PASA Enrollment

There is ONE enrollment window for all content areas. Enrollment is an important process, it: provides opportunity for schools to ensure accurate student data for

accountability, allows the correct test materials to be shipped to your district/IU/school, ensures you will receive updates from PASA concerning all aspects of the

assessments. The following slides outline the steps in the enrollment process for

assessors.

Assessors are responsible for enrolling all of their students, working with their AC to ensure accuracy of data entered, reading and signing the test security affidavit, completing the assessor video consent form.

Test Security

Maintaining test security is an important responsibility for all assessment coordinators and assessors. It is important to know that under Pennsylvania School Code, there are

consequences for teachers if test security procedures are not followed. Please refer to the Test Security Training module and the Handbook for PASA

Assessment Coordinator chapter on test security for additional details and explanations. Again this year, all assessment coordinators and assessors are required to read and

sign a test security affidavit. A banner is displayed on each page until the test security affidavit is read and

completed.

To access the test security affidavit, select the Test Security Requirements link and scroll down the page. Once the affidavit has been signed, a checkmark will appear in the banner.

Assessor Video Consent Form

The use of recordings of student PASA performances is a valuable tool for training assessors and scorers. Every year, we seek consent to use excerpts from recordings of student

performances on the PASA assessments to learn more about test administration and how students respond to the assessment. We need BOTH assessor and parent permission to do this.

Video Consent Forms

Assessor permission will be collected online this year. However, a video consent form for the parents/guardians for each of your students

will be included with the test materials packet sent to the district/IU/school. Please make a genuine effort to distribute the parent/guardian video consent forms

and return those that are completed. By encouraging families to sign the video consent form, you are helping us

prepare high quality training and ensure that the most accurate scores are given to every student who participates in the PASA.

Parent/guardian consent pertains only to the use of videos for training purposes. Parent/guardian consent is not required for

recording of the test for participation.

A banner is displayed on each page until the online assessor video consent form is read and completed. To access the online assessor video consent form, select the Video Consent link

and scroll down the page. Once the online assessor video consent form has been signed, a checkmark will

Assessor Video Consent Form

Any additional personnel in the room during the assessment who are visible on the recording will need to have a signed video consent form as well. Paper copies of the video consent form can be downloaded from the PASA-Digital

site under the ‘Training’ tab by selecting the ‘Materials’ link and then the form.

Enrolling Students

When enrolling students for the PASA, both assessor and assessment coordinator MUST verify EACH student’s information. Students will not appear on your assessment roster, student materials

will not be mailed, and online test materials will not be released unless a student is fully enrolled. Information entered into the student enrollment record is used to generate

student score reports. Any mistakes (e.g., spelling, capitalization, grade level) in the student record will appear on the Individual Student Score Report. Errors in student data may also affect accountability since PASA enrollment

data is matched to PIMS student enrollment data.

Reviewing Student Records

The list shows all students in grades 4 through 8 AND 11 who are projected to take the PASA this year in your district/IU/school ANDare assigned to you as an assessor. Students in grades 3 and any new student(s) to your district/IU/school

will need to be added. Instructions for adding students follow.

In order for your student(s) to appear on your roster, you MUST be assigned as the student’s assessor. If one or more of your students does NOT appear on your roster,

contact your PASA AC to have them assign you as the student’s assessor.

Verifying Existing Students Select a student’s name to expand their record and

display the student’s information. There are several fields that need to be verified: student’s identifying information, service provider, enrollment information, general information, testing information, learner characteristics, and student’s assessor.

You should work with your PASA AC to ensure that PASA enrollment data is matched to PIMS student enrollment data. 24

For Student’s Identifying Information, verify: PA Secure ID, Student’s first and last (middle initial, if applicable) names, Birthdate.

Only a recognized school district or state approved charter school can be a District of Residence.

For Service Provider, verify: Service Provider – entity that is

teaching the student, Service Provider Building – where

the student is being taught, Home District – is the student

District of Residence.

For General Information, verify: EL (English Learner) status, Title III status (student receives

services), Title I participation (student receives

services), Economic status (free/reduced lunch), Migratory status, Gender, Home-schooling status, Primary disability, Ethnicity.

Verifying Existing Students

English Language Learners (EL’s) enrolled in a U.S. school for their first year are NOT REQUIRED to take the Reading/ ELA state assessment.

EL students ARE REQUIRED to participate in the Math and Science state assessments during their first year with accommodations as appropriate.

EL’s who meet the eligibility criteria to take the PASA follow the same requirements. Therefore, first year EL’s are required to take the PASA-Math and PASA-Science only. They are not required to take the PASA-ELA. For more information on EL participation in state assessments, please see Accommodation

For students enrolled last year, assignment to a Tier designation is based on last year’s test level and performance. Level A students are assigned to Tier 1, Level B and Level C students are assigned to Tier 2, Level A students who received a perfect score on last year’s test are assigned to

Tier 2. For students in grades 3 and 11 and others new to the system this year, a

Tier designation will need to be selected.

Requests for Tier changes for ELAand Math must be submitted onlinefor all grade levels. Submissions

without an appropriate accompanying reason will NOT be considered.Tier changes can no longer be requested for PASA-Science because of the placement test.

If a Tier is not designated, one MUST be selected. Tier assignment for Science will

be automatic based on performance on a placement test during PASA-Scienceadministration.

Verify how the student’s performance will be documented. A video recording is the default setting. If Narrative Notes are indicated

on the student’s IEP, a written request (available via the provided link) must be submittedANNUALLY to the Bureau of Special Education for approval.

Any: 3rd grade students from your location(s) or new students from your location(s) regardless of grade level,

will need to be added to your district/IU/school’s roster.

After initial verification, if you make a change to the student record, the checkmark in the ‘Verified’ box will be removed for BOTH assessor and assessment coordinator. When this happens, an email will be sent to the AC providing the name of the

student for whom information was changed. If the student is not re-verified after a change in student record, test materials

will NOT be sent for the student.
