1.  Hardware and software requirements

In ASL environment, IBM® Lotus Notes® Traveler supports the following mobile devices:

•  Apple iPhone 3G

•  Apple iPhone 3GS

•  Apple iPhone 4

•  Apple iPad (currently not support due to technical problem encountered)

If your iOS running lower than 3.1, please upgrade to iOS 3.1 before you install Traveler. To find out

what is the version of IOS you are running, please refer to How to find out the IOS version of your Apple

device

If you installed Traveler client in iOS 3.1 and just update to Apple devices at iOS 4 level, please review

this article published by Apple and following their recommendations:

2.  Installing the client

There is no client software to install to use IBM® Lotus Notes® Traveler on Apple devices, but you must

create an Exchange ActiveSync account on your device for mail, calendar, and contacts before you can

connect to the Lotus Notes Traveler server.

3.  Creating an account using the Apple profile

An Exchange ActiveSync account is required and an Apple device allows only one Exchange ActiveSync

account. If you already have an Exchange ActiveSync account configured on the device you must remove

the account before proceeding with the following steps. Please note that users of iOS 4 and above can

have more than one Exchange ActiveSync account.

To remove the Exchange ActiveSync account, please refer to Deleting your Exchange ActiveSync

account

Before you start the following installation steps, please ensure your iOS version is 3.1 or above.

It is recommended that you connect to a WiFi or 3G networks with the Apple device before you perform

the following installation steps.

Same as accessing your Webmail (iNotes), you need to enter your Internet address as user name and

Notes password while prompt. You would also need to configure your Safari browser to accept cookies.

1.  Open the Safari browser on your device, and go to https://aslhklns05.asl.com.hk to open the Lotus

Notes Traveler user home page. Enter your user name and password to login. The user status section

at the top of the user home page shows the status of the user and any of the user's devices. If there

are any error messages, they are shown in red in this section. If you get any problem on that page,

please write down the error encountered and contact helpdesk at 32158004 or email to

[email protected]  

2.  Select Configure your Apple iPhone/iPod Touch/iPad.

3.  Verify the logon name and mail address. The logon name is the user name used to log in to the Lotus

Notes Traveler user home page. The mail address defaults to your Internet mail address. It is

recommended that you use the exact Internet form of your Domino® mail address rather than the

canonical form of the address, e.g., [email protected] 4.  Select Generate.

5.  Select Install.

6.  When prompted about the authenticity of the profile, select Install Now to continue to install the

profile.

7.  If you have enabled a security passcode for your device and are prompted for the passcode, enter it.

Note that this is not related to the Lotus Notes Traveler password.

8.  When prompted for your Exchange account password, type the password used to log in to the Lotus

Notes Traveler user home page, and select Next.

9.  Select Done to finish the installation.

10.  The new Exchange ActiveSync account is created in Mail, Contacts, Calendars in your device's

Settings application. Registration with the Lotus Notes Traveler server begins immediately and mail,

calendars, and contacts should begin to appear shortly. Allow some time to pass for the initialsynchronization with the server to complete. Do not open your mail's Inbox immediately after the

profile installation is complete as this causes additional synchronization with the server and

prolongs the initial synchronization.

4.  Supported ActiveSync featuresLotus Notes Traveler includes support for push, manual, or scheduled two-way, synchronization for mail,

calendar, and contacts for the supported Apple devices.

Other features support includes

•  Mail folder synchronization from server to device

o  Inbox mail is pushed to devices automatically

o  Other folders synchronize on devices when opened

o  Ability to push selected mail folders to devices (for iPhone 3.1 or later)

5.  Customizing your account

Use your Apple device's Settings application to change your IBM® Lotus Notes® Traveler mail,

calendars, and contacts settings.

To change whether mail, calendars, and contacts are synchronized, or change how much mail to

synchronize, select Settings > Mail, Contacts, Calendars > account name.

To change specific mail, calendars, or contacts settings such as the number of mail message lines to

preview, the contacts sort order, or how much calendar data to keep, select Settings > Mail, Contacts,

Calendars, and then scroll to Mail, Contacts, or Calendars and change the settings you want.

Note: If you change how much calendar data to keep, you can select only how far back in the past to

synchronize calendar events because all future calendar events always synchronize to the device.

6.  Customizing synchronization for your account

Caution: The changes will apply to all email accounts managed by your Apple device.

Open the Settings

1.  Select Settings 

2.  Select Mail, Contacts, Calendars 

3.  Select Fetch New Data 

4.  Change Push to OFF 

5.  Select Fetch Manually 

7.  Change Lotus Notes Traveler as your default email account

You can create and send mail messages with your mobile device.

Open the Mail application.1.  Select Settings 

2.  Select Mail, Contacts, Calendars 

3.  Select Default Account 

4.  Select your Lotus Notes Traveler account, then select Mail to save the change.

8.  How to update your email signature

Caution: The email signature will apply to all email accounts managed by your Apple device.

You can define your email signature on your mobile device.

Open the Settings

1.  Select Settings 

2.  Select Mail, Contacts, Calendars 

3.  Select Signature 

4.  Update your signature information, then select Mail to save the change.

9.  Creating a message

You can create and send mail messages with your mobile device.

Open the Mail application.

1.  Select .

2.  Address the message by entering at least one e-mail address in one of the address fields, To, Cc

(carbon copy), and Bcc (blind carbon copy). To select addresses from your contact list for a field,

select in that field.

3.  Select the Groups

5.  In the Search field, type your search string. A search request is made to the server for each letter you

add or remove from the search string, The search results display below the Search field.

Note: After you type two characters in any of the recipient fields, the Lotus Notes® Traveler server

starts looking up the recipient name and address in the corporate directory.

6.  Enter a subject in the Subject field.

7.  Enter the body of your message.

8.  Do one of the following:•  To send the message, click Send.

•  To save the message as a draft, click Cancel, and then click Save.

•  To discard the message, click Cancel, and then click Don't Save.

10.  Creating a message with a photo or video attachment

Note: To send out email outside the Mail application, please make sure the IBM Lotus Notes Traveler is

your default email account.

You can send photos and videos with your mobile device.1.  Open the Photos or Videos application.

2.  Select a photo or video.

3.  Select .

4.  Select Email Photo or Email Video.

5.  Address the message by entering at least one e-mail address in one of the address fields, To, Cc

(carbon copy), and Bcc (blind carbon copy). To select addresses from your contact list for a field,

select in that field.

Note: After you type four characters (or a different number set by your administrator) in any of the

recipient fields, the Lotus Notes® Traveler server starts looking up the recipient name and address in

the corporate directory.

6.  Enter a subject in the Subject field.

7.  Add text to the message body.

8.  Do one of the following:

•  To send the message, click Send.•  To save the message as a draft, click Cancel, and then click Save.

•  To discard the message, click Cancel, and then click Don't Save.

11.  Read encrypted email

To read the encrypted email, you must have the Lotus Traveler Companion. It is an iPhone/iPad

application that works with your existing Lotus Notes Traveler mail account to allow you to read

encrypted Notes mail on your Apple device. Traveler Companion does not currently give you the ability

to compose, forward, or reply to encrypted mail.

Other than the Lotus Traveler Companion, you would also need to upload your Notes user id file to your

mail box. To upload your notes id to your mail box,

1.  Open the Lotus Traveler home page (https://aslhklns05.asl.com.hk) on your client PC that containsthe Notes user id file.

2.  Enter your user name and password to login, the user name and password is the same as that you use

to login to iNotes (DWA)

3.  Click Manage the Notes ID 

4.  Click Upload the Notes ID 

5.  Locate the Notes user id file by using the Browse button.

6.  Enter the Lotus Notes user password in the Password field7.  Click Upload the Notes ID.

Note: For the detail operation related to Notes id on your mail box, please refer to the Lotus Notes 6.5

User Guide on ASL Intranet.

Traveler Companion is available from the Apple App Store. The simplest way to install it is to use the

App Store app on your device to search for Traveler Companion and then install Traveler Companion

from its app entry. Traveler Companion is provided by IBM at no cost.

The simplest way to configure the Traveler Companion is to open your Lotus Notes Traveler mail

account on your device, find an encrypted mail message, and activate the Traveler Companion link it

contains. Activating the link will launch Traveler Companion and bring up a settings panel. Your server

address will be pre-filled, but you should verify that it looks correct. You will also need to fill in your

Lotus Notes Traveler user name and password. This is the same user name and password that you would

use to login to the iNotes (DWA).

Once your settings have been successfully saved, Traveler Companion is configured and ready to use.

When you activate a Traveler Companion link in an encrypted email in the future, you will be prompted

for the password for the Notes ID stored in your mail file or credential vault. Once the password has been

successfully entered, Traveler Companion will download and display the encrypted email.

12.  Synchronizing folders

You can keep the mail messages on your mobile device and mail server synchronized when you areconnected to the Lotus Notes® Traveler server.

Inbox mail is automatically pushed to the Inbox on your mobile device. Other folders on your mobile

device synchronize when you open the folders. To synchronize a mail folder manually, select .

If your device is an iPhone version 3.1 or later, you can select mail folders to push automatically using

Settings > Mail, Contacts, Calendars > account name > Mail Folders to Push. The selected folders are

automatically pushed to your device.

Note: The Drafts folder cannot be synchronized.

13.  Move a message to a folder

You can organize your mail messages by moving them to folders.

1.  Do one of the following:

•  To move one message, open the message and select .

•  To move multiple messages, select Edit above the message list, select the messages to move, and

select Move.

2.  Scroll to the folder to move the message(s) to, and then select the folder.

Note: You cannot move a message to a folder when you are not connected to the Lotus Notes® Traveler

server.

14.  Deleting a messageYou can save disk space by moving mail messages to the Trash.

1.  Open the message to delete.

2.  Select .

Tip: To delete multiple messages, select Edit above the message list, select the messages to delete, and

select Delete.

Note: You cannot delete a message when you are not connected to the Lotus Notes® Traveler server.

15.  Changing the calendar display

You can display different views of the calendar.

1.  Open the Calendar application.

2.  Select any of the following:

•  List – Displays a list of calendar entry descriptions without time slot display beginning with the

selected day.

•  Day – Displays calendar entry descriptions with time slot display for the selected day .

•  Month – Displays the selected month with a list of calendar entry descriptions for the selected

day.

Tip: To go to the current day in any of these views, click Today.

16.  Deleting a calendar entryYou can delete a calendar entry and delete repeating entries.

1.  Open the calendar entry.

2.  Select Edit.

3.  Select Delete Event.

4.  Do one of the following:

•  If the entry doesn't repeat, select Delete Event again to confirm the deletion.

•  If the entry repeats, select Delete This Event Only to delete only the current instance of theentry, or select Delete All Future Events to delete the current instance and all future instances of 

the entry.

17.  Managing contactsTo synchronize your local contacts file (names.nsf) with the contacts on your device, you must first verify

that you have synchronization enabled between your local contacts file and mail file using your IBM

Lotus Notes client.

1.  Open your mail file with your IBM® Lotus Notes® client.

2.  Select Actions > Synchronize Address Book to enable the mobile device to receive contact data

from your mail file. Repeat this action every time you want to synchronize differences between the

local address book (contacts) and any mobile devices that you are using.

18.  Deleting your Exchange ActiveSync accountThe way you delete your account depends on how you created it.

Do one of the following:

•  If you created the account automatically via Apple profile, select Settings > General > Profiles >

 profile name > Remove.

•  If you created the account manually, select Settings > Mail, Contacts, Calendars > account name > Delete Account.

19.  Support scope and reading/write email attachment

In ASL environment, Lotus Notes Traveler support on email handling is confined to send and receive

emails and the mail attachment can be downloaded to the phone or upload back to Notes server. For

reading or modifying particular format of attachment on phone is out of support scope. Since some

phones have built-in software to view or even modify Microsoft Office documents, some phones require

user to buy separate software to do the same. More and more phone models and different phone OS and

numerous phone software exhaust support effort to support this.

We provide current common phone software to view/modify different document types in File viewersfor different Apple devices. They are listed for your reference and they are not ASL support

applications.

20.  Tips and hints to conserve mobile phone battery and data air time.

Below are some suggestions, where the actual setting may vary from different device or data plan.

•  Change the synchronization setting from schedule to push manually. Please refer to Customizing

synchronization for your account for detail

•  Change email retention period and number of message download for each manual sync, please

refer to Customizing your account for detail

•  Consider to define the priority of your web access to use wifi rather than mobile network.

•  Clarify with your telecom whether your data plan can be disabled while roaming.

21.  Submitting a problem report

A good Traveler Problem Report (TPR) is invaluable to the system administrator when working with

Lotus Notes Traveler support to resolve problems.

1.  Once a problem is encountered try to capture the problem screen by clicking the Home and Power 

button together.

2.  The screen capture then will save under your Photos application

3.  Use the Problem Report feature of the Lotus Traveler servlet to upload the zip file. The servlet can

be accessed at https://aslhklns05.asl.com.hk/servlet/traveler.

4.  Notify the System Administrator through Helpdesk at 32158004 or email to [email protected] of 

the problem. Be sure to include as much detail as possible and steps to reproduce.

Appendix A How to find out the IOS version of your Apple deviceYou can locate the IOS version from your Apple device.

1.  Open the Settings.

2.  Open the General.

Appendix C Known limitations and restrictions

Setup and login issues

Problem Details

Exchange ActiveSync account setup fails when

setting up an account with Lotus Notes Traveler.

Verify that the mobile user is not trying to connect to

the Lotus Notes Traveler server using an HTTPconnection and the Domino® administrator has

configured the HTTP port to automatically redirect

to SSL. Apple devices do not support redirection to

SSL from within the ActiveSync account.

Exchange ActiveSync account setup fails with

incorrect user ID message.

Verify that the user ID used to set up the Exchange

account on the Apple device does not contain a "/"

character. The Apple device does not send the

correct credentials if the user ID contains a "'/"

character.

Policy settings for Device Security, Data filtering

and Applications do not apply to Apple devices.

In the Lotus Notes Traveler 851x release family,

these policy settings are not applied to Apple

devices. These functions will be investigated forpossible inclusion in future releases.

CAUTION:

Pre-3.0 firmware devices will not preserve

existing Calendar and Contact data when

configuring the device to sync Contacts and

Calendar. This is a limitation of the device

operating system.

In order to preserve existing Contact and/or Calendar

data upgrade the firmware to at least 3.0 or manually

configure the device following the instructions to

disable the sync of Contacts and/or Calendar data.

We support iOS 3.1 or above

 Mail issues

Problem Details

Large attachments may not synchronize to the

device.

An administrator can set a maximum allowed

attachment size, which is four MB by default. If a

mail message is synchronized to an Apple device

with an attachment larger than this size, the user can

still download that attachment manually by clicking

on the attachment icon in the message.

However, if the user selects Download entire

message, which subsequently attempts to retrieve the

message, with all attachments and the complete mail

body, then the attachments that are larger than the

maximum allowable size do not synchronize to the

device.For this release, Lotus Notes Traveler does not

support the processing of meeting notices by an

attendee on an Apple device.

If a user receives a meeting notice such as a calendar

invitation in their Inbox on the Apple device, the

mail message shows who the invitation is from and

the meeting subject, but no action such as accepting

or declining the invitation is available.

The body of the meeting notice contains this

message: "This document is a meeting notice and

requires the use of a Lotus Notes or iNotes® client to

view the content."

This restriction will be removed in a future update of 

the Lotus Notes Traveler server.

Draft mail messages are not synchronized with

the server.

Apple devices do not support synchronizing draft

messages. Drafts are considered local to the deviceor local to the server, and never synchronized.

The mail setting for Show x Recent Messages 

does not work with Lotus Notes Traveler mail.

This setting does not apply to Lotus Notes Traveler

mail. Use the mail filter setting for Mail days to

sync to control how much mail is kept in a folder on

the device.

The mail folder list does not scroll horizontally. This does not work on Apple devices. If you have a

deeply nested mail folder structure, you may not be

able to see the most deeply nested folders.

Modifying the subject of a mail message in the

Inbox of the Notes® client does not synchronize

with the device.

Once a mail message has synchronized with the

Apple device, it cannot be modified again. Any

modifications on the server except for read/unreadstatus changes do not synchronize with the mail on

the device.

Mail shows in place of an embedded image. In some cases, turning the device completely off and

then back on fixes this problem.

The font used for the mail message body is too

small.

If the mail message contains embedded images,

tables, or other graphical elements that are too large

for the small Apple screen, then the entire message is

scaled down so that these graphical elements can be

seen without scrolling. To view the rest of the

message, zoom in and then scroll the document as

needed.

Mail cannot be deleted or moved unless thedevice is connected with the server. The Apple device Mail application does not allowmany mail operations unless the synchronization can

be completed immediately with the Lotus Notes

Traveler server. For example, if the device is put into

airplane mode and WiFi is disabled so that there is

no connection possible with the server, then the mail

move and mail delete operations are grayed out and

not available. At other times, you might notice that

you have moved or deleted mail from your Inbox

and later it reappears in your Inbox. This occurs

when the device cannot contact the server and is a

limitation of the Apple device.

Opening a mail message immediately after it firstsynchronizes may prevent the screen from

painting properly.

When an mail message first synchronizes to theApple device, it contains only plain text and no

attachments. Typically the device immediately

fetches the rest of the mail from the server, including

HTML text and possibly attachments if they are

small. In some cases opening the mail on the device

in the middle of this fetch operation prevents the

screen from painting correctly. Moving back to the

folder and then opening the mail later fixes the

problem.

Calendar issues

Problem Details

For this release, Lotus Notes Traveler does not

support Apple device users creating or modifying

calendar meetings on the device.

Meetings are defined here as calendar events with

attendees. If a meeting is created or modified on the

device, the Lotus Notes Traveler server does notgenerate the proper meeting notices to send to

attendees. Instead it ignores the device request and

notifies the user with a mail message in this format:

"The meeting meeting_subject was synchronized to

the server as an appointment without attendees. IBM

Lotus Notes Traveler does not support creating

meetings from your Apple device.

This restriction will be removed in a future update of 

the Lotus Notes Traveler server.

After modifying a repeating appointment on the

device using the this and future rule, theappointment becomes two separate calendar

events on the server.

All of the calendar event data is correctly

synchronized to the Domino calendar, but thecalendar event has two parent documents. The Apple

device splits the event before it synchronizes it back 

to the server.
