Cork City & County Archives Annual Report 2006 4

1. About Cork City & County Archives The service originates from the Cork Archives Council of 1971, and was one of the first local archives services to be set up in Ireland, reflecting an age-old tradition of scholarship in the Cork area. In 2006, the service changed its name from Cork Archives Institute to Cork City and County Archives.

We are jointly funded by Cork City Council, Cork County Council and University College Cork.

The Archives carries out the following main functions:

• Acquisition and preservation of local archives • Facilitating access by researchers to local archives • Providing an Archives service for Cork local government in line with Section 80 of

the Local Government Act 2001 • Promotion of awareness and appreciation of our local history and heritage

We acquire archives (records with enduring value) which relate any to aspect of the history of Cork City and Cork County, in any format.

The Archives is managed by a professional Archivist, Brian McGee, and is overseen by an Executive Committee comprised of the Archivist, the City Librarian, the County Librarian, and the Librarian of U.C.C.

2. New Purpose Built Building

Lord Mayor Cllr. Deirdre Clune and Joe Gavin, City Manager, with Councillors and Staff of Cork City Council at launch of new Building 2006 was a crucial year for Cork City & County Archives, which saw the service move to a new purpose built building at Great William O’Brien Street, Blackpool, Cork.

Features of the new Archives building include:

• over 600 square metres of air-conditioned strongrooms, with shelving for 25,000 boxes and map drawers for 2,000 map folders

• a Research Room for 12 people including computer terminals and microfilm readers • areas for the reception, cleaning, and cataloguing of archives • a dedicated exhibition/lecture room • area for the digitisation of archives • solar panels to reduce heating costs.

New Archives Building, Blackpool

In March 2006, the construction was completed of the new 12,000 square foot building. The job of transferring all archives safely to the new building was a very large undertaking. Staff of the CCCA spent 4 months from December to March ensuring that all the archives were appropriately listed, tagged and boxed, ready for the move. The CCCA closed to the public for a period of 4 weeks in April during which time the archives holdings were packed, moved to Blackpool, then unpacked and shelved in the appropriate order. A specialist Library/Archive removals firm was contracted to undertake the physical movement of the archives, which ensured that no damage was caused to any documents during the move. Approximately 40% of the shelving space in the new building remains free following the transfer. Following the move, the building was fitted out with furniture and equipment, including a microfilm reader/printer/scanner and a A2 Solar Copymaster book scanner/camera. The new building was officially opened in June 2006 by the Lord Mayor Cllr. Deirdre Clune and City Manager Joe Gavin.

3. Staffing

The following Staff were working at the Archives during 2006:

• Archivist

Page 6: Annual Report 2006-public - Cork · PDF file• ADLIB Archives Information System, ... Cork City & County Archives Annual Report 2006 6 ... 2006/20 Cork Jazz Festival Marketing Association

• Local Authority Archivist • Archives Assistant • Attendant

Employing a second archivist during 2006 enabled us to maintain research room opening hours during periods of leave and during preparations for exhibitions and other activities.

The employment of a second archivist also allowed progress to be made in making collections more accessible through finding aids and in the area of local authority archives and records management. It is hoped that we may see an increase in long term staff numbers in the new building which will allow us to continue this progress in meeting our strategic objectives.

5. New Accessions 2006 During 2006, the Archives continued to acquire new material, from both local government sources and ‘private’ sources. A number of major collections were acquired including City of Cork VEC archives, archives relating to the Cork Dunlop Factory, the Society of Friends Cork archive (on microfilm), and a large set of important archives from Cork County Council. The taking in of many of these sets of archives involved a considerable amount of work by Archivists and support staff in cleaning, boxing and listing. Accession Number

6. Finding Aids and Descriptive Listing In 2006, good progress was achieved in making our archives more accessible by producing finding aids to collections and by publishing descriptive information about our collections on our web site. While basic accessions lists are available for much of the holdings, a large amount of full cataloguing of collections remains to be undertaken. However, the CCCA now has resources and infrastructure in place which will allow steady progress in this and other areas.

Archives Database System In 2006, the ADLIB archives database system was purchased as part of the fit out for the new archives building. The fond level and series level descriptive information in the existing Access database was successfully imported into the new system. The new system has powerful cataloguing and retrieval features which will, in the future, help to make available to our customers detailed and integrated finding aids over the internet.

Hurley Emigrant Letters Descriptive listing of the Hurley Emigrant Letters was completed by the Archivist. The major part of the collection comprises of 122 letters home to Ireland from Michael and Denis Hurley in the United States over a period of 77 years from 1871 to 1938. The present collection is a valuable source for the history of Irish emigration to the United States in the late 19th century and the early 20th century, in particular documenting the experience of those who continued their migration westwards rather than remaining in the more traditional Irish urban centres such as Boston, New York and Chicago. The collection documents the response of Irish emigrants to the daily struggle to make a living in a new country and their coping with being away from friends and family with little likelihood of ever seeing them

Page 9: Annual Report 2006-public - Cork · PDF file• ADLIB Archives Information System, ... Cork City & County Archives Annual Report 2006 6 ... 2006/20 Cork Jazz Festival Marketing Association

again. It also documents the Irish/Irish emigrant response to some of the political, social, military and economic events in the United States, Ireland and Europe, during the late 19th and early 20th centuries.

George Berkeley Papers Descriptive listing of the Captain George Berkeley papers was completed by the Archivist. Berkeley was appointed in July 1914 as Chief Inspecting Officer for the Irish Volunteers in Belfast and in counties Down and Antrim. The collection contains some material, mainly notes and corresepondence, relating to the organisation and training of the Belfast Regiment of the Irish Volunteers in 1914. Berkeley became involved in the Irish Dominion League in 1920. The League was formed as a platform for the promotion of dominion Home Rule for Ireland. The collection contains correspondence relating to the League such as from Henry Harrison, Honarary Secretary from the London Committee of the League and circular letters from Sir Horace Plunkett.

Wilkie Photographs The Descriptive listing was completed by the Archivist of the Wilkie photographic collection (dating from c.1890-1910) of Cork and environs. This collection consists of 95 photographic prints, made or collected by Wilkie Photographers, King Street (Mac Curtain Street), Cork, and Guys of Cork. Mainly consists of photos. of Cork City and environs, but also for a few locations in County Cork. Mainly photographs of buildings, streets and quays in Cork City, including a number of Patrick's Street, Grand Parade, South Mall and Merchant's Quay. Sailing ships, steam ships and electric tramways are in evidence in some of the photographs. Also includes a few photographs of Queenstown (Cobh) County Cork, and Cork Harbour. Most prints are of fair to good quality.

Chillingworth & Levie Architectural Drawings This collection of nearly 4000 architectural drawings was acquired during the early 1990’s. The content includes drawings for mainly private or business premises all around Cork City and County, including a number of Cork cinemas, plus Roches Stores and the Queens Old Castle on Patrick’s Street. Claire Murphy, Archives Assistant, descriptively listed each drawing starting in 2005/6 under the supervision of the Archivist. The inputting of this information into our Maps Plans and Drawings Database was completed in 2006.

7. Digitisation and Microfilming During 2006 the Archives completed the full digitisation of the List of Cork Members of the Irish Volunteers from 1913-1914. The information from the original membership slips (which form part of the Liam De Roiste Papers), was entered into an electronic list and published

Page 10: Annual Report 2006-public - Cork · PDF file• ADLIB Archives Information System, ... Cork City & County Archives Annual Report 2006 6 ... 2006/20 Cork Jazz Festival Marketing Association

Cork City & County Archives Annual Report 2006 10

on our web site in PDF format, which is searchable by surname and by membership number. In many cases the address and occupation of the Member is also recorded.

Also fully digitised (and placed on the web site in PDF format) was a List of Street Traders and Stall Holders, extracted from a Cork City Town Clerk’s Department file, dating from 1928 and giving details of the names, addresses, stall locations and the types of items being sold.

Selections of images of both the Wilkie photographs and items from the recently conserved Day Papers scrapbook were digitised and are due to go on the web in 2007.

Cork Quaker Archives In 2006, CCCA carried out a jointly funded project with the Heritage Council and the Society of Friends to microfilm the Cork Quaker archives held in the Quaker Historical Library in Rathfarnham, Dublin. CCCA has thereby acquired a microfilm copy of this very valuable collection, which contains records going back over 300 years.

8. Conservation and Preservation

Item from the Day Papers Scrapbook

Day Papers Scrapbook In 2006, the professional conservation was completed of a large Day Papers scrapbook. This was part funded by the Heritage Council. The largest single item in the Day Papers collection, the scrapbook prior to conservation was too fragile to be used in research and was at risk owing to the ongoing deterioration of the paper, despite good environmental conditions at the Archives. The conservation process was carried out by Paul Curtis of

Page 11: Annual Report 2006-public - Cork · PDF file• ADLIB Archives Information System, ... Cork City & County Archives Annual Report 2006 6 ... 2006/20 Cork Jazz Festival Marketing Association

Muckross House, Killarney, and involved separating individual items from the original scrapbook paper, which was of poor quality, cleaning and repairing each item, and installing the items in transparent archival polyester folders which were then bound together as volumes. The professional conservation and repair of the scrapbook has ensured that the document has been preserved for future generations, and that it is now available again for use in public research, exhibition and for digitisation projects.

Preservation: New Building Environment The new archives building has greatly enhanced our capability to preserve archives through the provision of large air conditioned strongrooms which meet the requirements of the standard BS:5454 (2000). As well as having proper shelving, the strongrooms are maintained at the appropriate temperature and humidity and this is monitored using electronic loggers 24 hours a day.

9. Research Room The Archives provides a supervised Research Room where researchers may carry out research under secure conditions. The new building’s Research Room can cater for up to 12 researchers including access to the internet and a microfilm reader/printer. The response of our customers to the new facility has been very positive.

Opening Hours The hours for research by appointment in 2006 were Tuesday to Friday 10.00 to 13.00 hrs and 14.30 to 17.00 hrs.

The busiest months for visits were February, August and November. The quietest were May and June.

10. Outreach and Exhibition

Archives Awareness Month Exhibition

Declan Hasset, Author, and UCC Staff at Launch of Exhibition A joint exhibition was carried out on the ‘Art of Letters’ for the Society of Archivists’ Archives Awareness Month in conjunction with U.C.C. Archives and the Boole Library Archives. The launch of the exhibition was carried out by the writer Declan Hasset and the Lord Mayor Cllr. Michael Ahern, and was a great success.

Denny Lane Exhibition, South Parish Hall In September 2006, CCCA supplied the South Parish Historical Society with our ‘Denny Lane: Renaissance Man’ exhibition panels and copies of documents from the Lunham’s Meats business collection for their Heritage Week exhibition at the South Parish Hall, Sawmill Street.

Group Visits to the Archives

Members of Blackpool Historical Society at the Archives During 2006, a number of groups attended the archives and received a talk by the Archivist and a tour of the new Archives building. Visiting groups included the Blackpool Historical Society, the South Parish Historical Society, and University/College groups.

One visit consisted of an educational introduction to the Archives, where original and copy documents were made available to small groups of school pupils. Each group then co-operated to answer a set of questions concerning the type, content and purpose of each document, and appointed a speaker to explain the document to the other groups.

11. Local Authority Archives and Records Management The new Archives building, by affording much increased storage space, allowed CCCA to act on plans to transfer into archival custody records of historical value identified in County Council offices. Many of these archives were identified during the detailed survey of older records in Cork’s local authority offices conducted in 2005. Large volumes of archives in Offices of the County Council’s North Cork Directorate were prepared for transfer. The transfer of records of archival value to the new premises in Blackpool occurred in November. Almost 200 boxes, over 100 volumes, and a large number of legal deeds for the Mallow RDC area were taken into archival custody. Also in November-December, records of archival value in the strongroom at Annabella were prepared for transfer, being moved to Cork in December with the assistance of Council staff and transport. Also received were Cork North Committee Minutes and Manager’s Orders. The archival material received from the North Cork Offices is rich and varied. In addition to minute books and manager’s orders for the Council’s North Cork District from 1942 to 1990, the collection includes minutes of the Council’s predecessor bodies, the Boards of Health and Public Assistance (1925-42). Also present are Rural District Council and Poor Law Union minutes and other records for Mallow, Charleville, Fermoy, and Kanturk (1890s-1920s), as well as Labourers’ cottages ledgers and related records for the North Cork region (1890s-1970s). The Cork South material consisted of Southern Committee Minute Books, 1944-96, and Assistant County Manager’s Orders, 1942-2001.
