• 04/08/14 - Club advertisers were discussed, with a resolution that an effort would be made to contact potential advertisers to encourage them to take out an advertisement in the newsletter. Darren & Peter to investigate.

09/02/15 – Steve Carlin provided photos of proposed jackets to all for comment. Kylie & Trudy will review further and provide samples at the next executive meeting.

• 09/02/15 - Club flyer needs to be updated. Gavin to liaise with Luke to see if Luke can assist with updating.
16/03/15 – Revised club flyer was presented for comment. After some discussion, some minor revisions were made. Luke will modify and present at next Executive for final sign off.
11/05/15 – Luke absent tonight. Revised flyer not available.
07/09/15 – Luke presented a revised club flyer, which was discussed. Motion moved by Peter Wilson to accept new flyer. Seconded by Steve Carlin. Motion carried. Thanks to Luke for putting together the revised flyer. Matter resolved.
• 09/02/15 - Discussed the upcoming club 40th Anniversary to be held on Saturday 17th October. Committee to be called for at next general meeting.
16/03/15 – 40th Anniversary was presented to Club members with no one expressing an interest to assist. Executive will continue to discuss.
11/05/15 – Gavin has volunteered to oversee the event, so long as he receives adequate support from other club members. Agreed that the event will be held at the Black Duck Brewery in Port Macquarie on the evening of Saturday 17th October. Event will be a dinner supplied by the club with drinks purchased from the bar by attendees. Will most likely engage XS Foods to cater, dependent on price. Gavin to arrange adds in the local papers, as well as monthly advertising in Sydney and Brisbane papers and maybe look at radio advertising as well. Kylie to investigate setting up an event page on Facebook. We would like to run a slideshow of photos on the day. Messages to go out to all club members (past and present) asking if they have any photos they would like to have included. Gavin to approach the 4WD Association to see if they can promote the activity as well. Agreed costs for the evening will be $10 per adult and $5 per child under the age of 13. Will get you two complimentary drinks and dinner.
07/09/15 – So far around 50 people attending, including several past members. Rebecca Carlin has written an article that will hopefully be published in this month’s Focus Magazine. Agreed to spend up to $1000 on raffle prizes. Darren to investigate lucky door prize which can hopefully be donated. Agreed Trivia prizes to be chocolates, stubby holder and cap.
• 16/03/15 – Agreed that the club will acquire a Visa Debit card to be used for paying club accounts, such as website fees etc. Moved Mick Tout, second Kylie van der ley. Motion carried. Mick to investigate and report at next meeting.
11/05/15 – Mick has paperwork and needs to complete before presenting to the bank.
07/09/15 – Mick Tout moved motion that we modify our current account from accepting any two of three signatures to one of three signatures on account No. ***6646. Also provide a single Debit Card complete with internet banking and direct debit facilities. Seconded by Peter Wilson. Motion carried.
• 11/05/15 - Executive spoke with Glen Cook regarding civil works to construct the 4WD track at this years 4WD show. Glen offered to do the works for the discounted rate of $550 per day (discounted from $880). Kyle will liaise with Glen to finalize. Proposed date for track construction is the 12th and 19th July. Mick will confirm dates are suitable with the show society. Glens email address is [email protected]. Dave Walters has been confirmed as providing the cooking for the entire weekend. Drivers and marquee attendants are required. Please speak with Mick Tout if you are able to assist. Proceeds of the gold coin donation will be donated to the Jim Bruce Urology & Prostate Cancer Trust, which is a local charity.
07/09/15 – Wauchope show raise approximately $500 for the Jim Bruce Urology & Prostate Cancer Trust. At the last general meeting, this amount was increased to $1000. Karma Walters is arranging a large novelty cheque for the presentation. Peter Wilson will arrange the handover once we have the cheque. Mick to pursue novelty cheque from Karma.
• 11/05/15 – Discussed club archives. These may be useful in assisting with contacting ex club members and sourcing other club historical information for the upcoming 40th Anniversary. Letter to be sent to Dave Walters requesting the return of the club archives. Also determined the long term storage of the archives would be in the newly created shelving at Midcoast 4WD Centre. Moved Darren VDL, second Steve Towle. Motion carried.
07/09/15 – Club archives have been returned and are now stored at Midcoast 4WD Centre. Matter closed.
• 11/05/2015 - Motion moved by Darren VDL with second by Steve Carlin that a ‘mini’ USB projector be purchased to the value of $500. Gavin to investigate and report back at next meeting.
07/09/15 – Outstanding. Purchase of mini projector is still being investigated.
• 11/05/2015 - Kylie presented a new proposed Membership Application Form. This was discussed and changes suggested. Kylie to return to Luke to have changes implemented.
07/09/2015 – New membership application form has been approved and is available on Club website. Matter closed.

Hard copies of flyer available tonight. Flyer will also be placed in local papers. Members are encouraged to pass on info to any past members they may know. Spread the word people!!
o 17/08/2015 – Update on 40th Anniversary. A story on the club is being prepared that will hopefully be run in the local papers.
o 21/09/2015 – This is the last meeting before the big event. We don’t have a lot of past members who are coming as yet. If you know anyone who might be interested, please let them know! Article will be run in Focus magazine over the coming weeks.

Motion carried. 4WD Show financial results are in. We had an income of $5,717.00, Less costs of $3,308.50, leaves a balance of $2,408.50. Well done to everyone who assisted.

Trip/Social Reports: • James was unavailable tonight, so Gavin gave a run down on the Fathers Day Drive. A great day had by all that
ended up at the Coopernook pub where we were all fed and watered whilst sitting around the open fire. Thanks to James for putting on another great day.
Events Committee Report (Upcoming events): • October long weekend – Gavin is running a camping trip to the Long Flat Pub over the October long weekend.
Camping from Friday 2nd through Monday 5th October. There will be a day trip to the Cottan-Bimbang National Park on the Sunday with plenty of historic sites to discover. See flyer elsewhere in newsletter.
• Clubs 40th Anniversary on Saturday 17th October. See flyer in newsletter. Hope to see as many past and present members as possible.
• Dave W is running a joint ‘Bushy’ trip with the Tamworth club at the end of October. More details to follow. • Club Christmas party – Weekend of 5th & 6th December at Theo’s. Free camping available from Friday night through
to Sunday. Santa will be making his regular appearance Saturday afternoon, and dinner will be provided Saturday evening. Cost is FREE this year for all club members. Visitors will be required to pay. Suggestion that a $10 deposit required per person, which will be refunded to attending persons.
• Gavin is running a 3-week Victorian High Country trip to be held over the 2015 / 2016 summer. Departure date is Saturday 26th December, returning to Port around Saturday 16th January 2016. Trip is limited to 10 vehicles. First in best dressed. Additional details will be provided shortly. Contact Gavin to reserve your place or for more info.
TRIP IS FULL WITH 10 VEHICLES IN ATTENDANCE • Ken Towle is running a Grade 3, four week trip along the Hay River track (Simpson desert) departing 26th / 27th June
2016. Trip will be via Broken Hill, Flinders Ranges, Maree (for the camel races), then up the Birdsville Track, Warburton Track, Poeppel Corner, Hay River Track to Jervois, then West on the Plenty Highway and back towards home. You will need a $150 SA desert Parks Pass + a $200 Hay River Track permit. Need fuel for approximately 800kms in desert running. Max 10 vehicles. Contact Ken Towle on 0415 752 254 to reserve your place or for more info. TRIP IS FULL WITH 11 VEHICLES IN ATTENDANCE. There will be a joint meeting over the coming weeks to discuss options with the trip.
Driver Awareness Report: - Richard Couell.
• Basic club 4WD familiarization course will be run on Sunday 25th October. Please contact Richard if you would like to participate.
• Richard advised that the Basic DTU course is available to be undertaken on Saturday 10th October 2015. Course will be run on the Central Coast, we already have several people undertaking the course, so please contact Richard if you are interested in attending. Cost is around $90 + cost of booklet. Advanced DTU course will also be available in the future (recall that the Basic DTU course is a pre-requisite for the Advanced course). Both are nationally accredited courses and are highly recommended. You will learn a lot!! Contact Richard for more info. GAVIN – TALK TO RICHARD

• Nil to report. • Gavin advised that the bridge over Corkwood trail has been washed out and is impassible. Probably unlikely this

Trip Gradings 1. Scenic drive, little or no 4WDing.
2. Scenic with plenty of basic, easy 4WDing and some tricky sections.
3. Medium 4WDing on well used trails with little or no overgrowth.
4. Medium 4WDing on little used and overgrown trails.
5. Difficult hands on 4WDing. Recovery gear essential.
Minimum Vehicle Requirements (AT ALL TIMES) • Vehicles must be fitted with a UHF CB radio.

These will be available in Magenta, Purple & Navy and Pete will be coordinating the orders so please refer to the below pictures for sizing or you can see Pete to try your size. We need to put in a bulk order and order dates will be provided once determined. Finally, the cost of each shirt is $30 so please contact Pete should you wish to place an order.
