Article Submission Tutorial Welcome to five-step submission process of SEER (v. 2) Este tutorial foi baseado naquele elaborado por Fernanda Moreno Consultora Ibict, e adaptado s necessidades da Revista ClipeOdonto Outubro/2008 The tutorial This tutorial was developed to help authors who want to submit manuscripts to journals that use SEER as editorial system, and especially, to the journal ClipeOdonto. SEER is a software developed to create a journal website and manage and publish a scientific electronic journal. SEER was translated to Portuguese and customized by Instituto Brasileiro de Informao em Cincia e Tecnologia (IBICT) based upon the software Open Journal Systems, created by Public Knowledge Project, of the British Columbia University. Submission process Authors are able to register and submit items to the journal directly through the journal's web site. Submission process has 5 steps. There are available intructions for each step. Authors can also monitor the review process status. To begin submission process, authors must be registered (register link) Overview of submission process STEP 1 Start the Submission STEP 2 Enter the Submission's Metadata STEP 3 Upload the Submission STEP 4 Upload Supplementary files STEP 5 Confirm Submission process Authors do not need to finish all 5 steps of submission at once. It is possible to logout and return after, to continue submission. Authors may begin the submission process again from the step they stopped, clicking on incomplete submissions. Tutorial Contents This tutorial presents a simulation of five-step manuscript submission process. It is possible to go forward or back after second step conclusion. Slides show screens with comments to make understanding easier. To submit articles to ClipeOdonto, author must register, clicking on Register, from upper menu. Information about submission process may be found under information, at right, or under about, from the upper menu. On this webpage, the author must fill in the form about his profile, choosing his username and password. Be sure you are informing a valid. On the field Bio statement, author may inform a summarized resum. Attention: The option author, under register as must be checked to submission process be allowed. After filled the form, author must click on register. Author will receive an acknowledgment e- mail, after registered. Author must click on author in order to access submission area. To start submission process, author must click on indicated link. Step 1 Acceptance of submission conditions (required) Agreement to the Journals copyright notice Selection of the appropriate section for the submission Isertion of comments to editor (optional) Authors must choose the appropriate Journal section for the submission and certify that all conditions of submission checklist were fulfilled and marked. Only after copyright notice acceptance, the submission process can continue. To do so, click on save and continue. Step 2 Authors are encouraged to index the submissions on this step, when they have the opportunity to enter the metadata. Fields that remained empty after register process may be filled now. If there are multiple authors, use the Add Author button to bring up additional fields It is possible to reorder authors in the order they will be listed on publication, to choose correspondence author and exclude authors included by mistake. The webpage also contain other identification data of the manuscript. Abstract and title must be included. Title is a required field. Down on the webpage, terms for indexing the submission must be filled, separated with a semi- colon. After filling the supporting agencies, if applicable, click on save and continue. Step 3 Upload the file to the journal. Information about ensuring a blind review. The System offers instructions to files upload. To upload files (Microsoft Word, OpenOffice or RTF), just search them on your computer, clicking on Search/ Procurar and after you found the manuscript file, click on upload. To ensure that document identification was removed, read the instructions under ensuring a blind review. After upload, the file is renamed by the system, which also register the original name, date and time of upload. To substitute the document, just upload another document under Replace submission file, the same way as earlier. To continue, click on save and continue. Step 4 Optional upload of supplementary files Description of files uploaded Supplementary files, such as research instruments, data sets, etc., may be added to submission. Figures (TIFF or JPEG format, 300dpi) must be uploaded as Supplementary files. Figures must not be inserted into text. Supplementary files (other than figures) may be in any format (Power Point, JPEG, etc.). Uploading supplementary files is optional. If you do not want to submit them, just click on save and continue. Figures must be uploaded as supplementary files and do not be inserted on text. Once supplementary files were uploaded, the system shows a page where supplementary files metadata must be filled. Title is a required field. Down on the page, uploaded supplementary file data are showed. Author can choose to show or not supplementary files to reviewers (editor has the final decision). To continue, click on save and continue. After filling in the metadata, author is sent to step 4 first webpage, where files can be edited or deleted, and others can be uploaded, just as before. To continue, click on save and continue. Step 5 Submission confirmation, where author has the opportunity to review previous steps. IMPORTANT: After confirmation, it is not possible to edit files submitted. In this step, author has the opportunity to review previous steps. To end submission, author must click on Finish submission. Important: If the file size was 0KB, it means that a error occurred. Upload the file again. The system shows a message that indicates the submission conclusion. Author will receive a e- mail confirming submission. To return to the page where review process can be monitored, author must click on active submissions. To see submission data and to edit metadata, author must click on submission title. It is possible to observe submission status, under status. To finish, click on log out. This screen appears after author log out. Help? Contact us:
