| 141 Author Guidelines Canadian Journal of Diabetes Guidelines revised March 2009 1. Manuscript Preparation and Format The following criteria should be met: Articles, including references, should not exceed 5000 words. Reference list should not exceed 50 citations. References and style should follow the American Medical Association Manual of Style: Spelling should follow the Concise Oxford Dictionary. All materials (including tables) must be presented according to the following specifications: typed and double-spaced printed on one side of 8.5 x 11˝ white bond, non-erasable paper text flush left with no tabs line spaces to indicate paragraph breaks Titles must be concisely worded and be followed by: the name(s) of the author(s) and all degrees each author’s institutional affiliation a name, mailing address, phone number, fax number and e-mail address for the corresponding author acknowledgment of any financial support received a list of keywords Abstracts must have a maximum of 150 words. Original research abstracts must be structured (objective, method, results, discussion and conclusions). Text: Organize research papers under the following subheadings: Introduction, Method, Results, Discussion, Acknowledgments, References, Tables, Figures, Keywords. Organize all other papers under appropriate headings. Refer to experimental work on which the paper is based in the past tense and to current concepts and conclusions in the present tense. Present headings in block capitals and subheadings in all lower case except for the first letter of the first word. Avoid the use of the term “diabetic” as a noun. Use lower case for “diabetes,” and for type 1/type 2. Use Arabic numerals in text. References: Number references consecutively as they appear, using Arabic numerals in parentheses. Present references double-spaced on a separate sheet in the order they appear. Follow the American Medical Association Manual of Style Examples. Journal Article: List three authors for a standard journal article; if the number of authors exceeds three, list the first three followed by “et al”. You CH, Lee KY, Chey RY, et al. (Personal communications may appear in parentheses and are not to be included as references. Please indicate whether the communication was oral or written, and the month and year in which it occurred.) Tables and Figures: Submit each table or figure on a separate page, clearly identified in Arabic numerals. Submit legends for figures typed and double-spaced on a separate page and clearly numbered to correspond with the figures to which they refer. Ensure that information in charts and tables duplicates the text. Submit photos as 5 x 7˝ (11.5 x 16.5 cm) black-and-white prints with legends typed on a clearly marked separate page. Identifiable subjects in photos must sign a release form. Include written permission from publishers to reproduce previously published tables and illustrations. Laboratory Data: Report all measurements in SI units 2. Copyright Information Canadian Journal of Diabetes (CJD) accepts original articles not previously published or currently submitted for publication in another journal. All authors must sign and submit the Copyright Release Form published in each issue of CJD. Manuscripts are accepted for review on the understanding that they are for publication solely in CJD. Published manuscripts become the property of the Canadian Diabetes Association. Permission to reprint the published manuscript in another publication must be obtained, in writing, from the Managing Editor. 3. Duality of Interest Authors of research articles are asked to include a Duality of Interest Disclosure Form with their submission. All authors must disclose possible financial dualities of interest at the time of submission. (This information will remain confidential while the paper is under review and will not influence editorial decision.) 4. Submission Send the following to the Managing Editor, CJD, 1400–522 University Avenue, Toronto, Ontario M5G 2R5 ([email protected]): please include the words “manuscript submission” in the subject line. a cover letter the original manuscript plus one clean copy the word-processed file in Microsoft Word format a signed Copyright Release Form a completed Duality of Interest Disclosure Form letter of permission to reproduce material previously published elsewhere names and contact information of four people suitable to peer review the manuscript a statement regarding the specific contributions of all authors to the prepara- tion of the manuscript. According to the International Committee of Medical Journal Editors, an author is someone who: “Contributed substantially to conception and design, or acquisition of data, or analysis and interpretation of data AND • Drafted the article or revised it critically for important intellectual content AND • Gave final approval of the version to be published.” 5. Review Process and Action A letter of receipt is sent to the corresponding author when the manuscript is received by the editor. • The manuscript is reviewed by an associate editor and at least two peer review- ers. Recommendations are submitted to the corresponding author. If necessary, the editor will request a corrected disk and two revised hard copies. Unacceptable manuscripts and disks will be returned to the corresponding author with a letter of explanation. Authors will receive a complimentary copy of the CJD issue containing the published paper.
