ASA Alerts
The following “alerts” provide reminders of unique characteristics of this assessment and areas
that require special attention.
1. Kanetra Germany, at the SDE, is your primary contact at (334) 242-8038.
2. The Alabama Science Assessment (ASA) will be administered in Grades 5 and 7 during the
window of April 28- May 23, 2014.
3. All students participating in the ASA must take the test in English and on the grade level for
which they are enrolled. No out-of-level testing is allowed.
4. Spring 2014 ASA test booklets, answer documents, Test Administrator Manuals, Pre-ID labels,
special format (large-print and braille) test materials, and ancillary materials will be delivered
March 24-28, 2014.
5. ASA test booklets are serialized (18 point print) in the top, left corner of the test booklets and
boxed in sequential order.
6. The deadline for ordering additional materials, including large print and braille, for testing is
March 20, 2014.
7. A bar-coded, scannable Pre-ID label is placed in the demographic section of the answer
document. The Pre-ID label contains the demographic data necessary to identify the student
taking the ASA, which will eliminate the need to hand-grid the answer document. The System
Test Coordinator or designee(s) is responsible for applying the Pre-ID labels to the answer
documents before testing begins. (The enrollment that will be used to generate the Pre-ID
Labels is the enrollment on January 31, 2014).
8. A unique, 10-digit Student Identification (ID) Number will be used for each student in the
demographic section of the answer document and on the Pre-ID label. The Student ID
Number is the identification number that the state has assigned to each student through INOW.
9. The Pre-ID labels must be placed in the correct section of the answer document. See page
ASA-14 for correct placement of the Pre-ID label. LEAs will receive student reports with no
demographic information if Pre-ID labels are placed in the incorrect section of the answer
documents. Check to ensure placement of the Pre-ID label to correct grade answer document.
Do not place the Pre-ID label on the answer document and bubble in demographics on same
answer document. Do not correct or write on Pre-ID label. Check to ensure correct label and
answer document have been given to the appropriate student.

10. For students without a Pre-Coded Student Identification Bar Code Label, a Generic School
Label must be placed on the Spring 2014 ASA answer document, and the demographic
information on the answer document must be hand-gridded.
11. Each student must be assigned to a Test Administrator who will distribute and collect the
student’s testing materials. Do not distribute materials and then move students to a different
testing location.
12. Special education students attending State-Supported/State-Operated schools will take the
ASA. The LEA is responsible for providing testing materials. The LEA is also responsible
for providing personnel for test administration except for State- Supported/State-Operated
schools that have received permission from the SDE to administer the test
13. Title I private schools will be responsible for their own testing including materials and test
administration. LEAs, however, should continue to consult with their Title I private schools
regarding testing issues in the same manner that they consult with them on other issues.
14. Testing materials should be distributed for the exact number of students being tested in each
setting. The directions for completing the demographic information do not include the use of
a test booklet or answer document for demonstration purposes.
15. Test Administrators may give out scratch paper to any student who requests it. The scratch
paper may be plain white paper or plain paper with lines (no graphic organizers or graph paper).
16. Test Administrators should follow the specified time and instructions that are given in the Test
Administrator’s Manual. Do not give Test Administrators a schedule that has times or
instructions that are different from the times or instructions in the Test Administrator’s Manual.
17. The Test Administrator’s Manual and answer documents are color coordinated to match the
specific color of the corresponding level of the ASA test booklets.
18. The Test Administrator’s Manual is organized with Preliminary Directions first, then Specific
Directions for Administering, including directions for completing demographic information,
and finally, Test Administration Directions for the ASA.
19. Directions are included in the Test Administrator’s Manual which states “if you have any
trouble reading a question, raise your hand and I will help you.” The Test Administrator may
read the test question word-for-word to the student. No explanation of the test question or
further help may be given. There is no set amount of questions that may be read. You must
use your professional judgment.

20. Test Administrators cannot write the beginning and ending times on the board.
21. If students finish early, students cannot read a book or work on anything else.
22. School personnel involved in administration of state testing may not use digital devices
(including but not limited to cell phones, MP3 players, cameras, or other telecommunication
devices capable of capturing or relaying information) during test administration. Violation(s)
may result in disciplinary action/certification revocation. Additional disciplinary action may
be taken by the local education agency (LEA).
23. The possession of a digital device (including but not limited to cell phones, MP3 players,
cameras, or other telecommunication devices capable of capturing or relaying information) is
strictly prohibited during the administration of a secure test. If a student is observed in
possession of a digital device during the administration of a secure test, the device will be
confiscated. If a student is observed using a digital device during the administration of a secure
test, testing for the student will cease, the device will be confiscated and is subject to search,
the student will be dismissed from testing, and the student’s test will be invalidated.
24. Copy machines and printers that have scanning or copying capabilities must be disabled or
removed from all rooms being used for a testing session.
25. For students who take the braille format or large-print format of the ASA and/or qualify
to receive a recording accommodation, refer to Specific Directions for Handling Answer
Documents Involving Braille, Large-Print, and Recording Accommodations on pages
ASA-15.
26. System Test Coordinators will prepare used answer documents and all other ASA testing
materials (regular test booklets, large-print test booklets, braille test booklets, unused or
damaged Pre-ID labels, and unused answer documents) for pick up by Lowry.

28. The System Header Sheet(s) must be included in the top of box #1 of your shipment to ensure
proper processing of used answer documents.
29. Answer documents for State Supported/State Operated Schools will be returned in white
envelopes with a return label for that school. This is the same process used for all schools.
30. Use only white with dark blue ink (header sheets) and grade-specific colors for return labels
which you received in your March 2014 shipment of materials.
31. A System Test Coordinator Packing and Shipping Checklist for ASA Testing Materials is
included on page ASA-23-24 to aid in packing all other ASA testing materials.

32. A student has attempted the ASA science if at least five test questions have been answered
overall.
33. The Special Codes section must be completed for all students who were tested with one or
more approved science accommodations.

35. The system will not receive a hard copy or an electronic file of any data posted on the eDirect
site; therefore, all data must be saved electronically or printed. Data CDs will not be
provided.
36. When inventorying reports, make sure all reports expected were delivered. Notify Kanetra
Germany by August 29, 2014 if any reports are missing.

Schedule for Test Administration
The LEA must plan a schedule of test administration which is appropriate for the system. The
following schedule is included as an aid for planning ASA administration. The additional time is
a specified amount of extra time that may be given to students who are actively engaged in testing.
These times do not include distributing materials or completing demographic information.
Specific directions regarding administration times can be found in the Test Administrator’s
Manual.

Directions for Completing Distribution and Collection Forms
(Figures 1 and 2, Pages ASA-9-10)
Two forms, a System-Level Distribution and Collection Form and a Building-Level Distribution
and Collection Form, are provided for the ASA so that the assignment of testing materials can be
documented. Copies of these forms must be retained for your records.
The Building Test Coordinator must count and sign for all testing materials when they are
issued to the school, and the System Test Coordinator must count and sign for all testing
materials when they are returned to the Central Office. The Test Administrator must count
and sign for all testing materials daily when they are issued for administration, and the
Building Test Coordinator must count and sign for all testing materials daily when they are
returned immediately following test administration.

Directions for Coding Customized ASA Answer Documents
(Figures 3 and 4, Pages ASA-13-14)
Demographic Information
If a Pre-ID label is available for a student, it should be used. See Figure 4 on page
ASA-14 for placement of the Pre-ID label. Specific instructions regarding the Pre-ID label
are found in the Test Administrator’s Manual.
If applicable, the Test Administrator will hand-grid the “Special Codes” section after
testing has been completed.
If no Pre-ID label is available for a student, a generic school label must be placed on the
Pre-ID section of the answer document, and the demographic information must be hand-
gridded using the following directions.
Directions for Completing Demographic Information
Complete the demographic area as follows:
In the box at the top of the answer document, write the following information: STUDENT NAME,
SYSTEM, TEACHER, SCHOOL, DATE OF BIRTH, GENDER, GRADE, TEST DATE
(Month/Year).
Student’s Name: Print the name in the boxes above the circles (one letter per box).
Circles must be filled in to match letters of the name. For each block
left blank, fill in the blank circle.
IAS: Leave blank.
Special Codes: Special codes should be filled in by the Test Administrator after
testing is completed. Fill in the appropriate circle(s) for all that apply.
“Tested in Braille” must be completed for students taking the braille
format.
“Tested with Accommodations – Science” must be completed
for all students who were tested with one or more approved science
accommodations.
Student ID Print the unique student identification number (10 digits) and fill in
Number: the circle to match each digit. The unique student identification number is
the number assigned by the state through INOW.

Specific Directions for Handling Answer Documents
Involving Braille, Large-Print, and Recording Accommodations
Braille Format
Students taking the braille format must be tested in a separate setting. Students who take the braille
format of the ASA will mark their answers to the multiple-choice test questions in the braille test
booklet. Two certified individuals who read braille must transcribe answers to the regular answer
document containing the Pre-ID label/gridded demographic information for the student. These
answer documents are packed with the regular answer documents. The “Tested in Braille”
circle must be gridded.
Large-Print Format
Students who take the large-print format of the ASA and have a recording accommodation to mark
their answers in the test booklet will require two certified individuals to transcribe answers that
the student marked in the large-print test booklet to a regular answer document.
Students who take the large-print format of the ASA and have a recording accommodation to have
their answers recorded by a proctor or assistant will have answers directly recorded onto a regular
answer document.
Both the large-print answer document and the regular answer document with transcribed
responses will be returned for scoring. The large-print answer document and transcribed
answer document must be returned for scoring together. Only the transcribed document will
be scored.
“Tested with Accommodations – Science” circle must be gridded.
Recording Accommodation Students who take the ASA with a recording accommodation to mark their answers in the test
booklet, will require two certified individuals to transcribe answers that the student marked in the
test booklet to a regular answer document.
Students who take the ASA with a recording accommodation to have their answers recorded by a
proctor or assistant will have answers directly recorded onto a regular answer document.

Directions for Completing the School Header Sheet
(Figure 5, Page ASA-17)
A School Header Sheet has been preprinted and preslugged with school and system information
as illustrated in Figure 5, page ASA-17. Extra generic School Header Sheets have also been
provided.
When returning answer documents with preprinted and preslugged headers, include the
“Total Number of Answer Documents Returned” to the scoring center from that grade. A
separate School Header must be completed for each grade tested. The number of
answer documents must be right-justified.
Check all preprinted and preslugged information. If there are any errors, use a generic
header and complete all information.
If you do not have a preprinted and preslugged header for a school, use a generic header
and complete all information.

Directions for Completing the System Header Sheet
(Figure 6, Page ASA-19)
Complete a System Header sheet indicating by grade the number of single documents that are
being returned to DRC. A large print answer document and regular answer document with
transcribed multiple-choice answers count as one document in the large print column of the
System Header.
• For each school listed, enter the number of regular answer documents, large print
answer documents, and the total by grade being returned for scoring. The number
for each grade from each school should total the number entered in the “Total Number
of Answer Documents Returned” column of the corresponding school/grade headers.
If a school or grade did not participate in testing, please write “Did Not Test” next to
that grade.
• Correct errors in preprinted information. Add any new schools or omitted schools at
the end of the log. Do not include state supported/state operated schools.
• If a school is not listed, add the school code and name to the bottom of the list; then
enter the number of answer documents, by grade, being sent for scoring.
• Make a copy of the System Header sheet(s) for your records.
• Place the completed System Header sheet(s) at the top of box 1.

Directions for Packing Used Answer Documents
The Building Test Coordinator will follow these directions for packaging used answer
documents and returning materials to the System Test Coordinator.
Separate used answer documents from test booklets and unused answer documents.
Separate the used answer documents by grade.
Ensure that each answer document has either a Pre-ID label or a generic school label
with student demographic information bubbled. Each answer document must have a
label in order to be scored.
Ensure that the appropriate Special Codes have been completed on all answer documents
when appropriate.
Complete a School Header sheet for each grade within a school returning answer
documents.
Place all used answer documents from a single school and grade in the white envelope(s)
provided. If all answer documents for a grade will not fit into one envelope, use as many
envelopes as needed. Do not place more than one grade (or school) in a single envelope.
Place the appropriate (by grade and school) “Answer Documents for Scoring (Scorable)”
return label on each envelope.
The labels are color-coded by grade. The colors are as follows:
5th grade – orange
7th grade – purple
Number the envelopes containing the answer documents consecutively. (School Envelope:
1 of ____, School Envelope: 2 of _____, etc.) The name of the school and school system
are pre-printed on the labels.
Return all testing materials to the System Test Coordinator.

Directions for Packing Used Answer Documents (for Scoring)
and All Non-scorable Materials
(Figures 7, 8, and 9 Pages ASA-25-27)
The LEA Spring 2014 ASA Pickup Schedule specifies the date for pickup of materials for each
LEA, including all used ASA answer documents, ASA regular test booklets, ASA large-print
test booklets, ASA braille test booklets, unused and damaged Pre-ID labels, and unused
answer documents for delivery to DRC.
See pages ASA-30-33 for the schedule. The schedule does not allow for waiting or arranging
a later pickup date. Lowry will email a reminder for pickup to each System Test Coordinator
during the week of May 19, 2014. Lowry will call to remind the System Test Coordinator of pickup
the day before the scheduled pickup. Upon receipt of materials, Lowry will complete a Receiving
Ticket for the number of boxes received. The System Test Coordinator and the Lowry agent will
sign the ticket. A copy of the ticket will be provided to the System Test Coordinator.
Use the System Test Coordinator Packing and Shipping Checklist for Used Materials to ensure
that all steps in packing and shipping are followed for returning testing materials.
Please follow these directions for returning documents to Lowry for scoring.
Check to make sure that all envelopes have an “Answer Documents for Scoring (Scorable)”
return label affixed. See Figure 8 on page ASA-26.
Sort answer document envelopes by school and by grade (color-coded).
Number the envelopes containing the answer documents consecutively. (System Envelope:
1 of ____, System Envelope: 2 of _____, etc.)
Pack all answer document envelopes, except large-print and transcribed documents, by
school, by grade to include all schools listed on the System Header.
The large-print answer document and transcribed document for each student should
be placed together. Stack large-print answer documents with the transcribed answer
documents for each grade and school together. Pack these answer documents in the large-
print box in which the large-print materials were originally received. Use ASA Large Print
Return Material Labels to label the box. See Figure 9 on page ASA-27. Include these
documents in the counts on both the School and System Headers. Separate headers are
not necessary.
Place the System Header in the first box of answer documents of your return shipment.
Place the School Headers in the first box of each school’s answer documents returned for
scoring.

Put all ASA regular test booklets in sequential order by grade.
Use the boxes that you received your materials in to return materials to DRC.
Pack regular ASA test booklets by grade in sequential order from the highest grade tested
within the system in the bottom of the box to the lowest grade tested in the top of the
box.
Pack unused answer documents on top of the test booklets. (For larger systems, test
booklets may fill several boxes, with unused answer documents filling a separate box.)
Pack ASA large-print test booklets and ASA braille test booklets in separate box(es). An
extra box will be provided.
Place a copy of the LEA Receipt and Return of Alabama Science Assessment (ASA) (Form
S-3) in box #1 of your non-scorable ASA test materials shipment.
Fill any empty space in the box(es) with blank paper, cardboard fillers, etc., to keep
materials from shifting during shipment.
Number the other testing materials boxes consecutively for the system beginning with box
“1 of ___”

System Test Coordinator Packing and Shipping Checklist
for Used Answer Documents and All Non-scorable Materials
Place a checkmark (√) in the blank as you complete each step in packing and shipping to ensure
that answer documents are processed accurately.
______ 1. The pickup schedule for used answer documents and ASA regular test
booklets, ASA large-print test booklets, ASA braille test booklets, unused
and damaged Pre-ID labels, and unused answer documents is on pages
ASA-30-33.
2. Answer documents (except large-print and transcribed answer documents)
are packed by school, by grade.
3. Answer documents are packed for all schools listed on the System Header

5. If State Supported/State Operated schools’ students are tested, their answer

6. The System Header Sheet is placed on top of the first envelope in box #1.
7. The large-print answer documents with their transcribed regular answer
documents are banded by grade and school and placed in the large-print box in
which the large print materials were received. Use ASA Large Print Return
Material Labels to identify the box. See Figure 9 on page ASA-27. Include
these documents in the counts on both the School and System Headers. Separate headers are not necessary.
8. Boxes of used answer documents should be left untapped so the envelopes can
be counted/verified with Lowry during pickup.
9. All regular ASA test booklets are in sequential order by grade.
10. All test booklets are packed by grade in sequential order. Unused answer
documents are placed on top of test booklets if space allows. If not, place them
in a separate box.

Directions for Storage and Destruction
of Testing Materials
Prior to testing, all materials should be stored in a secure central location in the LEA. After test
administration, these guidelines should be followed:
• ASA regular test booklets, ASA large-print test booklets, ASA braille test booklets,
unused and damaged Pre-ID labels, and unused answer documents must be shipped to
DRC (via Lowry) for destruction.
• ASA Test Administrator Manuals should be stored in a secure central location in the
LEA.
