Slide 5 - Enhancements Overview

Slide notesIn this release, we provide new capabilities to help you integrate Project Execution Management applications with Oracle E-Business Suite (EBS) Projects by utilizing web services and performing minimum setup.

You can initiate the project in Oracle Fusion Project Management and build the project and resource plan for the project.

After you are ready to start performing financial management activities such as collecting costs and billing, import the project into EBS, and generate the project budget.

You can continue to execute projects in Fusion using collaboration, scheduling, resource management, and progress tracking capabilities. And as resources report actual hours in EBS, export those to Fusion and track resource utilization of these resources in Fusion.

Slide 6 - Create, Plan, and Schedule Project in Fusion

Slide notesTo leverage this coexistence, first create your project in Oracle Fusion Project Management with the minimum amount of information such as project name and start date.

If you have standard project structures, then create work plan templates including financial tasks and detailed tasks for planning and scheduling. Tasks can have dependencies, resources, and effort on the work plan templates. After you create the project using the work plan template, you can easily make modifications specific to the project by entering key dates, and schedule.

If you are not using work plan template, after creating the project, initially you can create a high level project plan by adding financial tasks and later break them down into smaller tasks for planning, scheduling, and assigning work to team members. You can further develop the plan by building dependencies between tasks and by adding date constraints to drive the project schedule.

Slide 7 - Import Project and Tasks into EBS to Initiate Financial Management Activities

Slide notesAfter the project is initiated in Fusion and is ready for starting financial management, you can import the project into EBS. You must select an EBS project template while importing the project. During the import, the tasks in the EBS work plan template are ignored and only the financial tasks created in Fusion are imported in EBS after validations.

These tasks are also updated in Fusion and marked as ‘integrated’ and locked for structural changes in order to prevent these tasks from getting erroneously deleted or changed in Fusion.

Slide 8 - Develop Resource Plan in Fusion

Slide notesAfter the project is initiated, you can plan for labor and expense resources that will be required for the project in Fusion. As a project manager, you can submit your staffing needs to the appropriate staffing owners.

And, staffing owners can track all the resource requests and their utilization in Fusion while fulfilling the requests submitted by project managers, using scores based on their skills and availability.

Slide 9 - Import Project Resource Plan from Fusion

Slide notesAfter you integrate the project and complete resource planning, you can import project- level resource assignments into EBS.

Project-level assignments of named-person resources, which are mapped by their e-mail IDs, are imported as labor resource assignments into EBS.

And the project-level assignments of placeholder resources, which are mapped by their role name, are imported into EBS as project role assignments.

Expense resources assigned at the project level are imported using the relevant expenditure types in EBS. The expenditure type is determined based on the expense resource name.

If the bill rates and cost rates for labor resources are available in Fusion, you can choose either to retain the rates or to override them with rate schedules available in EBS.

Slide 10 - Generate Project Level Budget in EBS

Slide notesImporting project level labor and expense resource assignments from Fusion, also generates a project-level budget in EBS. A new version of the project budget is generated based on the associated financial plan type while importing the project resource assignments. Ensure that the selected financial plan type is enabled for project level budgeting and has a planning resource list assigned to it. However, if the task-level budgeting is enabled for the selected financial plan type, then the process displays an error.

The process spreads the resource assignment amounts between the start date and end date of the resource assignment. For any of the imported project resources, if the start date and end dates are not available then it spreads them according to the project start date and project end date. The application displays an error if the project end date is also not available.

Slide 11 - Execute the Project in Fusion

Slide notesAfter you build a high-level plan and assign resources on the project, you can start breaking the larger tasks into smaller tasks so that you can assign work to individual team members and track completion of work.

Team members can collaborate on these tasks with project managers, other team members, and even with people outside the project. Team members update the progress of the task and report their percent complete. Project managers can keep track of the progress of tasks, deliverables, and other work items as the project moves forward.

Slide 12 - Update Financial Tasks in Fusion

Slide notesAs the project progresses, you can update other attributes of these financial tasks such as the task number, dates, effort, and task name to accommodate the adjustments you make along the way.

In case of any significant changes to the project, such as scope changes, you can even add new financial tasks.

Slide 13 - Import Project Updates into EBS

Slide notesDepending on the needs of the project, you can set a schedule to import updates to the project plan into EBS from Fusion. Each time you import the updates, the integrated financial tasks are updated with the latest information such as task dates, effort, and task names.

The update process also imports any new financial tasks that are added in Fusion since the process was last run and marks those tasks as ‘integrated’ in Fusion.

Slide 14 - Capture Actual Costs in EBS

Slide notesAs the project progresses, you can collect all project related actual costs in EBS. Labor costs can be reported by submitting the time cards in Oracle Time and Labor.

After these time cards are reviewed and approved by managers, the application records the actual labor hours for the respective projects based on the approved time cards.

Similarly, expenses and any other actual costs associated with the project, are also captured in EBS.

After you perform costing and accounting for timecards in EBS, you can export the actual hours worked from EBS and import them into Fusion to use for actual utilization reporting purposes in Oracle Fusion Resource Management.

Slide notesAfter the labor resource actual hours are costed and accounted for in EBS, export the actual hours for integrated projects in the predefined format required for importing them into Fusion.

Import the actual hours for the integrated projects and shared labor resources into Oracle Fusion Project Resource Management.

Oracle Fusion Project Resource Management uses the project-level resource assignment information and the imported actual hours information from EBS to calculate actual utilization of the shared labor resources.

Slide notesWith this coexistence, you can continue to use the EBS for financial management of your projects such as collecting costs and billing while leveraging Project Execution Management applications for executing your project.

You can minimize the changes to your business processes by retaining the existing business processes for all financial operations and simplifying other business operations related to project execution which leverage the integration between EBS and Fusion.

You can start using Project Execution Management applications by doing minimal setup and start your journey towards cloud adoption.

With Project Execution Management applications, you can leverage the latest innovations and capabilities in planning and scheduling your project. By using built in integration with Oracle Social Network, you can collaborate on projects, tasks, issues, and deliverables with the other project managers, team members, and stakeholders.

Slide notesIntegrating EBS Projects with Project Execution Management applications for managing your project, gives project managers the ability to manage project schedule effectively by defining dependencies and constraints on tasks. The integration also allows project managers to share and collaborate with team members and external stakeholders.

Using Task Management application, project team members can work in truly a collaborative fashion by sharing tasks and deliverables with other team members, by following tasks assigned to others and by collaborating on documents. Team members report progress for project tasks and create and update their to-do tasks from the convenience of their mobile phones.

Resource managers and staffing owners can use the best in-class resource management capabilities to search and match resources based on their skills and availability. Staffing owners track the utilization of their resources across projects and improve it by finding the right resource for the right job.

Slide 18 - Summary of Enhancement Capabilities

Slide notesHere is the summary of the features I have talked about today to use Project Execution Management applications along with EBS Projects for managing execution of your projects. Using the coexistence, you can import projects into EBS after creating projects and building work plans in Oracle Fusion Project Management.

You can import your project level resource plan after building it in Fusion and generate project-level budgets. You can choose to retain the resource rates specified in Fusion or override them to use the rates available in the EBS. During project execution, you can add new financial tasks and update existing financial tasks in Fusion and import these updates into EBS.

As the project progresses, you can record actual costs in EBS and after they are approved and distributed you can export the resource actual hours into predefined templates and import them in Fusion for resource utilization calculations.

Slide 21 - Setup for the Coexistence

Slide notesThe setup for coexistence of Project Execution Management applications with EBS Projects is achieved by performing setups in EBS as well as in Fusion.

In EBS, you need to first apply the appropriate patch and prerequisite patches. After these patches are applied, you can set up the integration with Project Execution Management applications by importing SSL Certificates for the Cloud, and then registering the Fusion web services.

Slide notesYou must set up Project Enterprise Resources to maintain a common set of resources between EBS and Oracle Fusion Project Management.

You can create Project Enterprise Labor Resources for all project-related labor resources in EBS HR.

Alternatively, if you already have EBS HR and Fusion HCM integration set up then you can create Project Enterprise Labor Resources from Fusion HCM resources as well.

You can create the expense resources in Fusion for all expenditure types in EBS.

You can create Project Enterprise Resources in Fusion using file based data import, web services, the user interface, or a combination of these.

Slide 23 - Setup Best Practices

Slide notesHere are some of the best practices to set up this coexistence. Use EBS as your source of truth for the Project Enterprise Labor Resources if you are not using HCM Cloud. You should set up placeholder resources in Fusion for all the project roles to enable planning by project roles.

From the EBS perspective, you must import a project into EBS only after a high-level plan is established in Fusion, and the project as well as all the financial tasks have both start date and finish dates as required for project’s financial management. You must also ensure that initial high-level project plan built in Fusion is stable before importing it into EBS, as once a financial task is integrated with EBS it cannot be deleted.

Also, the project template used for creating the integrated projects in EBS should have financial structure enabled, and be fully shared with versioning disabled for the integration to work smoothly. The plan type specified in the Project Template must have project-level budgeting enabled for creating budgets based on the resource plan imported from Fusion.

Users with Workflow Administrator Web Applications responsibility in EBS can set up the coexistence integration in EBS. Users in Projects Implementation Super User role can access the following features:

• Import updates to Tasks into EBS from Fusion

• Export Actual Hours from EBS to Fusion for Utilization Reporting
