How to do many things and still have some free time.

You are only a person

Two resources are always limited, even if you are young, healthy, powerful, rich, smart, famous, and good looking. (Congrats if you are)

Time. Attention.

Attention is even more precious than time. You can do 60 one minute tasks in one hour that don’t require your attention. If they do, even if they take one minute each you will not be able to do 10.

Choose one List and one Calendar

More than one implies time wasted time synchronizing or conflicts causing….conflicts.

The List is for stuff you can solve on your own. The Calendar is for the stuff you can only solve

with other people (e.g. Meetings) If its in the Calendar it shouldn’t be in the List and

viceversa.

If you do this, you save time spent managing yourself.

Check the one List in reverse.

Check the one List (and Calendar) starting with the future (four weeks works for me)

Check if you have the time, info, tools, pointers, bookings, etc, to do the tasks when they eventually become due.

Check today’s stuff last.

If you do this, you tasks will rarely be late by more than one day.

Stop doing unimportant stuff

Avoid doing stuff if you can afford it. If you can’t avoid doing something, try to

delegate it. If can’t avoid doing something and can’t

delegate it, try to solve it in a batch.

If you do this, you will save time that you can spend doing important stuff. Or nothing.

Stop starting new tasks

Before taking on new tasks, try to figure out if it will take much attention from you.

If you do this, you will save attention that you can spend doing important stuff. Or nothing.

Prioritize and discard or delay.

Prioritize your tasks. Finish what you start. Accept the possibility of the less important

stuff not getting done today.

If you do this, you will rush less, feel no stress, and you will be more productive.

Attention is more precious than time

Manage your attention by having several tasks that motivate you in the pipeline.

Switch between them if necessary so you make progress with tasks that engage your attention.

If you do this, you will rush less, feel no stress, and you will be more productive.

If for one day you feel like doing nothing, don’t.

You have the option to be productive, not the obligation of being so.

If you do this, you will feel better with yourself and you will be more productive I the long run.
