1 Using This Guide

This guide is for users of the “Classic” Activant Eagle™ system (also known as the “Legacy” system). If you are an Activant Eagle™ for Windows user, see Eagle for Windows online help for instructions related to the Ace Rewards program.

The purpose of this guide is to help you implement the Ace Rewards program on your Eagle system. Ace and Activant Solutions Inc.™ have worked together to provide you with this additional feature to enhance the use of your Eagle system in your business. This chapter describes the Ace Rewards program and provides information on how to use the guide. It describes:

• an overview of the Ace Rewards program

• who should read this guide

• how this guide is organized

• the conventions used throughout

• other resources for information

Ace Rewards Program Overview

Ace Rewards is a loyalty program designed to reward frequent Ace shoppers, allowing them to earn points that can be exchanged for rebate coupons called Ace Rewards that they can use toward future Ace purchases.

Once a customer has signed up for the Ace Rewards program, the customer receives a card with an A identification number. The customer presents the card at the time of purchase and the items he/she purchases are linked to his/her Ace Rewards card number. This purchase information is then sent to Ace, using Activant’s Vista™ data collection service. Customers earn points based on the amount of their purchases. Four times a year, Ace converts all earned points into Ace Rewards and mails the reward to the customer. Ace Rewards can be used at any participating Ace store.

2 Setting Up the Ace Rewards Program

Before You Begin

The following steps must be completed before you set up the Ace Rewards program on your system:

1. Activant Solutions Inc.™ must have contacted you to verify that:

• you’re on an appropriate software level

• your modem meets specifications and is operational

• you’re participating in Activant’s Vista™ program

2. If you have never received hotsheets (EFM) before, you must contact Ace Electronic Services at 800-777-6797.

3. If you already receive EFM and it runs automatically in an end-of-day queue, you must delete the EFM queue and recreate it. For more information about queues, see the Using Queues document on the Activant website at www.activant.com.

4. Sign up for web-based training on how to use the Ace Rewards application at www.activant.com/wcc.

When you have completed this section, continue with the section, “Setting Up the Ace Rewards Program.”

Setting Up the Ace Rewards Program

To set up the Ace Rewards program, you’ll need to complete the following:

1. Set up the Receipt Printer Opt. field in Function MTR.

2. Add the Ace Rewards SKU in Function IMU.

3. Add security for Functions HCC and HHC.

4. Set up defaults for the Ace Rewards program in Function HCC.

5. Link customers’ Ace Rewards number to his/her MCR account in Function HHC.

Use the following procedures to help you set up the Ace Rewards program on your system.

6 Setting Up the Ace Rewards Program

Setting Up Function MTR

This section describes how to set up the Receipt Printer Opt. field in Function MTR (Modify Terminal Record) for a slaved receipt printer. A slaved printer is one that is connected directly to a terminal and can only be used by that terminal.

If you are using a system receipt printer, you can skip this section. A system receipt printer is one that is used by more than one terminal.

This field determines whether items you post at POS print on the receipt as you post them, or print at the end of the transaction.

When you set up this field using the following instructions, the system does not print a receipt until the transaction is completed. This can be useful if the system needs to reprice an Ace Rewards transaction, because posted items are first deleted from the transaction, then repriced and added back to the same transaction. Using this option can eliminate using additional receipt tape during the repricing process, and ensures a clean receipt for your customer.

This step is optional, but Activant recommends you change this field using the instructions that follow. For more information on how this field is used at POS, refer to the section, “Repricing Ace Rewards Transactions,” in Chapter 4.

1. From the Main Menu, type MTR and press <Enter>.

The Modify Terminal Record screen displays.

2. At the Receipt Printer Opt. field, type EN and press <Change>.

The Receipt Printer Opt. field is in the middle column titled POS Devices.

If you need more information about this field, use online help. To access online help, press <Help> (the F2 key).

3. Press <End> to exit the screen.

Continue with the next section, “Setting Up the Ace Rewards SKU.”

Setting Up the Ace Rewards SKU

Four times a year, Ace will send your customer Ace Rewards for a specific dollar amount, based on the amount of purchases he or she has made. This Ace Reward can then be applied toward future purchases. When the customer redeems the Ace Reward, you post it at POS using a generic SKU number called HHC.

Use the following procedures to add the generic SKU in Function IMU.

1. From the Main Menu, type IMU and press <Enter>.

The Item Master Update screen displays.

Setting Up the Ace Rewards Program 7

2. Add a SKU using the following guidelines. If you need more information about a field, use online help. To access online help, press <Help> (the F2 key).

• Before adding the SKU, create a unique department for it in Function MDE, so you can track its performance separately. For example, you could set up department HH.

• At the SKU field, type HHC. The SKU name must be HHC for the Ace Reward to be redeemed correctly.

• In the Department field, enter the unique department you set up in Function MDE.

• Set the Keep Stock Info?, Keep Prices?, Tax Status, and Discountable? fields on Screen C to N.

3. Press <End> to exit the screen.

Setting Up Security

Before using the Ace Rewards program, you need to set up security for Function HCC and Function HHC. The following security bits need to be added to your user ID in Function MSE:

• Bit 10–allows you access to Function HCC

• Bit 11–allows you to add or change in Function HCC

• Bit 314–allows you access to Function HHC

• Bit 315–allows you to add/change/delete in Function HHC

For more information about adding security bits, refer to your Security Guide (available for download at www.activant.com) or your System Administrator.

Setting Up Function HCC

Use Function HCC (Ace Rewards constants screen) to enter the default settings the system uses when processing POS transactions and transmitting Ace Rewards information to Ace.

To set up Function HCC, do the following:

1. From the Main Menu, type HCC and press <Enter>.

The Ace Rewards constants screen displays.

8 Setting Up the Ace Rewards Program

2. Fill in all fields. If you need more information about a field, press <Help> (the F2 key). Below is a brief description of each field.

a new customer is added to your system. It must begin with an asterisk (*).

Next House Cust No. This is the next customer number that will be used when a new customer is added to your system only if there are no more “*” accounts available.

Coupon SKU This is the Ace Rewards SKU you set up in IMU. You must enter HHC in this field.

POS Link Window This field determines when the POS Link window displays during an Ace Rewards transaction. Activant recommends you set this field to B (both).

Link to Cash Customer Set this field to Y only if you want to link Ace Rewards sales to your default cash customer instead of to each individual customer’s Ace Rewards account. Coupons and other certificates will still be sent to the individual accounts.

Receive Cust Hotsheet Set this field to Y, so that Ace Rewards customers are added (or changed, if necessary) when you receive your hotsheets. Customer information is typically available on Mondays.

3 Downloading Ace Rewards Promotions and Cash Customers

This section describes how to:

• Verify you are set up to receive Ace Rewards promotions and cash customers.

• Download Ace Rewards promotions and cash customers to your system.

• Review the download reports.

• Modify (if necessary) and activate Ace Rewards promotions.

• Identify Ace Rewards promotional items.

Before You Begin

The steps in this section should be completed before continuing with the section, “Downloading Ace Rewards Information from Ace.”

Contacting Ace

Before you can receive Ace Rewards promotions, you need to make sure you are set up with Ace. To verify that you are set up to receive Ace Rewards promotions, contact an Ace Rewards team member at (630) 990-3601. Tell them you have an Activant Eagle™ system and you want to sign up for Ace Rewards promotion downloads.

Setting Up the ACEEFM Control Stream

You download Ace Rewards promotions and cash customers into your system using Electronic File Maintenance (EFM). If you are not currently using EFM, you need to set up the ACEEFM control stream before you continue with this section. In the Ace User’s Guide (available at www.activant.com), read Chapter 2, Setting Up Your System, the section, “Setting Up for Price Changes and EFM.” Within this section, read “Setting Up Control Streams in Function MTC.”

Downloading Ace Rewards Promotions and Cash Customers 11

Important

If you already run EFM in a queue, you must delete the EFM queue and recreate it. The purpose of deleting and re-adding the queue is that the system automatically adds an additional command (“EFMC”) to the transmission, which enables the download of Ace Rewards cash customers.

Continue to the next section, “Downloading Ace Rewards Information from Ace.”

Downloading Ace Rewards Information from Ace

This section describes how to download Ace Rewards cash customers and promotion information using EFM. Cash customers are available for transmission weekly, and promotion information is available for transmission on the fifteenth of each month. Therefore, you must begin running EFM weekly if you are not already doing so. You can queue the EFM to run in a weekly queue.

For more information about queues, see the “Using Queues” document on the Activant Solutions Inc.™ website at www.activant.com.

If you need more information about EFM, refer to your Ace User’s Guide and online help. To access online help, press <Help> (the F2 key).

1. At the Main Menu, type EFM and press <Enter>.

The Electronic File Maintenance (EFM) Screen displays.

2. At Transmission Control Stream, type ACEEFM (or the name you use if it’s other than “ACEEFM”) and press <Enter>.

Multistore: If you receive hotsheets in multiple transmissions, enter the control stream for your store. For example, you are Store 2 and are receiving EFM data for Store 2. Type ACEEFM2 (or the name you use if it’s other than “ACEEFM2”) and press <Enter>.

3. On the Price Change Transmission Screen that displays, fill in the screen as you normally would and press <Run>. For more information about this screen, refer to online help and Chapter 5, “Price Changes,” in the Ace User’s Guide.

4. On the Item File Maintenance Transmission Screen that displays, fill in the screen as you normally would and press <Run>. For more information about this screen, refer to online help and Chapter 6, “Electronic File Maintenance,” in the Ace User’s Guide.

5. On the Promotion Pricing Transmission Screen that displays, fill in the screen as you normally would.

6. Press <Run> to start the transmission.

The message displays, REQUEST HAS BEEN SENT TO CHANNEL. PLEASE PRESS ENTER TO EXIT.

7. Press <Enter>.

This will initiate the call from your Eagle system to the system at Ace. The Main Menu displays.

Verifying the Transmission

After the transmission is complete, use Functions ASYMSG and REPQMSG to determine if promotion data was received with Function EFM.

1. At the Main Menu, type ASYMSG and press <Enter>.

The Async Transmission Log displays. Look for entries about the EFM transmission. You may need to use the <Next> button to reach the correct portion of the log.

Reviewing the Transmission Reports

When promotion or cash customer information is received from Ace during an EFM transmission, you can review the information on the Promotion Pricing Transmission Report, and the Customer Transmission Report, respectively.

Promotion Pricing Transmission Report

If promotion information was received, a transmission report automatically prints. The Promotion Pricing Transmission Report gives you information about the promotion items, including the start and end dates for the promotion and the promotion codes.

The following is an example of the Totals section. It describes which promotions you have received. PROMOTION START & END DATES ID# START END TOTAL hhc02 2/01/03 2/28/03 22 hhc03 3/01/03 3/31/03 24 hhc04 4/01/03 4/30/03 22

Customer Transmission Report (EFMC)

If cash customer information was received, the Customer Transmission Report (EFMC) is automatically sent to the spooler (Function MSP). This report shows a list of customers that have been added and/or updated in the Ace system. The following is a sample of the EFMC report.

Modifying and Activating Promotion Prices

After you receive promotion data with Function EFM, the system places the promotion data in Function MIP. You activate promotion records received from Ace like you do any other promotion. The steps below describe how to make changes to the promotion (if desired), and to activate and deactivate the promotion.

1. Enter any changes you want to make to the Ace promotion in Function MIP, as follows:

• To change an item, type the SKU in the SKU field, type the promotion name in the Promotion Type field, and press <Display>. Type over the field you want to change, remove any extraneous characters with the spacebar, and press <Change>.

• To delete an item, type the SKU in the SKU field, type the promotion name in the Promotion Type field, and press <Display>. Then press <Delete> twice.

• To add an item, first display an existing item by typing the SKU in the SKU field, typing the promotion name in the Promotion Type field, and pressing <Display>. Now simply type the new SKU over the old SKU, remove any extraneous characters with the spacebar, <Tab> to the Promotion Price field, enter the promotion price, and press <Add>.

2. When you are ready to activate the promotion, run Report RUP with Option F. The name of the promotion is in the format HHCXX, where XX is the month of the year. For example, HHC02 is the name of an Ace Rewards promotion for February.

3. When the promotion end date is reached, run Report RUP again with Option F. If you want a report of promotion history, run Report RPM before running Report RUP with option F.

Downloading Ace Rewards Promotions and Cash Customers 15

The reports can be added to an end-of-day queue. For more information about promotions, refer to the Pricing and Promotions Manual, available at www.activant.com.

Ace Rewards Promotions versus Other Promotions

You should know that the system handles Ace Rewards promotions and non-Ace Rewards promotions differently in some ways. The differences are:

• The Promo Sales Code field in Function IMU, Screen C, is not updated with P when an Ace Rewards promotion is activated. This field is updated for non-Ace Rewards promotions only.

• The Ace Rewards promotion price is downloaded into the new HHC Price field. The HHC Price field is located in the Promo Item Inquiry window in Function IMU, Screen P. Refer to the next section, “Identifying Ace Rewards Promotional Items,” for more information about this field.

• Item promotional history for the last three promotions that displays in the Promo Item Inquiry window in Function IMU, and in POS, is not updated when the Ace Rewards promotion is deactivated. You can, however, print the Promotion Item Report (RPM) for information about the promotion before deactivating it.

• The Ace Rewards promotion price displays only for Ace Rewards customers. When you display an Ace Rewards item in POS before posting it, the Ace Rewards promotion price is displayed in the Price field if you are selling to an Ace Rewards customer with an assigned HHC ID number. If you have not yet linked the HHC ID number to the customer and you display the item, the Ace Rewards promotion price will not display until you do so.

• When you are selling to an Ace Rewards customer, the Ace Rewards promotion price is included when the system searches for the best price. If the item is on an Ace Rewards promotion and a non-Ace Rewards promotion at the same time, best pricing reviews both promotion prices in its search.

Identifying Ace Rewards Promotional Items

Once you activate an Ace Rewards promotion, you can identify that an item is part of an Ace Rewards promotion in two ways:

• Function MIP–An item on an active Ace Rewards promotion displays the message HHC ACTIVE in the lower right section of the screen.

16 Downloading Ace Rewards Promotions and Cash Customers

• Function IMU–An item on an active Ace Rewards promotion displays the Ace Rewards price in the Promo Item Inquiry window. To view the window, press <Promo> in Function IMU, Screen P.

Redeeming Ace Rewards

Before reading this section you need to have the Ace Rewards Coupon SKU field set up in Function HCC. Refer to Chapter 2, the section, “Adding the Ace Rewards SKU,” if you have not yet set up this SKU. Use the following procedures when redeeming Ace Rewards.

1. Begin the Ace Rewards transaction using one of the methods in the section, “Completing Ace Rewards Transactions.”

2. At any time during the transaction, type in the Ace Rewards Coupon SKU from Function HCC. If you set up the Ace Rewards Coupon SKU as “HHC,” you do not have to press <Credit Memo> after entering the SKU number.

3. Press <Enter> to post the item to the transaction, as you normally would.

4. Complete the transaction as normal.

Repricing Ace Rewards Transactions

Sometimes the system may need to reprice an Ace Rewards transaction to ensure that the customer receives any special Ace Rewards pricing to which he is entitled. The system may automatically reprice, or prompt you to reprice, a transaction if:

• you change customer numbers during the transaction

For example: You begin a transaction using cash customer *5. This is your default cash customer and does not have an Ace Rewards ID number assigned to it. During the transaction, the customer tells you he has a charge account he wants to use. The charge account has an Ace Rewards ID number assigned to it. When you enter the new charge customer number, the system reprices the transaction.

• you link an Ace Rewards ID number to a customer after you have already posted items

For example: You begin a transaction using cash customer *5. This is your default cash customer and does not have an Ace Rewards ID number assigned to it. During the transaction, you display the Ace Rewards link window and enter an Ace Rewards ID number. The system checks to see if you have posted any Ace Rewards items and, if so, prompts you to reprice the transaction.

If you allow the system to reprice a transaction, it will void each item and then re-add it to the same transaction after repricing it. If you are using a slaved printer and did not set the Receipt Printer Opt. field in Function MTR to EN, the receipt shows each item repriced as a void. Activant recommends you set this field to EN to provide your customer a clean receipt, and to prevent using additional receipt tape.

Completing Ace Rewards Transactions in Offline POS

This section gives you information about completing Ace Rewards transactions in offline POS.

Completing an Ace Rewards Sale Using Sierra Offline POS

If you need to use offline POS on your Sierra POS station, here are some things you should know:

• Ace Rewards promotion prices must be entered manually. Sierra Offline POS does not maintain the Ace Rewards promotion prices.

24 Using the Ace Rewards Program at POS

• You cannot enter the Ace Rewards ID number when using Sierra Offline POS.

• When you upload offline transactions back into your system, the system will check to see if the customer has an Ace Rewards ID number in Function MCR (in the HHC ID No field). If so, the customer will accumulate points for this transaction.

If the customer does not have an Ace Rewards ID number in Function MCR when the transaction is uploaded, points will not accumulate.

• When selling to cash customers who have an Ace Rewards account, you should ring up the transaction using their cash account number, not the default cash account number. If you use the default cash account number, the customer will not accumulate points for the transaction.

You can look up a cash account number using the Sort Name field, or you may want to keep a printed list of Ace Rewards accounts near the register for easy lookup.

Completing an Ace Rewards Sale Using Standard Offline POS

If you need to use offline POS on your VDT or FDT terminal, here are some things you should know:

• Ace Rewards promotion prices must be entered manually. Offline POS does not maintain the Ace Rewards promotion prices.

• You cannot enter the Ace Rewards ID number when using offline POS.

When you repost the transaction after exiting offline POS, enter it as a normal Ace Rewards transaction. Refer to the section, “Completing Ace Rewards Transactions,” if you need help.

Viewing Report RDJ for Ace Rewards Cash Customers

This section describes how Ace Rewards cash customer transactions will be shown on Report RDJ (Daily Journal Report).

When posting a cash Ace Rewards transaction at POS, you can use either the Default Cash Customer number (for example, *5), or the actual Ace Rewards cash customer number you have created in Function MCR for that customer. It is recommended that you use your Default Cash Customer number so that you do not have to look up each account number before completing the transaction.

When posting a cash Ace Rewards transaction in Sierra Offline POS, however, you must use the actual Ace Rewards cash customer number from Function MCR. If you do not use the actual Ace Rewards cash customer number, the system will not be able to link the Ace Rewards ID number to the transaction when it is uploaded to your system and the customer will not accumulate points for that transaction.

Using the Ace Rewards Program at POS 25

Transactions you complete using the actual Ace Rewards cash customer number are handled differently on Report RDJ in the Cash Totals section than transactions completed using the Default Cash Customer number. The transaction displays in the Detail section of Report RDJ under the actual Ace Rewards cash customer number. In the Cash Totals section, however, all Ace Rewards cash transactions are include in the totals for your Default Cash Customer number. The Cash Totals section does not display a total for each individual Ace Rewards cash customer number.

For example: Your Default Cash Customer number is *5. You have two Ace Rewards cash customer numbers, *102 and *103. You complete a transaction for each customer. The following is an example of how Report RDJ would show these transactions.
