Benson Systems Implementation and Methodology Estimating (WeSuite) Benson Systems utilizes WeSuite. This is a sales tool developed to create an estimate of job cost and generate a scope of work as an all in one software system. Simple to calculate and accurately accounts for all material and labor costs. With just a few mouse clicks WeSuite automates proposal and contract document generation. Creates a scope of work and uses company designed templates to produce clean, professional proposals and contract documents for printing or emailed directly to our customers. A proven system that saves on time spent, slashes embarrassing mistakes, and increases our brand recognition.

• Gathers all Material and Labor Cost from the estimate • Allows sales management and project management to review and access risk and make adjustments

to labor, contingency, profit, etc. • Generates cost ratios can be saved and trended by the market so that future estimates can be tuned

for tighter cost estimating. This program will be utilized during cost estimating to reveal individual unit costs, discuss labor rates, finalize profit margins, and adjust quantities of system components. Cost Control (Sedona) Benson Systems utilizes a PC based accounting software package called Sedona. This program links our operations group delivering the project to our accounting group managing the financial billings of the project. It provides an up-to-date view of the current financial condition of a project, which provides the management team the ability to forecast small problems before they escalate financially and become expensive issues. In addition the software assist our project team in generating monthly billing statements and monthly work load calculations to assure that the project stays on time and on budget. In order to control job cost Benson Systems project managers utilize a few different techniques that included:

• Checking materials pricing from multiple vendors. • Ordering materials in bulk for a lower unit price. • Pre-purchasing materials prior to foreseen vendor price increases.

By utilizing these techniques our project managers can directly control 80% of the overall job cost. The other 20% is direct cost that is hard set and non-negotiable. A process that is considered when setting current labor rates. Project Management Approach Benson Systems management approach and implementation plan is based on:

• Total Quality Management • Team Building • A proven Track Record • A proven set of procedures and tools for managing costs, schedules and performance • A quality assurance program to guarantee that the work performed in the design, development,

implementation is of the highest. To effectively manage our projects Benson Systems will hold regular construction team meetings with the Project Team to schedule construction activities, to review the submittals and progress made by the client. These meetings are used to establish the installation schedules and to agree upon plans for coordination with the facility occupants. Benson Systems will work diligently to obtain the cooperation of facility occupants to ensure a smooth installation.

Page 18: Benson Systems Overview (Generic RFP)

On-Site Authority Our management plan ensures complete authority is provided at the site level to develop and authorize work plans within the approved contract scope and budget. The Operations Manager delegates the commitment of project resources to the on-site Project Managers, who in turn delegates’ suitable authority to Project Team members as deemed appropriate. Problem Resolution The Project Managers have complete on-site project authority to resolve problems. This authority includes, but is not limited to, the ability to allocate resources, settle conflicts, and initiate corrective actions as needed to resolve a problem. Within the project management hierarchy each successive level of management is delegated commensurate authority for problem resolution Commitment Full commitment authority is provided to the on-site Project Managers, up to the limit of the contract. Each successive management level has commensurate authority for commitments up to the level of its budget and its area of responsibility within the framework of contract requirements and project policy. Overall, the structure that has been established for this project places all necessary decision-making responsibility and authority at the appropriate site level. This ensures that the requirements of the contract are met in a timely and efficient manner. Installation: Well trained/in-house professional installers are the key to a high quality installation. Our electricians and technicians, receive continuing education training to stay abreast of the ever-changing technology and advancements in our industry. National Electrical Code in conjunction with local electrical and mechanical codes are strictly followed to ensure the quality and safety of the installation. Our project management team and field supervisors work closely with the installers and other associated trades to ensure a smooth and efficient installation. Quality Control Benson Systems periodically surveys all of our customers to assure we have, and continue to exceed their expectations. As a local company, we cannot afford any unresolved customer issues. The expectation to exceed requirements is the root of our success and an expectation of the culture we have created. This commitment to customer satisfaction demands that we begin to clearly understand each and every customer’s unique requirement and that we deliver our products and services in conformance with these requirements. Thank you for allowing me the opportunity to present to you Benson Systems qualifications. We look forward to working with you and your company. Sincerely, Troy J. Anderson
