Students: This page will be the one you use most frequently. It contains links to the tools you need to manage your training schedule and monitor your students’ progress.

The table contains the following columns:

Start - The student’s start date and the number of days they have spent in the program. The number in the colored box helps indicate whether the student is ahead or behind the expected program pace, and whether they are improving or worsening in that regard. Green represents a student ahead of schedule and improving; yellow represents a student behind schedule but improving or ahead of schedule but worsening; and red represents a student behind schedule and worsening. The arrow is a ten day trend indicator.

Student - The student’s name and phone number. Clicking the student’s name opens the corresponding student notes log (see below).

Program - The program in which the student is enrolled. Clicking the program name opens the student training record for that program.

Instructor - The instructor to which the student is currently assigned. The “Assign To Me” link below the instructor’s name reassigns the student to you.

Student Extranet Utilization - The number of days since the student’s last login to their Student Extranet. Clicking the “Student Extranet” link logs you into Extranet as that student so you can easily demonstrate it to your student (see below).

Note the radio buttons at upper left allowing you to display all students at your training center, or only those assigned to you. Unless you need to take a student from another instructor (“Assign to me”), we recommend leaving the Students page in the “assigned to me” view. You can also view all students that have a start date in the future by clicking the Future radio button

Student Note Log:

Click on the student’s name to access their Note Log. It will take you to the following page:

This is a log of notes and events related to the student. Below the student’s name and ID number is a group of check-boxes listing all the different sources for log entries. You can select which ones you wish to view. Most of the categories are self-explanatory:

• Email - emails sent to the student from ATP accounts • Ground, Flight, and FTD - logged training events of that type • Notes - ****** - notes from various sources

o Manual Entry and CCM (Call Center Manual) notes tend to be the most important ones

o The rest are automated notes, e.g. instructor assignments, click-throughs on financing applications, checkrides being scheduled, etc.

To add a note to your student’s record, click the blue “Add Note” button.

Student Training Record: This page is where you will schedule and log events for your students.

Clicking on the student’s program with take you to the training record:

Below the student’s name and ID, you may see a note showing an amount due, or that your student is on Flight Hold. If there is an amount due, please encourage your student to pay their balance as soon as possible, so

as to avoid delays in training. If they have questions about their balance, please call Admin to resolve any issues.

Below that is the student’s program name, along with the start date and training center. If the name is a hyperlink, it links to a PDF copy of the program checklist for that program.

The “Schedule” drop-down menu below the program name allows you to schedule a number of “generic” events: briefings, extra FTD practice sessions, FAA Safety Team events, and written exams.

Clicking an item in the menu opens a pop-up form that must be completed to schedule the event; a checklist for completing the form is found in the scheduling section of this guide.

The body of the page is a table listing all events in the student’s program:

They are listed in the same order as in the program checklist; gray bars divide the list into the different stages of the program. Information given on each lesson includes:

● Date - Target or actual date of event. If the event has been logged or scheduled, the date of the event is shown in black. Events that have not been logged or scheduled will have a date shown in gray. These are target dates by which each event should be completed in order to keep the student on track for on-time completion.

● Button - These are used to schedule, reschedule, cancel, delete, repeat, or log training events. More details on how these are used can be found in the next portion of this guide.

● Lesson - The name of the training event. Many of these names are hyperlinks. Flight and FTD events link to a PDF or web view of the lesson outline. Audits link to a PDF of the audit form, which must be printed, completed, and scanned into WinATP. Evals and skill reviews link to a discussion of the topics to be covered in that eval/review. If the eval/review has been logged, you will also see the student’s sat/unsat grades on each topic, as well as the instructor’s signature.

● Description - A brief description of the topics covered in that lesson. For events like Crew Cross-Country or Supervised PIC flights, where a block of time is divided among several flights, the time remaining after that flight is also listed.

● Time - The scheduled or actual duration of an event. ● Aircraft - The tail number of the actual or scheduled aircraft for a

flight event. ● IP/DE - The last name of the instructor or examiner for a flight.

For simplicity and clarity, the default setting is to display only lessons that have not yet been completed. If you need to view past training events, click the “Program Time Summary” link above the TRAINING RECORD title. This opens a progress summary table that shows the allotted time for each stage of the course, as well as the time actually flown in that stage. Using the Program Time Summary page, the instructor can reschedule previous events that have already been completed.

Buttons/Managing Events in Whiteboard:

Each row on the student training record has a button. Blue buttons are action buttons – next steps to take. Less frequently appearing, red buttons are also action buttons – these are often critical next steps that cannot be passed until accomplished.

Depending on the type of event, when it is scheduled to occur, and whether it has been logged/completed, the button will vary based on available options. If multiple options are applicable to a particular event, the button will be split with a down arrow to access a drop-down menu of more options.

(If the wrong event is highlighted in blue, please contact Admin at [email protected]. Anyone on the training team can help organize your student’s training record so that only relevant lessons are displayed.)

You can use these buttons and menu items to accomplish various tasks:

Scheduling an Event

Click the appropriate “Schedule” button to launch a pop-up window. To help you spot which event to schedule, the button for the next unscheduled event in the program sequence is blue.

The student name, program, and lesson are automatically entered. Review to ensure you are scheduling the correct lesson. Use the drop-down menus to select which instructor (or examiner, for checkrides) is conducting the flight. Enter the date, time, and duration of the event. Select the aircraft (or FTD or briefing room, as appropriate to the event type) to be used from the drop-down menu. Upon selecting an aircraft, a note will inform you if that aircraft has been scheduled for use at the same

time by any other instructor. (Tip: open the Aircraft page in a new tab to view a helpful visual timeline when scheduling) Enter the origin and destination of the flight, along with any intermediate stops. Enter additional notes in the briefing section if necessary. (Tip: you can use this field to assign prep work to your student if you use the next feature...) Check the box to text your student their schedule and briefing notes, if desired. Click “Save Schedule.”

Rescheduling an Event

Only future events can be rescheduled. If the scheduled start time for the event is less than 8 hours in the future or has already passed, you will need to cancel the event and schedule it again. Click the “Reschedule” button to launch a pop-up window. The pop-up will be pre-populated with the information for the event as it is currently scheduled. Review this information. Make any changes that are necessary. Check the box to text your student to make sure they know about the change in plans. Click “Save Schedule.”

Logging an FTD or Ground Event

Once scheduled, an FTD or Briefing will display “START” in place of the schedule button. Once the event has been completed, clicking start will take you through to a summary page. Click the blue “Log Lesson” button to launch a pop-up window. This button will always appear in blue to alert you to the need to log the event. Enter the date, finishing time, and duration of the event. Make notes on your student’s performance. If you have any concerns, you can check the box labeled “Flag for Training Department Review” to forward that note to Training Team. They will then be in touch with you to resolve the issue. Click “Save Log Entry.”

Logging a Flight Event

Evaluation flights must be graded and signed on Whiteboard by clicking the Log button. Both the evaluating instructor and student must be available to record grades and sign the record.

These graded lessons replace paper forms with signatures and offer more detailed record keeping in limited cases where it is important. Flights other than Evals do not need to be logged on Whiteboard because they are logged by Flight Tracker and do not need to be graded.

Click the “Log Event” button to open a page listing each task to be completed during the eval. This button will always appear in blue to alert you to the need to log the event. For each task, select Satisfactory, Unsatisfactory, or Incomplete. If this is a repeat attempt at an eval, it is only necessary to re-evaluate areas that have not yet been marked Satisfactory. Marks from prior evals are displayed in columns at left. Mark Incomplete to indicate that an area was not re-evaluated. Click the “Log Lesson” button at the bottom of the task list to open a pop-up. Along with your student, sign using the iPad’s touchscreen, then submit the report of the evaluation.

Cancelling an Event

If you meant to conduct an event, but for some reason you were unable to, this is the button you use…

Click “Cancel” to launch a pop-up window.

Select from the drop-down menu the reason for the cancellation:

● Weather - Self-explanatory. Flight events only. ● Mechanical - Self-explanatory. Flight events only. Be sure to send a

maintenance squawk through Flight Tracker as well. ● Student Excused - The student chose not to train for a valid reason. ● Student No-Show - The student chose not to train without a valid

reason. In these cases, you have the option to check the “Charge No-Show / Cancellation Fee” box. This will add a $75 charge to the student’s account. Be sure to inform your student that you are charging this fee.

● Instructor Excused - The instructor chose not to train for a valid reason.

● Instructor No-Show - The instructor chose not to train without a valid reason. Needless to say, you should never be in a position where you have to select this option!

Enter notes about the cancellation, including an explanation of why you had to cancel and what you plan to do instead to keep the student on track.

Click “Save Cancellation”.

Deleting an Event

You only have the option to delete an event for a brief period of time after scheduling it. This option is for deleting mistakes without having to explain a cancellation.

Confirm that you want to delete the event, rather than cancel it. Cancelling indicates that you meant to train but could not; these events remain in the training record.

Deleting an event indicates that you never meant to train in the first place; these events are discarded entirely. Click the “Delete” button. The event is immediately removed from the schedule.

Repeating an Event

Click the “Repeat” button to launch a pop-up window. For events that must be repeated (failed or incomplete checkrides or evaluation flights), the button will be red. If the next unscheduled event in the program sequence is a repetition of a prior event (e.g., if a student is partway through a block of supervised PIC time), the button is blue.

Follow the steps under “Scheduling an Event” to schedule the repeated event. It is not necessary to use the “Repeat” feature to schedule generic events like briefings and FAAST events. (After all, we assume you are not repeating the same briefing.) Instead, use the drop-down menu at the top of the screen labeled “Schedule.”

Schedule:

This page lists training events scheduled to happen at your training center.

Drop-down menus at the top of the page allow you to choose and sort the displayed events. You can show all events at your training center or just yours, and choose which date’s events to show. You can then sort these events by instructor/DPE, student, equipment, or date/time.

Events are color-coded:

• Green: Events that have been logged. • Yellow: Past events that have not been logged. • White: Future events that have not been logged. • Gray/Strikethrough Text: Event was cancelled.

Clicking any event name links to the student training record for that program. Clicking any aircraft tail number links to the quick reference page for that airframe.

Depending on the type of event and whether it has been logged, there will be a “Log Event,” “Repeat,” or “Cancel” button at right. These will link you to the training record page for that student’s program.

At the bottom of the page is a list of any instructors with no events scheduled that day.

Logging a Lesson:

When logging a lesson, enter the ACTUAL date and time that a lesson was completed, along with the actual duration. If the lesson duration does not meet the lesson time, or not all tasks are marked Complete/Satisfactory, the users sees a red Lesson Incomplete alert box. If the tasks are all marked Complete/Satisfactory, and the lesson time meets requirements the users sees a green Lesson Complete box:

Timeline:

This page shows the scheduled usage of all aircraft, FTDs, and briefing rooms currently at your training center.

On the left is a list of each airplane, with type and tail number. Color codes indicate aircraft status:

• Green: Available for preflight. • Blue: Aircraft blocked-out. • Yellow: Aircraft has maintenance reports. • Red: Assigned to maintenance, unavailable.

Mousing over the tail number gives more information about the aircraft, including year of manufacture, glass cockpit vs. conventional panel, instructor currently using the aircraft, and hours left until scheduled maintenance.

A blue box reading “141” indicates that the aircraft is approved for use in Part 141 training.

Across the top of the screen is a timeline; all times are local. The date may be adjusted using the “Prev” and “Next” buttons at upper right. The background color of the graph indicates the current time; the past is shaded gray, while the future is white.

The green bars in the center of the screen represent scheduled events in each aircraft. Each bar is labeled with the Flight Tracker code of the instructor or DPE, the name of the scheduled event, and the last name of the student. Clicking any bar opens the “Reschedule” pop-up for that event.

Fees:

This page shows the fees you have earned as an independent contractor at ATP. Your pay will be itemized by type (retainer, hourly rates, performance incentives, etc.). The page also includes an email to contact if you have questions about your pay rates.

Unscheduled:

This page shows all students at your training center who are not scheduled for any events.

You can use the drop-down menu in the upper left to select the dates you wish to look at (up to 3 days in the future).

If there is a good reason the student is not scheduled, use the “Explain” button to add a note. If you forgot to schedule a student, clicking the name of the program in the table takes you to the Training Record for that program, where you can schedule an event (thus removing the student from this page). If you don’t plan to conduct any flights or scheduled FTD sessions with a student on a particular day, you can still schedule them for ground school or general FTD practice.

This page lists the contact information for everyone working for ATP, organized by training center. Please be advised that the numbers listed for all Admin personnel are their personal cell phone numbers. If you need to reach them in the office, please call (904) 595-7970 and be transferred via the dial by name directory.

The ATP library is where you and your student will find all the ATP videos, Policies & Procedures, FAA PTS, supplements, approved airports and routes, and many other valuable resources.

Outage:

In order to mitigate problems should internet access not be available, users should download the necessary lesson material and have it available locally on the user’s device, or printed as a hardcopy, prior to beginning the lesson. If the user is unable to access Whiteboard for any reason, lesson content and courseware can be received from administrative personnel by any available means, including Email and Fax. The Training Coordinator or manager should be contacted to assist in such an event.

Self-Audit Policy:

Users are expected to ensure that the information logged is reviewed and verified accurate before signing and logging the lesson.
