    SIMPHONIA - Super Irreplacable Memories in Perfect Harmony of Nations in AMSEP

    AMSEP (Asian Medical Students Exchange Program) is one of AMSAs program which established since 2003 as an exchangeprogram between students of AMSA. The first trial of AMSEP Twinning Program was formed between Indonesia and Japan in November 2006 and January 2007. The Asian Medical Students Exchange Program (AMSEP) creates opportunities for international preclinical and clinical exchanges between members of AMSA International chapters. The program varies every year as it depends on the host country and university students to organize the schedule. Participating students not only learn about the health system, medical education and healthcare, but also have a great chance to experience the cultural aspects of the exchange country in asocialprogram. All of the contents below will be packed in 7 days great program!

    The number of peole interested in AMSEP is always growing every year. The member of AMSEP International has been increasing. Now, chapters that are involved in AMSEP include: Indonesia, Malaysia, Singapore, Thailand, Philippines, Japan, Taiwan, Hong Kong, UK, Australia, and Egypt. So does with number of hosting universities in AMSA-Indonesia. The increment of the number of hosting universities will need some standardization and guidebook to maintain the quality of AMSEP Indonesia

    AMSEP is a program that can fulfill all philosophies of AMSA which are Knowledge, Action, and Friendship. Thats why AMSEP is always needs to be developed.

    PROGRAM

    KNOWLEDGE

    The knowledge philosophy of AMSA will be fulfilled in the Academic Part of

    AMSEP program. The academic session will all provided in English.

    ACTION

    The Action philosophy of AMSA Will be fulfilled in the Social Part of AMSEP

    program.

    The Friendship philosophy of AMSA will be fulfilled intheCulturalandCity

    TourPartof AMSEP program. Cultural exchangewillmake thefriendship

    bondstronger.

    1. Making the bookletBooklet consist of more or less 20 pages Booklet should contain: a. Cover b. Table of Contents c. Overview about Indonesia (Geography, people, climate, culture, food)

    d. Overview about AMSA-Indonesia (members, structure, Philosophies, national events)e. Overview about University (history, location, facilities) & the City (tourism sites, foods, hallmark, places

    to visit)f. Overview of AMSA-university (activities, number of members, divisions) g. Schedule h. Overview of the program:

    Academic: what kind of academic session will be held during the program (example: Discussion, Lecture, Tutorial, Skills Lab, Practical Lab, Hospital tour, etc) Social act: what kind of social act session will be held during the program (example: orphan house visit, health campaign on elementary schools, health parade, story telling to street children, etc)

    City tour & cultural session: overview of the places you will include to the program. i. Things to bring and dresscodes j. Facilities (accommodation, transportation, electricity, hot water) k. Contact person l. Others: Helpful phrases, currencies, rules and regulations, etc

    2. Making the proposalProposal form template will be given by the Director of AMSEP.

    3. Preparing the programa. Permission from the university

    Its important to get the permission from the university before hosting AMSEP. This permission will be helpful to arrange academic programs and to get monetary support, etc. Proposal and letter might be needed.

    b. Funding You will get money with the total of Rp. 1.750.000,00 x total of delegates from AMSA Indonesia in the

    time of the outbound (time when the Indonesian delegates are sent to the partner country). So if the inbound will be held earlier than the outbound, you have to prepare money with the minimum of Rp. 1.750.000,00 x total of delegates.

    ps: INBOUND: the incoming of delegates from the partner country of AMSEP. OUTBOUND: the sending of Indonesian delegates to the partner country of AMSEP.

    You can do fundraisings for extra money, if you want to make an extraordinary program. The remaining of the money (from AMSA Indonesia) in the end of the program, should be saved and

    will be used for the next hosting that will be done by your university. c. Committee

    The committee is recommended to be consist of: Project Officer Program Division

    This division will arrange the program and make sure the program goes as it is planned. Arranging permissions for academic sessions, preparing for social session, booking the ticket for tourism sites, etc.

    Facilities Division This division will prepare the accommodation, transportation, food, and other needs of the delegates.

    Publication, Documentation, and Media Division This division will prepare the welcoming video, farewell video, welcoming poster, also making Facebook

    group for the delegates and the committee; publicize AMSEP to AMSA-Indonesia (mailing list, Facebook, and Twitter); and documenting AMSEP during the program (taking photos, videos).

    Advisor Including representative and Director of AMSEP AMSA-Indonesia.d. Program

    The standard program is 7 days long. The program should include these components: Welcoming Party

    Welcoming party might included: introduction session, ice breaking games, performances, welcoming video, lunch/dinner, etc)

    AMSA session AMSA session should include a presentation about overview of Indonesian Medical School system and AMSA-Indonesia (the slide will be given by the Director of AMSEP)

    AcademicAcademic session should be in the minimum of 6 hours in total for the whole program. Academic session should be given or translated in English. Academic program can be in a form of:o Discussion or Tutorial o Lecture o Clinical Skills

    o Practical labo Hospital tour

  • o Workshop and seminar o Clinical exposure to puskesmaso Etc

    Social ActThe social act should be held to fulfill Action as one of AMSA philosophy. The social session can be in a form of:o orphan house visit o health campaign on schoolso health parade o story telling to street children o patient visit in hospital o etc

    Cultural sessionThe cultural session should be held to introduce the local culture and beliefs, also to fulfill AMSA philosophy. The cultural session can be in a form of:o Visit to cultural sites o Cultural class and workshop (example: batik workshop, Bali dance workshop, Sundanese language class, etc)

    Free time Farewell party Farewell party might be including: sharing sessions, farewell video, performances,

    souvenir exchange, lunch/dinner,etc) e. Accommodation

    The accommodation for the program can be any place such as: committees house (host family system), dormitory, hotel, apartment, etc. The place should be comfortable, clean, and the room should be air-conditioned (except if the area is cool enough)

    4. Publication to AMSA-Indonesia before & after AMSEP via mailing list and Facebook Pre AMSEP, including: number of delegates, name of delegates, origin of delegates, date of AMSEP,

    overview of the program Post AMSEP, including: number of delegates, name of delegates, origin of delegates, date of AMSEP,

    overview of the program, evaluation.

  • 5. Submitting feedback forms to Director of AMSEP AMSA-Indonesia The form should be filled ONLY by the delegates on the last day of the program. The form template will be given by the Director of AMSEP The deadline is D+7

    6. Submitting evaluation form to Director of AMSEP AMSA-Indonesia The form should be filled with honesty and actuality

    The form template will be given by the Director of AMSEP The deadline is D+30

    7. Submitting documentations of AMSEP to Director of AMSEP AMSA-Indonesia The documentations include pictures, videos, etc. The documentations should be sent with evaluation form The deadline is D+30

    8. Ready for Presentation about hosted AMSEP in one of National Events (NAE, IMSTC, or NLT)

    The university that hosted latest AMSEP must do a presentation in incoming National Event (National Action Event, or National Leadership Training)

    The presentation must include number of delegates, name of delegates, origin of delegates, date of AMSEP, overview of the program, and evaluation, with maximum presentation time of 10 minutes.
