Creating an efficient and world class Supply Chain
Routing RulesYou must plan your offer based on how the stock will be
routed
Routing Rules• Asda operates the flow of import products against a set of routing rules developed to maximise the end to end efficiency
• The rules allow us to make sure that we have:
– Sufficient capacity and competitive transit times for all origins– Fastest route to market, driven from store live date– Maximum container cube utilisation– Clear and planned routing from origin to store• One best way of working, simplicity in a complex supply chain
• The method of flow will be defined by the Logistics Optimisation team in the UK, through your buyer.
• Origin support is provided to overcome any difficulties in delivering the required method of flow
Logistics Flow - Golden RulesIn preparing quotes the following rules should be taken into account• Products with any one dimension greater than 1.2m must be agreedwith Asda in advance of any plans being made
• Any warehouse case over 32kg must be in pre-configured palletquantities, and loaded on slip-sheets
• Any warehouse case over 16kg will be required on a slip-sheet
• Promotional lines with total cube over 1,344 m3 will be required on slip-sheets
• A range line with a weekly cube over 96 m3 will be required on slip-sheets
• Warehouse 0 006 m3 on Flow cases under 0.006 m will be required in palletainers
• Warehouse cases between 0.006 m3 and 0.022 m3 will be required onslip-sheets
• Warehouse cases over 0.022 m3 can be loose loaded, unless in one ofthe above categories

Decision Flow
Packaging for FlowThe correct packaging must be used to protect the product and
enable the flow of the product through our network
Packaging for Flow• It is important that you select the correct packaging for the method
of flow so that:– It protects the warehouse cases in transit– Enables effective and safe handling on receipt
• Asda accepts the following methods of packaging for flow:– Palletainer– Slip-Sheets– Loose Load
• When planning the container loading, utilisation is aimed to be as close to 100% of the available space
• Void fill should only be used where absolutely necessary to product warehouse cases in transit
RRP Design TypesWhere Retail Ready Packaging has been requested:• It is important that you make sure you have the correct RRP design
type for the method of flow– Slip-Sheets
• Two piece RRP is required– Palletainer
• Carbon Lite RRP can be used– Loose Load
• Two piece RRP is required• RRP must be designed to allow maximum utilisation of the space
available, this may mean laying them on their side
Packaging for FlowSlip-Sheets
Use of Slip Sheets• Required for high volume lines, over 1,344 m3 for promotional lines,
and over 96 m3 for range lines
• Required for heavy lines whose carton weight over 16kgs
• Used to flow cartons that is more that 0.006 m3 and less than 0.022 m3, or as directed by the Logistics Optimisation team
• Slip sheets are to be used instead of any extra cardboard transit packaging
• Warehouse breakpack packaging is not acceptable
• Loose loaded container can only be accepted for cartons over 0.022 m3.

Slip Sheets• Slip-sheets can not have a footprint (excluding the lip) greater than 1000 mm X 1150
mm and a height greater than 1300mm• Each slip sheet must have a minimum of two handling lips• Slip-sheets need to be strong enough to remain intact during transportation. • Slip-sheets are available in materials including Corrugated Board, Solid Board
(compact paper) and plastics. The Material used has to be capable of handling the load upon it (Tensile Strength)
• Banding or shrink wrap can be used to secure the load
Slip-sheet LIP need to be a minimum of 150 mm in depth (Area used by the Push/Pull Equipment)
Irregular slip-sheet sizes can be requested, for larger products or to improve container utilisation
Corner Boards (If Required)
• Corner boards should only be used where necessary, they are not required as standard
• Corner boards must be used where:– The outer packaging is designed for retail use– Banding is being used to secure the load– Greater structural strength is needed for a slip sheet load
• Boards are required on each edge of the slip sheet load, as illustrated
• Banding or shrink wrap can be used to secure the load
• Corner boards must be:– Width (W) – minimum of 50mm– Height (H) – minimum of 50mm– Length (L) – to match total slip sheet height– Thickness (L) – minimum of 5mm– Vertical strength – Minimum of 275kg each
Packaging for FlowTransit Palletainer
Use of Palletainers• Used to flow cartons that are less that 0.006 m3
• Palletainer are the required method of packaging to flow small store cases
• Palletainer are to be used instead of any extra outer cardboard transit packaging
• Warehouse breakpack packaging is not acceptable
• Loose loaded container can only be accepted for cartons over 0.022 m3.
Palletainer• The palletainer is a large cardboard box, that is used to secure
products during transit.
• It replaces the need for any outer or breakpack packaging required. Store case packaging is required and is specified by the buyer
• The palletainer dimensions:Outer– 1000mm deep, 1150mm wide and either 1200mm, or 600mm highInner– 959mm deep, 1071mm wide and either 1186mm, or 593mm high
• The palletainer design is strong enough to remain intact during transportation.
• The lip on the base tray must be present as per design
• Designed to be used in 40ft high cube containers – 48 palletainers per container
• No banding, glue, stapes or shrink wrap needs be used to secure the load
• Security tape should be used to seal when delivering to the CFS

Use of Shippers
• Pre-built shippers can only be used where requested by the buyer
• Shippers should follow all the normal flow rules
• If a shipper design is over 16kg or with a base more than 1.2m in any one direction, it must be agreed in advance with the Logistics Optimisation team
Shipper – Basic Rules• Shippers over 16kg must have a built in pallet base
for handling
• We accept shippers in three different base sizes:– Quarter Euro, banded in two’s– Half Euro– Full Pallet
• Maximum height for a shipper is 1.3m including pallet base
• Pallet base design must allow for handling with forklift trucks
Packaging Provision• Smurfit-Stone are Asda’s preferred
supplier of packaging for flow
• Prices have been pre-agreed
• Orders should be placed with Smurfit-Stone directly
• One free palletainer can be provided to each factory, against agreed order
• Loading drawings can be completed if required
• All prices exclude VAT and delivery
• Suppliers can chose own provider as long as minimum specifications are reached and the cost is lower

Void Fill• Void fill should only be used where absolutely necessary to protect
the warehouse cases during transit
• Excess cardboard should be used where possible as void fill to minimise any cost
• Acceptable forms of void fill are:– Air bags/Air pillows– High density foam cushioning– Bubble wrap cushioning– Crushed Kraft paper– Shredded board matting– Corrugated roll fill– Bespoke box fill

Palletainer Loading / Un-Loading• The transit palletainer allows for the
increased use of mechanical handling equipment to optimize the shipping process
• Palletainer can be manually loaded

Case Size and Utilisation
The inner case must be designed after it’s orientation has been determined to maximise strength. This is to ensure the flute direction runs vertical and maintains the compression strength of the inner case
Inner case design has to be understood and be designed to withstand a top load of 200Kg over the surface area of 12000 mm x 1000 mm (i.e. 17g per cm2) or own vertical stack weight if greater
This will prevent the cases being deformed under compression whilst in transit, and limit any damages

Loading and Maximising UtilisationIt is import to plan to maximise the utilisation of the container
Load Planning / Analysis• The case dimensions need to be designed to
maximise the use of space in the palletainer
• Ensure efficient fill with appropriate weight to prevent crushing
• A loading diagram must be submitted with the quote sheet to determine the load efficiency
• The load plan must clearly identify the cartons per layer and number of layers
• A key aspect is to ensure that the case / product packaging is designed to work with the load weight applied by the stock above
• This load plan will also be used by the Buyer / Merchandise Planner when placing the order

Equipment Selection
• Asda have evaluated the most cost effective methods of shipping by creating an Equipment Selection Table.
• It is essential that you use the right equipment for the flow of goods –see link to the Equipment Selection rules.
• ASDA use 40’GP, 40’HC containers from all origins and 45’HC from some origins. 20’GP are by exception and need prior authorisation
• Asda aims for as close to 100% container utilisation where possible
• Any utilisation below minimum container fill must be authorised by Asda Imports Team
• If minimum loading levels are not achieved, cargo must be routed through our Consolidation Centre (CFS) unless the under load exception criteria are met

• It is the suppliers responsibility to request the right equipment needed to complete the order.
• Challenge the buyer/merchandiser on any order that does not maximise the use of container space. The Helpdesk can help with improving container utilisation.
• Any balance of stock that is below the minimum (min) indicated must be flowed through the CFS, part filled containers will not be accepted unless the under load exception criteria are met.
• Where there is more than one option, the OCM will offer the best choice of equipment first.
• If the you are unable to load the cargo in the 1st option they will offer the 2nd and 3rd choice.
Equipment Selection Exceptions• Any exception to the equipment selection rules must be
authorised by the Asda Imports Team or by the Origin helpdesk if the load plan has been approved for maximum efficiency.
• There are recovery of costs if the rules are not followed. Please see Claims section for more details.
• Exceptions cannot be approved by the buyer , Supply or Sourcing merchandiser
Container Freight Station (CFS)
CFS Facility• The below is applicable only to Origins where there is a CFS facility. CFS facility contact details
are in the Appendix• Cargo Services operate a number of CFS facilities to support Asda freight shipment
• The CFS must be used for all orders, or part orders, that do not meet the minimum container fill requirements and fall outside exception criteria.
• All CFS costs are paid by the supplier. Rates will be provided by Cargo Services on request
• Freight will be consolidated with other cargo and shipped to Asda. You must build in sufficient time for the consolidation into your lead time – contact Cargo Services for full information.
• Cartons are checked by OCM for damage on delivery into CFS. If stock is damaged it will not be shipped and will need to be collected.
• Stock should be packaged well to avoid damage. If stock is fragile, clearly state ‘FRAGILE’ on cartons and advise OCM when making cargo booking.
CFS Facility• If you do not have enough palletainers to fill a container (as per
guidelines) you must send to CFS for consolidation. unless the under load exception criteria are met.
• Palletainers must be sealed with security tape. OCM will not accept liability for any open palletainers delivered
• Palletainers and slip sheets must be delivered on pallets to enable the driver to unload. OCM will return the pallets to the driver
• It is the supplier’s responsibility to tip goods on arrival at the CFS facility. If you need OCM to do this they will charge you directly for the service.
Shipping
Vessel and Port Selection
• ASDA have nominated shipping lines and determined Ports of Loading – suppliers must use these
• The OCM books the cargo on the available vessels within the ship window and advise which shipping line to use
• The list changes every year and runs from 1st May to 30th April
• Any exceptions need approval from the ASDA Import Team
NOTE: All shipment decisions must be via the Asda ImportsTeam
Inland Transportation• The supplier is responsible for all inland transportation.• Asda requires the supplier to select inland carriers who:
– maintain equipment in safe, dependable working order
– perform background checks on all employees and drivers, and hire only properly licensed and experienced drivers
– provide continuing security training for all employees and drivers
– have procedures to prevent contraband from being introduced into their vehicles, and for verifying seals on containers and trailers
– provide adequately lit, and controlled access to, their facilities
– have systems and procedures for notifying security personnel or law enforcement officials when necessary
– provide references from other shippers, and have a good safety record.
Inco Terms• As outlined in the Direct Imported Products Supplier Agreement, all
deep sea direct import orders for ASDA are on an FOB basis, as outlined in the FOB INCO terms 2000.
• The supplier shall pay all costs relating to the products until such time as they have been properly delivered at the named F.O.B point of shipment and the costs of customs formalities necessary for exportation as well as all duties, taxes and other official charges payable upon exportation.
• This includes all CFS charges, where it is used
• If the goods are produced in a factory inland, the supplier must pay for the goods to be transported to the allocated FOB port.
• Other Inco Terms are only accepted by prior arrangement with the Asda Import Team. These must be authorised in advance
Cargo Bookings• The supplier must make cargo bookings with the OCM 21 days before earliest ship date
• All cargo bookings will be checked against the Asda PO and the confirmed method of flow– OCM will seek authorisation from ASDA Imports if booked data not within tolerance of order
data (e.g. booked port, quantity or ship date different to those on the order).– Any changes to the loading type must be discussed with the help desk, and agreed by the
Asda Optimisation team before any changes are confirmed
• OCM will book cargo on the most appropriate vessel within the ship window
• Full Containers (CY/CY)– OCM will provide containers based on Equipment Selection Rules– Supplier delivers cargo to Ocean Carrier’s Terminal on or before the cut off date.
• Consolidation Loads (CFS)– OCM will advise deadline for delivery to CFS facility– Supplier delivers cargo to the OCM warehouse on or before the CFS cut off date– If OCM can combine with other Asda orders it ships CFS/CY as a full load– If OCM cannot combine with other Asda orders it ships CFS/CFS (LCL)
• If you want to ship from a different port to one specified on the order it must be authorised by the Asda Import Team in advance
Container LoadingFCL Shipments
Only orders from the same supplier are able to load together. If a supplier has orders frommore than one factory they can load together in the same container.
PO and Item Integrity
• To ensure PO and item integrity, containers must be loaded by PO item/assortment.• You must complete the loading of one PO before loading another PO. • If a PO has multiple items/assortments, you must completes the loading of an item/assortment
before loading the next item/assortment, keeping the PO together.– For example, assume a PO with two items (2 lines on the PO), and with each item having an
order quantity of 200 master cases. You should load the container by line, first loading cases 1 of 400 through 200 of 400, correlating to the first line (first item) on the PO. Next the supplier loads cases 201 of 400 through 400 of 400, correlating to the second line on the PO.
• If the cartons are awkward shapes or sizes this should be used as a guide but container fill should be priority. – Jerry advise
• You must ensure that all shipping cases are in good condition, not wet or broken.
Container LoadingLegal Compliance• You must ensure that any loaded container delivered to
the carrier complies with all laws and regulations of each country that the container will pass through.
• ASDA Wal-Mart will file a claim against the supplier for any financial loss incurred as a result of non-compliance.
• After loading container, supplier photographs each container number and seal number. Supplier keeps photographs 3 months after shipment.
Container SecuritySuppliers must have procedures to maintain the security of containers
at the point of loading
We would highlight the following requirements:• containers must be stored in a secure area to prevent unauthorized access or
manipulation;• Procedures are in place for reporting and neutralizing unauthorized entry into
containers or container storage areas;• procedures for confirming the physical security of container structures prior to
loading, including confirming the reliability of the locking mechanisms of the doors a seven-point inspection process is required for all containers:

• Photographs should be taken on the container prior to and during loading
Container Security• If a container seal number changes from the original provided by the supplier in the
container manifest, the supplier and carrier, both, must communicate the change to the OCM and to the Walmart GS shipping office.
• loaded containers must be sealed with a high-security container seal provided by the ocean carrier or OCM;
– Seals must comply with the high security mechanical seal standards in International Organization for Standardization Publicly Available Specification 17712 (ISO/PAS 17712,Freight Containers Mechanical Seals, 2003-01-17)
– Supplier must use the ISO/PAS 17712 compliant seal provided by the carrier. If the carrier does not provide such a seal, it is the supplier’s responsibility to procure and use an ISO/PAS 17712 compliant seal. If a bolt seal is used, it must be unthreaded.
• Supplier must have in place:– procedures for controlling and affixing seals to loaded containers - seals must be used in
sequential order
– procedures for recognizing and reporting compromised seal control procedures or compromised seals or containers to the origin and destination countries’ appropriate government authorities;
• Only designated employees should distribute container seals;
Airfreight Process• Airfreight is only used in exceptional circumstances as it is not low cost or
environmentally friendly.
• Alternate options such as sea-air should always be investigated first. The Asda Imports Team can assist.
• The supplier will be expected to pay 100% airfreight costs including all all origin handling charges
• The shipment term shown on the Commercial Invoice must be changed to C&F Manchester for all prepaid shipments
• All airfreight shipments require authorisation from the Imports Team
• The supplier should not contact a forwarder directly and should not deliver stock to an airport without Import authorisation.
• Stock for airfreight should be packaged in an appropriate secure manner for transit.
Hazardous Cargo• Before completing the supplier quote sheet for an order
containing hazardous material, you must understand the legal requirements for shipping hazardous and dangerous goods.
• You are responsible for complying with all safety requirements mandated by the governments of the exporting and importing countries.
• ASDA Imports Team and the OCM must be advised on any hazardous cargo shipments to ensure legal requirements are followed.
Shipping Flow Chart for ASDAStep 1:
Book with OCM 21 daysprior to the early ship date.
Step 2:
Submit the copy set of documents toWMGDC for verification no later
than the lead timeas shown on the supplier guidelines
after the vessel on-board date
Step 3:
- Normally, WMGS GDC will take 3 working days for verification of
documents.- If the documents are OK,they will release 1 original
SDR to the Supplier.
Step 5a (For L/C Payment):
Submit the documents including the original SDR & 1 copy FCR or 1 CMR for road shipment as
per L/C list to the bank for negotiation.
Step 4:
Pay the local origin charges (if any) & submit the original documents to OCM
in exchange of the 1 copy FCRor 1 CMR for road shipment.

Step 5b (For T/T Payment):
Submit the documents including the original SDR & 1 copy FCR
or 1 CMR for road shipmentto ASDA for payment.
Document Management• It is the responsibility of all suppliers on LC payment terms to ensure all
paperwork is completed correctly and on time
• Any errors or late information may delay shipment or your payment
• All documentation must be submitted to the Wal-Mart Global Documentation Centre (GDC) for verification who will release the SDR when approved. Any queries should be directed to the GDC.
• A document resubmission fee will be charged if there are critical errors or omission from your documents that must be corrected before forwarding to destination.
• IF THE PO SHIPS ON MULTIPLE VESSELS OR IF THE PO SHIPS AS AIRFREIGHT WITH MULTIPLE HAWBs, you must provide the GS shipping office a set of copies for each of the OCM's booking reference numbers or airfreight forwarder’s HAWBs
Vendor Claims PolicyFull Wal-Mart policy applies to all Asda Shipments
Claims Summary• It is our objective to support suppliers to ensure all deliveries are made
correctly.
• Errors or discrepancies increase costs and can cause missed sales. Any charges will be sent to the supplier fro the below criteria.
• Incorrect labelling• Incorrect, incomplete or missing documents• Vague or misleading descriptions• Late or incorrectly submitted documents or bookings• Product shipped but not declared on the invoice• Product details different from details in documents• Incorrect dates or addresses• PO box instead of street address• Failure to comply with government regulations• Incorrect packaging leading to rework .• Incorrect loading leading to rework .• Incorrect loading leading to extra man hours at depot.• Substandard Palletainers• Substandard Pallets• Substandard Slip sheets• Minimum container fill is not met for factory loads. (see under load claim)
Example ClaimsIncorrect Loading – Not exclusive but inclusive
• If any shortages are found when stock is delivered to depot, the Buyer and Supply Team are informed.
• If cargo was incorrectly manifested (e.g. extra stock loaded in a second container) the OCM should be informed as soon as the supplier knows.
• If a supplier ships stock CY/CY but does not meet the minimum container fill they will be charged the difference in wasted freight (see under load claim ).

• If stock is received in depot in the UK damaged and Asda believe it was damaged at origin, any losses may be claimed from the supplier through the Buyer. Also see compliance issues
• If any additional handling is required in the UK, any related charges will be sent to the supplier to pay through the buyer. For example if stock is poorly palletised or not slip sheeted. Also see compliance issues
• If any rework is required (for example stock requires re-labelling or inspecting), the buyer will contact the supplier to discuss associated costs.
Underload Claim• If stock ships CY/CY but the minimum container fill is not met you will be charged the
difference in wasted freight.
• The notification of recovery of costs to the supplier would come from Global Documentation Centre (GDC) during documents verification process.
• Charges will be based on (total required CBM for all containers shipped on the same vessel by the same supplier from the same port – actual total CBM loaded in those containers )
• x dead freight cost by origin port and container size = under load claim
• The points below highlight the avoidance of an under load claim.
1. If the order QTY is less than the minimum CBM and no CFS (Consolidation) facility is available in origin no under load claim will be made.
2. If the pack size or specified loading plan cannot meet minimum CBM no under load claim will be made.
3. If the weight of cargo means the load cannot meet minimum CBM no under load claim will be made.
Claims Policy - GS ClaimsWal-Mart GS will make a claim against suppliers if shipments are not completed as agreed or iferrors are made. The main claim areas are:
• FREIGHT DIFFERENCE CLAIMGlobal Documentation Centre(GDC) issue a CBM Discrepancy Claim against the supplier if the discrepancy between the CBM on the Quality Control report and the estimated CBM on the PO exceeds the allowed tolerance
• CHANGE OF PORTIf supplier (not ASDA) requests change of port and ASDA approve, the supplier pays any and all extra costs which result from the port change.
• UNDERLOAD CLAIMGDC issue an underload claim to suppliers for the difference in wasted freight if stock ships CY/CY but the minimum container fill is not met
• CLAIM PAYMENTGDC email a scan of the unsigned claim letter to the supplier after document verification, and after Walmart receives the sailing message from the OCM or Walmart shipping office.

Stacking and UseCONTAINER SHIPPINGTransit Palletainers will always be double stacked within containers for the Full height version. The Half height variant can be stacked 4 high or mix of the 2 formats. Product will be double stacked, possibly with heavier product in consolidated loads
STORAGEProduct unloaded with the ASDA Distribution network may be double stacked or stored in the steel racking. Do not assume that it won’t be floor stacked at this stage
LABELING for STACKINGIt is not acceptable for transit palletainers to be labelled “Do not double stack” or any similar verbiage. Transit Palletainers have to be designed to hold 500Kg Under compression when received in the UK(Humidity effect in transit has to be factored in at source)
VEHICLE / TRAILER STACKINGIt is likely that the Transit Palletainers will be stacked onto within the UK distribution process to stores. Transit Palletainers have to be designed to double stack, even if product weighs out a truck it will be double stacked somewhere within the supply chain
