4. Packaging reports

EDIFACT

In order to rationalise packaging reports, Volvo Transport is aiming to encouragesuppliers to include information on packaging flows in DESADV instead of issuingmanual packaging delivery notes.This can be done by quoting the correct packaging number in CPS.PAC-C202-7065 and quoting the correct number of packages in CPS.PAC-7224.

One reference number consists of a fixed combination of packaging types and theirnumbers.

The reference number is a unique identification for a unit load which is usedthroughout the Volvo Group.

Reference numbers are supplied by the responsible packaging technician at eachcompany.

When it comes to small boxes, the reference number does not refer to the entireparcel but only to one small box. Volvo Transport then adds the number of smallboxes and any additional packaging. Reference numbers for small boxes can beobtained from Volvo Transport.

When it comes to deliveries to Volvo Car’s production companies, the code ARTcan be quoted in CPS.PAC-C202-7065 as an alternative to the packagingreference number. If the supplier uses this technique, Volvo Transport ensures thatthe amount of packaging which surrounds the article automatically corrects thepackaging balance.

Regardless of which alternative is used, Volvo Transport will record the packagingflow in the report list, as it has previously done, but with a reference to the deliverynote number i.e. AVIEXP/DESADV number.

For both techniques - reference number and code ART- the following applies:

• that correct reference number - or ART - is quoted in CPS.PAC-C202-7065

• that correct number of packages is quoted in CPS.PAC-7224 Note! In the case of small boxes, the number of small boxes should be specified.

• that the packaging delivery note form is not deleted until Volvo Transport has been informed and given its approval.

If/when the above conditions cannot be met, the following applies:

• the designation NIL should be entered in CPS.PAC-C202-7065 and a manualpackaging delivery note should be issued.

Special rule:When the consignment contains packaging nos. 99, 100, 150, 151, 152 and/or156, NIL should be entered in CPS.PAC-C202-7065 and a manual packagingdelivery note should be issued, unless another special agreement has been madewith Volvo Transport.

Note:If/when a unit load cannot be followed for some reason, begin by trying to find outwhether there is a reference number for the packaging combination which has beenused before a manual packaging delivery note is issued.

6. Consignment document

Despatch note / Invoice copy

General

This section describes Volvo’s recommendations for consignment documentation. Therecommendation follows the guidelines issued by the Maintenance Group in SwedishOdette.

Documentation

Each physical delivery shall be accompanied by the documents required for theparties concerned with a consignment, to permit them to perform their part of theconsignment task. The parties in most cases are the consignor, transporter, goodsterminal, consignee and in crossborder consignments, the Customs & Excise in eachimporting an exporting country.

The documents which will always be required are:

• despatch note - goods• way bill

Additionally, for export consignments:

• invoice copy• and declaration of origin, where appropriate

ConsignmentA consignment is the same as a physical transport of a given quantity of goods fromONE consignor on ONE occasion.

One more consignments can be loaded on one and the same transport unit, but noconsignment must ever be split between transport units. If a consignment is too largeto load onto a load carrier, the consignment should be divided up into smaller unitsand re-defined.

A consignment should always be kept together during transport from the consignor tothe final consignee, or to Volvo indicated co-loading depot.

Paper documents vs AVIEXP/DESADVIt is Volvo’s ambition to replace paper documents by electronic documents as soonas possible.The Volvo companies are at various stages of their development, and each individualcompany will therefore make agreements with the suppliers concerned about whenpaper documents can be discontinued.

We must however point out that we are dependent on other parties, such as transportcompanies, Customs Authorities and auditors to reach our goal.

Information in documentsThere are many interested parties in the information flow, information needed toensure a rational flow of material. A more detailed description below about theconsignment information requested in the documents:

• despatch note (domestic consignments)• invoice copy (export/import consignments)

Note:In the following sections, only information on the invoice relating to it as a deliverydocument will be described. The function of the invoice as a payment document willbe covered in INVOIC specification..

The requirements for information on way bills will be notified separately by VolvoTransport.

The requirements for packaging despatch advice will also be notified separately byVolvo Transport.
