ABOUT THIS DOCUMENT This User Guide will get you started with the reports, dashboards and cubes that are a part of the Accounts
Receivable Solution. Rock-Pond groups all of its business intelligence content (reports, dashboards and cubes)
into one of 8 solutions. We recommend a 3 step approach, “DIVE IN, MANAGE AND ANALYZE” to understand
what is available and begin using Rock-Pond products effectively.
1. DIVE IN to the reports – there are many reports in the billing solution, grouped into report groups and a “catch all” report group called other. This document will go through the most commonly used reports in the business solution. Once you understand and master these you will be able to go through the other report groups to find what you need.

2. Review the dashboards to understand how they will help you MANAGE your business. Dashboards provide a high level view of metrics that give you access to critical information at a glance. This document will provide an overview of each metric on the dashboard, why it is there and how you can use it.
3. Review the data groups and global views available in the cubes to help you ANALYZE information at a deeper level.
4. Finally, Appendix A and B to have an understanding of all Solutions and how Rock-Pond can assist you further.
REPORT CODE DEFINITIONS
All reports have the same code but depending on what version of CPR+ you are on (Line Item Financials or Legacy)
will depend on the prefix. Legacy will start with “!c2_” and Line Item Financials will start with “!c3_”. Please make
note of the system you are on to find the correct report.
AR SOLUTION OVERVIEW The primary responsibility of the accounts receivable department is to collect the A/R that is due the company. If
every bill was paid when it was received by the payer or patient, there would not be a need for A/R management.
Unfortunately this does not happen. The A/R solution gives you the ability to categorize your accounts receivable
in many different ways so you can see where the problems are, reduce risk and prioritize your collection
resources.
ROCK-POND REPORTS – DIVE IN
HOW OLD IS MY A/R BY KEY CATEGORY?
1234Z - A/R AGING ANALYZER
Our powerful A/R Analyzer reveals not only your AR as of a date, the age of your A/R, but also allows you dive in
further by showing you A/R grouped by up to three different key business indicators. The analyzer also shows the
A/R in descending balance order so you can see the highest dollar totals first. To answer the question above, dive
into this report by running it using these guidelines:
Run the report with the default selections except adding “Payor Type” as the primary group with no secondary or tertiary grouping. This provides a nice one page view of your A/R grouped by payer type in descending balance order. Notice the number of patients and invoices out to the right of each payer type.
Now change the parameters to experiment with the other primary group options to see your A/R by categories such as:
Billed payer – to see the specific payers
Therapy – to see what services they received
Invoice Due Collector – to see by the collector responsible for collecting the A/R. Note that this due collector is the person who was assigned to the invoice as the collector, not necessary the person that collects the AR.
Patient Status – to see how your A/R is divided between active and inactive patients
Add SECONDARY and TERTIARY GROUPINGS to get a more detailed view of your A/R by key categories such as:

Payer type and then Payer
Payer type and then therapy
Collector and then payer
Claim type (NCPDP / Major Medical)
To see which patients and invoices make up the group totals simply change the “Show Detail” option to show the detail that is associated with each group. Notice the option on the right to display the billing notes for each invoice to understand the billing and collection status.
This report can be validated using the AR Summary / Detailed reports in CPR+ or the [Rock-Pond] AR Aging by
Payor Type global layout in the AR Cube. Make sure that the reports or layout are ran by the same type of date
(Date Billed or DOS), ran for the same date, and the buckets are set up the same way.
WHAT IS MY DSO (DAYS SALES OUTSTANDING) BY KEY CATEGORY?
1357 – DSO ANALYZER
Providers use DSO as one of the primary indicators of the effectiveness of A/R management. However, the
amount of time it takes to collect an invoice can vary greatly by the method it was submitted (paper vs.
electronic), the payer and therapy, whether it is being paid by the drug benefit (NCPDP) or major medical and
other factors. Follow these steps to see how much time it takes to turn your revenue into cash:
Run this report, providing a date to calculate through and start with only a primary grouping of payer type. Notice your total A/R DSO in the top line in addition to the calculated DSO for each payer type.
Try running it by payor type and then therapy to see why it is taking longer tto get paid for specific therapies.
Rerun this report, changing the groupings to see how the DSO changes and how it is different for different categories of your A/R.
This report can be validated manually. DSO is calculated by dividing the amount of AR as of a date by the total
amount of Revenue during a given period, and multiplying the result by the number of days in that period
measured (DSO = (AR / Revenue) * days). The date to report AR and the number of days in the period just
mentioned can be entered into the parameters of the 1357. To validate the AR and Revenue aspects, use the AR
and Revenue reports in CPR+.
DO WE HAVE A PROBLEM WITH CREDIT BALANCE INVOICES?
1234Z - A/R AGING ANALYZER
In order to answer this question you must be able to see the credit balance invoices separate from the non-credit
balance issues. Often a patient has a balance that is made up of invoices with credit balances. The A/R Analyzer
has a selection parameter that will allow you to see only the credit balance invoices or the A/R excluding the
credit balances. To discover if you have a problem with credit balance invoices, follow these steps:
Run the report with any of the group selections above but change the invoice selection parameter at the top from “Show all non-zero invoices” to “Show only credit balance invoices” to see what credit balances you have.
Now, change this parameter to “Show only non-credit balance invoices” to see the A/R excluding of credit balances.

This report can be validated by using the [Rock-Pond] AR Credit Balance global layout in the AR Cube.
WHAT A/R IS NOT BEING WORKED?
1234Z - A/R AGING ANALYZER
If you have a process where a billing note is recorded each time an invoice is worked by a collector, the A/R
Analyzer can be used to see how old the A/R is based on the last user billing note. This will enable you to quickly
see invoices that are not being worked. Try looking at your INFORMATION like this:
Run the A/R Aging Analyzer using the grouping options selected earlier, but change the date to calculate the A/R by to “The last user billing note date.”
Once you’ve looked at it by last billing note date, see how it is aging by the other types of dates: “Last date billed”, “Date of Service” and “Last transaction date”
Use the Note manager in CPR+ to validate invoice by invoice. Keep in mind that this report will work and be validated only if a billing note is recorded every time an invoice is worked.
HOW CAN I CREATE SPREADSHEETS FOR PAYER PROJECTS?
1282 - A/R EXPORT FOR PAYOR REPORT
When working with a payer to resolve old A/R, you will often be asked to provide a spreadsheet of all of the old
claims in question for their review. This can be a monumental task that takes days and ends up with a
spreadsheet that does not reflect recent payments made. Our A/R Export for Payor report solves this problem by
extracting all A/R for invoices within a date range using date billed or date or service and for specific payers. Since
CPR+ often requires you to set up multiple payers for a single payer, the report allows you to use a wildcard to get
all payers that start with the same letters such as “BCBS”, “Aetna”, etc. Once you get the report into Excel you
can eliminate the invoices you do not want to send.
Run this report for a date range and payer and select “All claims with a balance”. When it is completed, export the data to excel using the “Export to Excel (Data Only)” option.
The spreadsheet produced will contain everything you need to send to the payer – and MORE! There is a row for every line item on the claim, all of the cost and payments/adjustments to date as well as the balance. Simply remove the fields you do not want to send and you’ll have the spreadsheet you need for your payer project in no time. Use the Excel filter capabilities to isolate the records you need.
The report can be validated using the AR Detail report in CPR+, filtered on certain payor. You can also use the AR
Cube in CPR+ Analytics to double check the validation process.
AM I COLLECTING OLD A/R OR CURRENT A/R?
1245AZ - PAYMENT AGING ANALYZER
The older your A/R gets, the harder it is to collect. Although the A/R aging report shows the A/R that is old, it is
helpful to view the payments for the month based on the age of the invoice paid. Our Payment Aging Analyzer
allows you to see what type of payments you are collecting. Run this powerful analyzer like this as a quick-start:
Keep the defaults and enter the payment date range to see the age of the payments received during this date range.

Rerun this report by changing the primary and secondary groupings as you did with the A/R aging report. With this you can quickly see the effectiveness of specific payer projects, collectors and other A/R collection objectives.
The report can be validated using the Cash Aging report in CPR+. Make sure that the date range, the date type to
age cash against, and the aging buckets are the same as the Rock-Pond report.
WHY ARE WE WRITING OFF A/R AND ARE WE DOING IT IN A TIMELY MANNER?
1245BZ - ADJUSTMENTS AGING ANALYZER
It is important to have a clear view of why A/R is being written off, who is responsible for the accounts that are
written off and see at a high level whether they were written off in a timely manner. The Adjustment Aging
Analyzer gives you a detailed view of the A/R that is being written off. We suggest analyzing your adjustments by
running the report like this:
Run this report for the date range and keep the defaults to see the adjustments for the period by payer within adjustment code.
Now, rerun this report by changing the primary and secondary groupings as you did with the A/R and cash aging reports. With this you can spot adjustments that need to be reviewed or adjustment processes, such as writing off A/R too soon or waiting too long, that need to be corrected.
The report can be validated using the Adjustment report in CPR+. Make sure that the date range, the date type to age cash against, and the aging buckets are the same as the Rock-Pond report.
ADDITIONAL REPORT GROUPS
The AR Solution contains the following report groups. To see the reports in each of these groups, view all reports
in the Rock-Pond Information Center grouped by Solution + Report Group
Cash Posting – The reports within this reporting group provides information relating to the organization’s cash such as cash posting, unapplied cash, and productivity of the posting clerks.
Patient Pay – The reports within this reporting group provides information relating to the patient’s payment such as aging and patient statement.
CPR+ ANALYTICS DASHBOARDS – MANAGE CPR+ Analytics enables you to see your business at the “big-picture” level using dashboards and analyze at the
deepest level using cubes. The following is an overview of the dashboards and cubes provided with the billing
solution.
CPR+ ANALYTICS – COMPANY SETUP
The following settings are required for the dashboard and cube in this solution to function accurately:

DASHBOARD – AR MANAGEMENT
The A/R Management Big Picture Dashboard allows you to quickly see A/R metrics for specific segments like high
balances, low balance and patient pay. See 6 month trending A/R metrics and monitor adjustments by type and
amount. Identify your DSO by payer and potential problems through 3 and 6 month DSO.
GAUGE – DSO VS. TARGET
Identify the DSO target values for each CPR+ site and enter it into the monthly target for the current month at
minimum. Then use this element to monitor if DSO goals are being met throughout the month. Our DSO formula
is a simple calculation of your A/R balance divided by the average revenue per day for a period. The number of
days of revenue used to calculate DSO is specific to each organization and can be entered into the Setting option
in the company setup that says: “How many days of revenue do you use to calculate DSO?”
To validate this, run 1357 – DSO Analyzer as of today’s date. Enter the same number of days in the Average Daily
Sales parameter option if the report as the amount entered in the Settings option of your Company Setup.
Combine selected sites to see your DSO for the entire organization, then separate by site to validate numbers of
each site. The compare it with the goal set up in Monthly Targets.

SCORECARD – CURRENT AR
This element allows users to quickly see the total amount of AR for the organization. Run 1234z – AR Aging
Analyzer and combine sites initially to see your AR for all CPR+ sites. The default parameters can be used.
SCORECARD – BAD DEBT RESERVE
It is calculated in Analytics by reserving a percentage of the overall A/R balance from each aging bucket identified.
The Bad Debt Reserve aging buckets and percentages are added in the Business Rules of the Company Setup.
Note the date value that A/R is aged by where asked: “What date do you age AR against?” The bad debt aging
buckets are based on the same value. This scorecard can be validated using the 1389 – Bad Debt Reserve report
or the [Rock-Pond] Current AR by Payor Type global layout. Note that the aging buckets and the % for all three
products need to match.
SCORECARD – LOW BALANCE AR
Based on the balance threshold entered in your Company Setup, the Low Balance A/R element shows the total
amount of A/R for invoices that have a balance less than or equal to your definition of LOW BALANCE claims. To
validate this, run the 1234xz – AR Aging Extract and filter on the low balance value.
SCORECARD – LOW BALANCE INVOICES
Based on the balance threshold entered in your Company Setup, the Low Balance Invoices element identifies how
many claims are currently considered as LOW BALANCE claims. To validate this, run the 1234xz – AR Aging Extract
and filter on the low balance value.
SCORECARD – HIGH BALANCE AR
Based on the balance threshold entered in your Company Setup, the High Balance A/R element shows the total
amount of A/R for invoices that have a balance greater than or equal to your definition of HIGH BALANCE claims.
To validate this, run the 1234xz – AR Aging Extract and filter on the high balance value.
SCORECARD – HIGH BALANCE INVOICES
Based on the balance threshold entered in your Company Setup, the High Balance Invoices element identifies how
many claims are currently considered as HIGH BALANCE claims. To validate this, run the 1234xz – AR Aging
Extract and filter on the high balance value.
SCORECARD – OLD AR
Based on the age threshold entered in your Company Setup, the Old A/R element shows the total amount of A/R
for invoices that are considered OLD A/R. Run the 1234z – AR Aging Analyzer to validate this. Note the number of
day you have entered for the settings of Company Setup. For example, if you put 90 days are old AR then AR
balance of 90 and over aging bucket in the report should validate this scorecard.
SCORECARD – OLD AR INVOICES
Based on the age threshold entered in your Company Setup, the Old A/R Invoices element shows the total
number of invoices in A/R considered as OLD. Run the 1234z – AR Aging Analyzer to validate this. Note the
number of day you have entered for the settings of Company Setup. For example, if you put 90 days are old AR
then number of invoices of 90 and over aging bucket in the report should validate this scorecard.

SCORECARD – PATIENT AR
At any point in the reimbursement process, all or a portion of the account balance can be transferred to the
patient. The Patient A/R element provides the total amount of A/R for patient pay accounts. Run 1234cz –
Patient Aging Analyzer to validate this.
SCORECARD – PATIENT AR (# PTS.)
The Patient A/R (#Pts.) element identifies the total number of patients who have outstanding A/R due from the
patient. Run 1234cz – Patient Aging Analyzer to validate this.
SCORECARD – CREDIT AR
It is very difficult to see credit balances in CPR+ because so often patients who have credit balance invoices also
have invoices with a positive balance and a net balance. Managing your credit balances will help keep your A/R
accurate and reduce liability from owing patients and payers money. This element shows the total balance for
invoices less than zero. Run 1234z – AR Aging Analyzer and show Credit Balances to validate this. You can also
use the global layout [Rock-Pond] AR Credit Balances to make sure the number matched up.
SCORECARD – CREDIT AR INVOICES
In correlation with the element mentioned above, the Credit A/R Invoices element shows the total number of
invoices with a balance less than zero. Run the 1234z – AR Aging Analyzer and show Credit Balances to validate
this.
TRENDING GRAPH – 6 MONTH AR TRENDING
This element is used to see your current A/R by aging bucket and the previous six months of aging in the same
way. As with other aging elements, the date is based on the setup options and the buckets correlate with the
aging buckets created in the bad debt setup. To validate this, run the 1234z – AR Aging for this month and the last
6 months separately.
PIE CHART – PATIENT AR AGING
The Patient A/R Aging element is a pie chart with a breakdown of your patient A/R by age. As with other aging
elements, the date is based on your setup options and the buckets correlate with the aging buckets created in
your bad debt setup. To validate this element, run the 1234cz – Patient Aging Analyzer as of today. Keep the
default parameters and make sure the aging buckets are based on the same date type as identified in Analytics
and the aging bucket correlate with the buckets set up in Analytics.,
TABLE – ADJUSTMENTS BY ADJUSTMENT TYPE
This element shows why A/R is being written off. It provides a month-to-date breakdown of adjustments made
based on the Adjustment Type. Use the company setup to create Adjustment Categories and to identify if the
adjustment types impact revenue. This element can be validated using the 1245bz – Adjustment Aging Analyzer
report by making the Adjustment Type the primary grouping option
TABLE – DSO BY PAYER
Our DSO formula is a simple calculation of your A/R balance divided by the average revenue per day for a period.
Users determine the total number of days used to capture revenue in the company setup. This element shows
your current DSO for each payor and whether it has increased or decreased versus three and six months ago.

To validate this, run 1357 – DSO Analyzer as of today’s date. Enter the same number of days in the Average Daily
Sales parameter option if the report as the amount entered in the Settings option of your Company Setup. Select
PAYOR as your primary grouping option and rerun the report and enter the date for three and six months prior to
today’s date to see your DSO for that time and compare it to the DSO by Payer element.
DASHBOARD – CASH MANAGEMENT
The Cash Management big picture dashboard is a great tool for monitoring cash collected for the current month against cash goals set up for each company. Users can see if they are meeting their overall monthly and daily cash goals, project if they are on track to meet these goals throughout the month, and even zero in on the patient pay cash collections. This dashboard is also used to determine the top 10 payer types for collections, to see if old or current A/R is being collected, and to determine how timely the current cash is collected compared to prior months.
GAUGE – CASH POSTED VS. GOAL
Identify the Cash target values for each CPR+ site and enter it into the monthly target for the current month at minimum. Then use this element to monitor if cash goals are being met throughout the month. The arrow on the gauge points to where the cash goal is set and the needle shows where the company stands for the month as compared to the goal. The MTD percentage below the gauge is calculated based on cash posted divided by the monthly target for select sites plus cash that is posted on “site not assigned.” Run the 1245az – Payment Aging or 1072z – Cash Posting Journal and pick MTD as date range to validate this element.
SCORECARD – MTD CASH
The MTD Cash scorecard is the total amount of cash that has been posted month to date. Run the 1245az –
Payment Aging or 1072z – Cash Posting Journal and pick MTD as date range to validate this element

SCORECARD – CASH VS. REVENUE
This scorecard is used to monitor the amount of cash posted this month versus the amount of revenue billed
including revenue adjustments. Run the 1245az – Payment Aging or 1072z – Cash Posting Journal and 1243 –
Revenue Analyzer and enter MTD as date range to validate this element.
SCORECARD – CASH VS. GOAL (T)
The Cash versus Goal for Today scorecard is calculated by taking the monthly cash target set up in the Monthly
Targets of the company setup and dividing it by the number of business days in the month. The first number is
the daily cash goal, followed by percentage of the daily goal that has been met, and finally the amount left to post
today in order to meet the goal. Run 1072z – Cash Posting Journal for today to validate this.
SCORECARD – CASH PROJECTION
This scorecard looks at the percentage of cash versus monthly goal collected and compares to the time passed in
the month. If 80% of cash is collected and 50% of the month has passed then the projection is good that you will
beat your goal if all things stay the same. If 50% of cash collected and 80% of the month has passed then chances
are the goal will not be met.
SCORECARD – UNAPPLIED
Monitor the cash that has been posted but not applied to an invoice to eliminate collection efforts on paid claims
and to maintain accurate A/R. This element shows the current amount of unapplied cash in the CPR+ system. To

The patient cash versus 3 month average scorecard shows the total patient cash collected month to date versus

Average, try running the 1234cz – Patient A/R Aging analyzer for the current month to date to see what has been
collected for the current month. Then run the same report for the three months prior to this month and calculate
the average per month to validate the target set.
PIE CHART – CASH FOR TOP 10 PAYOR TYPES
The Cash pie chart breaks down the posted cash for the current month to date by the top ten Payer types. All
additional Payer types are grouped as other. Hover over the piece to see the amount posted for that Payer type.

PIE CHART – MTD CASH AGING
The Cash Aging pie chart gives a high level view of whether old or current A/R is being collected by breaking down
cash collected this month into different aging buckets. Aging buckets correspond with those set up for bad debt
reserves in the Business Rules of the Company Setup. Also, the cash is aged based on the Settings option that
allows you to specify how to age A/R (Date of Service, Billed Date, etc.). Run the 1245az – Payment Aging
analyzer for the current month to date to validate the MTD Cash Aging element. Make sure the aging buckets
and date choice correspond to those set up in the Company Setup of Analytics.

The Average Days to Pay by Payer list is a breakdown to see how much faster or slower on average a payer is
paying as compared to the previous 3 month average and 6 month average.

DASHBOARD – OLD AR
The Old A/R dashboard is designed to help collecting AR and allows a quick look to see collection problems and
what invoices carry the most reward for the effort in collecting. By utilizing this dashboard, you will be able to
strategize an approach to handle your late payment collection and prevent your current AR from falling into the
“old” category.

This element shows the personnel who enter notes for invoices over threshold and how long ago they entered the
notes. By looking at this, you can then keep track of the users who are creating notes and working on the
accounts, monitor their progress, and address accountable employees as needed. Use the 1334x – Billing Note
Extract report to validate this element. Filter it on the AR threshold and count the number of notes.
TABLE – TOP 20 INVOICES BY BALANCE OVER THRESHOLD
This element lists out the top 20 invoices by balance over the threshold. Having visibility to the invoice level of old
AR helps you concentrate your efforts on separate invoices and allocate resources to collect money or write it off
