Ozark Gateway Association of REALTORS®, a Regional MLS Board of Directors Minutes Thursday, June 25th, 2020 at 9:30 am Present: Brandi Haddock, Chris Nickle, Jessica Hubbard, Forrest Stodghill, Levi Utter,
Courtney Denney, Amy Hunt, Susi Yust, Michael Wicklund and Jennifer Reaves Staff Present: Kim Cox Roll call was taken from attendance in the room. Meeting was then called to order by President Brandi Haddock. Motion was made to approve the agenda as emailed. Motion made to approve the minutes from the May BOD meeting as emailed. Jessica Hubbard, Officer/Treasurer 1. Received financials as emailed. Motion made and approved to accept financials for May 2020 and YTD. 2. Reviewed Edward Jones portfolio. No motions made at this time. 3. Motion made to trade in 250 of the old Gen I & Gen II lockboxes for 250 new Bluetooth lockboxes, total cost will be
$21,983.38. 4. Motion made to add a line item to the 2021 proposed budget to trade in another 100 of the old boxes for 100 new Bluetooth
boxes; and then another 50 of the old boxes for 50 of the new Bluetooth boxes for 2022; an assessment will be done at the
end of that year for 2023 and so on. 5. Kim to gather projected numbers of membership growth for 2021. 6. The BOD accepted the recommendation from this committee to continue charging the credit card fees to those members that
choose to pay their bills with a credit card, this is a service that comes with a fee from an outside entity and they can also
choose to pay with a check instead. Kim Cox reported on behalf of Michael Wicklund, MLS Chair/1 Year Director 1. Motion made that if an agent marks a listing in the MLS as “Active w/Contingencies”, a mandatory dropdown with the following
options will need to be chosen (one or more): Closing of home, Finance, Inspection, Kickout, Lease w/option to purchase,
Other, REO, Sale of home, Survey, Zoning. 2. Motion made to add “Piers, Tie Downs, Wheels, Tongue, No Tongue and Cross Bars” as options to the “Foundation” section
on Residential, Farm and Rental input forms; not a mandatory field. 3. Motion made for Flex to create, for only Farm, Commercial and Vacant Land listings, a “Y/N” field such as “Tax Value
Available” with a “Y/N” value and then if yes, “Total Taxes” would be an option and if no, a textbox would pop up for an
explanation. 4. This exact verbiage was given to Kim (in writing) from an MREC Investigator/Auditor regarding Line #4 of the RES contract
regarding Municipalities and how agents should handle this line item: a. Be certain the property address is fully identified, either with a complete street address or a legal description. b. You should NEVER put “N/A” in the blank on line 4. c. “Unknown” is permissible. d. Note: During an audit, they will never confirm if the property is or is not inside the city limits to assure that this info was
correctly listed. However, while investigating a complaint from a consumer, it is possible that the information would be confirmed and could cause a liability if incorrect. They know that this was primarily added to the contract for issues in the STL area, but now that it’s part of the contract, EVERYONE must deal with this field. So be careful not to leave it
blank without confirming the info. e. Kim to take to MR Forms Committee to look at the current wording regarding this line and consider an update to it.
5. Motion made to stay with Flex MLS and have the MLS Committee focus the rest of the year on a punch-list to ask Flex for and
any bells and whistles we want added (before our contract renewal in 2021). 6. Motion to send out note to members, regarding a concern during these continued pandemic times, to seek permission from
the listing agent if buyer’s agent is not going to enter the home with their clients. Also adding to that note; a reminder that
houses MUST be locked when done at property and key MUST be put back in lockbox.

1. Strategic Planning – Meeting is scheduled for Wed, July 22 at 11:00 am. 2. Program & Events – Meeting is scheduled for Thur, July 16 at 1:30 pm. 3. Governing Docs – Meeting is scheduled for Thur, July 23 at 1:30 pm. 4. Membership & Community Service – Reviewed minutes. A motion was made to approve the conditional memberships for the
agents listed below:

1. Awards – Meeting is scheduled for Thur, July 23 at 10:00 am. 2. RPAC – Total received for 2020 is $9510; goal amount is $16,192. Committee meets in July to determine if the only event they
want to host is the annual auction in September at the All Member Meeting. 3. Technology – No meeting this month. 4. Nominating – Meeting is scheduled for Wed, July 22 at 1:00 pm. 5. Local Leadership Academy – Class’ graduation is pending; regular meetings are all completed. Recommendation sent to
Program Committee to allow acknowledgement for graduating class at banquet. Recurring Business: 1. Accounts past due presented; 6 agents, 1 company. 2. Random listing audit for every 100th listing is continuing. 3. Tracked monthly violations; 17 for this month. Discussed Clear Cooperation Policy and OGAR’s Facebook page; questions
being sent to NAR Policy Dept for confirmation on certain types of posts and whether or not they are acceptable; also check
with MREC regarding license law. New Business: 1. A recommendation is being sent to Finance Committee to consider allowing 2020 President the ability to travel to an NAR
conference and some MR conferences in 2021 that were missed this year due to COVID. 2. A consumer complaint was brought forward against one of our affiliate home inspectors and reviewed by the BOD. After much
discussion the BOD would like a letter of apology sent to the Seller and an educational letter sent to the home inspector about
our professionalism expectations for affiliates, along with a copy of the complaint. 3. A member brought forward a concern about a listing on the MLS that was only selling the equitable interest. MO law requires
that all true owners be on the listing contract. These are not allowed in the MLS as they are not tangible property. Motion
made to withdraw the listing and contact the broker regarding the rules. All of the above motions passed with majority vote. Meeting adjourned.
