need to stop the engine of the database you want to migrate.

If you are not using a Novell NetWare platform, proceed to “Step 2: Adding a Database to the Server” on page 52.1. Place Accounting for Nonprofits 6.4 CD into your computer’s CD-ROM

drive. The Accounting for Nonprofits menu screen appears.

2. Select Update Software. The Server Upgrade screen appears.

3. Enter the path to the existing database, and click Next. The Choose Destination Location screen appears.

4. On this screen you can choose where you want to load the program. We recommend you accept the default destination folder.

5. Click Next. The next screen to display is determined by whether you are migrating to a clean machine (one that has never had Blackbaud’s product installed on it) or not.

10. Click the Initialize and configure your database server link. A screen appears displaying your server options appears. Make sure you run this wizard on a workstation networked to your server.

16. For the Novell NetWare platform, Fixed Cache is your only option. We recommend you adjust the cache to at

least 20 percent of the total size of the Adaptive Server Anywhere data files.

You must specify a cache size in the Select cache size field. After initializing your database, you can change the cache size if you find you need more or less room.

You must have administrative

privileges on the Novell server, and the server must be running NetWare 4.2 or higher.

17. Click Next. A screen asking you to locate your Novell server appears.

18. In the Enter path to system field, enter the UNC path or browse to the server’s system directory. The program copies files to the remote Novell server.

19. Click Next. The final screen appears.

20. Click Finish. The program returns you to the Welcome screen. You are now ready for Step 2.

Step 2: Adding a Database to the ServerOnce you finish initializing and configuring your database server, the Blackbaud Management Console returns you to the Welcome screen where you can proceed to Step 2. This step takes you through the Accounting for Nonprofits Database Creation Wizard. If you have not successfully completed Step 1, Step 2 is disabled.

For users upgrading from Accounting for

Nonprofits 6.3 SQLA, the size of the Adaptive Server Anywhere database will increase during the upgrade. To migrate a 6.3 database, you need 3x the size of your database in free disk space.

Migrating a 6.x Accounting for Nonprofit database

This procedure applies to Microsoft Windows NT and 2000 and Novell NetWare server platforms.1. Once you have set up the database server, you can proceed to step 2.

If you are new user of Accounting for Nonprofits (not a 6.3x current user), or have an existing 6.4x database, please proceed to “Adding an existing database to the server” on page 57.

If you are using a Microsoft Windows

NT/2000 server platform and your database is unusually large, you can utilize specific hardware characteristics by selecting Use Advanced Database creation settings. A screen displaying the advanced database creation options appears, allowing you to use multiple hard drives.

10. Select Use the default Accounting Database settings. This option will generate a standard accounting database.

11. Click Next. This screen displays the creation method; the source of the database; and the location you selected for new database directory.

12. Click Finish. The program asks if you are sure you want to upgrade the database.

Adding an existing database to the server

This procedure applies to Microsoft Windows NT and 2000 and Novell NetWare server platforms.1. From the Blackbaud Management Console, in the box under Step 2,

select If you would like to add an existing database to this server click here. The Locate Existing Database screen appears.

2. In the Database Path field, enter the path to the database. You can use the ellipses button to browse to the database folder and locate the Afn7.db file.

Accounting for Nonprofits database is composed of indices as well as files. To maximize the performance of your database, you can store these indices and files on different physical hard drives in different folders.

If you select the Advanced database

creation options, you cannot change your database locations after completing the installation process. If you select the default database settings, you can change your database location at a later date.

You can also change the database page size down to “2K Pages” or up to “16K Pages.” We do not recommend changing the default setting unless instructed to do so Blackbaud Customer Support.

8. Click Next. A screen appears displaying all the database settings you selected.

9. Once you confirm the information is correct, click Finish. A confirmation screen appears.

10. Click Yes. The program creates a new database.

When the program finishes creating the new database, a confirmation screen appears.

11. Click OK. You return to the Welcome screen. You are now ready for Step 3.

Step 3: Creating a Deployment Package for Workstation InstallationThis step takes you through the Network Deployment Wizard for Microsoft Windows NT and 2000 and Novell NetWare server platforms. This wizard facilitates the deployment or installation of Accounting for Nonprofits 6.4 to user workstations throughout your organization. You cannot install the program on workstations using an install CD. You must place the deployment package on your server where all workstations have access. They then map to the deployment package and run setup.

You cannot change or enter a deployment

path once the installation is complete.

4. You can enter the Install Directory for Accounting for Nonprofits 6.4. This is where the program files are installed on your user machines. If you leave this field blank, the users must enter the install directory at their workstations when they install the program.

5. Click Next. A screen appears asking for the program CD and output paths.

6. Select Click here to browse to the installation CD and map to the location of Accounting for Nonprofits 6.4 CD. You must also enter an Output Directory (where you want to place the software on the network for your users). Make sure the directory is shared and users have full rights.

7. Click Next. A screen summarizing all the data you entered in the Deployment Wizard appears.

8. Click Finish. A progress screen appears.

9. When complete, a final screen appears confirming the installation.

Installing/Updating Accounting for Nonprofits 6.4 on WorkstationsOnce you install Accounting for Nonprofits 6.4 on your server, all workstations have access to the software deployment package you created. After you install Accounting for Nonprofits 6.4 and its components, you should reboot your computer.

Each workstation must complete the following procedure to install Accounting for Nonprofits 6.4. You must have administrative rights to install Accounting for Nonprofits. 1. Close all applications, virus scanning software, and the Microsoft Office

shortcut toolbar.2. Disable any screen savers.

When installing Accounting for

Nonprofits to user workstations, the installation path written to the registry is written as a UNC path.

3. Select Run from your Windows Start menu.

4. Browse to the shared deploy directory and select the “setup.exe”.5. Click OK. A screen asking for the destination location appears.

6. If you selected a default installation directory when you established the deployment package, the location defaults. If not, the workstation user must enter a location in the Destination Folder frame by clicking the Browse button or accept the program default.

The Blackbaud Management Console helps you better manage your database. The management console includes links to several database-maintenance utilities. You can access the utility links from the Blackbaud Management Console Welcome screen, which appears after you install Accounting for Nonprofits 6.4. The available utilities vary, based on the server platform you use. The following screen appears when you install Accounting for Nonprofits 6.4 on a Microsoft Windows 2000/NT server platform.

If you use a Windows 2000/NT server platform with the Blackbaud Management Console, you can stop, start, or reconfigure your server; update your Blackbaud software; generate new databases or reconfigure existing databases; and back up, move, rebuild, and restore your databases.

If you use a Novell NetWare server platform, you can reconfigure your server, update your Blackbaud software, and generate new databases. The following section offers a brief overview of all the management console links.Server. This link returns you to the Server Configuration Wizard. From this

wizard, you can change the server name, select to start the database server when the NT server starts, add advanced switches, change the protocol, and change the memory cache. The changes take affect when you restart your database server. Also, when your workstations connect to the reconfigured server, they are automatically updated.

Databases. This link returns you to the Database Creation Wizard, where you can add databases to the program.

Administration. For Windows 2000/NT users, this link offers these database-maintenance tools:

• Backup Database: With the Backup Database link, you can run a full or compressed backup of your database while users continue working in the program. The full backup saves a copy of your database in a directory you specify. The compressed backup compresses your database files into a single Zip file and deletes the copies.

If you upgraded from a previous Blackbaud

Accounting for Nonprofits version and want to perform a manual backup, the database file structure has changed. In previous Blackbaud versions, you backed up the database files bb.db and bb.log. The database files you need to back up in Accounting for Nonprofits 6.4 are afn7.db, afn7.log, afn_glaccount.db, afn_index.db, afn_temp.db, and afn_gltransactions.db.

• Move Database: With the Blackbaud Management Console, you can relocate all or part of any enabled database. Because Blackbaud databases are made up of multiple files, you can select where you want to store each file.

• Truncate Transaction Logs: The Truncate Transaction Logs link removes all log files from your database. If the transaction log file (afn7.log) becomes too large and starts to affect the performance of your database, truncating the transaction log may help.

• Restore from Backup: The Blackbaud Management Console makes restoring your database from a backup simple. If you use the management console’s Backup Database link, all you have to do is click the Restore from Backup link provided on the Administration screen and complete a few easy steps. This process works with full and compressed backups.

• Rebuild Database: After you delete a large amount of data from your database, rebuilding your database reclaims the empty disk space. It also allows you to change your database page size, which may improve system performance.

• Update software: The Update software link accessed through Administration on the Blackbaud Management Console Welcome screen, updates the software deployment package accessed by your workstations. This link takes you back to the Network Deployment Wizard. This is the only way you can update your workstation software. You can no longer physically take the update CD from workstation to workstation to perform this task.

• Server Status: For Windows 2000/NT users, this link starts and stops your database server and displays the server’s current status.

Frequently Used TermsThis section defines words and phrases you need to know as you work in the management console. If you come across an unfamiliar term when reading this or any other section in Blackbaud documentation, make sure you check the online glossary in the help file.Database. A database is a collection of information organized in such a way that

a computer program can quickly select desired pieces of data. It works much like an electronic filing system. Traditional databases are organized by fields, records, and files. A field is a single piece of information; a record is a set of fields; and a file is a collection of records.

LAN. LAN is an acronym for local area network, a group of computers and other devices dispersed over a relatively limited area and connected by a communications link. This link enables any device to interact with any other device on the network. LANs commonly include workstations and shared resources, such as laser printers and large hard disks.

NetBios. NetBios is an application programming interface (API). Short for Network Basic Input Output System, it augments the DOS BIOS by adding special functions for LANs. Almost all LANs for PCs are based on the NetBIOS.

IPX. IPX is an acronym for Internetwork Packet Exchange. This protocol in Novell NetWare governs the addressing and routing of packets within and between LANs. Unlike SPX, IPX does not guarantee a message will be complete.

IPX/SPX. IPX/SPX is the network and transport level protocol used by Novell NetWare, which together correspond to the combination of TCP and IP in the TCP/IP protocol suite.

Network installation. A network installation configures the system for multiple users on multiple workstations. Data and the database engine are installed on a server. To access data from a workstation, you must start the database engine.

Protocol. A protocol handles data routing and addressing. If the network protocol fails, the workstations cannot connect to your database.

Root directory. In a computer file system organized as a hierarchy or tree (Microsoft Explore), the root directory is the directory that includes all other directories.The root directory has no name. It is simply represented by the special character (C, D, E) that separates directories in a file system.

Server. A server is a powerful computers or processor dedicated to managing disk drives, printers, or network traffic. Servers are often dedicated, meaning they perform no tasks other than server tasks. For example, a dedicated database server, processing database queries, has no other functions besides processing the queries.

SPX. SPX is an acronym for Sequenced Packet Exchange. This is a transport-level protocol used by Novell NetWare. SPX uses IPX to transfer the packets, but SPX ensures messages are complete.

Standalone. A standalone system (also referred to as a single-user system) is set up for one user; data is accessed from one workstation. To access data, you can open any program module. You do not need to start the database engine independently.

TCP/IP. TCP/IP is an acronym for Transmission Control Protocol/Internet Protocol. The Department of Defense developed this protocol for communications between computers. TCP/IP is built into the UNIX system and has become the standard for data transmission over networks, including the Internet.

UNC. UNC is an acronym for uniform naming convention, the system of naming files among computers on a network. UNC ensures a file on one computer has the same path name when accessed from any other computer on the network.

WAN. WAN stands for wide-area network, a geographically dispersed telecommunications network. The term distinguishes a broader telecommunication structure from a local area network (LAN).

Reconfiguring Your ServerIf, after initializing and configuring your server, you need to make changes, the Blackbaud Management Console offers you a link back to the Server Configuration Wizard. From this wizard, you can change the server name, select to start the database server when the NT server starts, add advanced switches, change the protocol, and change the memory cache.The changes take affect when you restart your database server. Also, when your workstations connect to the reconfigured server, they are automatically updated.

Reconfiguring your server for a Microsoft NT/Windows 2000 database

Before making any changes to your

database or server, we strongly recommend you confirm you have a good backup of your database.

1. On your desktop, click the Blackbaud Management Console icon. The new Blackbaud Management Console screen appears.

4. You cannot change the server platform on which the management console is installed (i.e., changing from a Microsoft NT server to a Novell NetWare). To change the server platform, you must reinstall the management console. Enter an Engine name. We recommend you use the default name - “Blackbaud70”. The program uses this name to identify your database engine on your network.

Blackbaud recommends using our defaults

whenever possible.

5. You can choose to Auto start your database server when the NT Server starts. If you mark this checkbox, the engine starts automatically every time the server boots up.

6. You can also add Advanced Switches to the database server. These switches are used to change the default install settings or to add an extra setting. Advanced switches are not normally required. We recommend you consult a qualified support representative before adding additional switches.

7. Click Next. A screen displaying your network communication link options appears.

The network communication link defines how your server communicates with your user machines. You do not have to mark any of the checkboxes. If you leave this screen blank, the server and users can use all available protocols; however, we recommend selecting a single protocol.Your protocol options include: TCP/IP, NetBIOS, SPX, and IPX. The TCP/IP option is the most popular and efficient protocol used by Windows NT/2000 servers. We do not recommend using IPX and SPX protocols with Windows NT/2000 servers.

In the Optional Parameters fields, you can also add additional switches on a per-protocol basis. The protocol setup switch is used to specify certain protocols or add extra protocol switches to assist with connection to the database. Optional Parameters are normally not needed. Please contact support before adding information in these fields.

8. Click Next. A screen displaying your database cache options appears.

9. To have the program adjust its cache based on server usage and available memory, select the Dynamic Database cache option.

10. If you want to set a specific cache size, mark Fixed Cache, and select the size from the Select cache size field. If setting a fixed cache, we recommend you set it to 20 percent of the sum of the data files (these are in the database folder and may consist of five files: afn7.db, afn_glaccount.db, afn_index.db, afn_temp.db, and afn_gltransactions.db).

11. Click Next. A screen appears informing you the program has enough information to proceed.

12. Click Finish. The program processes your changes and returns you to the Server screen.

13. Click the Click here to START the server link. The management console reconfigures your database server. You must restart the database engine before changes will be implemented.

15. When your workstations access the reconfigured server for the first time, the program announces that the server configuration changed.

If the engine is not started already, you

will not receive this message.

short access time. The computer uses it to store frequently used instructions or data.

We recommend you adjust the cache to at

least 20 percent of the total size of the Adaptive Server Anywhere data files.

7. You must specify a cache size in the Select cache size field. We recommend you adjust the cache to at least 20 percent of the total size of the database. For the Novell NetWare platform, Fixed Cache is your only option.

The management console displays your current database settings and offers you a link to Database Creation Wizard or the Locate Existing Database screen.

5. Locate the database and click Open. A screen welcoming you to The Accounting Database Creation Wizard appears. Because you are upgrading a database, Create an Accounting Database from an existing 6.3 file is your only option. All other options are disabled.

6. Click Next. If you are using a Windows NT/2000 server platform, a screen asking for the location of your 6.3 database appears. You can click Browse to search for the database’s location.

If you are using a Microsoft Windows NT/2000 server platform and your database is unusually large, you can utilize specific hardware characteristics by selecting Use Advanced Database creation settings. A screen displaying the advanced database creation options appears, allowing you to use multiple hard drives. This may enhance system performance.

The accounting database is composed of indexes as well as files. To maximize the performance of your database, you can store these indexes and files on separate physical hard drives in different folders.For example, if your Database index file is large, you may consider placing it on the drive with the most free space. To map the files to the desired location, click the ellipsis. If you select the Use Advanced Database creation settings option, you must enter a location for each file type. You can also change the database page size down to “2K Pages” or up to “16K Pages.” We do not recommend changing the default setting unless instructed to do so by Blackbaud Customer Support.

Updating the 6.4 Software Deployment Package

Before making any changes, we strongly

recommend you back up your database.

With Blackbaud software, you receive regular program updates. With the Blackbaud Management Console, these updates are easily applied to the deployment package accessed by your workstations.Once you update the server machine, you can use the Update Software link, accessed through Administration in the Blackbaud Management Console, to run the Network Deployment Wizard. From this wizard, you can update the software package accessed by your workstations. You can no longer physically take the update CD from workstation to workstation to perform this task. All updates must be done using the deployment package.

You must have administrative rights to

update Accounting for Nonprofits.

After you run this update process, a message announcing the update appears on all workstations when your users log in. They then must install the update before they can continue working on their machine.If you are updating on a Novell NetWare server, you must stop the server when the update is complete and run the server configuration for the server files to be updated.

Updating Blackbaud software on the server machine

1. Place the Accounting for Nonprofits 6.4 Update CD in your CD-ROM drive. A menu screen appears.

2. Select Install Software. The Install Shield Wizard screen appears.

3. Select Update/Repair The Management Console.

Running a Database BackupIf you upgraded from a previous Blackbaud

Accounting for Nonprofits version and want to perform a manual backup, the database file structure has changed. In previous Blackbaud versions, you backed up the database files bb.db and bb.log. The database files you need to back up in Accounting for Nonprofits 6.4 are afn7.db, afn7.log, afn_glaccount.db, afn_index.db, afn_temp.db, and afn_gltransactions.db.

With the Backup Database link, you can run a full or compressed backup of your database while users continue working in the program. The full backup saves a complete copy of your database in a directory you specify. The compressed backup option copies your data files, then compresses the copies into a single WinZip file and deletes the copies. However, if your database contains a single file larger than 4GB, you cannot run the compressed backup. Although this utility offers a convenient way to backup your database while allowing your users to continue working in the system, this should not replace a proper tape backup of your data. This function is not available for Novell NetWare server platforms.If you upgraded from a previous Blackbaud Accounting for Nonprofits version and want to perform a manual backup, the database file structure has changed. directory you specify. If the backup fails, a message box appears,

• The Compressed backup option copies your data files, then compresses the copies into a single WinZip file and deletes the copies. If your database contains a single file larger than 4GB, you cannot run the compressed backup. The option is marked “N/A”.

• You can also select Do not backup.

Truncating Transaction LogsThe Truncate Transaction Logs

option is not available for Novell NetWare server platforms.

The Truncate Transaction Logs link removes all log files from all databases currently added to the Blackbaud Management Console. If the transaction log file (afn7.log) becomes too large and starts to affect the performance of your database, truncating the transaction log may help. Running this link, applies to all log files. This function is not available for Novell NetWare server platforms. You should always make a backup of your data files and log files before running this utility.

Truncating transaction logs

1. Click the Blackbaud Management Console icon on your desktop. The Blackbaud Management Console Welcome screen appears.

2. Under Server Status, click Stop the server. A confirmation screen appears when the server has been stopped.

Moving a DatabaseWith the Blackbaud Management Console, you can relocate all or part of any enabled database. Because Blackbaud databases are made up of multiple files, you can select where you want to store the files. The Move Database link accessed through Administration, moves selected database files to another drive or directory.

11. Select where you want the file moved and click OK. Repeat this procedure for each database file you want to move.

In most cases there should be no need to

change the location of your data files.

On the Database configuration options screen you can confirm the new location of each database file.Also, in the Disk space requirements frame, the grid displays the selected Drive, the Available space on the drive, and the space Required for the corresponding database file. For instance, in the preceding example, the C Drive has 510.39 mb Available. The database file Requires only 38.47 mb. You should have no problem moving this database file to the new drive.

12. After selecting a new directory for each database file you want to move, click Next. A screen appears, displaying all your move settings.

All database files you included in the move appear along with the Source Directory (where the file is currently stored) and the Target Directory (the directory to which you want the file moved). The screen also displays the directory housing your database backup file.

13. Click Finish. The program processes the move. A screen appears letting you know when the move is complete.

Rebuilding a DatabaseAfter you delete a large amount of data from your database, rebuilding your database reclaims the disk space. It also allows you to change your database page size, which can improve the performance of the program.

The Rebuild Database option is not available

for Novell NetWare server platforms.

11. If you need to change any settings, click Back. To run the rebuild operation, click Finish. A message appears warning you the procedure will overwrite the existing database.

12. Click Yes. A screen appears letting you know when the rebuild is complete.

program appear. Mark the checkbox in the Include in backup column to include the database in the automatic backup.

Uninstall ProcessIf you have a networked version of

Accounting for Nonprofits, repeat this process at the server as well as at each client workstation to uninstall the Accounting for Nonprofits programs.

To uninstall Accounting for Nonprofits 6.4, you should use the Add/Remove Programs interface accessed from the Windows Control Panel. After you uninstall Accounting for Nonprofits, you can then remove associated components such as the Database folder and its contents by using the delete function.When preparing to uninstall, you should consider two factors:• The uninstall will not remove any shared files such as DLLs, OCXs, Login

Manager, BBSecurity, or any other individual file unique to Accounting for Nonprofits unless you specify otherwise.

• The uninstall will remove the Accounting for Nonprofits executable files (denoted by the extension .EXE) or any other individual file unique to Accounting for Nonprofits except for the contents of the Database folder.

Uninstalling Accounting for Nonprofits

1. From Windows, click Start on the task bar. The Start menu appears.2. Select Settings, Control Panel. The Control Panel screen appears.

Installing SQLA and ASA on the Same ServerThere are no specific installation considerations when installing Accounting for Nonprofits 6.4 server components on a server housing The Raiser’s Edge 6.4, AO/RO, or Academy. The Raiser’s Edge 6.4, AO/RO and Academy use the SQL Anywhere database engine. The SQL Anywhere database engine runs independently of the ASA database engine used by Accounting for Nonprofits 6.4 and Raiser’s Edge 7. The only configuration consideration is connecting the Raiser’s Edge 6.4 and Academy database to the Accounting for Nonprofits 6.4 ASA database. Please see “Configuring Accounting for Nonprofits 6.4 with Raiser’s Edge 6.4” on page 161.

Configuring Accounting for Nonprofits 6.4 with Raiser’s Edge 6.4

You need The Raiser’s Edge 6.4.2.44 or higher

to install with Accounting for Nonprofits 6.4.

Additional procedures are required if your organization posts transactions from The Raiser’s Edge 6.x to General Ledger for Windows. If Accounting for Nonprofits 6.4 is installed on The Raiser’s Edge workstations, no further action is required. If Accounting for Nonprofits 6.4 is not installed on The Raiser’s Edge workstations, please read the information below to ensure a successful integration between these products.

Installing Accounting for Nonprofits 6.4 with Raiser’s Edge 6.4

1. Confirm you have updated to The Raiser’s Edge 6.4.2.44 or higher; see the Installation Guide for The Raiser’s Edge, located in the Manuals directory of the Update CD, for more information

2. Confirm you have updated to Accounting for Nonprofits 6.4.3. For workstations that do not have both Accounting for Nonprofits 6.4

and The Raiser’s Edge 6.4.2.44 or higher installed, complete the following tasks:

• From the workstation where The Raiser’s Edge resides, run the RE6.xIntegrate.exe found in the tools directory on the Accounting for Nonprofits installation CD. This utility will install the files needed to connect to the Accounting for Nonprofits 6.4 database.

If you run the RE6.xIntegrate.exe

utility a second time, the files will be uninstalled.

• You will be prompted for the database server and alias for the Accounting for Nonprofits 6.4 database. The server is typically Blackbaud70 and the alias is typically DB_1.

You will now be able to connect to the Accounting for Nonprofits 6.4 database from The Raiser’s Edge 6.4.2.44 or higher.

Configuring Accounting for Nonprofits 6.4 with Raiser’s Edge 7

Before updating, please be sure to shut down

the SQL Anywhere and Adaptive Server Anywhere database engines.

If The Raiser’s Edge 7 and Accounting for Nonprofits databases reside on the same server:• Accounting for Nonprofits 6.4 must be installed after The Raiser’s Edge,

version 7.01.• If The Raiser’s Edge 7.01 is uninstalled on the server, then Accounting for

Nonprofits 6.4 must be reinstalled.• If Accounting for Nonprofits 6.4 is uninstalled on the server, then The Raiser’s

Edge 7.01 must be reinstalled.

Make sure you have updated to The Raiser’s Edge 7.01.310; see the Installation Guide for The Raiser’s Edge 7, located in the Manuals directory of the Update CD, for more information. Also make sure you have updated to Accounting for Nonprofits 6.4.

Installing Accounting for Nonprofits 6.4 with Raiser’s Edge 7 on a Standalone Machine1. Login to The Raiser’s Edge 7.01.2. From the Raiser’s Edge bar, select Config. The Configuration page

appears.3. Click the General Ledger link. The General Ledger page appears.4. Mark the Blackbaud General Ledger present checkbox.5. Select the Local option and browse to the AFN database folder. Even if

you are upgrading from Accounting for Nonprofits 6.3 to Accounting for Nonprofits 6.4 and the database folder is correct you must still browse to that folder. Browsing to that folder will change the Data Source connection on that machine.

6. Select any other Config tab in The Raiser’s Edge 7.01 to save the changes and then select to Exit and sign out of Accounting for Nonprofits 6.4 and The Raiser’s Edge 7.01.

7. Run the ConnectREtoGL.exe found in the tools directory on the Accounting for Nonprofits installation CD.

You will now be able to connect to Accounting for Nonprofits 6.4 from The Raiser’s Edge 7.01.

Installing Accounting for Nonprofits 6.4 with Raiser’s Edge 7 on a Network1. Login to The Raiser’s Edge 7.01.2. From the Raiser’s Edge bar, select Config. The Configuration page

appears. 3. Click the General Ledger link. The General Ledger page appears.4. Mark the Blackbaud General Ledger present checkbox. 5. Select the Network option. Change the Server name and Alias to reflect

the new name of the Accounting for Nonprofits 6.4 database (usually Blackbaud70).

6. Exit and sign off from Accounting for Nonprofits 6.4 and from The Raiser’s Edge 7.01.

7. Run the ConnectREtoGL.exe found in the tools directory on the Accounting for Nonprofits installation CD.

8. Repeat the last two steps for every workstation that needs to connect to Accounting for Nonprofits 6.4.

You will now be able to connect to Accounting for Nonprofits 6.4 from The Raiser’s Edge 7.01.
