ns SAP Oil & Gas Secondary Distribution (SAP OGSD)

SAP OGSD is an industry solution for the downstream industry that supports the trading process within the Oil & Gas industry. It is based on “industry best-practice” and is developed by Implico in close collaboration with the industry. The preconfigured solution is suitable for environments ranging from 5 to 5,000 users.

SAP OGSD supports the business processes in the oil industry for service station-, wholesale-, and consumer businesses, and integrates the processes from sales, to transport scheduling, through to the automatic feedback of all product movement in accountancy and reporting.

Additionally, SAP’s customer relationship management and business intelligence solutions are integrated with SAP OGSD.

Benefits of SAP OGSD:

■ Industry specific ■ Easy to use ■ Easy to implement ■ Scalable

Functions:

Telesales including Best Buy AnalysisSAP OGSD Telesales contains functions such as collective order processing, subscription contracts, or outbound activities. Evaluations in the areas of sales, procurement, and settlements support telephone sales. Telesales is an enhancement of the standard sales order. This function has been enhanced so that a telephone sales person can use this as a permanent work environment.

Tour PlanningSAP OGSD Tour Planning functionality handles the Pre-Scheduling functionality to generate the base for optimization. It allows to plan the tours manually and to optimize the tour with Map & Guide functionality. Tour Planning will also integrate the SAP Optimize Engine in the Pre-Scheduling functionality in Telesales.

Data Collation SAP OGSD Data Collation incorporates the processes for the comparison of the actual delivered quantities against the initially scheduled delivery data. Data Collation includes information such as:

■ actual deliveries that do not match the original order

■ additional products sold ■ deliveries without orders etc.

SAP OGSD has a specifically designed screen to process sales exceptions on a daily basis. Users enter updates into the system, and the software makes the corrections, synchronizes the profile, distributes the information to other systems, and updates the customer orders in-process. Data collation integrates and automates frequently-used processes in Materials Management (MM) and Sales and Distribution (SD).

OGSD Interface ToolThe OGSD Object-Oriented Interfaces (OGSD OOIF) offer a flexible, customizable and customer-programmable way to connect any kind of terminal automation systems (e.g. OpenTAS), Haulier / Transportation companies, board computers, service stations, etc. Supported input formats are IDoc, flat-file or XML. Incoming data can be manipulated at various events during processing and stored to any kind of data base table (customer-defined or SAP standard) before subsequent processing is started. Especially in case of multiple interfaces the OGSD OOIF allows time-saving implementation by reusable event-methods and can reduce the development effort down to 20 percent.

SAP OGSD helps you to…

■ sense and respond quickly to price fluctuations and other market changes

■ automate key business processes across the load-to-bill cycle, including fuel-volume reconciliation and data collection from both terminals and trucks

■ determine the most cost-effective and timely delivery routes

■ assign deliveries to specific trucks and other transportation units

■ assess demand in near real time and make sure you have the inventory to match it

■ respond to unexpected situations with alerts to gaps in replenishment, changes in demand or pricing, and other deviations from the forecast

■ streamline transactions with partners, such as transportation companies, terminals, and refineries

■ integrate sales, inventory, scheduling, and accounting information - creating a seamless order-to-cash process

■ centralize customer information and tend to the full customer experience through a single interface

■ manage your company’s portfolio of assets and its financial risk profile

nsIntelligent calculation

All transport planning clearly has the same objective: the available resources must be deployed and combined as optimally as possible. This process is also significantly affected by numerous constraints: these may be special, customer-specific items or even stem from specific strategic corporate policies.

Highlights of IDM include the capability to accept a wide range of parameters and then apply these to the ensuing calculation or optimization.

Support for all planning types

IDM gives you the maximum possible freedom for your planning: you define the level of system support you need to match your requirements.

Manual, semi-automated or fully automated: with IDM you’re assured of the best possible solution for your transport planning.

Lower costs

Thanks to features such as real-time tour optimization, the solution effectively lowers transportation costs by reducing factors such as kilometers driven, drive time, vehicle use and overtime by up to 15 percent.

Faster planning

Thanks to intelligent support from the system, IDM helps you reduce the time needed for planning and dispatching by up to 80 percent.

Improved service

IDM enables you to minimize processing time for new orders as they come in. And, thanks to improved planning and greater transparency, available delivery deadline information becomes more reliable – shortening your response time and improving the quality of information you provide.

ns Continuous Product Replenishment (CPR)

If you are in the business of managing your customer’s inventory, CPR enables you to replenish your customers with product right in time. You can choose from different methods to plan the replenishment, such as calendar-based (fixed cycles) or forecast-based, considering delivery history and parameters like weather data (degree days) or steady usage patterns. CPR greatly improves customer service because it helps your telephone sales people to be more proactive: they can contact customers with the latest offers just when they are ready to re-order. Contacting customers at the right time will also minimize the risk of your customers ordering from the competition.

Key Functions:

■ Forecasting for end consumer business ■ Creates Call lists for Telesales agents ■ Creates email campaigns ■ Supports automatic order creation ■ Supports different methods for calculation ■ Increase sales activities

Add-On CPR Analysis Tool (CAT)

Data from several areas in SAP are taken into consideration by the CPR forecast run: customer master data, CPR parameters, storage object (tank) definitions, delivery history, etc. It can be very time-consuming to review a customer.

CAT supports the analyst by providing the means for an efficient selection of customers and save them as queries (canned selections). Once the selected data is presented, the tool provides you with filters to reduce the number of customers for a particular review. From the list of selected customers you can drill down into the details and will be provided with all relevant Forecasting information on one screen.

From the detail screen, the customer’s CPR forecast logs can be accessed to check results from the CPR forecast runs. Once the analyst is happy with the result, an update of the CPR parameters can be triggered from the tool. The analyst can determine the optimal usage factor to replenish the customer in time while remaining efficient to the business. The graphic display also helps to identify seasonal consumption patterns and to determine the optimal delivery method based on time of year.

nsAdd-On Refill Me! – the app

For the first time, Oil & Gas companies can now offer their customers an app – “Refill Me!” This mobile application was developed by Implico. The app for the iPhone or iPad makes it possible for end consumer to play an active role in the delivery process by providing them with all the information they need about their current consumption. At the same time, the app enables dealers to automatically manage their resources – and improve their customer service.

“Refill Me!” tells users how much of each product they have left in each tank. The consumption curve shows them when the last delivery took place and when the next one is due. Armed with this knowledge, the customer can then use the second, interactive function to place an order to be sent directly to the dealer’s SAP system. The app shows the current price and arranges for delivery of the order quantity as soon as the customer confirms the order.

The app “Refill Me!” gives your end consumers the benefits of information and interaction while your company benefits from improved customer focus, optimized transport chains and increased delivery quantities.

Add-On CPR Initial Set Up Tool (ISU)

Over time, you gain a lot of information about the usage patterns of your existing customers and are in a good position to replenish in time. However, every new customer can give you a challenge as you may know very little about their rate of consumption. ISU can be used for mass processing of new or existing customers:

Analysis based on addressLook up customers assigned to the same ZIP-code. It shows parameters such as average tank size and the different consumption factors of the customers.

Analysis based on address and characteristicsLook up customers assigned to the same weather station and with the same or similar usage characteristics.

Analysis based on address and delivery historyThis method will generate the most reliable parameters for your planning. Based on historic deliveries, the usage will be checked for correlation with weather data. Depending on the correlation, the parameters to calculate weather-dependent consumption and steady consumption will be determined.

ns Sales Region Designer (SRD)

Various entities within your organization deal with your customer base, such as distribution centers, sales offices or market research. The assignment of all customers to the most appropriate organizational entity can be very challenging. For example, assigning delivery plants closest to your customers’ locations is essential for highly efficient and cost-saving transportation.

The solution Sales Region Designer (SRD) provides you with the means to select your customers in a flexible way. Once the customers are selected and located, you can review and rearrange the assignments with the help of an interactive graphical tool.

Metrics like “Average distance” or “Average driving time” are updated while you perform your re-assignments.

Once the re-assignments have been finished, the result can be released and the assignments of the organizational objects (e.g. new delivery plant by customer) are posted.

The SRD process chain at a glance:

■ Create the Regions: The first step is creating a so-called “Region”. The “Region” is a discretionary planning area that you define to work with for remapping.

■ Create the POIs: POIs (points-of-interests) are objects with an address, which will be located.

■ Create the Districts: The district will represent your delivery plant.

■ Upload Table: Additional customers (external data, e.g. MS Excel files) can also be uploaded for remapping.

■ Select Additional Customers

■ Start Selector: The tool will geo-locate all customers, which are selected via the assigned selection groups.

■ Start Remapper

■ Analyze New Assignments

■ Perform Update
