Adding Users to A Company Account (PRO Feature)

To add additional users (sub-users) to a company account, perform the following:

1. Login to the customer account using the B2B login page 2. Go to Account -> Manage Users 3. Enter the new user's name and email address 4. Select the permission level the new user will have:

● Administrator - full admin access, can manage company users and complete orders

● Requester - limited access, only able to send orders for approval to company

administrators

Assigning Credit Limit to A Wholesaler (Pro Feature)

Credit Limits - this feature of the B2B Suite enables you to assign spending limits to wholesalers. This helps control how much credit a wholesaler is capable of placing without providing payment for their orders. If you allow, for example, a wholesaler to provide payment

for an order 30 days after submission, then you can use the credit limit feature to control how much offline payments the wholesaler owes you. Example

You have permitted IWD to join your wholesale program with a credit limit of $1,000. In this case, IWD cannot submit more than $1,000 in orders using offline payment methods such as: check/money order (Net 30, 60), purchase order, wire transfer, etc. If IWD would like to submit an order greater than $1,000 then IWD will need to provide payment for this order when submitting it (via credit card).

Follow these steps to assign a credit limit to a wholesale company: 1. Go to Customers → Manage Companies and select a company 2. Navigate to the Payment Terms tab 3. To enable credit limits, set Activate Credit Limit to yes 4. In the Credit Limit box, enter the limit you are assigning to this company account 5. Once done, click Save 6. The Available Credit section will display the company's current available credit as determined by (credit limit - total of all orders pending payment)

7. To manage the credit limit message shown to the user at checkout, go to Stores -> Configuration -> B2BSuite -> Credit Limit and modify the message

● The credit limit value will automatically be added to the end of the message entered ●

Note: if a wholesaler attempts to submit an order that is greater than their available credit then the following will occur:

● Message will appear at checkout that they have exceeded their available credit limit ● ● Payment methods that do not capture payment online / immediately will be removed (i.e.

check / money ● order, purchase order, wire transfer, etc.)

Assigning Files to Products (Pro Feature)

This section will detail how to assign uploaded files to products. This process is managed per

product, at the product level.

1. Once you have uploaded your files (Uploading Files to Download Center), go to Products →

Catalog and select a product

2. After selecting a product, go to Advanced Settings -> Downloadable Files in the left

navigation

3. In the first column (Any, Yes, No), select Any and click Search to see all files that have been

uploaded with the File Type specified as Product

4. Select the file(s) that you would like to associate with this product

● To locate files quickly, use the filters on the table columns to narrow your search

5. Once you have selected your file(s), click Save

6. Products with downloadable files will appear with a download icon on the B2B store

Automatically vs. Manually Adding Products to Cart

In the B2B Suite, you can specify how your wholesalers will be adding products to their shopping cart. There are two approaches to this, automatically vs. manually.

Important: the amount of time required to add a product to your shopping cart depends on your server's speed.

AUTOMATICALLY ADDING TO CART (Pro feature) 1. To enable this option, go to Stores -> Configuration -> B2B Suite -> B2B Tables -> Add Products to Cart -> Automatically Add to Cart 2. Login to your wholesale website and navigate to one of the bulk ordering tables 3. Proceed with entering QTY's for products you would like to purchase 4. Once you are done entering your QTY's, the system will start to automatically add the products to your cart

● This will occur 2-3 seconds once you are done making changes

● While the system is adding these products to your cart you may resume with adding

additional products to your cart

MANUALLY ADDING TO CART

1. To enable this option, go to Stores -> Configuration -> B2B Suite -> B2B Tables -> Add Products to Cart -> Manually Add to Cart 2. Login to your wholesale website and navigate to one of the bulk ordering tables 3. Proceed with entering QTY's for products you would like to purchase 4. Select the 'Add to Cart' button at the bottom of the page once you are ready to add the products to your cart

B2B Request a Quote User Guide (Pro feature)

This feature enables your user to request a custom quote from your store in just 2 steps! From your customer side: User can request a quote in multiple ways starting with product page. To request a quote go to the product page and just click the request a quote button.

2. User will see matrix pop up with necessary for a quote requesting info. The pop-up is

fully customisable from admin side.

If user needs to request a quote for multiple products, they can form a shopping cart and use Request a Quote button from a shopping cart

To see more quote details just click on quote or choose View in menu

From your admin panel You can choose settings to our feature that will be ideal for your custom store. You can manage functionality under Stores-Configuration-IWD Agency-B2B Suite-Request a Quote To manage requested quotes go Sales-Request a Quote. Under this tab you will see a tablet with all of your requested quotes. In this tab you will see: Quote #; Status; Requested by; Created Date; Expires Date; Grand Total. To manage request you can either click on quote or choose the Edit Quote button in menu. In following tab you will be able to set custom price for a quote, status, comment quote and even edit the q-ty of products.

Order Approval Process - this feature of the B2B Suite enables your wholesalers to add additional users to their company account with full / limited purchasing abilities. This feature is intended for wholesalers that have internal purchasing workflows. Example You have permitted Joe from IWD Agency to join your wholesale program. Instead of creating orders for IWD Agency, Joe would like to delegate this process to Mike, the purchasing director, and Troy, the purchasing assistant. Joe can do this by adding both Mike and Troy to IWD Agency's account. Since Troy is the purchasing assistant, Joe will grant Troy "Requester" access which will allow Troy to create an order and submit this order for approval to IWD Agency's account administrators. Since Mike is responsible for purchasing, Joe will permit Mike to have "Administrative" access to the account, thereby giving Mike the ability to review and either approve or reject the orders Troy submits for approval.

ADDING USERS TO AN ACCOUNT To add additional users (sub-users) to a company account, perform the following: 1. Login to the customer account using the B2B login page 2. Navigate to the customer account area of your website and select the Manage Users link in the account left navigation

3. Enter the new user's name and email address 4. Select the permission level the new user will have:

● Administrator - full admin access, can manage company users and approve / reject

orders

● Requester - limited access, only able to submit orders for approval to company

administrators

Note: If you would like to rename the "Administrator" and "Requester" titles then go to the following page in the Magento admin panel: System -> Permissions -> B2B User Roles -> select the role and enter a new name

SUBMITTING AN ORDER FOR APPROVAL 1. Create a user with the "Requester" role (see section above for steps) 2. Go to the B2B login page and login using the email and password used to create the Requester user 3. Proceed to add products to your shopping cart 4. When ready, proceed to the checkout page 5. Specify the shipping address and method that will be used for the order if approved (this can be changed later) 6. For payment, select the "B2B Requester Payment Method" at checkout

● IMPORTANT: if no payment methods are shown then please make sure that the "B2B

Requester Payment Method" is enabled by going to Stores -> Configuration -> Sales

-> Payment Methods -> "B2B Requester Payment" and make sure Enabled is set to

Yes

● In the "B2B Requester Payment" method settings, you can apply additional settings and

rename the method's title if desired, such as "Submit for Approval"

7. After selecting the "B2B Requester Payment" method, submit the order 8. After submitting the order for approval, you are directed to a custom confirmation page confirming that the order was submitted for approval to the account administrators

APPROVING AN ORDER PENDING APPROVAL

1. Proceed to the B2B login page and login as an account administrator 2. Go to Account -> My Orders 3. Select the pending approval order that you would like to approve

4. Select the Approve Order button to proceed with approving the order

5. After clicking the Approve Order button you will be directed to the checkout process to update the shipping information and enter payment 6. After selecting the desired payment method, click the Place Order button

COMMENTING ON AN ORDER During the order approval process, users are able to discuss the order via order comments. New comments will be sent to designated users via email notifications. 1. Locate an order Pending Approval 2. Navigate to the Comment tab 3. Enter the comment you would like to make about the order and specify if the order status will be changed

4. After submitting the comment, you can review your comment and the history of comments for this order in the History tab

Managing Columns in Ordering Tables

Included in the B2B Suite are 3 custom bulk ordering tables. For each of these tables, you can manage the columns that are shown to your wholesale users. Follow these steps to add, remove, or rearrange this information:

1. In your Magento Admin panel go to Sales -> B2B Suite Tables

2. Select the ordering table that you would like to customize:

● Quick Order - shown on the B2B dashboard, allows customers to search by product

name or

● sku

● View All Products - allows customers to view your entire catalog and filter by specific

attributes

● Previously Ordered - displays products purchased by a specified date range

3. Once you have selected the table, you can proceed with managing the information shown in this table

● Note: columns are based on product attributes. If you create new attributes for your

products then these will be shown

● the list of "Available Options"

4. To add a column to your table, browse through the list of "Available Options" to locate the desired attribute. To add this attribute to the table, click and drag the attribute to the "Display in Table" section 5. To rearrange the columns, click and drag the attributes in the "Display in Table" section to the preferred layout 6. To remove an attribute, click and drag the attribute from the "Display in Table" section to the list of "Available Options" 7. When you are ready to apply your changes, click the Save button

Managing Sales Representatives (Pro Feature)

Follow these instructions to add and manage sales representatives:

Create a Sales Representative

1. Go to Sales -> Sales Representatives -> Add New User 2. Complete the required information in the User Info tab 3. In the User Role tab, select the permission levels the sales representative will have to your Magento admin account

● Note: you can create a custom user role with limited permissions (for example, only have access to Accounts & Orders) by going to System -> User Roles

4. In the Sales Representative tab, set Active to 'Yes' 5. To assign a customer account to the representative, go to the Assigned Customers tab 6. Select the accounts that the representative will manage:

● Only one sales representative can be assigned per account

7. To assign commission rates, select the "Update" link in the commission cell and configure the settings accordingly

Sales Representative: Selecting an Account for Checkout 1. For a sales representative to select an account to manage, proceed to the B2B login page 2. Login using the Magento admin username and password 3. Upon login, the sales representative will see a "Customer" bar at the bottom of the page:

5. After selecting an account, the sales representative will be able to submit an order on behalf of the company Payment Methods per Company Account

With the B2B Suite, you are able to control which payment methods each wholesale company is permitted to use. For example, you can setup Wholesaler A to only be able to checkout with Credit Card whereas Wholesaler B can checkout with Credit Card and Purchase Order. IMPORTANT: by default, a new wholesale company does not have any payment methods activated for their account. When approving an account, be sure to select which methods they can use. Follow these steps to configure this: 1. In your Magento admin panel, go to Customers -> Companies 2. Select a wholesale company 3. In the Payment Terms tab, locate the Payment Methods setting and select which methods this wholesaler may use Note: The list of payment methods will be determined based on which payment methods are enabled in your store. If you have 3 methods enabled, then you will only see 3 methods to choose from.

Permitting Access to Wholesalers (Pro Feature)

Follow these steps to provide a customer access to the wholesale website if they have

submitted the B2B registration form:

1. Go to Customers → Manage Companies and select a company account

2. In the General Information tab you can review and edit the information that the user

provided on the registration form

3. To approve the application, set the Status to Active

4. In the Group setting, assign the correct customer group to the company

● You can manage which customer groups are permitted to use the B2B site in the

extension settings

● The customer group assigned to the company will apply for all employees in the

company

6. Once you click save, the applicant will receive an email alert that they now have access to the

B2B website

Older versions of the B2B Suite managed registration and access at the customer account level

instead of at the company level. If your version of the B2B Suite does not have 'Companies'

then please follow these steps to provide a customer access to the wholesale website:

Note: you can check if you have 'Companies' logic by going to Customers -> Manage

Companies. If 'Manage Companies' is not shown then your version does not have this logic.

1. Go to Customers → All Customers and select a customer account

2. Navigate to the Wholesale Account tab to review information that the user provided on the

registration form

3. To approve the customer’s account for the B2B website, go to the Account Information tab

4. Assign the customer to the customer group that is permitted to access the B2B site

● You can manage which customer groups are permitted to use the B2B site in the

extension settings

5. Set Approve B2B Account to yes

6. Once you click save, the user will receive an email alert that they now have access to the

B2B website

Uploading Files to Download Center (Pro Feature)

To manage the files available for download: 1. Go to Content → B2B Files to view all files 2. Select the Add New File button to upload a new file 3. Enter a title for the file 4. Specify the file type

● Product - select if you are uploading a file that you want to associate with a product

● Marketing - select if you are uploading a file that will not be associated with a product

5. Choose to either enable or disable the file (disabled files will not be available for wholesale users) 6. Upload the file

● The maximum upload file size is determined by your server. Contact your server support

to increase this limit if needed.

● For Marketing files, create or assign an existing category for the file to be assigned to
